It's very flexible and has made huge improvement to the way we manage our information and processes. It's easy to use but as with every new system it takes some a bit longer to get used to. The user guides are pretty minimal, especially from an administration perspective and there is not a dedicated support team that can help with queries. You are relying on the community of users (who are general very responsive and generous but may not necessarily respond to every query). It is good value for money but for a small charity like ours it's a huge investment but I am glad that we made it. Pros Flexibility, the ability to customise it exactly to your organisation's need. We are focused on improving the administration portions of our User Guide. As always, if you run into specific errors or unusual behavior, Customer Support can assist you in your efforts. I've been using it for some time now and have had only positive impressions. Loving the version control the most. This is a life saver especially for my line of work where I am having tens of emails daily containing file which are going back and forth for updates and whatnot. June 13, 2019 4.0 You need to give some education to your users for better understanding.Otherwise ,your users might have difficulty in understanding and your user might have some claims about the program Pros You can set a group and send the file to this group who involves this group ,the M-file system sends a remind e-mail if somebody change something in the file system so I can understand when somebody upload a file. This is very good feature. Cons File transfer logic is a little bit different and it is not familiar to me because I was used to use easy cloud system such as apple cloud,etc.. July 3, 2018 3.0 Pros The main feature that I like most about this system is the workflow creation where you can convert your business process into a paper-less and effortless process. Proposals, approvals, routing memos, etc. can be done via the computer no need for physical papers and appearances to the concerned people. Cons The thing that I am not well pleased with the system is the complexity of the program. There is a need for serious training to be able to use the full functionalities of the system. Director of Engineering Oil & Energy Used the software for: Less than 6 months ### "M-files for Engineering" April 19, 2017 4.0 My primary interest in using M-Files is with regard to AutoCAD drawings. I think the final product that will be delivered will be great. However, during our vetting process where we were evaluating a couple of different products, I specified my "must haves", and we were told by the salesman that "M-Files can do that". He probably knew that if it couldnt, it was a deal breaker, so its hard for me to fault him. However, after committing and going through the discovery process, it became apparent that the product had been grossly oversold in terms of its capabilities to deal with AutoCAD drawings and especially Xrefs. My requirements had been clearly stated in the scope of work document. As I said, I think the final product that is to be delivered will be excellent, and to M-Files' credit you are honoring the scope of work committments, but it has taken much longer to get the final product delivered than I ever imagined it would take. Hopefully we will get the final product for testing in a few days. Fingers crossed. Pros Ease of use, appearance (good user interface. Cons Did not really have the capabilities with regard to AutoCAD documents that we were led to believe it had. These capabilities have had to be developed by M-Files, which has taken a long time. Most things done even need the assistance of a developer. It is a very stable platform and we have nothing but good things to say. Our organization is about 200 people and we use it for everything from HR documents to order and shipping related documents, as well as compliance documents and workflows. Pros Flexibility, Very easy to learn, Minimal end user training needed, Major updates and features added twice a year. Smooth office integration, Easy to integrate with ERP databases, Many layers of security including encrypted SQL database. Simultaneous updates are also can not be done which should be improved I think. Pros I can reach my files both from inside/outside the company. Files can be shared with different teams in our company separately with access management. Cons There are no sub-folders that I can store my files easily. There is always room for improvement just like any other software program out there. My favorite part is that I don't have to pay someone else to make changes to my own company on the back end. I have almost full control over that aspect. Pros User Friendly, Have more control over my own company and set up. Cons Would like more search fields to narrow down a search. Takes a long time to get support for more in depth help like syncing other programs. When working on a project we have to try to get 3 people on our side to match up with one person on yours sides schedule. The support is not very flexible. Pros Can be customized to suit any business requirements. Great use of the workflow functionality, historical tracking and document management. M-Files was easy to deploy into organization due to simple UI with a great look and feel. Cons The fact that it now makes me want to convert everything I do onto the M-files platform and the amount of additional projects which have stemmed out of the roll out of a single requirement. Pros M-Files is really easy to use as it integrates directly with Microsoft windows. Tracking document changes are great. Searching for files is very fast, even in the cloud. Once properly setup it is really great, We used an Australian company, they know pretty much everything about it! It is cheaper now. Cons Files have to be saved with keywords so they can be found easily. You really need a third party company like to help setup automation and workflows to get the full benefits. M-Files has become a valuable tool in our organisation. The ability to customise almost everything from the way it looks to the way it functions with workflows has really allowed us to solve a lot of issues we had with storing and retrieving our important documents and information. M-Files comes as a blank canvas, so it is important to look at the sample vault and then work with your channel partner to plan your deployment, but as you start to use it, you realise more and more that it can do. April 18, 2017 4.0 M-files was certainly a foreign way of thinking about our file management. However, once adopted it has transformed how our company thinks about WHAT is being saved and moved from place to place. Pros It's approachable and it works as an Add-In with other Microsoft products. Cons It is a little expensive for small businesses. Pros The software very reliable or secure for example you can choose which departments can see the files or you can define the security levels etc. This is very important when you will share a document with suppliers or another colleague. Cons The program's interface is not user friendly not even close. If you want to upload a simple file, you need the categorized, chose the secure level, chose the responsible person etc. and this is a very hard way to share a simple file or document especially during the work hours. December 23, 2018 5.0 Pros As an office staff, we often have some problems when looking for files on our computer. M-files is a great tool to help us in organizing our files no matter where it is. It saves our time and money. We can view the content by customers, and also find any documents related to that project. We don't need to remember where the file is. They have a trial version for FREE so you can try to use it. Cons I have some problem when installing their software. I think they should fix it soon. Cons The search function is horrible. Previously we used Alchemy, which seemed pretty basic so when M-Files was introduced, I was excited to get into the new program. That is until I tried finding documents. When I try to search for a quote number, I get hundreds of results. If I want to refine my search I have to click on a bunch of stuff and then I still have to fish through the results to find what I am looking for. Review Source Tara L. Pros I love the speed I get when searching for a document and the control-ability of determining what will show up when I look for a docment. Cons The views that can be made are amazing when I can make the view correctly. The process to create a view can be confusing. I love the how specific the views can be, it just needs a better step by step on how to customize for more complex views.
