I am using M-files since 2024 and i am the admin of M-files for my company so it works good here Pros We can find files easily, The metadata structure is really worth as they show , I like there version control as feel because its easy to track history of who made changes and Views management is easy so yes it is wonderful product. Customer support also works good with M-files, I have never faced issue with Customer support. It has collaboration with Microsoft so if i create a word document i can directly access that via my word, No need to open other application. We purchased what we believed was a perpetual license — the certificate explicitly stated "License expires: Never." After deciding not to renew our annual subscription, we discovered our data was completely inaccessible. M-Files' position is that we can use our old perpetual license key with software from 2014 — but after 12 years of automatic updates that upgraded our vault structure, that software cannot read our current data. This is a catch-22 built into the system: automatic updates prompt vault upgrades, which makes old software incompatible, which forces ongoing subscriptions to access your own data. Our business records are effectively held hostage. Pros The software itself worked well as a document management system for 12 years. The search functionality and metadata organisation were genuinely useful for managing business records. Cons Our 2014 license explicitly stated "License expires: Never." After letting our subscription lapse (which we understood to cover support and updates only), we lost ALL access to our vault — our own data, on our own on-premises server. M-Files' solution was to use 2014-era software with our perpetual license. The problem: every update over 12 years prompted us to upgrade the vault structure, warning that "some features may not work" if we declined. Now 2014 software can't read our upgraded vault. This appears to be by design. When we raised this with their Australian partner Storata, we were threatened with "equal and aggressive force" for considering negative reviews. September 15, 2025 5.0 I have had a pleasant experience with M-Files. It has largely enhanced the smooth running, organization, and teamwork of our group with documents. The automated workflows and metadata-based system have facilitated tasks to be more efficient and fast whereas the permission controls have been used to secure data. It may also require time before new users become accustomed to its advanced features and the pricing is a factor that is a little more expensive but the benefits in productivity and organization are far much better than these disadvantages. I would suggest it to the teams which require a stable and efficient document management system. Pros I preferred the most the efficiency with which M-Files manages documents by metadata rather than folders. This makes file searching and retrieving very rapid and precise. The spreadsheet functions that are automated like the version control and the workflows have assisted in streamlining processes and saved us time as well as the errors. Moreover, the user-friendly interface and the safe permissions allow easy and carefree collaboration in terms of the platform. With such features, our team has become significantly more productive and managed its data. Cons The major limitation that I came across is that the learning curve may be very high to the new users, particularly on how to establish the workflows and also tagging metadata with the metadata tagging tool. Certain higher capabilities need further instructions or practice to use. In addition, its prices are also more expensive than other document management tools, which others may consider an issue when it comes to small groups or businesses with a tight budget. Prior to M-Files, the version control and document retrieval was very inefficient and made collaboration slow. Metadata based search and workflow automation now enable us to find files in a flash, keep them compliant and also to make sure that tasks adhere to the correct approvals and run through with no delays. The site has as well enhanced cross departmental co-operation, where marketing, operations, and finance are operating in the same platform. Task monitoring and workflow scheduling offer a transparency effect, and its integration with current tools means that our processes will not be undisrupted significantly. Though the learning curve was experienced initially, the long-term gains, which include time savings, better compliance and increased productivity, undoubtedly outweigh the short term one. September 21, 2025 4.0 Using M-Files was the simplest and most cost-effective solution. Once it is setup, it's easy to use and completely sufficient for our day to day operations. Pros Seamless integration enables smooth and hassle-free collaboration. It makes it easy to edit and share files. Allows users to securely and easily share files and folders with others both internally and externally. I also like using the automated file backup features: documents, images and presentations are saved as they're being edited. The ability to share folders with specific teams/departments is also useful for us. Cons Sometimes M-Files can't save a file properly, for example, if the internet connection is temporarily unstable. Fortunately, it then creates a second version of the document instead of automatically overwriting another user's version. Pros Super easy while importing files into M-Files, including comments and much more. I can even invite Teaching Assistants to join document editing sessions. No duplicates, no confusion — every edit is tracked, and I can roll back at any time without losing a thing. The Outlook integration was also a lifesaver, letting me store emails and attachments directly into the repository with just a click. Cons It wasn’t all smooth sailing, though. More so, one of the major wins for me is the reduction of manual steps in document routing, so it kind of makes my day-to-day work feel less chaotic. Pros The thing I like most about M-Files is that it consolidates all things in one place so you do not have to search through multiple drives or folders to find a document. I use it every day to store contracts, invoices, and HR records the metadata search literally saves me hours compared to our old filing system. And then, pretty heavily rely on the workflow automation to route documents for approval, which seriously helps me cut down my ‘chasing people over email’ to do that. Cons My biggest frustration with Office 365 so far is having to sometimes wait for files to open, especially the large ones or when many people are in the system. It is powerful tool to work with files allowing users to find files easily. The work flow automation is a clever feature which makes work easy by automatically processing the files.
