We have had some issues with upgrades through the past, where the support teams have had issues finding solutions to quite simple bugs that were prominent even before upgrading

we are using DocuPhase to store all operational records, coordinate record-keeping across multiple offices, and hold files for ongoing troubleshooting.

Pros

I appreciate the ease of access, coupled with high level of security and user friendly features. Many programs struggle with achieving all of these.

Cons

I wish there was more functionality to make our uploads in a templated uniform format, that would make it easier to always find what you are looking for. (if this is already a feature I wish it would be promoted more directly to the admins)

I like that the forms are easy to customize. Basic workflows are easy to create and implement with minimal coding required.

Cons

The business rules can be difficult to write and predict when they will trigger. Complex and dynamic workflows can be difficult to implement.

Consistent information flow.

Pros

Ease of use -- Almost everything is drag and drop. Flexibility -- You can use javascript to create very sophisticated dynamic forms, distribution, and validation. And you don't have to be an expert programmer. They have a code builder wizard which walks you through most things. Submission Repository -- the default submission repository makes it very easy to query submissions or download them as CSV for further analysis. Or you can connect to your own database.

Cons

Layout Options -- When Frevvo began supporting mobile devices with responsive output, they had to limit some of the layout options. Everything is grid-based, which can be very good, but it would be nice if the grid widths were narrower so we could place fields and labels more accurately.

### "Versatile Product and Amazing Support"

First, the support is amazing. They have been incredibly helpful in getting me started with the system. They have a launch pack that builds in support to help you be successful out of the gate. Additionally, when I do submit an issue I have very quick replies from their support team. The answers almost always lead to a solution. The business need I was solving was to move away from a Google Sheets budget development system. The "system" was really 57 duplicate spreadsheets -- one for each cost center -- that relied heavily on formulas. When an error in a formula was discovered we had to correct it 57 different times. We also had little ability to roll up or reference historical data to analyze budget trends. Frevvo allowed us to consolidate our data into a centralized database. Additionally, the "formulas" were able to be centralized in either Frevvo or in the database. Thus, we now correct in one place and the fix is immediately available to all cost centers. Overall, the value is significant in reducing budget errors but also allowing people to spend more time thinking about their needs and not if the numbers are right. Of course, it's saved IT close to 100 hours in bug fixes.

Pros

The product is versatile. It is intended as a form management system but I was able to hook it into an Azure SQL database and create a form-driven database application. In subsequent product releases for my application I'm looking forward to taking advantage of the workflow capabilities. Additionally, as I look across our organization, I can see many possibilities of varying complexity that Frevvo can handle to improve our processes. Frevvo also has built-in SSO connectors which makes security management easier and more consistent with our security goals.

Cons

My only complaint might be the lack of code libraries. I found on a few occasions I had the same code in several forms. It'd be nice to maintain the code in one place and have it link in to the forms.

We were able to improve the workflow of many of our forms that were previously in Adobe Livecycle as well as verify who was signing off on each step in the workflow.

Pros

The power of the integration functionality has been key for us. We use 80% of our forms from within our Confluence Wiki and integrate with a number of different databases as well. Being able to look up user details in our HR system and our AD instance has enabled us to automate many of our processes.

Cons

The learning curve is steep. The documentation is very detailed but lacking in overview so it takes a while to wrap your head around how it all hangs together. However, once that hurdle is overcome it is a great tool!

Pros

Can be used to automate and store documents for any process, department or team and has outstanding integration capability. Highly expandable in regards to progression workflows and document storage containers.

Cons

Web form has limited ability to customize. It is functional, but could use a face lift and functionality overhaul.

Our volume doubled since we chose Docuphase yet we have not needed to hire any additional staff yet. Staff have become accountable for their errors and we have been able to implement changes to our workflow to prevent any mistakes intentional or not.

Pros

The flexibility of the forms along with the workflow make it great for getting proper approvals for your processes but also automating the actual task linked to the form.

Cons

Probably the only thing I don't like is that I normal users don't see the progress of items they have processed once they have gone on to the next person without checking the actual document. Again docuphase have ways of showing this both by just giving more access or via a custom form.

Way to manage our documents in Accounting and Purchasing

Pros

The software has a lot of possibilities. The support team is fantastic in keeping you on the right track with issues and problems. I see a multitude of growth moving forward with this young company.

Cons

Lots of moving pieces which can get confusing which part does what. We have over 6 divisions which due to work flow can require different methods. I would like to see their software completely integrated into one package instead of so many pieces.

Reduction of paper to reduce costs Quick document storage and retrieval

Pros

The user interface is the best aspect in my opinion. I am curious as to how the mobile app will work since I have not installed it on my iPhone yet. I am excited about the opportunity to use the "On the go mobile capture feature"

Cons

Troubleshooting desktop browser compatibility issues. Some of our user base is required to use legacy versions of Internet Explorer on their workstations. I was told that this is a obstacle which our help desk technicians struggle to overcome.

### "Treeno and Importer Tool"

We have had a wonderful experience with Treeno. We highly recommend their products and have not been disappointed with anything. We love their staff and the way they work as a team. This saves us many hours of manual work that was done in the past.

Pros

It just works. They have a great customer service team that are really just a phone call away and answer their phones. Never experienced a time when problem was not solved within that day unless coding was need. They were able customize Treeno to fit our needs. It's fast and reliable.

Cons

My only area of confusion is the Admin Sign In. It would be helpful to have to have explanations of what functions are in each category. Right now I just click on each one until I find what I am looking for.

Reason for choosing onPhase

We were able to have a full demo and our printer company was able to import Treeno into our current equipment. The program was based on the web so we did not have to house all that data here and really easy to use. Price was great and they evolve the program as the computer world changes.

### "Frevvo Transformed our workflow management"

We originally found Frevvo while searching to replace InfoPath+SharePoint flows. Over the last 6+ years we've built more than a dozen flows that have some pretty complex logic which integrate with our internal systems via the Database connector. Once a flow is setup, I never have to touch it again. Frevvo has been a huge value for our organization.

Pros

The form designer is hands down the best part of Frevvo. I can put a solid and professional form together in a few hours. The flow is also cake to build and I can easily send rich HTML messages to users. The digital signature is also laughable simple to implement.

Cons

Task Management needs some modernization. Once a user has processed a form, it's not intuitive for them to 'see where it is'. Tasks are designed for what a user needs to do only right now. The search is still clunky.

Pros

We selected DP as a way to manage documents internally, track notes on job files, and basically centralize all aspects of the file. We also are able to assign tasks to every employee and give them a daily worklist. DP also tracks the history of the file, so we can see where breakdowns in communication occur. We can also see prior version of documents so we can restore documents as needed. We looked at many systems and this seemed to work best and was was able to be customized to our needs. We have not lost any file folders since this started!

Cons

our old file data was not migrated to the system so anything older than 2013 was not searchable. some of the report functions do not work well for us. we are trying to implement new functionality to reduce redundancy and it is not going as well as we hoped. if the internet is down we cannot use the web based interface. We also do not know what will happen if we ever decide to migrate from this system, I do not know how we would access the data.

Pros

The platform is very flexible and robust. The ability to integrate into other software platforms such as Active Directory, G Suite, and our H.R. software saves us countless hours of paperwork as well as simplifying record keeping. Frevvo allows us to develop both internal and external forms and control who has access by using network and Google accounts and permissions. Workflows are have been configured to eliminate time-consuming paper and email trails. By setting specific rules and mandatory fields time spent revising Purchase Orders and Employee OnBoarding Applications have been virtually eliminated. I am very accustomed to working with a vendor through a trial and they are at your "beck and call" for any issues and then impossible to contact after the deal has been signed and money spent. Not with Frevvo, customer support is fantastic and they are always quick to respond with an issue or question. They have an endless library of training resources that are updated constantly. We are a small K-12 public school of fewer than 800 students and we are treated like a Fortune 500 company. So if you are serious about eliminating your paper documents, no matter the size of your company or organization, then Frevvo is the answer.

Cons

I only gave ease of use a 3 based on non-computer savvy users. Because none of our office workers were familiar rules-based workflows there is a learning curve. If you have the people who are trained for your organization start using this immediately after training you will have very little difficulty converting your current forms.

We had an outside company do our scanning for us and we could never find the documents when they came back from being scanned. For example: and STR means to allot of people street. To us here at the property appraiser office it mean section, township and range.

Pros

The software has several features that you can use. From making your own forms, workflow and progression. We have not used any of the other features it has. Looking forward to in the future. But for document management it is virtually no maintenance to it.

Cons

I do wish they had free online classes that you could take for iforms, workflow and progression. That way we as a company can see if any of those items we could use. The software does lack the ability to pick and choose from a found set. For example a combo box.

### "Frevvo is fantastic!"

Frevvo has been great for my School District. We have a full onboarding process built within Frevvo and we have managed to successfully hire nearly 200 people in the last 7 months with very few issues. We are currently working on building an online enrollment process for students that will collect certain information - we have over 17,000 students currently.

Pros

Being able to connect my SQL databases to any form, whether I need to pull information, or push information, has been incredible. Also, building forms has been very straight forward for myself. Using the schema file to optimize and build forms has been very helpful too.

Cons

This has already been discussed with Frevvo Devs, but the idea of being able to click a button to make everything not required during testing. Sometimes I am testing a form with a lot of required fields, and I have to fill those in during each testing portion. Also, when I post a blank date field into a datetime field in my database, it defaults as 1900-01-01, which is normal for a blank field in MS SQL. I wished it defaulted as NULL, instead.

Overall, once we saw the whole system it was really easy to use.

Pros

I used this in my last job and I can't say enough good things. I really liked the ease of filing documents. I have used other programs in the past that just could not do the job.

Cons

I would have liked more upfront training. I didn't really get to see the whole system and how it worked until we were in it. We had to redo some filing which took some time.

Pros

The implementation of iPayables was very straightforward and easy. The team worked with us to ensure the system would capture the information important to our organization. With iPayables, we have visibility to the invoice minutes within receipt and are able to trace its entire lifecycle. The support that we have received not only throughout implementation, but also ongoing, has been phenomenal. The team truly understands and supports their tool along with our business. It's been a great partnership!

Cons

There are some search and exporting features that would be very helpful. Additionally, being able to view deleted and rejected documents more easily would be nice.

Reason for choosing onPhase

We appreciated the depth of knowledge of the tool that the leadership team brought. We also felt that iPayables truly wanted to understand our business in order to help us succeed.

Has been a great tool for our company and our vendors love it. Great people to work with.

Pros

YUM leverages the dynamic discounting and our vendors love it. The vendors have access to check the status of invoices 24/7 versus contacting the approver or the Accounting Helpdesk.

Cons

Should have various roles for Administrators. For example, if someone needs to run a report they should not have the access to setup a new user or modify an existing user. We have asked for a "mini" Admin role in the past.

From the beginning my experiences has been nothing but positive, the program itself is extremely robust and needs little maintenance.

Pros

I like the ease of this program. Training is extremely simple for a program like this and document retrieval is super fast. I also like that any super user can expand the program to accommodate an entire company with all the levels of security that one could ask for.

Cons

I do not like the the programmers keep changing how the "rubber stamps" work from version to version. some versions can be assigned to users and the latest version has no assigning. this leads to a sloppy workflow and cumbersome use.

Like I mentioned before, I would say Docuphase allows me to keep up with my priorities because I'm able to see what document is currently being reviewed or approved. It makes me productive and efficient with my work.

Pros

So far I would say that the most beneficial feature from Docuphase would be the workflow tasks configuration. This allows me and my team to stay on top of our work but also allows us to review our work one last time before officially sending it over for approval.

Cons

If I'm being honest, I don't think there is a specific feature I did not like. The only suggestion I would make is to provide a basic tutorial for new users to see how to operate or navigate the basic stuff within Docuphase.
