July 9, 2019 4.0 It has helped us organize our products and subsequent information into an easy database. Pros I like the ease of putting the data items (pdfs, word docs, drawings, powerpoints. etc.) into drawers and folders by dragging and dropping. As an admin I can easily access the information, but end-users have difficulty seeing what they are accessing because they are all separate line items Cons It is difficult to assign folders to end-users. You have to manually find an end-user by specific email address or name...would be nice to see all guests alphabetically or just assign folders to an end-user profile page...just tick off all of the existing options. An admin CANNOT remove options that isn't applicable to the particular application. For instance, my end-users do not need to have access to instant messages within securedrawer and they still do...so they send questions to us which go unanswered. There are still problems when a person uses Internet Explorer. The information loading takes forever and you cannot tell it's loading. The did do upgrades to deal with Office365 integrations and did so in a fairly timely manner. We have been installing and administrating EFileCabinet for many years now and are happy overal with the product. Cons The interface on the software is a little outdated, and good use a good ux/ui update. The automation of backup when not using the integrated sql server are outdated as well, but still workable. If we had to save paper records , I'd have rent a storage unit. Then, clients are always calling looking for previous years returns...I am able to securely email these in under 5 minutes... Pros Templates and auto fill names allows me quickly scan and file without touching the keyboard Cons Interface with Secure drawer. Easy to upload documents. Cons Occasionally the software will be very slow to open drawers and files. Other times we get the "oops something went wrong" notice and all we can do is log out of the platform and try again later. Efile cabinet allows me to password protect their file and email easily. I then am able to document in the comments section when and who I emailed. Pros Whether you are using this product for just yourself or your entire company, this is the storage for you. Efile Cabinet is extremely easy to use and retrieve information from. I love the fact that I can save a file, then email it to the client and put into the notes who I emailed it to and when. Cons There is not much I dislike about Efile Cabinet. Pros The app is great I love that I can assign permissions and restrict access to specific file cabinets. Super easy to upload files as well. Pros It allows my team to work more collaboratively and allows me as a supervisor to monitor documents more efficiently and effectively. Cons It occasionally corrupts my files and cannot be restored from a prior workable version. This issue has not been resolved despite multiple phone calls. Cons More transparency with the emails that are sent from eFile. I would like to be bcc'd in all outgoing correspondence so I know they were sent and the contents. April 8, 2019 5.0 Pros eFileCabinet cloud-based system supports the storage of many different file formats and allows documents to be accessed by employees who work from home anywhere at any time without having to take along hard copy files. The integration of e-signatures eliminates the need to print documentation that requires physical signatures. Cons Sometimes it takes a long time to load and prices have increased. It works ok for the clients who take the time to learn to use it. When clients use it, it makes both our lives easier. Older clients balk at learning to use it. Pros Secure drawer provides a safe way to exchange documents with client. Cons When you search for secure drawer, it takes you to a website flagged for malicious activity. This scares clients coming to the service for the first time, even after I show them the correct place to log in. I wish we had better support for onboarding clients, because it takes 30 minutes to an hour to set up a new user and get them to access the portal successfully. Many will try it and then give up and mail their docs or use Dropbox. Cons The software now requires multiple windows. In order to apply a template to a folder/client, I need to be logged in via a browser. Then I print to the cabinet and have to use a Desktop window (Sidekick) to upload the file to the folder I had to add via the browser window. This is a newly created problem with the latest release and customer support told me my only option was to pay more for a different platform. The old version allowed both functions within a single window. Why reduce functionality? Some of the training sessions feel a little rushed. Again, from a document storage solution I have few complaints. From an invoice approval solution I feel the product may be lacking. Pros From a document storage perspective, this appears to be a very strong product. If I were looking for just a document storage solution, I would have rated things higher. Cons We are using the software for invoice approval in addition to document storage. We have home builders that will need to approve hundreds of invoices each week. The ease of approving/rejecting and applying a stamp that indicates that seems poor. Current guidance to approve one invoice is- click annotate>select stamp>select drop down to choose approve or reject>draw the box on the invoice>hit the "download" icon>click the boxes to indicate you want to save the annotation and overwrite the current document. That is too much for someone who is approving hundreds of invoices each week. We understand another eFileCabinet client in the home building industry went to approvals in Adobe, but we are looking for a one-stop solution. Perhaps there is an easier way? Work flow doesn't seem to help as it is difficult for our clients to quickly determine which invoices they are approving. December 9, 2016 5.0 We've been using eFileCabinet for a year now after previously using SmartVault. I like the many features, including the ability to create templates, tag documents and assign documents to employees but what really got us hooked are the emailing features. We love that you can email out sensitive documents with a password and specific restrictions. We find that having a document sharing system with our clients is difficult. I find SecureDrawer to be confusing to set up and use. Therefore, we don't use SecureDrawer as much and we can longer offer document sharing to our clients. Overall, we are satisfied with the product and how secure our system feels. I would recommend it to other small-medium businesses. Pros Good Features. Secure Logins. Good Support. Easy to understand design. Cons Some features are not explained fully - so I don't know how to use them. Secure drawer is confusing and doesn't sync well with eFileCabinet. I find the support team to be helpful but at times they do not explain well what they are doing or what the solution is. They simply take over your computer (very occasionally without asking) and fix the problem. At times they will leave without closing the various windows they used to solve the problem. Despite those grievances, I do find it very easy to have a problem solved although we haven't needed to call or chat in months! Review Source AY Anona Y. December 9, 2016 5.0 Three years ago, our office decided that we needed to step into the digital age and start making digital copies of documents. The reasons were for storage space capacity and for the ability to find documents when we needed them. Recently I have been asked about events that happened in Beaver City in the last three years and been able to find these documents with ease. Yesterday, I was asked about some very important easements and ownership that I could not find and have no way to know where these documents would be. This is the most expensive loss I have encountered in my time with Beaver City. It will take many days and maybe weeks to search for these documents and may never find them. That will not happen again to anyone in our office because they will be able to find important documents from this time forward. I love using eFile and being able to find answers to valuable and important questions. Pros It is easy to use and easy to find the documents I need. Cons It is so expensive that we can't afford more than one user. We are a small city and the numbers are hard to justify on paper for another user. Review Source BP Brandon P. Support was great to work with. Pros The support was fantastic to work with even with some more in depth networking/compatibility issues. Our clients were able to work through the system at a very fast pace which really speaks of it's ease of use. Cons Can't really blame the product on this but it may be worth mentioning for the sales team. The client we work with that uses eFileCabinet had issues that they had simply outgrown their database both in size and users. I haven't seen any competition that can do what I need for the price. Pros It is a good way to store everything about a job or client, especially all of the source and backup data. Cons Never been trained "hands on". Usually have to wait for a callback for tech support. (I try to only deal with firms that pick up on the first or second ring). Unfortunately there is poor communication with customers on why consistent outages occur and odd error messages occur. I am in the process of looking for an alternative solution. We store a lot of out Disaster Recovery Documents so we can have access to them at all hours even if we are not at work on the work network. Pros There are a couple of points I would like to list about the pro's of eFilecabinet. First the ease of use, very straight forward easy to train anyone to use the product. Second is the ability to have a local copy and a cloud copy of the document we are storing. I always love to have 2 copies that way we always have a back up if anything ever goes wrong. Cons Updating the software on the server is the complaint I would have, I wish it was as way as just clicking on and icon and it updating it instead of having to log into a specific user and then update it. It is user friendly and I can access my files any time and any where. I can call customer service and get someone knowledgeable to assist me right away. I have an accounts manager that reaches out to me regularly, which I love! Pros I can scan and store my files electronically, search by name, separate by drawers and download forms easily. Cons I don't like that I can not delete and remove old files. Therefore, I have too many service forms that I must categorize by date in order to pull up most current form. The support and training is lacking but the general ease of use makes eFileCabinet work for us. Pros The software is easy to learn and navigate. It has helped our office move closer to our goal of becoming paperless. We can add guest users with limited access who can quickly navigate the files without trouble. Cons The workflow features are available but a better tutorial could be made available as it is not easy to use without some direction. It would also be helpful if the support staff would notify users of any system updates, such as what is being updated and when. Pros Easy to use and download to CPU's from network, have been using for a long time so all employees are use to it. Also, easier to set up new template folder once you have done it a few times. Cons The few times I have spoke to phone support they seem to give you the answer they believe from their manual and no other possible scenarios. I deal with customer support quite often with other software companies and most jump straight to remoting to see what the client (me) is doing. Did not seem like that with efile phone support. No issues other than the lack of integration with my salesforce technology. Cons The inability to delete accidentally uploaded files is completely unacceptable. I understand this is a compliance function set by the retention standards of my company but that is something the individual agent should retain control over. Especially when a file is accidentally uploaded and I need OR want it deleted. The responsibility ultimately rests on my shoulders.
