I have been working with a CAQ system for about 12 years initially as a user in complaint management and initial sampling, and later also in administration. Even as a user, the system offered everything needed for day to day operations. Its high flexibility is particularly impressive: many functions can be customized without requiring programming knowledge. Especially in the early years, when we didn’t have a dedicated administrator, I was able to implement changes easily with the help of support. The support team was always easy to reach and solutions oriented. As my experience grew, I was able to delve deeper into system administration and map out complex processes. One example is a three-tier escalation process for overdue complaints: automatic notification of the employee, followed by the team leader, and finally the department head each triggered by a timer via email. This has significantly contributed to making our processes more stable and transparent. By introducing clearly defined error glossaries, structured error groups, and locked master data, we were able to significantly improve data quality. Combined with stored text modules and libraries, the system became a true productivity tool: standardized customer communication was possible with just a few clicks, without any manual text entry. Once you understand this logic within the system, it can be easily applied to other modules. Whether it’s inspection planning or maintenance management: the same principles apply here as well. Automatic notification chains for overdue maintenance, clearly structured maintenance plans, and defined error scenarios can be efficiently established and scaled. A major advantage today is the support provided by AI: whereas in the past a great deal of time had to be invested in structuring fault catalogs, today it is possible to establish a solid foundation and a well-thought-out system logic much more quickly. Overall, the CAQ system thus becomes a true control tool. Key metrics such as complaint processing times can be transparently evaluated and specifically improved. This allows concrete goals such as a complete 8D report within 30 days to be systematically tracked and achieved. At the same time, audit compliance and process quality increase significantly. Advantages: High flexibility without programming knowledge Excellent support Scalable to various modules (complaints, inspection planning, maintenance) Powerful automation and escalation logic Efficient key performance indicator tracking and analysis Significant increase in efficiency through standardization Disadvantages: Getting up to speed with administration takes time Without a clear structure, the system can quickly become complex. With AI as a Consulting for you special Company structure it makes it much easier

Pros

Very flexible system that can be configured without programming skills. Strong and reliable support that helps implement workflows. Once you understand the logic, it can be applied across multiple modules like complaints, inspection planning, and maintenance. Powerful automation features such as escalation workflows and email notifications significantly improve process control. Excellent for standardization, data quality, and KPI tracking.

Cons

Initial setup and structuring require time and a clear concept. Without defined standards (e.g. error catalogs), the system can become complex. Administrative know-how is needed to fully leverage the system’s potential. Nowadays with AI strategy Planing for failure glossars or Standard data bases not really a big Deal. My proposal on the beginning would be to call the Support, when you have any questions. They will help you immidiatly.

I have been working with CAQ.Net for over 20 years in various consulting and implementation projects. During this time, I have seen the software continuously evolve and adapt to new requirements. From my perspective, the modular and fully integrated structure is a major strength, as it creates transparency and ensures consistent data across all quality processes. The Document Management and Compliance & Risk Management modules particularly stand out, supporting structured workflows, audit readiness, and proactive risk control. Overall, CAQ.Net offers excellent functionality combined with very good value for money, and my long-term experience with the system has been consistently positive.

Pros

What I liked most about CAQ.Net is its modular structure and fully integrated approach. The system is user-friendly and offers numerous interfaces to ERP and measurement systems, making it easy to integrate into existing IT environments. The Document Management module ensures structured workflows, clear version control, and strong audit readiness. In addition, the Compliance and Risk Management functionalities provide a systematic and transparent way to identify, assess, and monitor risks. Combined with its very good value for money, CAQ.Net delivers a powerful and well-rounded quality management solution.

Cons

Honestly, I can't say anything negative about the software. The support team is extremely competent, and response times are fast and reliable. If I had to suggest one improvement, it would be the form creation, which could be made a bit more user-friendly. But that's really nitpicking.

We are using CAQ AG software since 1994. All pc\`s are equipped with CAQ as central quality assurance system. Benefits: All important data stored at one SQL server. Transparent overview of data and processes. Online-Monitoring of all management system relevant processes. Unique system of monitoring of actions and due dates. Access to data from ERP and other databases. Positive Feedback from customers, suppliers and certification bodies.
