Pros I don't have to add notes to fill out client weekly session billing. I prefer to keep separate notes and this system allows for that. I can add them but do not have to do so. The customer service is very prompt, friendly and never makes me feel I am not capable of solving the issues with their help. Cons Wish it looked a bit more sophisticated with their logos etc. Could be updated. I do the billing and tracking of sessions for all of the therapist and CounSol is so user friendly that it takes a huge burden off of back office routines. Pros Customer service is top-of-the-line! CounSol is the most user friendly and intuitive software for tracking clients, scheduling and payments that we have EVER used. There is NO other software to use in our practice except CounSol.com Cons There are none. Even suggested "fixes" that I have personally recommended were investigated and then fixed within 2 days. October 5, 2022 5.0 I have had a very good experience with CounSol and am pleased with the software and ease of use. Pros This software is incredibly easy to use and to navigate for even the most novice of users. I was able to teach myself to use the system and am still learning new ways of using it to make my documentation more efficient. I also very much appreciate the customer support and the ease of communication with the team. Cons The note templates could be expanded to include an EMDR oriented note because it can sometimes be tedious to build your own. At the same time, I do appreciate the customization factor. I do wish that it could be more easily integrated into Zoom, like being able to transition scheduled sessions to a Zoom application, but it's not too tedious to do this on my own. Each time, my concern was addressed timely and professionally. This is a system I can rely upon. Pros Initially, I liked the fact that I could purchase by the month. After using this software for years, I really like that my account has 1 dedicated tech/customer service rep. I like the ease of use of this software. There are very few technical “glitches” so I feel my data is very safe with Counsol.com. Cons Overall, I would rate the intuitiveness of the software about a 7 on a scale of 1-10 with 10 being highly intuitive. That said, once I learned the system, it is very reliable and makes sense to me. You can get a financial report of income daily, weekly, monthly, yearly or any timeframe you request. February 9, 2022 5.0 Pros What is so great about CounSol is that everything you need for electronic medical records, billing and overall practice management can be found in this platform. It has been very user friendly to set up and clients can access anything they need from forms, handouts and superbills. Cons I needed plenty of time to set up a description of services offered as well as establishing the platform and billing third parties. But I was provided with support for these matters and once it is set up, it is very easy to use and modify as needed. The calendar is perfect for my clients. The encrypted email gives me confidence that there’s no “middleman” getting into that feature. The diagnostic and notes sections are fantastic. If you’ve not used anything like these there is plenty of information on how to use it. Cons It is expensive, but worth the price. I used it a few years ago, left because I found something “better” but I came back because it really ya best for me. " November 8, 2018 5.0 Pros One of the main selling points for me was the client portal. All the other ones that had portals required that the clinician approve the appointment request, with no other option. Why? I don't need more steps in my already busy schedule. And my clients, like any customer, want simple confirmations for their busy schedule instead of waiting to hear back so they can then make other adjustments for their schedule. I'm not a big fan of two steps when one does the job. My clients REALLY like being able to schedule this way and not have to play phone tag with me, nor wait for a confirmation. Flexibility and customization is a big selling point for me with Counsol. I don't bill insurance and I don't use the OMR feature--I still go old school paper charts. While most may not need this option, with Counsol I can still use it fully for robust scheduling, billing, and payment processing without having to enter progress notes and treatment plans--most of the other ones i tested required that you also use it for notes. That for me would've caused additional steps to enter notes when I already have a paper record. Again, less = better, and flexible customization = better. Customer support has always been VERY responsive, personal, and helpful. Overall, what I liked most is that Counsol is the most flexible of all the private practice platforms I tested, and I tested at least 10 of the most popular. Cons Concerns: Many actions give the option to select if you want to send info about that action to the client. I would like to be able to change the default setting for the whole system to "do not send to client" rather than having to select that option each time. Again, less steps = better. Wish could print billing statements that fit in #9 double window billing envelope--which is pretty standard billing practice. I've been told that is not an option, and while yes I can email statements that's not how my practice functions. So, when I mail invoices to third party payers (for me mostly clergy as I don't work with insurances at all), I have to print out the invoice AND an additional piece of paper with my return address and the recipients address formatted for that type of envelope. Again, this is a standard envelope that any program that includes billing uses. I would love to have that feature added. Minor concern: The interface isn't as polished/slick as some of the others out there. I think some more in-depth exploration there with users would be valuable. Review Source JL Jen L. If there is a need I have, there is someone to help me get it fixed. The ease of the portal for clients and for myself could not be easier. I am able to meet all of my needs as a small business quickly, and without breaking the bank. Cons I gave it a four out of five because they do not offer telehealth services with screen sharing. It is my understanding that they do not do so as they want to protect the privacy and integrity of their interface and records . This doesn't make sense and I hate that I have to use Zoom to do two things when it could be so wonderful to do one. This software provides a secure, flexible platform for managing my private practice and allows me to access everything I need in one place. I can have clients complete paperwork through my patient portal, file insurance claims, and send secure messages. The session reminders definitely reduce the number of no-shows. Cons Customization is somewhat limited in some areas like the appearance of the patient portal. I would like more options for editing and/or emphasizing fonts/texts in the portal and forms. Tracks appointments, secure electronic records system, create forms, text reminders of appointments to clients, videoconferencing capability... For my clients, the client portal allows them to make or cancel their own appointments, journal, complete forms, correspond securely. Everything is here. I originally landed on Counsel because they offered the video feature within the practice management system, however I stayed with Counsol for the ease in features. I was able to upload my own forms, which made it feel like a more personal fit for my clients. The client portal allows clients to have access to their own account. They can fill out paperwork, access an on-line journal, check appointments, see notes I've left for them from our session and even pay their bill on-line. The integrated ERA feature has streamlined my billing process. It is incredibly easy to keep up with client billing and send bills electronically. I love that all client information, notes, etc. are filed in one place. Perhaps one of the best features is the customer service. I have been pleasantly surprised at how responsive my personal customer service person has been. He is thorough, helpful and very quick in response. Cons My major struggle is with the video component. It did not work well for me. Most of my clients did not have a large enough bandwidth to allow for the video to work. I finally ended up dropping the video portion of the system, and I'm using another video platform. I signed up for the video feature, however I stayed with Counsol because the rest of the features are so good. Review Source FP Fran P. As I did not have the resources to hire someone to manage my scheduling etc, I needed a HIPAA compliant practice management program that would really manage my practice. CounSol has been extremely valuable. I have used it since I started my practice and still see no need to hire office management staff. I often receive positive feedback from clients about it. Here is an example of how efficiently CounSol has worked for me (all taking place without me having any contact with the client during the process): a prospective client sees my profile on Psychology Today and is routed to my CounSol site; they register as a new client; they make an appointment to see me using the online calendar; they receive a text message and email to confirm the appointment; they complete the paperwork for the first appointment online; they arrive at my office and I have already reviewed their paperwork. Additional features I find very beneficial include online billing; sending and receiving secure email; the option for me to upload documents for clients to read; an online journal clients can share with me; treatment plans; progress notes; etc. I also appreciate the frequent updates / improvements made to the program and its cost-effectiveness. One feature of CounSol that I initially used but later discontinued is the video session option - there was too much of a time lag with the audio portion of this feature. November 8, 2018 5.0 CounSol is so easy to use and allows me the ability to keep up with all clients/providers in the practice. It's just as easy to use for all clinicians in the group and has an option for office staff to have separate logins too. Billing is a breeze, even billing insurance. The use of progress notes and treatment plans are included, or you can upload your own. CounSol has really made everything so easy! Pros It's user friendly, fairly customizable, and customer service is quick via email and phone. Cons Insurance claims are processed through OfficeAlly who charges a fairly hefty amount monthly to process them. They know that I have a lot of experience in the industry. Given my experience, they asked that I leave an HONEST review. I do not pay for this system, my client does, so I have no financial obligation or gain from this review. I work for an outsourced medical billing company. I have been in the industry for over 25 years. Over that time, I have used countless billing and EMR systems; that includes a couple created in-house by the provider themselves as well as enterprise-level systems. One of my company's current clients uses CounSol for their practice. I am always the skeptical user, expecting to find roadblocks that need workarounds and band-aides in order to force things to work how they really should. CounSol does not need any of that. The system has an elegant simplicity to the UI. This can be deceiving at first, simplicity being taken for immaturity. This is a mature system that has just been well designed. The UI and workflow just make sense, which translates to easier implementation and end-user adoption. It has good clearinghouse integration, claims management, and payment posting features. I could say this is overall a solid product, but that is somewhat generic. It is really a great system backed up by great support. For example, when I click on a client and 1 area of the client, I have to go through the whole process again to locate another aspect of the client record (e.g. find the client, then find what I need). I don't know what I'd do without it. I do all my scheduling, billing, emails, and notes on it. It allows for internal notes for me verses progress notes that clients can view. It allows me to upload pdfs and photos. The customer support is excellent. My support person always gets back to me within 24 hours. Pros I like how I can put my own forms for clients to fill out and sign online without them having to print and pdf forms back to me. Cons There was a slight learning curve when I first started using the software, but once over that - it is fantastic for keeping all my documents, billing, email organized! I do wish it had the feature to put business expenses on here for ease of submitting for taxes. This software enables me to provide secure, user-friendly telehealth services, billing and record keeping all in one location. The customer service has been prompt and helpful when I have a question: this was especially helpful as I transitioned my services to telehealth due to COVID 19. Clients can schedule sessions on their own and the system will send reminders to client which they have reported they appreciate and for me, this feature has greatly reduced no-shows. I highly recommended it! Cons There are times, depending on what platform clients use for internet, the video capability freezes up and/or has not allowed the video to work at all. I have been in contact with customer service about this and they have been prompt and thorough in their communication with me to mitigate this problem which I have appreciated. I have had several other EHR programs and feel this is the best fit for my practice. There are so many features, such as telehealth, secure email, secure journal, easy billing and credit processing, progress notes. The customer service is AMAZING! You get your own dedicated customer service person who responds very quickly and takes care of all of your questions and needs. They can customize forms and questionnaires for you as well. Cons The appearance of the program could be a little better but it is still pleasant. The advanced features for setting up labels for patients to fill out certain forms can be a little confusing but still a great feature that other programs don't have. The telehealth video conferencing doesn't have screen share or whiteboard features. Pros This software offers a range of features that are perfect for my private practice: it sends out reminders to my clients about their sessions, allows them to enter/store a credit card so I don't have any outstanding payments, keeps a calendar for me, and generates accurate reports. I love being able to generate invoices with the touch of a button. When I accepted insurance, it was easy to submit insurance claims. The support is fantastic. I've been working with \[SENSITIVE CONTENT HIDDEN\] for about three years now and he is always responsive! Cons I love that the calendar is imported to my personal calendar program--this way I don't need to keep two separate calendars. Unfortunately, after 4-6 weeks, it does not import the older appointments when it syncs so I can't see my work appointments unless I go into Counsol (where the calendar is accurate forever).
