### "Highly Customizable CRM"

July 25, 2025

5.0

Everyone we have worked with has been extremely helpful and quick to respond. We are planning to work with a Podio partner in the coming weeks, but so far, their customer service has been outstanding.

Pros

Highly customizable to how you want to setup/run your CRM. If there is a certain layout or feature you want, Podio can likely do it.

Cons

There is a learning curve to build out the apps within Podio, but once you get the hang of it, it gets easier

There were certain features that we wanted that hubspot did not offer. It was also more expensive

### "Tried Podio for Six Months and Redesigned With a Desktop App"

April 12, 2025

3.0

We tried using it for 6 months and abandoned it for a traditional desktop application.

Pros

Many nice features includes out-of-the-box such as maps and simple data validations.

Cons

Poor options for backing up data. Third-party options seemed of questionable reliability and not automated.

### "he Most Versatile Business Management Tool on the Market!"

August 15, 2025

5.0

Amazing. Have dramatically helped out with multiple businesses we run through Podio. Whatever you can imagine, you can build in Podio

Pros

Podio has completely transformed the way I run my businesses. I manage multiple companies across different industries, and Podio handles it all with ease—CRM, project management, task tracking, document storage, team collaboration, you name it. The customization is unmatched; I can build workflows and apps tailored exactly to how I operate, not the other way around. I’ve used platforms like Salesforce and others in the past, but Podio runs circles around them in flexibility, ease of use, and cost-effectiveness. It’s powerful enough to handle complex processes, yet simple enough for my entire team to adopt quickly. The integrations, automation capabilities, and overall adaptability are endless. If you want one platform that can truly scale with your business, keep everything organized, and streamline communication, Podio is hands-down the best choice out there.

Cons

For a while, they were stagnant on implementing new improvements and their customer support was a bit slow in the past responding to issues. Since new ownership has taken over, things are trending in the right direction on both of these.

### "Amazing abilities to automate!"

January 28, 2026

5.0

I love the automation features, as well as the ability to integrate RightSignature, Dynamic Forms, etc. It's really saves us a LOT of time automating tasks and emails!!

Pros

The customer service response time from our Podio rep is amazing! Jacquelyn is always available to help and super fast to respond and solve our problems when we need her!

Cons

Lack of reporting options. It would be very helpful if Podio had some better printing and reporting options.

Like that it is a crm all in one, coming from working with applications like salesforce. Excited to hear the incorporation of AI to the platform.

Pros

Ease of use and ability to customize. Like that you can see calls and last comments tagged to your email automatically.

Cons

Alerts and ease of making reminder more automated. But can i do more, with the app, that is my limitation.

### "Podio's ease of use"

January 28, 2026

4.0

Overall it is very seemless to use and very user friendly I just used it for 3 months and I can say it is easy to get used to

Pros

The cost I don't have an idea because I'm from IT, haven't had any issues yet so I haven't contacted customer support, the ease of use is very good easy to navigate and get used to all workflows, task management is very easy and very flexible on navigation, project collaboration is a good feature and gives us flexibility on tasks.

Cons

Just a very few automation, some of our applications are not yet integrated to podio so we have to use zapier to get that running

Pros

I like the collaboration and customization abilities that Podio offers. Podio is easy to figure out and learn by yourself. It is Facebook for businesses.

Cons

Reports can be hard to run and confusing. I also dislike the ability to turn off commenting in certain areas of Podio.

### "Great CRM but always room for improvement"

January 30, 2026

4.0

It’s pretty good overall for the price can’t beat it for a basic CRM up into an advanced CRM. It still works very well for So operations to smaller operations. It can be easily scaled to be used in large operations.

Pros

The system is adaptability to integrate API‘s and workflows in a relatively easy manner. I also enjoy the ease of creating new workspaces.

Cons

I don’t like that. It’s hard to incorporate automated follow ups as well as certain apps don’t integrate within the CRM.

### "Give Podio a chance - thank me later"

January 28, 2026

5.0

I like how you can get in out, I like the search feature and I like how I can go back and edit and add things that I learned about clients. I’m also inspired knowing that it can do so much more than the basic features I’m using now.

Pros

Tremendous support. All their team members know EVERY nuance. It’s been a great way to track tasks and it’s my go to CRM.

Cons

It’s not really known as a CRM so I think I may be taking shortcuts and not taking advantage of many features and benefits.

### "Serves it's purpose"

September 4, 2019

4.0

The big boss also loves this program, because it can generate many different reports for him, from bid activity, pending logs, securement logs, win percentages with different customers or geographic areas. allows him to see many different metrics with just a few clicks.

Pros

The website is incredibly customizable, which allows you make this program perform many tasks that vary greatly. Our main purpose was to use this as a bid center for our company, allowing all of our branches to see who was bidding which jobs. After setting that up, we were able to have podio send out reminders after certain amounts of time to follow up on the bid results. If we were awarded the job, it will then send out notices to our purchasing department, project managers, and super intendents with the relevant information (start end dates, contract prices, labor hours estimated, location, contact info, etc). It is very helpful to make sure our branches do not double up estimating the same projects.

Cons

Being very customizable also means it can be quite tedious to set up initially. There are, however, many premade modules you can either use as is, or customize to fit you needs.

Alternatives considered

[BuildingConnected](https://www.capterra.com/p/156791/BuildingConnected/)

Reason for choosing Podio

At the time, buildingconnected was not set up to do what we needed in regards to generating the reports for the boss. I believe they have made some changes and updates that likely would have made it a good choice, but too late.

### "Podio is a BEAST!"

November 5, 2024

5.0

My overall experience with Podio is great. I started with Podio while running a real estate investment company. I now utilized it with my roofing company as well. The advanced automations with globiflow make it a force to be recon with in the CRM space.

Pros

The ability to customize Podio in order for it to help scale your business is what I like most about Podio. All of the latest integrations are keeping Podio at the top of the list for CRMs.

Cons

There are very few times it occurs, but when the site/status goes down during the middle of the work day it can wreck havoc on a business that relies on it heavily. Over the last 6 years I have only had it affect me 3-4 times.

### "Good- but look at the total price."

October 14, 2024

4.0

I liked Podio, and if you don't need a lot of bells and whistles the basic version may be ideal for you.

Pros

I really liked how Podio integrated with Google Drive and Dropbox. it made it super easy to share files. I think it's one of the more intuitive platforms for users.

Cons

It's NOT that intuitive for those setting up the tasks and workflows. It may take them awhile to get things working the way you want, and if you only have one person managing the team, and they leave, you may be in dire straits if you need to make changes. I also thought Podio became more expensive quickly. the basic version is affordable but every additional feature costs more and then you are paying A LOT. And considering all the time for set-up, you may be hesitant to leave. I needed a better tracking and reporting system than what I could get from Podio, and price was getting high, so I switched

### "Podio - solid and reliable CRM customised to our needs "

June 9, 2023

5.0

I compared at least 5 or 6 products. I chose podio, citrix being known to me and found it good. I got support via messaging and phone and quickly had the system setup to meet admin needs and job tracking. 8 years later, have full access to all jobs, cloud based, can download backup and its a part of our IT system used byb4 users daily.

Pros

Having used podio for over 8 years (!) As CRM and also as means of sharing tasks with certain staff it is perfect. I can setup projects, import excel, csv and track one-off jobs or larger contracts, sharing with workforce.

Cons

Not much negative to say. We tried some features but overcomplicated our own ways of working. It does what we want it to anc now rely on it.

### "Podio - Flexible collaboration tool for teams"

December 29, 2018

4.0

It's difficult to describe Podio in a few sentences as it's flexibility and extensibility through the addition of apps from the library or creating your own means that it can be used for many different things. We've used it for project management and as a simple space to hold and share information when several external parties are involved. It means everyone can see what needs to be shared and current status with compromising internal systems and worrying about correct security settings for various parties. Podio isn't always first choice for team collaboration as there may already be solutions in place that clients prefer (for example, Microsoft Teams), but it is a quick way to pull disparate people and data together and get working quickly. As with all collaboration tools, it needs a bit of planning to configure it best for the type of project you want to use it for, but once you have used it a couple of times setup should be quick. For 'standard' users who have a degree of competence with collaboration software, the interface is intuitive and they should get up to speed pretty quickly. If you work in an Agile environment, all the tools are there to configure an Agile project and get started quickly. Some people love Podio immediately, others don't get it. Try out with a couple of small projects to get familiar with it; keep it as simple as possible - Podio's greatest strength is that you don't need to add more features/apps than are suited to the job.

Pros

Fast to configure for team collaboration on a variety of tasks - from the simple to fully featured Agile project management. Adding only the apps you need means you can have a flexible and bespoke approach to each project depending on the requirements. Easy to share with external users.

Cons

The flexibility that can be a strength can also be a weakness. There needs to be strong leadership over configuration and apps included. The number of apps that can be added and the configurable options can lead to unnecessary complexity in the hands of inexperienced users. If you have complex security requirements, configuration can be a pain.

### "Great Resource for Businesses"

November 13, 2018

5.0

Podio is our main project management source and we love it! It allows us to assign project managers to projects, tag team members that need the information, others to add information they have gathered, copy emails directly to Podio, assign tasks, and so much more. I would highly recommend Podio for any type of business and think it is a great tool that is easy to use.

Pros

What I like most about Podio is the organization of project management. It helps to keep track of current information, copying emails directly to Podio, tagging team members, and organizing the project with information that is useful in my business. It has been such a great management tool for our small business and relaying information that is easily searchable when the project information is needed quickly!

Cons

What I like least about this software is that is can get confusing in the beginning and overwhelming of features. It does take some time to understand the functions of Podio and all that it can do. Once learned it is user friendly, but it is hard to get started!

Cons

I have felt a gap in its email feature which is not as effective as other market tools. Also for me its price is not so effective no doubt it balance its amazing features but still for those business who really need a back end for support might finds it costly.
