### "Learn from my mistake- don't use Managed Billing!"

Overall, managed billing was a poor product and a bad investment. The money and stress was not worth it. Ultimately, I was so frustrated with the experience I cancelled all of the modules with Kareo. I no longer had any trust in the organization.

Pros

The clinical module is a powerful tool. The sales, onboarding for the modules, and trainers for the modules were good. This seems like a good product for a multi-provider independent practice. If I had just purchased the billing module instead of going for managed billing, I would likely have had a different experience.

Cons

The managed billing actually slowed down the billing process. I paid the early termination fee in order to get out of my contract. I thought that the biller I was assigned was bound to know more about billing than I do. I was wrong. It took weeks to get simple questions answered and tasks were not always completed within the 72 hour window. When I was scheduled to talk to a billing manager about issues, they called 40 minutes late and made excuses for missing the appointment.

Pros

Love, love, love the document manager which makes it easy to manage, organize, and attach incoming documents from my various clients. Get new practices up and running, submitting claims within 48 hours. I don't have to batch and upload claims to a clearinghouse. I dont have to download ERAs from the clearinghouse. Everything is all in one place. Oh, and it is web based, no need for secure servers on my end and I can give access to my clients. Also no need to worry about backing up data.

Cons

Statements require more work than they should in my opinion...perhaps due to my specialties, but I find I need to manually review before letting the batches go out. But I love that we can send electronically right from Kareo.

Our website looks way more professional and is so much easier to use now that they revamped it!

Pros

I appreciate their attention to detail and the professional look of our website. It's also helpful that they update our information across multiple web platforms, so changing information is all done at once.

Cons

The calendar booking function works best with a smaller practice, we have 15 providers so the calendar isn't useful for our business.

I am generally satisfied, as I do not think another program at my price point would offer the features and flexibility I was seeking. This program has its quirks, but is very functional. Once I am more familiar with the program, I may feel even more favorably about it.

Pros

Flexible software which combines free-text with templates, allowing for a more individualized progress note. Cost effective for a solo-practitioner, with the required features of scheduling, billing, EHR, electronic prescribing (including controlled substances), and Patient Portal. Customer support for migration from other systems and coaching for success has been plentiful and quite helpful.

Cons

Documentation does require a lot of mouse clicks. The billing component is not particularly intuitive and also requires multiple steps to accomplish what should be fairly simple. Scheduling also has many mouse clicks and is more complex than it should be. The billing platform and the EHR are not the same, and they do not always synchronize with each other, leading to duplicate work.

Multiple emails, multiple calls, multiple people, multiple handoffs, and it STILL is not fixed! AND to top it off, at 8 pm central time on a Friday night, we get our invoice for this month and it is absolutely and completely WRONG! They billed us a percentage of revenue on a service we are not even subscribed to! And it is now after hours and you can't even call them to fix it! I called the bank and put a stop pay on the account because it's the only way to stop them from sucking 3 times the money we owe them, directly out of our account! We even left the CEO messages on LinkedIn because we don't seem to able to reach anybody any other way!

Pros

Just don't do it. Seriously. Find a company who answers their phones and takes care of their customers! The software is good, but sheesh, what good is it if you can't even use it correctly because they dropped configuration on it's head???

Cons

Oh. So many. So so so many. Unresponsive to calls, emails, chat boxes, and most forms of communication. No way to dial out of the phone tree and actually talk to anyone. Last month I was willing to say at least it cant get worse. Apparently it can.

Pros

The dashboard is useful and the online appointments are great. The assistance of my customer rep is great. She is so helpful with individualized postings to Facebook and on our website. She replies right away with answers for questions or concerns. She really is involved in our business.

Cons

It could be less expensive but compared to a rebuild of a website it is a good value. I have been involved with other website rebuilds and they have taken up to 2 years and cost well over the PatientPop charge. PatientPop teams do what they say. They keep you on task and move the process along in days not years.

Pros

This program is so user friendly. I was able to start billing my paper claims on the first day and most of my electronic claims within 48 hours. Everyone at Kareo is very helpful and knowledgeable. They check in every so often to make sure you're not having any issues and to see if we (the customer) have any suggestions for future changes to the program. I appreciate that Kareo is on top of changes with coding and insurances and they make sure there is a seamless transition when the changes actually take place. I can't say enough about my experience with Kareo over the past 4+ years. Two thumbs up!

Cons

I have spent the last 4+ years thinking of what I don't like about this program, and I have nothing!

Pros

The dashboard was easy to use and helped us organize all of the factors that they were working on.

Cons

I was misled for what I can do to my website as far as customization. I addressed my concerns and when I was supposed to have a conference call scheduled and was told we would follow up with them next week about our contract, the following day they took 4 months of payments out of our account in advance at one time. I did not authorize this and they did not address my concerns properly. They knew that I was unhappy with my current service and therefore saw to it that they would get money from me. There were multiple issues concerning my account that I expressed to them and we never received adequate solutions to the problems.

I am in a very orthopedic upper extremity practice with typically 70-85 patients a day being seen by both my associate and myself. Initially through our search for an EHR package, which never seemed to have an idealized record and business component coupled, we came across Kareo for our billing software needs and Practice Fusion for our records need. We were struck by their similar ease of use, integration, and nimble characteristics allowing for customization, constant internet access regardless of location, and how they were always up to date with changes in CMS whether it was for billing, meaningful use, or HIPPA compliance. Furthermore, we like their innovative, atypical way of charging physicians without a long-term agreement on a month-to-month basis. Other competing software systems appear inclined to "lock" in their customers with large capital outlay, software update costs, and built in obsolescence. Kareo, being a monthly subscription, without strings attached, earns your practices commitment on a daily basis, providing first rate software that is easy to navigate, effective in electronic billing, and changing nightly to stay current without annual increase in fees. Our team was up and running in less than a week and new hires learn the system due to its ease of use. Customer support has been helpful, and they have listened and altered features based upon physician and staff requests. As a final note, my overall reimbursements have improved due to the reliable electronic submissions.

I am one of the owners of Davenport Medical Clinic, in Davenport Oklahoma. We re-opened this clinic after it had been closed almost four years, and we have been open since June of 2011. We made the switch to Kareo billing services in July of 2012. I have heard industry stories of problems and delays when changing from one billing company to another, so we had a few concerns going into the process. Many billing companies can handle the normal day-to-day workflow, but we brought a significant amount of baggage to the process. Our previous biller had significant gaps in posting received checks in the billing system, so our patient Accounts Receivable was in bad shape. There were significant problems with claims that had not been corrected and re-billed. There had been a lack of feedback on problem issues…. and without realizing the problem, we had been committing errors over and over again. From the start, the Kareo team that was working with us went into a full court press to get our account cleaned up. Communication immediately improved, and we initially had a weekly meeting to review the positive things that had been corrected and the areas to continue working on. Our billing collections increased the first month we started with the Kareo team, and have continued to grow from that point. It’s not only the higher percentage on initial claims, the rebilling of past problems, but the feedback process identified several things that we were not billing for and are average/$ per patient has increased.

Easy to use and fairly simple to understand. Plenty of support and library of video and print help at the touch of a button

Not really anything it was a great experience so far. Posting is difficult to understand but the help is there to clear it up

Keep track of patient's online schedule and improve our SEO ranking

Pros

Fast implementation, Easy of use, and Effective. Our web site was up and running 2 weeks ahead of schedule.

Cons

Sometimes it has glitches that took a while to fix (7 days or longer) that has minor negative impacts on our patients user's experience with our website. Financial impact is not quantifiable due to glitches. The templates layout are somewhat rigid in term of customization, its pretty as is with their designs.

I like the ease of posting payments, it is very easy to see what did not post correctly so that it can be fixed right away when a check does not balance.

Cons

I do not like when you have to correct anything that was posted. It will make you reverse every payment that was posted after the payment that needs to be corrected.

There's not much that I like.

Cons

They say that they offer templates and SOAP notes for therapists; however, once you sign the contract, you will discover that they don't. They only offer templates for doctors and psychologists, so if you are a therapist, you will have to create your own templates, which is incredibly time-consuming and requires two hours of online workshops just to figure out their online system. Also, they require you to take about ten different 60-120 minute workshops just to learn their online billing system. I watched a few of them and was still unable to figure out their system. Also, they do not work with Mac computers, so if you have one, I suggest running away from them. They required me to purchase an app for $90.00; then they were still unable to help me open the system on my Mac and asked me to contact Apple to figure out their system on my computer. Also, they have two websites that somehow link together, which i was never able to figure out because I have a Mac, and they are still stuck in a PC world and don't have the technology to work with Macs, apparently. Very nice people, thought, but just a huge waste of my time.

A client of ours utilized this software for their billing and when we came in to do an audit and to work out the accounts receivables from the software it was difficult to extract the data that we needed. The customer services folks were not very helpful.

Pros

The software is used in a lot of different health care practices and some of the end users seemed to like it but they didn't have other programs to compare it to due to lack of experience.

Cons

This software was difficult to navigate compared to other similar software programs. Trying to get standard reports was a challenge. I found the process of resubmitting claims or trying to track the history of the claim to be cumbersome.
