We were looking for a project tool that would fit into the software infrastructure we were already using, that included features that cover the entire project cycle and is still easy to use. After testing quite a few options we chose InLoox because it integrates perfectly with Outlook and for its user-friendly interface. Instead of training my team on how to use the software they were able to work with the tool immediately. Project Manager Management Consulting Used the software for: 2+ years ### "Best project management software" November 27, 2025 5.0 We first tested InLoox with two real projects, and it quickly became clear that it had all the features we needed. We also discovered workflows that we hadn’t found in any other tool. Being able to turn emails into tasks and attach the email as a document, or logging project work time directly from Outlook calendar entries, those were real game changers. Since we also wanted to connect SharePoint, and the InLoox support team helped us with that, we were ready to go after just two months. And we haven’t looked back since. Pros From the Outlook integration to the web app and the mobile app—everything works great and is very intuitive. What I especially love is the support. Every request, be it about how a feature works or something technical, is answered quickly and in a very friendly way. InLoox helps us enormously with our projects, and we wouldn’t want to work without it anymore. Cons There are only a few small things, like needing quite a few clicks when creating a budget, but that’s really complaining at a high level. After the purchase is where the problems, and accompanying headaches, started. GLAD TO BE DONE WITH INLOOX. Pros Ease of setup and ease of use Cons Absolutely zero support. Despite cancelling my subscription/license, the company continued to renew the license for two years, threatening legal action if not paid. They have gotten better with their tutorials and will be giving a number of our SME's additional training on their software and the upgrades they have done recently. Pros Over the last six months, Inloox has reviewed our wants and needs to move forward with our Project Management department and made requested changes needed for us to continue to be successful. Cons The software still has a few "quarks" to it that boggle the mind as to why the software does what it does. Typically, we'll ask, but sometimes we leave their developers wondering as well. Very minor occurrences though. Before InLoox we were emailing around quite a bit trying to make sure everyone was on the same page. But now we don't need to do that any more. We are able to more efficiently develope and complete projects. InLoox is constantly updating and improving their services and based on user feedback so it just keeps getting better and better! Our fav features: The Outlook integration is amazing! Dashboards can be customized to fit your own personal organization style. One of the best features is the task management module, you can communicate task related information directly within the program without having to explain everything all over again in an email. InLoox includes all the features needed for project collaboration even across departments. But it's still very easy to use and doesn't force teams to manage the overhead associated with other full-featured solutions. The software is really flexible and fits perfectly into our workflow. We love the Outlook integration and calendar sync. And that we can combine the desktop version with an online project tool. This especially improved the communication with our clients. The software doesn't include an instant messaging feature, which would be a nice addition. I tested out InLoox as well as a variety of other softwares, and settled on InLoox because of its ease of use and familiar interface (it integrates with Outlook). We already use Outlook as our primary platform for emails, scheduling etc. so it was great to see a tool that expanded on those features rather than reinventing the wheel. InLoox synchronizes key project dates and info. Everything is stored centrally so that we always have access to it, which is huge when somebody is out of the office. Scrambling to decipher each other's excel worksheet schedules is a thing of the past. I even figured out a good way to keep track of my team's vacation time with the tool! Support has been great so far, the representatives at the company are always friendly and help me out quickly if there is a problem. InLoox is fully integrated into Outlook and that is where our team lives – in Outlook. Before using InLoox, we never really had a process in place and everyone was trying to manage their projects differently. Without any uniformity, we consistently got a different result. The Outlook integretation has been mentioned a lot in other reviews, and it really is one of it's strongest point. Die Benutzbarkeit in Bezug auf Aufgabenplanung, Aufgabenabarbeitung und die Übersicht als auch die Zeiterfassung sind leicht zu bedienen und sehr effizient. Ich kann dieses Produkt nur jedem empfehlen. Pros Die Projektmanagementsoftware ist ein effektives Werkzeug um die täglichen Aufgaben gut zu planen und auch diese dann über die gute Struktur abzuarbeiten. Was eine Besonderheit in Inloox ist und dies auch der Grund war uns damals für diese Produkt zu entscheiden, war die Einbindung in Outlook. Dadurch wurde zum einen die Übersicht als auch Benutzbarkeit speziell beim Erstellen von Aufgaben aus E-Mail sehr vereinfacht. Außergewöhnlich sind jedoch zwei Punkte Die extrem schnelle Reaktionszeit des Support, welcher sich bemüht ein Problem abzustellen. Auch der Wunsch sich hier schnell auf das System mittels Team Viewer aufzuschalten um das Problem detailliert darstellen zu können wird in der Regel entsprochen. Der zweite Punkt ist die Strukturierung und Verwaltung von Verbesserungsvorschlägen. Hier nimmt sich selbst der \[sensibler Inhalt ausgeblendet\] dafür Zeit und tritt dann über das vorgegeben Medium mit einem in Kontakt. Sollte es ein Verbesserungsvorschlag sein, welcher aus Sicht des Unternehmens sinn macht, erfolgt sehr schnell eine Umsetzung. Diese beiden Punkte sind aus meiner bisherigen Erfahrung mit Softwareunternehmen ein Alleinstellungsmerkmal. Not only the integration with the groupware itself, but also that it integrates into the infrastructure we already have in place. Another plus is that the program doesn't force you to adopt a formal project framework. It lets you use just the features you need, and you can work in a way that adjust to existing processes. I found their staff particularly helpful. The consultants really listen to their clients and provide hands on support as needed. Also, the seamless Outlook integration really makes switching to InLoox easy. I took off a star from Ease of Use because it did take a while to really get to know all features of InLoox. If you're looking for just a task management tool, InLoox will probably be the wrong tool for you. But if you're looking for a PM software with which you can plan your whole project and that is integrated into Outlook (the reason I chose the software in the first place), then InLoox is the perfect tool. We considered other options but chose InLoox because it was created to work in the Outlook environment, which we were already using. We're a team of 12 and often work with freelancers which used to make keeping track of each status really cumbersome. So we were looking for a solution that would give everyone the opportunity to see updates, track issues and collaborate on projects. Inloox does that and what's best is, that the freelancers don't have to have a license for inloox. It's a great tool!
