July 24, 2024 5.0 Pros We have only been using ChurchTrac for 3 months but it has replaced an old, outdated system that was no longer functional. ChurchTrac was easy to update and we were able to go back to January 2024 to get our books on track. ChurchTrac offers a wide variety of reports that satisfy all of our financial management needs. ChurchTrac is fantastic! Cons So far, there hasn't been anything we didn't like about ChurchTrac. The preloaded fields along with customization, then with user limitations (and upgrade possibilities) made churchtrac the obvious choice. The pricing and program description and limitations were transparent. The Churchtrac team made it easy by importing the database, and I updated from there. Each step moving forward was met with individual help by the support team. The video lessons, particularly the introductory live meeting, helped me become better acquainted with features and possibilities. When we switched to accounting and budgeting, the team and help resources guided me in tweaking the program to best suit our needs. Some things are not yet available, but the team has been responsive in prioritizing requests for change. Pros The most obvious benefit is the free onboarding with directory. This led directly to adopting the giving records option. The customization of records and ability to select from options that enhance the experience make Churchtrac tops in its field. Online training, personal support, and rapid response to questions make it seem our church is the most important to them. The free cloud-based database was the first step, as we had so many people keeping separate records. Messaging is easy enough even our less computer-savvy leadership has learned how to use the smart lists for texting and email. The accounting process simplified financial records—giving (auto-deposits), budgeting, reports, and synching with the bank. Cons Some additional customizations are (or were) not yet available. Reason for choosing ChurchTrac Free database was initial priority. With that, we recognized the ease of transferring giving records. The free trial was enough to discover how we would use the program, and the cost benefits to present to the board for adoption. It was an easy sell, then, to drop Quickbooks and other computer based products. The awesome classes and help videos are fantastic. Cons Being a small church we needed the payroll help that was included. Because of the tax law changes that part was dropped. Our church isn't into the thrills and frills and trying to be hip or cool. When looking for church software, we needed software to keep accurate giving records and to make sure finances were dedicated to the right ministries. We needed a simple website to let people know we exist and who we are. The giving app was an added bonus. Pros Our church loves how easy it is to use ChurchTrac and the products it offers. From entering in giving records to keeping track of members, ChurchTrac is by far the simplest church software we have used. Cons It is hard to be critical of ChurchTrac which does everything we need and then some and is the most affordable of all the church apps available. Reason for choosing ChurchTrac Most church software is overpriced and built with things that are not needed or are overkill. What we love about ChurchTrac is that it is affordable and only goes up in price as the church grows. The price goes up in $5 increments, not hundreds of dollars, which is nice. As the financial and clerical secretary, I was responsible for finding it, purchasing it, setting it up and getting the accounting end of it rolling. It was very intuitive, very simple to use, and is exactly the right fit for our church's needs!! Also, wonderful customer service, and a great YouTube tutorial library. Cons The only con I can think of, is that some of the reporting features aren't quite what we need. The annual budget reporting needs some work, and it would be great if it exported to XLXS rather than CSV only. But in the grand scheme of things, those are mild complaints. We can easily enter details, donations and notes for our reference. The customer service is awesome also, they have always quickly answered my questions and helped me with any problems. Pros I love how easy it is to manage our members with ChurchTrac. The program is very user friendly. Cons I would like to see an option on the attendance check in to show that/when the child checks out but keeps them checked that they attended so they can be counted. Cons Getting people on the church connect app. We use it a lot but some phones have trouble and while I understand not having it on the App Store it would help. The system is easy to learn, and the support team is very quick to respond to questions. Pros ChurchTrac was easy to import and to use. The training videos are very helpful and the support team is very responsive. It's easy to see at a glance our attendance and giving on the ChurchTrac Dashboard. Individual profiles are easy to compose and very detailed. Cons There are only two features I would like changed but the system cannot change them. One printing the Events Calendar with location views, I would like to be able to edit the rows to a different size. The other is when sending messages I would like the 'Everyone Tagged' to appear first. I've learned to work around this. If I ever have a question, it is answered so quickly that it doesn't really seem like an issue because it is resolved so fast. Pros This is so user friendly that it does not take any time to learn it and get started. Also, the support time is the BEST I have ever experienced for a software product. We began using this product several years ago and it was not web based then but it was still so easy to transition our info over. Cons Oh my. I can honestly say that I can't think of anything I don't like. If I had to list anything, it might be that I have heard the Finance folks say they would like to see some things added/tweaked and I have encouraged them to contact Support to work with them. I have also encourage them to join the FB group as well as it is another great tool for using the product. We had been struggling with our previous (now out of business) software and it reached the point where our secretary was ready to quit. We switched to ChurchTrac and with the ease of implementation we gained total control over our information and found out exactly what was going on at our church. That was probably about 10 years ago and I can say our church secretary is still with us and is a strong supporter of ChurchTrac. We are a small church, but I had recommended ChurchTrac to a large church about a year ago and they also love it. I will also say that the support we receive has been outstanding in that it is accurate and fast. Pros The accounting portion is extremely powerful. All the other features work well, and it doesn't take much to time if any to use those features. In addition, its simplicity means you do not have to hire highly trained personnel to run the system. And, as an added plus it doesn't take hours each week to use thus saving your church labor costs. Cons Can't think of a single one but the developers are constantly finding ways to improve the system. Reason for choosing ChurchTrac We tested it and it seemed so much better than anything else. June 5, 2023 5.0 It's been a bit of a learning curve for me (a middle-aged person who has been doing things the old-school way for 20+ years), but I'm loving the ease of...everything really. ChurchTrac is so much easier to use than the two previous services we've had. It is saving me a lot of time and a lot of headaches! Everything is what and where it should be - I'm not hunting for transactions in different places, I can zero out a check and tag it as voided, it has a great search feature, giving imports are easier. It has been a game changer and I love it! And it is less expensive than both of our previous providers. Pros Fund accounting, ease of use, responsive and kind customer service, they seem to care about helping their customers have a good experience instead of just getting money out them Cons Sometimes I think I would like more customizable reports (the ability to select multiple categories), but it's really not a huge deal for us. February 17, 2024 5.0 Overall, this has been a wonderful experience. Customer support is quick, and it's made up of actual people! They listen to you, and in some cases, I have seen where I've requested a feature or functionality, and they have released it. I can't live without this platform. As the office manager, it is perfect. I can manage our database, contributions, bookkeeping, send texts, and access reports more quickly than trying to generate all of these items using spreadsheets. Superb platform! Pros I love the simplicity of the platform. I reviewed 3-4 other platforms, and this was the best. It was in the cloud, and the interface was perfect. I didn't want an interface that was very kiddish or one that was too busy. This was perfect. It's made for churches. Cons While there are features I may not use because they're not my ministry, I can't say this means I don't like them. At my age it is a real challenge. Pros The donations has worked well. The sending statements by email is great. Wish we could get all to do that. Haven't had a problem with the donations at all. Cons I am just getting started on the accounting. It has been a challenge for me. I used Quicken before and transferred my work to an Excel spreadsheet. I am trying to get familiar with the program to be able to give the board a monthly report that they will understand. It has allowed us to reach our members and the community using digital means like Church Connect and the online giving portal. Pros Churchtrac allows our church to combine so many things into one online software program such as giving (both online and in person), attendance, event coordination, accounting, and website through Church Connect. I can access our church data from any device by simply logging in. Cons I feel that the financial reports could be improved. I'm sure most of our questions have been rudimentary to experienced users but when we get stuck on some special feature, or special formatting, or such we lauch a support ticket with a click and in a few minutes we get a helpful reply back. It has been a very smooth experience, which I appreciate being one of the admins. Pros ChurchTrac is very straight-forward and easy to use. The training of staff and other users has been smooth. Having many short videos available on specific topics has been wonderfully helpful. We took advantage of the 30 day evaluation with our real membership records and we are very happy ChurchTrac makes this service available. It convinced us to take the next step. Cons Hard to say at this point, as we as such new users, working our way along the user experience. Our improvement in member communication has been a huge early win for us. Accounting though is harder for us to evailuate. Our plan is to run our legacy accounting and ChurchTrac accounting in parallel for a time so that we can better understand what ChurchTrac has to offer us. Reason for choosing ChurchTrac ChurchTrac appeared to have a great training presence, (which is true). We needed something cloud-based and distributed. An office only based, desktop-based model was not going to work for us. The ChurchTrac Church Connect mobile web feature is huge for us. The pricing model of ChurchTrac is very fair and we are a small congregation, so that was a factor. Pastor Religious Institutions Used the software for: Less than 6 months ### "ChurchTrac is transformational - will take you everywhere you'd like to go!" April 13, 2023 5.0 ChurchTrac has consolidated my contacts and allows me to communicate through a central interface - love it! It has opened to us the door of online giving. It also has ended my infernal pursuit of updated addresses and phone numbers for our members so that I can print and deliver corrected directories - now it's all online! Pros Besides the software itself - which is a one-stop shop for church management and accounting - the MOBILE APP (Connect) has been the favorite feature for our church members. It has relieved me of the task of printing and folding paper bulletins, announcing calendar updates and collecting prayer requests written on napkins. It has made our church APPEAR way more "with it" than we are...when in fact, we actually are! (I think) Cons It's nitpicky, I know, but having to type YES every time I make a change to the data set. It's not a problem, but that's how much I am loving ChurchTrac - I can't think of anything else I don't like! Reason for choosing ChurchTrac ChurchTrac is written on my level - a pastor with a cursory knowledge of database and financial accounting. You don't have to be a web developer to use it, nor do you have to spend hours and hours studying it. I was entering data the first day of my trial, and I have yet to get "stumped" at a point where I cannot advance. I have TRULY enjoyed speaking to ChurchTrac reps - both in webinar and Zoom formats. This software was built for ME - it's exactly what I didn't realize I needed, but now can't imagine not having it. ChurchTrac's navigation is fairly straightforward, which is great, and their support posts tend to be helpful for everything that's not straightforward. ChurchTrac is capable of more than what we are using it for - which equates to some good goals for us to move towards things we COULD be doing. Customer service has been efficient when it is needed as well. Pros \-Compared to what we were using, ChurchTrac is much easier to use! -The ease of getting new users familiar with the basics -Ability to personalize quite a few reports and exports for multiple uses -Overall ability to edit and find information -Customer support is rather efficient and helpful Cons \-Some things really need some digging to find, but they can be found -Some personalizing would/has require an outside coding expert, but that is to be expected with what ChurchTrac is (want to make it so your child check-in is fool proof? you might need a coding expert) -Wish it integrated MORE with services like MailChimp (more than exporting to MailChimp), but ChurchTrac is transparent in what it does. This isn't unexpected. Alternatives considered [Rock RMS](https://www.capterra.com/p/141654/Rock-RMS/) Reason for choosing ChurchTrac The overall startup costs for RockRMS really made the decision for our church. We felt that both ChurchTrac and RockRMS would do what we needed and most of what we wanted (Rock can do everything you want if you have access to a coding expert), and at the end of the day the ease and lower cost of setup with ChurchTrac won us over. Otherwise we felt we were comparing apples and oranges, both great fruits but so different that it's hard to compare them. There's a reason RockRMS is unique, and a great option. Switched from [ChurchPro](https://www.capterra.com/p/9745/ChurchPro/) ChurchPro, or at least the version we were using, was chunky and hard to use for the average user. Their business model also made it difficult to get customer support without paying, and since it was hard to use this was a huge con for us. Only the staff members who had to use it were using it, that's not the intent of a church management system. Half the information was outdated since it was so rarely used. It did what was needed. While ChurchTrac gives us the accounting and giving tools we were looking for, it also provides church management tools we have not had access to before. This opens up new possibilities for our congregation in terms of visitor tracking/communications, event registrations, etc. Pros We needed something that gave us accounting, donation management, and online giving. ChurchTrac offered that and more at a lower cost point. In addition, the program was easier to use than our previous software platform. Cons I was concerned with no direct phone support. However, tech support has been amazing. Emails have been returned within the hour, and calls can be requested if needed. Task and project management is an essential tool for managing a volunteer team that is often remote Pros Churchtrac allows me to develop my ministry strategies in a way that supports collaboration and team ownership. The Worship Scheduling gives me access to the songs that my team needs in the format that is best for them (some prefer chord sheets, some lead sheets, some paper, some on ipad: churchtrac allows each member of my team to download their own preferences individually) Cons I don't use Twilio and found it a frustrating "hidden cost". Communication in churchtrac is limited without subscribing to Twilio (which can be more than twice as expensive as Churchtrac, itself). I would much prefer that Churchtrac offer existing common accounts like Google mail or Outlook. Reason for choosing ChurchTrac mostly cost. A toll-free number is only $2.15/month and you only pay roughly 1 penny per text message recipient. Most ministries spend less than $7/month in total to send and receive SMS messages. Senior Pastor Religious Institutions Used the software for: 2+ years ### "ChurchTrac is an excellent product" September 22, 2022 5.0 I have used Churchtrac since its initial version, and have had the opportunity to see its growth and inclusion of more dynamic and effective features. It is a comprehensive software designed for churches with a real understanding of the various needs - you can see that in the design. I am very happy to have discovered the software as it is affordable, as it is effective. Everything from one central dashboard, to audit trails, a fund accounting framework, member communication, notes, and processes got me sold. Pros The software is choc full of features: the SMS messaging integration, form letters, accounting dashboard, and the connect page are wins for the software. What stands out most though is its portability - you can use it anywhere. Cons I had some trouble figuring out the new worship/scheduling module.
