For 4+ years, it’s been my go-to for planning work and personal projects. It’s highly versatile, easy to use, and functions as a great visual project management tool that offers excellent value for money.

Pros

The infinite canvas gives me absolute freedom. Building out complex technical diagrams, custom project timelines, and brainstorming ideas feels completely unconstrained and smooth.

Cons

When boards get packed with hundreds of shapes and cards, the app can lag heavily. The built-in chat and messaging tools for live collaboration also feel basic and a bit clunky.

Miro has been great for visualizing things for our customers. We have had some really great meetings due to Miro. When looking at this from a forward looking perspective though, Miro becomes a challenge to data security and data retention.

Pros

Miro can be an awesome tool for visualizing ideas and organizing thoughts. The features and plugins are great and the support from the customer support team has been great as well.

Cons

Once you're in Miro, your data is kind of trapped in the application. There are ways to export but there are size limits on exporting. What makes it more difficult is that there is no way to track the overall size of your board while you're designing it so when it comes time to export, I find myself breaking things into many smaller boards or frames. If we knew this before trying Miro, we probably would have looked into alternatives. Now we feel stuck.

With our team size and the amount of travel itineraries we process, Miro has been a useful organizing, visualization tool. It's not without its flaws, but it has made collaborative planning easier, and is worthwhile for our department. The regular product updates are much appreciated, but there should be more emphasis on performance improvements.

Pros

Miro has been a valuable tool for our project planning and brainstorming sessions, particularly when working with other departments. I really like the ability to plan our workflows visually, that's helped me with the bookings and who's doing what. With different kinds of templates it becomes much faster to make plans for client events, and the option of having the team engaged during the conferences creates much more interactive and productive discussions.

Cons

Sometimes it can get a little crowded, particularly when there are too many boards or collaborators. The ability to select a board and easily organize it or put it into archive without having to go through all of the older boards would be nice. Also, if you have slower internet, loading large boards can be rather annoying when on team calls.

Miro gets the job done for our client work, but I’m constantly second-guessing if it’s actually worth the price tag. For running remote workshops or mapping out visual strategy, it’s honestly tough to beat. I just really wish their pricing model was better suited for agencies like ours that deal with external collaborators all the time. Still, we keep paying for it, I guess that says it all.

Pros

We use Miro for workshop facilitation and strategy mapping with clients. The infinite canvas is great for things like design sprints or when we’re mapping out user journeys. Having templates ready to go really saves time when we’re prepping for a session, which is honestly a big help. The real-time collaboration is smooth, too, everyone can pitch in during video calls without that annoying lag you find in some other tools. Plus, exporting the boards as PDFs for client deliverables is pretty straightforward.

Cons

The pricing really stings when you’re running a small agency. Since every client needs their own seat, the costs add up fast once you’ve got a few projects going at once. It’s also tough for some clients to pick up the interface right away, there’s honestly a bit of a learning curve there. Plus, the performance can get pretty laggy on those really big boards once you start piling on a bunch of sticky notes and images.

Does what we need for distributed sales planning at a reasonable cost. Not perfect but gets the job done for coordinating a mid-sized team across multiple markets. Beats the spreadsheet chaos we had before, and our parent company already had licenses so adoption was straightforward. Worth it for the time saved in alignment meetings alone.

Pros

We map out quarterly territory plans and customer pipelines across Southeast Asia without having to fly everyone into Jakarta. The templates help us get started on account mapping sessions pretty fast. Honestly, our team picks it up in maybe 20 minutes, which really matters when you’ve got reps who would much rather be closing deals than learning some new platform. Plus, the real-time updates mean I can see what my managers are planning without getting stuck in those endless email chains.

Cons

Gets sluggish when we load up boards with too many customer accounts and data points. The mobile app is pretty limited, which is annoying since half my team works from the field. Pricing jumps fast if you need more than basic features. Wish the export options were better for pulling data into our CRM reports.

Overall experience with Miro. It was an easy software to use, especially with the free option. There are a few things to do

Pros

What I liked most about Miro is the simple ui of the website and the functionality of the side nav. Nothing was complicated, and it was easy to find things. E.g., If I wanted to create a template, I just select the template icon on the side nav, and it has a whole range of categories in it.

Cons

What I least liked about Miro from an accessibility point of view is that it would be great to show the name of the icons in the nav on the left side of the board - I appreciate it shows when you hover, but from an accessibility point of view, it would be great to see it by default without hovering.

excellent for visual thinking and workflow mapping in operations using the free version, it really helped us iterate on process design but we won't be using the full system at this time.

Pros

We specifically tested Miro for its operational capacities. It really shines at helping ops teams visualize complex workflows and dependencies. Mapping processes, swimlanes and bottlenecks on an infinite canvas makes it easier to see where work stalls and who owns what. Real-time collaboration and templates help teams align quickly and linking boards to work in other systems (via integrations) keeps things connected. We found it especially useful for cross-functional planning sessions, retros, ops playbooks, etc.

Cons

If you need structured task assignment, or resourcing built in, you might still need complementary tools? Boards can get messy without disciplined organization (even though that is the same in most tools). We didn't test it out with the whole team, but intuitively it feels like some teammates would struggle with the freeform canvas at first.

You have to pay for a lot of the most useful features, which is frustrating. you can only have a small number of boards on the free version.

Pros

We can work in real-time, simultaneously, and in the same space. This is great for creating and sharing security protocols and analyzing risks among all team members. The software is very easy to use, so we can concentrate on applying the functions efficiently without distractions. We can integrate Miro into our workflow seamlessly. Miro meets security standards, so we don't have to worry about the data we enter into the app.

Cons

I would like to be able to customize the access controls more. I feel that company data is secure in-house, but I want to safeguard it more.

I used this application for a graduate course. Our group utilized this platform as a white board for brainstorming, large scale collaborations, and organization. Overall it was easy to use but difficult when it came to selecting data and moving it to another space like canva or excel. I cannot speak to the cost because it was included in of costs for our course at SCAD.

Pros

My favorite thing about Miro was the scalability that was included in a space. It really allowed for brainstorming to be mapped around a specific point without having the raw thought or concept lost in a bulleted format. I also liked I could see real time my classmates working and track any changes that were made.

Cons

The difficulty in copying information that was pasted from other group members. We needed it to see some work in this space but we couldn’t manipulate it the way we could in other applications.

Overall, good diagramming software. I wish AWS icons/templates were already included. The integration with Jira is good. Price is okay with the starter plan.

I like the diagramming/whiteboarding functionality. I like being able to share the board. Basic flowchart is good. I like the emphasis on collaboration. Works with Jira.

Cons

I wish the AWS templates were included. It is a pain to upgrade plans for some AWS icons. Lucidchart is better for this part. The fish bone template needs improvement. I wish I could embed timelines into slide decks/presentations. I wish I could use "tab" to add to the mind map.
