Pros: The level of customization is amazing, and really makes Podio an incredibly versatile tool. Even with the mid-level plus pricing plan, we've utilized custom workspaces for a large variety of use cases throughout our company. The team at Podio also releases updates fairly often, which is great to see. Almost every update has added value to how we use the application. It's obvious that the Podio team has put a lot of work into what they have released thus far. The quality is great, and I can't think of anything that doesn't work properly or that feels messy. I'm confident that new features they release in the future will be just as well polished.

Cons: The number one limitation to Podio is the lackluster permission structure. On one hand, it has really forced us to create truly collaborative and transparent workspaces. However, it has also made it /impossible/ to use Podio for certain more sensitive applications. It is also incredibly annoying that there isn't an overall admin group for the total organization. We have multiple admins for our Podio organization (who help create and maintain workspaces), and each of us have to be added to every workspace as an admin in order to maintain the system. This means that our feeds get spammed with activity from every workspace, making it pretty useless for our own needs. It also bloats some of our workspaces, and makes it tricky to maintain stuff. In the plus price level, reports are kind of a joke. I believe they get a lot better in the higher plans, but plus level reports are almost useless.

Recommendations to other buyers: Try out the free version with limited users just to make sure that the application is something you will be able to work with. It also helps you practice making custom workspaces and learning how everything connects. Once you have the handle on it and are ready to make an investment, go for the plus plan at least. Workflows are a must if you want to get the full use out of Podio, and it's pretty critical to have them.

Comments: Podio is powerful, indeed. I ranked it a bit lower than most as my focus has always been around small businesses. And Podio might simply be too much for that sector. But it does offer an impressive array of features that perhaps small businesses with lots of development background need. It seems to wrap too many features into one product and many organizations simply do not work this way. But the concept of keeping all this functionality in one single place does make it appealing. Yet, there is much to be desired for regarding features in each category. Project Management, for example. It has features that are very common among competitors, but lacks features like milestones, issue tracking, defects, testing, epic and story hierarchies, etc. It simply does not provide the power one would expect from a solid project management functionality. Instead of ramping up these features, others are added, such as a CRM and financial features, etc. I would not entirely dismiss Podio, as it might be exactly what your organization's structure needs. Perhaps a quick test drive would do. I found it cumbersome for my small business, especially since I was already managing my clients using another CRM and my financials were being managed by another online application... keeping them all isolated and visible only to the required personnel.

Pros: Podio is feature rich and more aligned with larger companies with design and development teams. It offers a wide range of views to fit any and all your needs. Create and manage workspaces with ease. Podio is much more than just a project management tool. It offers the ability to track leads and clients with default or customizeable templates to display their details. Manage projects, portfolios and much more. With a focus on the creative (design) and development, Podio offers much more than one can ask for. It even offers an impressive library of APIs for customization and integrations. Track tasks with incredible details including time. Podio even gives you a place to track expenses. If your organization is looking for a product that keeps everything in one place, Podio might provide this for you.

Cons: Despite the rave reviews on the Pros, I believe that Podio is just too much for the average project management role. It feels as though it is trying to combine the features of a CRM, Financial System and Project Management product all in one place. Most organizations are simply not structured in a way that all these features should reside in one system. Perhaps it will work for some, which is why Podio does have a strong hold in the industry.

Double-edged tool. Lots of flexibility and features, but easy to lose your direction and focus.

Pros: This app felt like a blank canvas. You can create a lot of workspaces, each with differentes apps that have different functionality, such as "Expenses" and "People". For each app, you can create items, that you can call whatever you like, e.g. "Payment" and "Person", respectively. Within them, you have many field options and you can customize quite a bit, even automatically creating tasks. I also appreciated that the calendar, your tasks and your contacts have their separated site. Each works automatically, adding events that you interacted with automatically to your calendar, the same with tasks that were delegated to you. In summary of the good stuff, lots of possibilites. Also, formulars where quite helpful.

Cons: As much as it has pros, there is for me and the organization where we used it, one big Con, that goes throughout the whole app: too much flexibility and little restraint/focus. The tool is a blank canvas, and I am sure you can create a good workflow for different needs. The problem is, that you (at least we did) need a single person that first, understands how it all works second, takes the time to create each app and the item-configurations (altough there is a marketplace where you can use other people's templates) and third, explain it to everybody else. The problem comes, when you realize there was an unknown feature or a simpler way of doing things. There is so much that is possible that you might end up complicating your workflow to much.

Overall: Reliable communication with the team through the chat function. Good personal tas management and also knowledge management. Even though we stored or files in a cloud service, we 'indexed' and sorted our knowledge through Podio.

Pros: It can do anything! There are pre-developed apps and packages of apps that you can add to your workspace to get started quickly. Those modules can be modified to meet your needs. OR, you can create your own apps to serve your own purposes. I've created my own apps for a variety of workspaces and have found it can do almost anything! So far we've used it for lead development, website development/QA, order tracking, and customer feedback handling. Love that we can assigne and schedule tasks for any user in the workspace. We're a small team, so the free version has been able to meet our needs as well.

Cons: It can be time consuming to figure out how build your own applications. The pre-built apps are great to start with, but then you have to visualize how to modify them to meet you unique needs. Not bad, just a learning curve. Also, the per user per month expenses can add up quickly if you need the more advanced features.

Overall: I'm using the free version, so for me it's a free project management tool that can be customized to track any type of project or process. I can assign and schedule tasks for any user in the workspace.

Pros: I really like the fact that Podio offers a customizable CRM solution that can be configured for almost any kind of business. The free product tier is critical to test feasibility of concepts and to help determine if the software will support your needs. The GlobiFlow additional service is incredibly powerful to automate particular process flow within Podio and externally. Using GlobiFlow, you can link to outside services and trigger actions based on events in the system. Also critical to my business is the developer API, which allows me to connect my own value added software to orchestrate other business related tasks not supported by GlobiFlow.

Cons: The user interface is in need of updating. Some widgets like scroll bars are cumbersome to use with tables due to a scroll bar within scroll bar effect that makes the page and table scroll in a strange way. Also, some basic capabilities of certain form widgets are missing like default values setting.

Overall: At our local Red Cross we needed a simple way to keep track of volunteer info and first aid training participants. It used to be a very manual process and being a small branch I couldn't convince admin to spring for an expensive CRM.

My search landed me on the Podio website and I gave it a try. What an amazing tool it proved to be. It took a few weeks to get the hang of it (mainly because I had no previous experience with CRMs) but it has now become a central part of operations. We now can't imagine life without it.

Now that we have it set up just the way we want it we can now easily figure out how many volunteers have been trained in not just First Aid but all of the other courses we offer.

We have an easy way to check the number of events each volunteer has attended over any given period.

Using webforms we have a really simple way for clients to requests First Aid volunteers at their events which automatically notifies the people we've specified so following up is now much easier.

It has an iPhone app so even on the go staff always have access to data as long as there is an internet connection.

I could go on and on but I think I would say my favourite feature is the customizability. It doesn't do everything (nothing does) but even with a free account you can get so much done it's simply mind blowing. Looking forward to the improvements (which have been never ending since we signed up).

I now use it at my job to keep track of staff info and again it has become an invaluable tool significantly speeding up my workflow.

Pros: Flexibility. Ease of use.

Cons: Check the pricing model, but even that has been great for my clients who are registered charities.

Overall: Podio has enabled me to completely change the way several companies share specific tasks. What's exciting? Two things. First - get rid of those awful little spreadsheets and put the data where the team can all access it concurrently. Second - wrap around it a neat package of task management, status updates, messaging, voting, and chat. And more. Voila. We have an internet for collaboration that converts office comma from the old "Outlook model" to the new, more open, "Facebook model".
The way in which users (permitted users) can edit the system while it is in use - could not be easier. I have been astonished to see non-IT professionals take up serious development and love it.
There's much more to say. Let's just say there is hidden depth. It looks so simple and it is, but one is always finding new gems that offer flexibility- such as webforms, or embedded JavaScript options! I think I could build a career in the Podio platform.

Pros: Podio has been a huge help for the project management purposes as the platform offers highly customizable and flexible settings to adapt even the internal user interface to the requirements/characteristics of the project. What's more, the functionality and the adaption to the external apps as well as the useful add-ons give the platform more functionality that saves a lot of time and effort searching for those in another system. For the smaller organizations, you can start with free plan/trial, however, if you want to take it seriously and benefit fully, I'd advise going for the paid versions.

Cons: There are few cons of the system. Sometimes it seems to be lagging and it's hard to determine whether it's due to the load it puts on the browser and the computer lags or the system as well as it's cloud-based. What's more, for the new users, due to extended functionalities after some time of customization, it's hard to be easily acquired.

I am an early adopter, and love love Podio's clean-canvas approach to app building!

Pros: - That it is clean-canvas and you can set up basically any object, process, structure or workflow you need
- The recent calculation field javascript functions are a life-saver!
- I have been using Podio since its very early days (back when you could only add, subtract or multiple two fields at a time). It still had so much value for our process as a services company that wants to track what our consultants are billing.
- Task management settings are excellent (even if i don't use it as much as i should, adding, assigning and tracking tasks is a breeze)

Cons: - Being an app intended geeks, it feels like it would be hard to set up initially
- Has limited app permissions (for e.g. field-based permissions for different user types is needed for any level of process above basic.

Pros: I love the option to customize all of my apps in Podio. I am a professional magician and use it to keep track of proposals for shows sent out, as well as their progresses. Moreover, I use it to keep track of expenses, invoices, and whether or not I've distributed my money to my business accounts. I also use it to keep track of clients, which makes it very easy to quickly look up information. I love that I can link apps, such as my show proposals and client apps, which makes everything flawless. Plus, the tasks option allows me to create reminders for myself without cluttering my own personal to-do list. Plus... it's free!!

Overall: I use it every day to improve my business organization. It keeps tracks of my clients, important events, money, expenses, quarterly reports, and anything else. I love the customization of the apps, which allows me to create whatever I want, from CRM to tracking.

Pros: Our company was able to build our database from the ground up, which was very helpful for our specialized company who didn't fit a pre-determined mold when it came to the storing and sharing of info. The tasks section is extremely helpful to remind you or any member of your team about any items to complete both within Podio and externally. I loved the ease of the chat and group chat features, and the ability to send gifs in chat brought some fun and lightness to my day!

Cons: Learning curve can be long, especially depending on how your administrator has chosen to set up Podio before you begin using it. Different people seem to gravitate towards different ways of organizing information, so this needs to be taken into account for complex records and your employees' different learning styles.

Pros: You can create practically any app, workflow, form and logic imaginable for your business. The power sitting behind this software is simply incredible.

Cons: If you have outside users interfacing in your Workspaces, you cannot control the UI experience for them or brand the app towards your company. Also, if someone posts a negative comment, it will exist in your app forever because you can't delete other people's comments. Finally, if you're using private embed-protected Vimeo videos, they will not work on the Podio Mobile app.

Overall: It powers our entire business and allows us to create any app, workflow or logic to handle customers, vendors, etc.

Pros: I like the program but not for $250 per month when I am the only person in my organization

Cons: NO PHONE SUPPORT! Although they tell you that you may request phone contact if you have a billing problem. There is No phone support.

Overall: Podio customer service and billing is horrible! I am so angry that I upgraded to the $24 per month plan and was charged $244.56! The invoice and payment receipt came in at the same time without giving any notice that the $24 plan that I signed up for was now up to over $200.
The customer chat said I could request a phone call to get the issue resolved, however, no one ever called. The email resolution department was NO help! All they could say was it would be corrected on the next billing cycle. I need it corrected Now! Had I wanted to spend that much per month I would have signed up for the 5 person $120 per month plan.
No phone support to assist customers and extremely disappointing customer service.

Pros: The successful project contains a lot of different things that make it successful. First of all you are always need to be well aware of everything that is going on in your project, also, you must be able to easily communicate with every person of your team, in addition to this you definitely need great analytical part that can show your progress and so on, and all of these things you get with Podio. The possibility to organize meetings maybe not the most crucial but greatly simplifies life.

Cons: From time to time we need to make some changes in our personal system, and when we need it that would be great to have a person who may promptly help us with this, without writing to the support team and wait for their response.

Pros: * Podio is such a flexible solution. It's the only system I'd ever come across that let you design your system around your business, instead of them forcing your business to fit their system.
* Really easy to use
* Can track/store multiple types of data so is flexible to be used in various areas of the business.

Cons: * Importing bulk changes isn't as easy as it could be
* Advanced workflows require a higher package, so you're limited with the lower end packages in terms of automation, without using a third party service like Zapier.

Pros: You can customize pretty much any field imaginable to build anything you want and need. It doesn't require you to fit everything into their box or what they say you need. Integrated with Zapier it is very powerful.

Cons: You can't search by email address (there are errors with any email that has more than 1 period which is almost a deal breaker. Reports can't be accessed in the app which is one of my primary uses. I have a workaround scripted in my phone, but I feel like you shouldn't have to be an expert to find what your sales are.

Overall: Real time tracking of sales and easy to calculate commissions

Pros: First time, it seems that the platform is very complicated it takes a long time to learn how to use it, but in the end it's worth spending time because it becomes very natural software for managing your team. Take a little time to properly configure projects. It's worth it. This program is an excellent tool for working with your team in almost everything. With such a program, it is easy to store data, monitor activities or even create surveys. With this platform, you can create different applications, workflow, form and logic that you can only imagine for your business. By sharing applications in this program, I can monitor both the individual actions that need to be taken to advance the project, and the closer stages that we need to do to complete the project on time. It is very simple to use this program in small groups to assign tasks to colleagues, which allows us to work together and clearly communicate our expectations about each other.

Cons: Sometimes it's not easy to understand some of the functions of this platform. For beginners, it may seem very difficult. Saving documents in the database is slow, and if there are a lot of them, copying can take several minutes.

Pros: The ease and ability to customize and develop this platform is what makes this product superior to all of the others that we've tried. We currently have 5-6 entirely different use cases for Podio in our company from tracking heavy equipment to talent development to the RSVP management system for our company parties and picnics. It really is ridiculously simple to create a workspace with workflows and reporting views. It is also extremely helpful that the cost of the licensing is so low and the terms of the licensing are flexible. I can't say that I've had to deal with Podio as a vendor other than the initial set-up because the product has run so smoothly.

Cons: I wish that the reporting was a bit more robust. In the past, our team has wanted to do some projection reporting and Podio just doesn't seem equipped to do what we are looking for.

Recommendations to other buyers: Keep in mind that the workspaces are what you make them. Workspaces can become disorganized quickly if you are merging custom created apps with apps that are available on the app market. Make a plan of what you need out of the workspace before you go into it, and don't be afraid to edit and prune as you go along.

Pros: This application looks like an empty canvas, you can create many workspaces with different applications on your own and differentiate the functionality to them. You can customize the automation of some functions and tasks. It is very important that the new employee can easily contribute to the work since Podio is simple and easy to understand even for a beginner. Our team uses Podio for a variety of things. I like that I can export many things to spreadsheets where we can analyze them.

Cons: There are a few key functions missing, most importantly the ability to edit multiple entries at once. Sometimes, when you are working with Podio, the application knocks out the user.

Our company used podio for about 3 years as a custom CRM. It was reliable, easy, and improved us.

Pros: The flexibility of the software, the cloud-based nature, and the ease of use. I would not hesitate to recommend it to others.

Cons: We're ready for a more inclusive marketing automation software that integrates with our web presence as a more robust CRM. This was a great product that served us well, but our business needs are different now.

Overall: This streamlined our lead intake process, helped us better achieve our sales goals, and took our professionalism to a new level. Additionally it offered us more measurable metrics, some basic automation/workflows, and a clearer sales pipeline.

Pros: Podio is a very advanced web manager and mobile application manager. It allows you to assign assignments to others and receive notifications when they are completed. Also, I like the customizable function of workspaces, so the work will be very organized. The interface is fantastic, easy to use and facilitates the introduction of the entire company. Integration with Dropbox is essential for what we do, and it simplifies the storage of files in Dropbox folders. Podio is widely used by all employees at all levels and even our business partners.

Cons: The biggest problem with Podio is confusion with contacts. Podio has several forms of contacts that can be misleading and affect the functionality. Somewhere along the line, we lost integration with Google Apps, which was a great way to clean up the mailboxes.

Comments: Our company has been using Podio for a couple of years. A brief summary: - the concept is brilliant in its flexibility and ease of customisation - Podio team has their own view of the way things should be done, and if you dare to challenge their (somewhat quirky) logic, they'll politely reply "this feature is not in our plans for the moment". Conclusion: if you're prepared to accept lack of archiving, inability to manage access rights to items, not being able to set task reminders after completion date etc., you'll love Podio; if your aim is to adapt Podio to your current business process rather than adopt THEIR vision - you may find yourself rather frustrated, so don't start.

Pros: - Flexibility - Ease of customisation (so long as you stick to Podio's view of workflow) - Quick support response

Cons: - Some major quirks Podio are not willing to change - A general "stuck up" attitude by the vendor

Terrible software and the most frustrating, ridiculous customer support experience I've ever had

Pros: It was suggested to me by a friend, but I hated just about everything about it - it was frustratingly complicated and overly difficult to use.

Cons: After purchasing a subscription, I found the software to be overly complicated, so I cancelled my account. However I continued to be billed for the next 2 months. I began contacting them about those charges, asking for a refund. While communicating with their "support", they stated they do not provide refunds, and refused to do anything. So I filed a dispute with my credit card company for the 2 charges. The CC company found in my favor and refunded both charges back to me. As soon as that happened, it must have marked the invoices as "unpaid" in Podio's system, and they began sending them to me again on a daily basis asking for payment. I resumed communication with them, asking for them to close out my account, close out the pending invoice and stop sending me emails. They responded to every ticket stating that they don't process refunds. I wasn't asking for a refund, I had already been refunded by my CC company. I was asking them to stop emailing me about the invoice that had already been decided in my favor. Finally I get an email stating my account was closed and I wouldn't get anymore emails. 5 days later, the emailed invoices resumed - this time being sent to not one, but TWO of my email addresses. The lengths they will go to, to harass a customer over a bill is asinine. It has been four months and the issue is still not resolved, and I continue to receive daily emails about my "outstanding" invoice.

Pros: The ability to customize Podio to look and act exactly how you need it to is by far the best benefit. We've been able to create "apps" inside Podio for tracking everything we need from support tickets, billing, inventory, projects, receipts, to name a few, and even one to inform clients of project status automatically.

Cons: The mobile app experience for Podio is lacking with limited control of views within different apps and slow response time when updating at times.

Overall: Podio is a good enough organization and collaboration platform that we use on a daily basis at our company. It's very feature packed and is quite customizable. My major issues with it though is that the UX is a bit too cluttered and messy and there are one or two occasional bugs. It can also be a bit difficult for new users to understand. This hasn't kept us from using it for the past couple of years though and its ability to hook up with other tools (like TimeCamp in our case) is also a great bonus.

Recommendations to other buyers: Clean up the interface. Make it more minimalistic and simple and I think that will do it a world of good.

From quick and dirty to complex collaboration and workflow management - Podio will get you there!

Comments: The thing about Podio is the extreme ease-of-use. One way of measuring the power of any piece of software is how quickly you can derive concrete value from it. And with Podio it starts from the very beginning. From simple and efficient collaboration with colleagues, clients, customers and partners to building your very own project management or CRM platform. It does it all.

And yes it also does heavy integration with many other platforms through it's open API setup. But the real beauty of the solution is it's ability to get things done on it's own. Want a way to collect customer feedback right from your own website? Just create a Podio-based webforms and presto; data can flow directly into your platform in an orderly fashion. And it is done in minutes - not hours or days. Combine it with other customer data and history? It is done through fast linking of data-fields within a plug-n-play app-builder that even I as a totally "don't-get-the-1st-clue-about-coding-type-of-guy" can get my head around.

Your Podio-platform might have a tendency to branch out so you will have to act disciplined in order to combat loss of the overall system picture or workspace sprawling. But other than that - you're good to go.

Would have ranked everything 5-by-5; but there always has to be room for improvement and further innovation towards even more customer value :-)

Comments: We use the software for internal, and some external, project tracking and collaboration with clients. I also use it to track leads and customers for sales and account management, mainly to track tasks and follow ups. For the project tracking, each customer has their own workspace (something I'm still evaluating) so that client contacts can access their own information. We have built some custom apps to track details about the client and their software deployments, which is a great feature of Podio, and rather unique. We also store client files and documents within Podio so everyone can see them. We also use the mobile app, which is great to track when at a client site or if you don't have a laptop handy. The whole concept of the app marketplace and building your own is pretty well executed. Just starting to use some of the workflows, but so far they are useful.

Pros: Mobile app accessible anywhere app marketplace and app builder tool ability to easily modify apps as needed ability to relate across workspaces external collaboration is great can easily send email to lots of different areas to create a task, status update, etc

Cons: We use Office 365, so a tighter integration with that, similar to what they have with Google apps, would be great. Enhanced workflow would be good

Pros: I would say Podio is a good tool if you organization is medium sized. It might be too expensive if you are a small startup, but if your organization grows big, you will see that it is missing features. We used it for a while but had to migrate to salesforce at the end.

Cons: The con is that if your organization grows and your CRM and project management needs increase, you will find that Podio doesn't have enough features. It is also cumbersome and you will use a lot of time to set it up and keep it updated. Usage of it was not super high when I worked with it.

Pros: The great strength with Podio is that you can customize it very much to fit your needs. For example, we have to-do lists for various developers, and when they move a deliverable to another phase it appears on another user's to-list etc. Lists can also pull information from across workspaces and projects. Another thing is that their app is quite comprehensive and have most of the features Podio's web-app also has.

Cons: Look and feel/UX/UI is dated, when compared to other web apps produced by companies of the size of Citrix.

Pros: I like the ability to create your own widgets that fit your needs. I also like the ability to put project information all in one space and have custom fields to put information based on your needs.

Cons: It is not good for see all projects you have all at once. They are divided out by client/workspace. There is not way to have a master list of all projects across all workspaces.

Pros: This software really streamlines the approval process for our organization when used properly. We deal with A LOT of paperwork and bureaucracy, so anything that can cut down the time we spend on bureaucracy is much appreciated. Work spaces can also be customized to best reflect the type of projects your organization is creating.

Cons: The con of the customization feature is that it can complicate workspaces, particularly if the staff member creating the work spaces is not a podio expert.

Podio has been invaluable to our business. A lot of work to set up, but functions well.

Pros: Inexpensive, some what easier to use, kinda sorta easy to build out, lots of videos out there.

Cons: Reports suck and you need globiflow for it to be worth anything. Also there is no way to manage the page layouts to make it easier for the user to navigate. Collapsable sections would be nice.

Overall: This is the CRM I am using now. There are some minor concessions I have had to make (namely the reports suck) but for the price I can't complain. However, I am under the old system so my pricing is a bit lower than what is available now.

Recommendations to other buyers: Make sure you budget for Globiflow.

Intuitive; many integrations; rare software updates; occasionally slow customer support

Comments: I despite my less than stellar score, it really is a useful system as long as you can figure out how to use it and you can ignore the constant bugs and poor UI.

Pros: Lots of ways to organize a project and collaborate with different companies/people. Surprisingly deep as far as what you can contribute to the project.

Cons: It's very buggy and often difficult to manage all the information. There is also a pretty steep learning curve to take advantage of all the features and very little help along the way.

Comments: This product is so versatile, you can use it for any business. The learning curve is really, really high, but once you get it, it's great!

The customer service is terrible. They don't respond to customer requests for simple improvements to the UI (they refuse to allow you to delete chat conversations, for instance) and, should something go wrong with your account, they are not concerned AT ALL with keeping your business. They respond very quickly, but the person usually can't actually tell you anything or gives you a non-answer. They also have conflicting sales. So one person tells you something and another tells you something different. Very confusing!

The reason we've made it not possible to delete chats is purely to help protect your data, for instance a year-old thread between two managers about a major change in business strategy that they need to align on. The documents shared and decisions made there wouldn't be accessible for both employees if someone had the rights to delete that thread. Pros: I love that you're able to customize the processes/work flow. Literally, any workflow that you would want, you can build.

Cons: This isn't necessarily a con, but if you don't know how the backend of the software works, it can be hard to set up. Luckily, we have an employee who is familiar with the product and set up everything for us. If I were a new user with no experience, I could see myself becoming confused.

Comments: PODIO has amazing functionality but getting team members to adopt it can be difficult. The user interface is clean but very boring. The learning curve for folks who are not software fans is high.

Comments: I originally set up my Podio account to try out the service and see if it would fit my needs (filmmaking and video production). The price is a bit higher that other solutions I evaluated, but it seemed to be much more customizable than something like Basecamp. To try it out I did a detailed setup of a tentative project, and populated my "Employee" network (you can have 5 employees in the free version) with some initial volunteers who were interested in the project and willing to help me test things (not knowing that they couldn't be removed later without upgrading to the premium version), now that the project is moving forward, I'm trying to remove those initial people to put in actual volunteers to take this test to the next level, but I can't do that without paying $$. This is a real aggravation as I have expended a fair amount of effort to setup a real project in Podio for an actual test, but it's still too early to commit to paying for the premium service. This frustration has me now looking at other options since (from what I've read in Podio's help site) Podio has no desire to create a fix for this issue in the free version of their service. It really makes me concerned how helpful they will be with fixing other problems even after paying for their service. This issue has not only impaired my ability to try out the service for my application, but has significantly tarnished my opinion of a service I was initially very excited about.

Comments: Podio is an extremely powerful tool - the only CRM I know of that adapts to suit your business; it doesn't expect your business to adapt to it's methods. You build your own solution, so can use Podio as a CRM for Project Management, Asset Management, IT Support - anything under the sun. It's extremely flexible and the Podio team are fantastic for support. It's easy to use too which makes participation on a new system a lot easier within a team.

Pros: Flexible Easy to use Fun to use Great support Can be used for any industry, small to medium sized Can expand functionality with GlobiFlow extension (and many others) Great API allows integration with multiple solutions

Cons: Might not be ideal for enterprise solutions.

Pros: it has the ability to do what ever you want. 100% customizable and you can have multiple companies on the crm at one time. Lucky because my REI has the ability to hire fairly inexpensively a company that is already in this space and capable of building it to our specifications and training us for a cost.

Cons: In order to get it to do what ever you want it has to be customized. in fact it mandatorily requires complete customization. there are some form apps you can download into it but you will need massive training on understanding how to use them. You can get IT to backend the whole thing (if you have money) or you can pay companies who do this, to do this again costing additional money. Because it is 100% based on your customization you need to have very clear understanding of what you need and how you need it to run or you might get totally lost.

Pros: I like the fact that it is easy to use - you can get a new team member started on Podio right away. Other software takes time to train someone, but Podio works well for new members of the team from the start.

Cons: Sometimes it can be a challenge to convince teams to use Podio for all Project Management needs. We still have a few team members using emails or trying to create an Excel sheet to track progress. Once we get them on Podio and they're comfortable with it, they will use it all the time.

Recommendations to other buyers: Convince the team that they need the Podio software and don't allow them to use email or Excel to manage their projects. Tell them that they must use Podio.

Cons: All-in-one system that sometimes becomes not easy to manipulate with non-experienced users.

Overall: Podio is an utterly flexible and highly customizable online platform for the project management communications and not only. This is mainly because of its user-friendly interface and the corresponding provision of high-quality functionality to the growing organisation. Pros: It is very user friendly and intuitive - I was easily able to train people who were previously unfamiliar with the software.

Cons: There were a few limitations on collaboration such as the inability to upload different versions of a document and go back to see previous interations.

I worked with podio for more than 4 years, and one of the things I liked most in the flexibility to create what you need. Is easy to integrate with other applications inside podio, or even to integrate with your mail or other platforms.

Comments: I've been using Podio almost since it was an startup. It was great to use it as a internal communication tool,.... however, if you need to go further on the project management and knowledge, or many other uses.. it gets complicated and limited. The way it's built allows for a lot of uses and applications, but none of them is the main purpose the application is built for, ... so in some part you will face the limitations.

Pros: Very easy to start and share with people

Cons: Needs a lot of configuration Lack of management reports to administrate the way the content is being used by specific people

Pros: Incredible flexibility is one of the unique features of this app. You can design the way how your contents, reports and overviews looks like. It is not bound by rigid software. Podio puts all your projects at a single place, so that any person working in the team can access the projects from anywhere and can stay up to date. It will help you and your team to stay updated with the statuses of your current projects as well as upcoming projects. With it on your side, you never have to waste your time checking everything is right on track.

Cons: There is no lackluster permission structure. It doesn¿t have an overall group admin for the total organisation. Our feed gets spammed with activity from every workspace, making it useless for a certain extent.

Pros: I use Podio as a way to collaborate on project documents. Enabling my fellow project team members make changes to our project doc. And I get to monitor changes made.I simply call this my workplace automation tool ; I use it for everything and anything at work.

Pros: reasonable pricing. Can accommodate a wide variety of business uses.
These are just extra words because it's required.

Cons: AWFUL support. Predatory 3rd party support (which costs more). Majorly deficient reporting out of the box. Complex build out with limited knowledge center. The management of high record counts is buggy--Import/Export-- and 'will not be added to the fix list' per Podio.

Pros: As I said the filter. It is extremely configurable. You can create almost anything on podio, it can a CRM, database, project management and the list goes on. I also like the tag feature when you want to warn a group of something. You just comment @GroupA and all people who are inside it will receive the message.

Cons: As far as I used it I can't see no cons but I suppose the costumer support is not supportive. However, something that really bothered me was their daily email, but I am aware it can be useful for some organisations.

Overall: I used podio as a CRM and I thought just simple to use, to edit and to track. The feature I like most is the filter which is divided into the elements you set up, last update[yesterday, 30 days, last week], who create the activity. A feature which has shown to be really flexible!

Pros: Podio is a great asynchronous project and team management tool that is sure to keep your team focused, to improve transparency, and to accomplish much more that is anticipated. The support staff is eager to assist, and there are plenty of tutorials to help get you started.

Cons: The only negative component to Podio is how the workspaces and apps work with members. To be used as an effective CRM tool, the relationships need to work better.

Recommendations to other buyers: If you are looking for an easy to modify project management tool, then Podio is definitely a great choice that can be set up quickly and embraced warmly by your team.

Comments: I've been using Podio for a year, I almost organize everything of my small-business on Podio, the next challenge is use it for complete Internal-External team communication.
I've try other apps as Asana and Trello, but the features that definitely make Podio our choice are;
-FLEXIBILITY, to handle everything you need on the way you need, just need to take a couple of hours to learn/configure or use the pre-configure Apps Packages.
-NUMBERS management, with these you can handle and make calculations on budgets, expenses, time, quantities and everything that could be represented with a number.
These complemented with other shared features of other PM apps.
About the cons, can talk about Navigation (kind of solve with Supermenu extension), Need of more Integrations, Item visualization managment.
I'm definitely recommend Podio! just take a couple of hours to understand the real power of this tool!

Pros: Podio, is quite user friendly. No matter you level of computer skills, this products is easily learnable. We have created multiple work spaces on this platform which have help drive many business functions and solutions for recruitment, sales, and other business needs.

Cons: The high and low of Podio is it truly is a blank canvas. At time this can get time consuming in the end you definitely have something that will make your business function more efficient.

Recommendations to other buyers: I would recommend looking through some of the premade work spaces on the platform. Our company was built a custom work space but this may not be the approach your business needs to take. Podio offers a great amount of assistance either way.

Comments: Everyone's company is different in one way or the other, and it seems like every project management system out there is different too. We tried 16 project management tools before Podio, only to find that each had one area that was a little off for our purposes or missing entirely. They each almost always also had components that were superfluous to us.

The appeal of Podio was in the fact that you can build the project management system out how you see fit, based on your own operations. That was the winning element for us and we made the commitment to organize our business processes in Podio.

There are many great little features that make all the difference for us: an intranet for internal chatting, Google drive integration, etc. But perhaps best of all if the high frequency with which Podio staff implements new features and fixes.

Podio's changed a lot since we first started using it 4 years ago: features we really wanted have since been implemented and that's why we'll be continuing to use it in the foreseeable future.

Flexible, Scalable easy to use. With Podio you finally (even though I originally thought it was impossible) have One system to rule them all. As a small or medium company you can use it for everything. A bigger company with more specific needs can easily customize Podio to suit their needs with some programming. I used http://phases.dk/ to help me out.
There's so many ways of integrating Podio with other systems
Customer Service is second to none. Fast answers and and extreme willingness to help.

Cons:
It can get pricey if a big company wants all their employees in Podio. But if you compare Microsofts Sharepoint to Podio and you dismiss all the other excess systems you will have after implementing Podio, it's a bargain :-)

I have never worked with a better system. I love Podio as much as I love iOS/Apple.

Comments: We were over the moon with Podio for almost 2 years. Raving fans: loved it and then things changed. We're a service business, and maybe that makes us ultra picky about good service. I love the customize-able concept. I don't love the service or the dismissive attitude they take toward their customers. And our parting was just plain awful. They were really awful to us. Very sad.

Pros: customizable functional platform.

Cons: awful service. used to be good. we aren't raving fans anymore.

Comments: We've been evaluating Podio for several months, and while they have a truly groundbreaking concept (create your own apps without programming), somebody wasn't really thinking it all through while they created it. The most appalling oversight is the lack of support for real "contacts" (customers). While Podio makes it super-easy (perhaps too easy) to link collaborators with the apps you create to work with clients, clients themselves are a nightmare. Instinctively, your gut will tell you, "Wow - This is easy... I'm pulling in my contacts with just a few clicks," BE CAREFUL... Those are being treated as collaborators & staff, not as real customers, and you'll rip your hair out trying various workarounds before realizing they just blew it, and there is no workaround. To their credit, Podio seems to be taking an interest in the gripes about this fatal design flaw in their user forums, and hopefully, will step up to the plate to get it fixed, but until then, it's just a nifty idea.

Our experience from Podio support staff from on-boarding through to advanced "show me how" requests has been exceptional both in terms of response times and assistance provided.

For a DIY workflow solution which integrates with tons of SAAS services, we have found nothing better!

Comments: As a MS reseller we have access to all tools like Project, CRM, Sharepoint and so forth. Never the less none of the tools suited us very well with the way we work. We had to find a tool that could be built from scratch to our needs without programming skills. It should be easy to customize on the go and easy to access on mobile devices. Besides being extremely easy to setup, it also makes it easy to find customer related conversations instead of trawling through several mailboxes. The application API is relatively easy to build upon to make data even more visible from Podio. The time it takes to build an app when we need one is a matter of hours and not weeks or months. Extremely intuitive. Downsides are the mobile versions that arent as usable as the browser-version. The tasks system arent flexible enough when it comes to search filtering. Podio doesnt fit a small monitor.

Podio provides a flexible platform to create what you need. We use it as a CRM.

Comments: Podio's flexiblity and ease of use is unparalleled. We are running bug tracking, CRM, management, marketing and one time projects on Podio. Customizing the apps is simple and fast. No coding skills required! The best part is that all discussions happen in the correct context in the app items. No need to find discussions from email anymore. Also, tasks can be assigned to app items which gives them the correct context.

Comments: I've been playing with Podio for a couple of hours and I struggle to see why I would want to continue. The main problem seems to be the interface which emphasises the wrong information, making it easy to get lost and difficult to quickly get the information you are interested in. It takes way too much data entry to achieve anything and the whole feel is that I would be spending a lot of time for little or no real value. I tried adding some apps related to software development as well and ran into bugs where apps where being added multiple times. The only way to remove the duplicates was to archive them one at a time, which necessitated a trip back to the home page every time. I don't think I'll be recommending it to anyone.

Pros: Vast features and capabilities (calendar, timesheets, etc.), could organize tasks for each client that needed to be addressed.

Overall: Podio was a very helpful in office management, as it included a lot of different features that helped on various levels of organization. On the social media end, we were able to track what we published using Podio's calendar, and assign certain posts, graphics, and other tasks to specific employees. Tasks that were completed were easily recorded in employee timesheets, and it was easy to give feedback and comment on work posted by others.

Comments: The best thing podio has is the possibility to personalize it and create your own platform required for each kind of need. Regarding CRM it is incredible, ir works flawlessly, and it has been very helpful to manage meetings and get things done propperly. I also use podio to keep track of the products i sale, as i am a designer and i produce and commercialize industrial products in Argentina. This last functionallity could use some improvements to make it more simple to introduce each new sale but in general it works fine and it is the only platform i´ve found that combines CRM and ERP in a decent way. I absolutely love Podio.
