Compared to other products such as Documentun, this is so easy to maintain, the admin console is so easy to understand and it adds a lot of features that, in other products, you would need a developer to do for you. Pros It is really easy to configure and maintain, it is intuitive and the Hubshare companion product opens your company's repository to external and internal users that have different access needs. Cons The way that the subscription model is organised, it means that for some features you need to move to a subscription level that is more costly. Especially how M-Files copes with the amount of data that has accumulated over the years. Pros What I like most about M-Files is its adaptability to various problems. I like to compare it to a construction kit. With a little effort, it can be adapted to any industry and used in several languages without programming. Even though M-Files offers a very extensive API, which expands the possibilities. Cons The integration into Windows Explorer is both a curse and a blessing. It offers many possibilities, but also restricts M-Files in many places and unfortunately causes errors again and again due to Windows updates. It is also not possible to run the server with a different operating system. The search is so fast that no one wastes time looking for old versions anymore, and the control we have over information made teamwork much easier. I honestly can’t imagine going back to shared folder chaos. Pros I especially liked how it handles version control. No duplicates, no confusion — every edit is tracked, and I can roll back at any time without losing a thing. The Outlook integration was also a lifesaver, letting me store emails and attachments directly into the repository with just a click. Cons It wasn’t all smooth sailing, though. The OCR feature is amazing, it feels like having Google search for all your office files. And I use it all the time. Pros The best part is that how easy it connects to Microsoft programs. It fits right into Outlook, Word, or even Windows folders. Making workflows was easy once we learned the basics, and we quickly converted manual tasks like approvals and document storage into automated steps. Cons Rolling it out company-wide was a little hard because we needed to pick the right licenses. M-Files has several license types, and we had to balance our budget while getting what we need.
