While ChurchTrac gives us the accounting and giving tools we were looking for, it also provides church management tools we have not had access to before. This opens up new possibilities for our congregation in terms of visitor tracking/communications, event registrations, etc. Pros We needed something that gave us accounting, donation management, and online giving. ChurchTrac offered that and more at a lower cost point. In addition, the program was easier to use than our previous software platform. Cons I was concerned with no direct phone support. However, tech support has been amazing. Emails have been returned within the hour, and calls can be requested if needed. Task and project management is an essential tool for managing a volunteer team that is often remote Pros Churchtrac allows me to develop my ministry strategies in a way that supports collaboration and team ownership. The Worship Scheduling gives me access to the songs that my team needs in the format that is best for them (some prefer chord sheets, some lead sheets, some paper, some on ipad: churchtrac allows each member of my team to download their own preferences individually) Cons I don't use Twilio and found it a frustrating "hidden cost". Communication in churchtrac is limited without subscribing to Twilio (which can be more than twice as expensive as Churchtrac, itself). I would much prefer that Churchtrac offer existing common accounts like Google mail or Outlook. Reason for choosing ChurchTrac mostly cost. It is a comprehensive software designed for churches with a real understanding of the various needs - you can see that in the design. I am very happy to have discovered the software as it is affordable, as it is effective. Everything from one central dashboard, to audit trails, a fund accounting framework, member communication, notes, and processes got me sold. Pros The software is choc full of features: the SMS messaging integration, form letters, accounting dashboard, and the connect page are wins for the software. What stands out most though is its portability - you can use it anywhere. Cons I had some trouble figuring out the new worship/scheduling module. Excellent, incredibly affordable software for the mainline micro-church" July 14, 2022 5.0 Amazing experience so far. ChurchTrac is going to be such a huge help to us as we transition into whatever-is-next for our ministry. It really has been a wonderful thing for me as preacher, administrative assistant, worship planner, and chief bottle-washer to be able to enter info and know where it is and how to access it. Pros ChurchTrac is obviously designed to assist larger congregations, but it is incredibly versatile for our small church. We were driven to find a database program by our need for accounting and budgeting software. Even if that was all ChurchTrac provided, it would be worth the cost for our little congregation. But the member management platform, the event and scheduling features, the calendaring options, and the Connect app have absolutely blown us away! It is SO intuitive, so easy to use, with a very reasonable investment of time. I've seen other church database programs that are five or six times as expensive (or more!) as ChurchTrac with less features and a much steeper learning curve. The introductory instruction and on-boarding tools are thorough and easily navigable. They offer free import of previous data which is just astonishingly generous. Their free introductory webinar is very, very helpful. I had been using the program for a month and still learned a lot. And the customer support is just incredible. Their help topics are vast and diverse and the team responds almost immediately to other questions not covered in the help topic library. I've no sense that they've prioritized other users with larger accounts over me, either. Every communication has been warm, personal, timely, and has resolved any issue I've had. Cons I wish I could more easily use the Worship Planning tools as a small, mainline church with a traditional hymnal. It's not a big deal, because, as I said elsewhere, we purchased this program for the accounting and budgeting program. But I do sort of wistfully wish I could use it, too. I would like to use some of the communication tools with ChurchTrac without it costing us more. We have 25 average attendance on Sunday and with 30 giving units and an electronic newsletter with 72 contacts on Mailchimp. Using that integration would bump our "people count" up to right near the 125 mark which means we would pay more. And right now, every penny is precious, and we need that buffer to communicate with potential attendees. So - there's a bit of a learning curve there that I've not yet conquered. Also - and this is not a con- but a potential future offering - lots of pastors have to save receipts, track mileage, create expense reports, etc. THAT added to ChurchTrac would be a HUGE gift to me. Pastor Religious Institutions Used the software for: 2+ years ### "Great Product... will grow with your church - Used at a previous church and just got for new church" March 20, 2018 5.0 Pros If you are a small church that needs a good online database that doesn't break the bank, this is it. There are numerous features that you can choose what fits your particular ministry and have everything in one area... instead of needing 4-5 different programs to do it all. One of the best things is that you can add more and more names and then simply pay to upgrade to the next level as your church grows, so you don't have to waste money for a database of 1,000 if you only have 70 in your church currently! But (hopefully) as your church grows, you will have the finances to have the program expand with you. I also enjoy ChurchTrac as a pastor, because I can log in on my phone or iPad from wherever I am making a visit to add notes about the visit. We have also added multiple volunteers users who want to help make visits, send cards, make phone calls, etc who can add notes when they do so; there are great restriction capabilities available, so I can allow volunteers access to these note areas without allowing them access to giving records or more confidential pastoral counseling notes. We have also integrated this into our children's ministry/nursery area and purchased a Dymo label printer to give each child a name badge upon check in with emergency phone numbers and allergy warnings. Finally, the congregation access is awesome, so everyone can update their own information or get their own giving records whenever they would like to check! Cons A few of the reporting features are somewhat limited and not able to be as customized as I would like, but this is such a minor issue compared to all the Pros that it's hardly worth mentioning... but it was a required field so I had to come up with something. I did have an issue when I wanted to add more volunteer users, but it was fixed within an hour of opening the ticket due to their AMAZING customer service! Review Source JK James K. Our experience has been very positive. Pros ChurchTrac uses tags which allow you to sort information in almost unlimited ways. It's easy to create lists and filter users based on the criterion you select. It's also one of the more affordable products. Cons While you can have an unlimited number of users access Church Connect (what I call the 'front end' of the system), the ChMS 'back end' is limited to 10 user accounts by default. You can request more but this limit is mainly for security. I feel like it would be useful if CT included some more fine-grained security settings so we can allow more of our users to access parts of the backend, particularly worship services and documents. We set out on a journey to evaluate ChMS systems, and after webinars, demos and weeks of comparisons had settled on another solution. Putting together a presentation for the elders led us to stumble on to ChurchTrac, the difference was night and day. ChurchTrac has clearly been a labor of love for a team that has worked in churches. Intuitive, complete and powerful member engagement has been steadily increasing. Pros ChurchTrac does the heavy lifting to empower churches with the tools needed.-Documentation is great, and if you need more, their support is extremely fast, and super knowledgeable.-Giving is easy and cost-effective, no expensive fees.-Event planning and registrations are easy and get everyone on the same page.-ChurchConnect is member portal and app rolled in to one, enabling giving, registrations, and check-ins.-ChurchConnect isn't as customizable as we're used to, but that is actually proving to be a good thing our website was constantly out of date as it was a chore to update. Preparing treasury reports for business meetings, reconciling records to banking statements, and issuing end-of-year statements required many, many hours of labor (for a volunteer position). One feature that I found to be a hidden gem is church connect. If your church is considering on making a switch, this feature is a game changer. It provides the look of an app! The cards in this feature provide flawless navigation and event registration for any and all upcoming events your church or organization may hold. Cons Churchtrac possibly could have this feature and as I write this, I most likely will discover it soon in the software. So far the accounting and People tracking has been such a great improvement over the previous software I was using. I especially like how I can archive past members without completely losing their data. This is a big deal for me, especially when I'm entering contributions. Pros I love the flexibility of the software and the ease of use. The YouTube videos are very helpful and the opportunity to attend live support events is an added bonus. I've only started using this software for a few weeks now, but I'm so happy with it. I can't wait to try all the features and get others in the church using it. Cons I'd like to be able to undo a specific Reconciliation... or have the ability to modify the categories without having to undo the reconciliation. As long as the amount doesn't change, I should be able to break the line item into categories in case I forgot to do so before the reconciliation. Reason for choosing ChurchTrac I honestly didn't look at any other products once I found ChurchTrac. It is tough to search the internet for something and then hope you are clicking on a link that isn't a scan. I felt confident enough that ChurchTrac was legit, it more than met my needs, and felt there was no need to look further. I obviously wanted to go with a software based option. A "Google" search revealed ChurchTrac and it appeared to be a good price. It was certainly competitively priced. ChurchTrac was been an amazing tool for our church. It provides our church with everything we need and even more. There are a lot of features we hope to use as we grow. Accounting and budgeting related work is easily tracked. At any moment I can report in detail to the congregation on these matters. ChurchTrac is so user-friendly, but they also offer helpful technical support if needed. Pros We really love the accounting and budget features in ChurchTrac. I began using ChurchTrac specifically for this function, but soon realized it was also a great way to track people and attendance. It's difficult to say what I like most, but I do love the new Church Connect feature. Basically our church has an app now. Members can login and update their own information. It might seem like a small thing, but I'm excited about the fact that members can login and see their own giving. They can literally download the giving report weI generate for tax purposes. We are loving the new features. Oh, and "bulk emailing" options. We definitely hope to use this function more. Cons ChurchTrac continues to improve and evolve so we haven't used every feature yet. Honestly, I really can't think of anything we don't like. Of course, I don't really have much experience with other products for a comparison. The church was using "Churchsoft" before I became the pastor and I found it very difficult to use. ChurchTrac seems so simple and we love it. It performs the functions that we need and require. Pros As I mentioned in the previous questions, we use Churchtrac primarily to balance with the banks and manage membership. We are too small to take advantage of the other features that a larger church might use. Cons Sometimes, it is difficult to find or create unique reports that our church body requests. The processes within Churchtrac seem to change often and we, the users, are not notified of the change. We have to fumble around a little before we can find what has changed. May 23, 2024 5.0 I would highly recommend Churchtrac to churches who like having everything organized in one software. The people who represent the company are pleasant and knowledgeable, always ready to help. Pros I love how easy it is to maneuver the software. The accounting portion practically runs itself and works great with our bank and our giving platform. Whenever I've had any questions, the support is very responsive and helpful. I also love that there is a whole community on Facebook who supply a lot of valuable insight, not to mention the webinars that are frequently offered through Churchtrac, along with video recordings on their YouTube page. Cons I wish that we could enter visitors and not be counted toward our membership total. It makes it difficult to have to continually go through names and try to decide who to archive so that our annual costs are kept down. It does extremely well for the money you pay. Overall, I can highly recommend using ChurchTrac especially for those are just starting off. It’s very affordable and full featured. Pros ChurchTrac makes it extremely easy to manage members on mobile as well as desktop. The notification features for roll assignments for events is extremely fast, simple to understand and effective. Cons Sometimes difficult to navigate directly to an area that would seem obvious as an oversight. For example, quickly going to an event where there are people who have rules this takes about 4 to 5 clicks. Additionally, getting a quick summary of historical and current role assignments is very difficult. This is 4 to 5 clicks for each of those events. a summary of past and or present and future would be great. No API limits the ability to use the data outside of the ChurchTrac system. June 15, 2023 5.0 This is my first experience at being a church secretary. I was curious about how it would compare to former jobs in the corporate world. ChurchTrac is perfect for church record keeping, budgeting and accounting. The help desk is amazing. I like that they can access my records online and discuss things with me and help me figure things out. Pros The ease of set up and transfer of information to begin using ChurchTrac. The reports are great. Cons I can't think of anything I don't like about ChurchTrac. Reason for choosing ChurchTrac I looked at ChurchTrac because of a referral from another secretary that I know. I chose ChurchTrac after using it on a trial basis. The support is tremendous and getting help and answers quickly is amazing. Their helpdesk, one on one training for the team and their training videos make it so easy to use! The people are friendly, super-helpful and committed to our success. Pros It is easy to use, they imported our members for us from a spreadsheet. I consider myself somewhat savvy, and found the software intuitive enough to do most of what I needed to. What I didn't understand, they have short videos and their help desk is quick and helpful! Cons The import of member information was pretty smooth, but I did have to manually view and add a few values that were not part of the import (I don't remember now what they were, sorry!) Member management, accounting, online giving, communication, I could go on. Would not be without it. And we have only scratched the surface of what we can do. Any church struggling with QuickBooks or some such application needs to run, not walk, to ChurchTrac. Pros Ease of use, scalability, affordability and versatility. Cons Having real time online support or an 800 number for support would be nice, although I do admit we get pretty fast response to a support request. Worship Director Religious Institutions Used the software for: Less than 6 months ### "ChurchTrac Online - good value for money, not perfect but does most of what you need to do" November 10, 2016 4.0 We switched to this software from PowerChurch, which is old and outdated. The difference was huge. Compared to outdated software like that, this software is very easy and enjoyable to work with. However, I also tried out Breeze, which is significantly better than ChurchTrac from what I could see. Their pricing is a flat rate, however, so for a small church like ours ChurchTrac provided more value. Pros 1) Very easy to use 2) A good amount of functionality 3) Above all, the price is better than other online options I found 4) Mobile website works quite well - the online functionality is a big plus for any church who is not already using an online database Cons I have not had the best experience with their support people. Getting our database integrated into ChurchTrac was a bit of a hassle, it took us a while to do as we are a smaller church without a ton of staff resources to dedicate to this. We were constantly losing access to the database because our free trial had ended and it was time to pay for a software that we weren't even sure we would use. They did always extend our trial but it was a hassle and I felt like we were under the gun for taking so long. The biggest thing was that at one point the support person made a significant mistake in what she communicated to me, and rather than apologizing for that mistake, she told me it would cost our church a fee to re-import the database. Eventually that charge was waived, but there was never any admission of that mistake or apology at all. The software is also not very customizable for some features. In order to print tax receipts that look official and properly formatted, our accountant is having to download csv files and merge them together in Word. Similarly the calendar isn't very usable, because you can't sync it with your mobile calendar app. To use the calendar on mobile you'd have to log in to the mobile website, which is a lot of extra steps for a common task. Instead we are using google calendars so that we can sync all of our calendars together and use our mobile calendar apps, and then we are syncing those calendars one way with the church trac calendar, and then printing it from Microsoft Outlook, cause that's the only software that seems capable of printing a readable calendar. This all took a lot of time to set up. But now it is working very nicely. There should be a mobile app. I'm not usually one to use apps for something that can be done in a browser, but it would be nice to not have to constantly log in on your phone. An app could just stay logged in so that access is much quicker. I'm not sure if other database software like Breeze offers this option though. Review Source LW Liz W. Had to call Support once and he was so helpful. Attended my first webinar that answered a lot of questions as well. My experience so far with ChurchTrac has been a good experience. Pros ChurchTrac is very friendly user. I like the attendance keeper part, because it is so easy and teachers can do their attendance automatically in the system themselves. I like the Worship part, which our Worship Team is looking forward to start using to the fullest. The accounting seems to be easier than last system I used. But most of all, I appreciate the Support group! This is something we did not have on the last system and it was the pits. Cons The Worship part is the only part, I am really struggling with a little. But it is the one that I have not done much in it yet. Not sure about the Connect Web page, due to that is our MMS area and they will be taking care of that area. Reason for choosing ChurchTrac Board had me check this one out due to the cost first. Fell in love with it and gave my approval. So we really did not look at the other ones that was on the list that was presented. Pastor / Treasurer Religious Institutions Used the software for: Less than 6 months ### "Comprehensive CMS " September 6, 2022 5.0 It has been a great blessing as it reduces my amount of time each week to update all accounting/giving data from 5-6 hours a week to about 30 minutes on one day. Pros Straight forward set up and quick start with free integration of directory data. The accounting system (giving and ledger) are straight forward in their respective applications and ease of use. It helps to have some accounting basics beforehand, but even without this, the online videos and webinars are a big help, especially the Q&A. The reporting features are a real bonus for monthly, quarterly, annual, and especially EOY giving reports. Integration with other apps and ability to link to an existing website is another big bonus. Cons It would be helpful to highlight inside the editing screen or with the online help documents the critical info needed when setting up the directories, as this is what connects to all other software features. It would be helpful to provide more instructions on the Stripe integration for a website. The integration with ChurchTrac and Connect is seamless, but attempting to find the correct link or iFrame data to put inside an existing website for giving is nearly impossible to find, and Stripe's help is not very helpful. This is especially needed for those without website modification skills. If ChurchTrac had a Stripe "expert" or an inside contact at Stripe, this would be great! (I am not on FB or Twitter, so cannot chat with other online folks about their experiences.)
