It was initially good but over the past couple of years has been terrible. As a mental health provider there have been no features added that helped us at all. The template system is worthless.

Pros

Initially, the Kareo team seemed to understand the needs of a mental health practice from a business and functional standpoint.

Cons

The customer service has to be the worst in the industry. Their method of deactivating a provider is absurdly laborious and lengthy. I've spent as long as 2 hours on the phone with them just to deactivate a provider.

### "Kareo - The most user friendly billing software I have encountered"

When I initially saw the layout of Kareo I love it. All of the tabs are clearly labeled and I was able to navigate the software without any training. However once we started posting and applying payments, it began to get tricky. Since we were new to the software Kareo supplied someone to come out and train our employees and his personal line so we were able to call him whenever we have questions. That was a great help. We also enjoyed their training videos supplied on Kareo university.

Pros

It is a clean looking software and is very quick. It is very quick and easy to input payments and make notes on the payments. It is also easy to look at the AR to see what was denied, pending, etc. Most of the denials also have codes that help us figure out why it has not been paid.

Cons

Some parts of the program are confusing and not intuitive. Applying payments seems like it is a more extensive process than it needs to be. Calling for customer service is also a pain because I am often on hold for a long time, at least 30 minutes, and the people I am calling often do not seem knowledgeable.

We needed a software that was quicker and easier to navigate. Our new employees had such a hard time learning our old software so we needed something more innovative.

EMR and learning modules. Diet these modules will help guide you to any concerns or review that you may need to manage. This system is very user-friendly and the cost is great.

It took me a while to get used to the scheduling of new patients, but found several ways to do this and now I’m a pro

### "Stay away!"

I've managed several successful start ups. This is the worse company I've ever been associated with. A complete waste of time and money.

Pros

The sales rep was very nice but sold me on a company that was terrible

Cons

Everything else. It's a scam. They trap you into a 12 month contract - which would sound reasonable given the amount of work necessary to increase online visibility. After you realize that enough time has passed and the can't perform, when you try to terminate the contract, no one will help you. I've been trying to terminate for three months! This is not surprising because it has been virtually impossible to have anyone respond in a timely fashion to anything we requested. And when they did, it was incompetent. And this one-way communication starts all over again. They have wasted tens of thousands of our dollars and worse we have to start all over again from scratch as nothing they did was worth anything - website is garbage and outdated; social media is ridiculous, Google presence (which is supposed to be their strength) had no impact whatsoever after an entire year. Now they are trying to trap me into paying for another year. As a company, they are incompetent and morally bankrupt.

Pros

I had never done billing before. Our PT clinic wanted to keep the billing in house so we tried Kareo. Of course I didn't have anything to compare too, but Kareo was easy to understand and the Kaero support was the best.

Cons

The price per therapist went up - with our reimbursement from insurance companies going down, we need to lower our cost

The support team is usually very helpful. We appreciate the ease of use of the clinical and billing (besides the issues with the medication portal). The only issue we have now Kareo and our other EMR system was having issues working together and getting a issue we were having resolved (its been 2 months). I had to get involved and now it seems as though both parties are working together to resolve our issue we is much appreciated.

Pros

Scheduling, Billing and ease of use with the EMR system (except for one issue).

Cons

Med Portal. Kareo uses a 3rd party at that controls how providers are allowed to send medications. We are a Pain Management Practice and at times need to be able to send pain medications outside the parameters that the Kareo 3rd party sets (1 pain med per 24 hours) this caused us set backs during clinic and we had to change to a different EMR system. We did not want to change but were forced to due to the parameters set by this 3rd party controlling the Medication Portal.

Our billing company uses Kareo Billing and they suggested it. We would have only stayed with Kareo if it didn't have the restrictions with prescribing pain medication as we were impressed with the ease of use and having all in one system (Scheduling, EMR and Billing) was very helpful.

### "Don't get suckered in"

Some of this is on me. I am the one who didn't pay attention and let them screw us over so badly. I left this unattended and it sat there doing nothing but costing us money. I shouldn't have to demand that they do the SEO and Reputation management... I shouldn't have to demand they do what they are contracted to do. In 15 years of owning and running a clinic, this may be one of the worst decisions I've ever made. Not just for the money I paid for almost nothing but also the missed opportunity to connect with new patients had our website and SEO been better.

Pros

Patient Pop offered a simple on boarding process and made big promises about reputation management and monitoring of our reviews. They did produce some results out of the gate and got a website up and running quickly.

Cons

PatientPop is such a scam. They bring you in, build a marginal site, do some basic reputation management for a period of time and horrible SEO. They babysit your account for six months and then there basically done. They've done NO reputation management in more than a year. Our SEO doesn't include ANYTHING that would actually drive people to our clinic. All of this while charging $700+ per month... It's absolute garbage and you have one chance per year to cancel during a 30 day window. That's right, you can't take your account off of auto renew.

Overall, it’s been great! I work off daily in my practice. It’s helpful to my staff and providers.

Pros

What I love most about is that it’s always quick and easy to look up a patient. See the new referrals in your que and work them. Also, having all do mental for the provider such as imaging notes and referrals.

Cons

Not everyone is online all the time. When you try to send a message to different coordinators. Either they don’t receive the message or don’t respond.

I enjoy Kareo, I currently have 6 practices using it. I always refer clients looking for new software to Kareo. The success coach \[SENSITIVE CONTENT\] has been helpful and makes me feel very confident in my knowledge of Kareo and had I can pass that on to my staff.

Pros

I love the eligibility tool. I also enjoy the help doc, I can usually look up what I need which is much faster than calling customer service.

Cons

Requesting new features takes a long time to get done. Also the time difference. If I have an issue at 8 and it is only 7 in California my wait time for customer service is much longer.

### "Stay Away"

Once upon a time "Epic" was invited by "kareo" for a dinner. Epic liked making friends and accepted the dinner graciously. Kareo treated Epic very well on dinner, they had wine followed by steak. Epic thanked Kareo for dinner and they became friends. After few days, Epic realized that he lost his wallet. He looked everywhere but in vain. After many months Epic and Kareo had a discussion, and Epic realized he forgot his wallet at Kareo's house on dinner. Epic asked his wallet back and guess what Kareo said, "I cant, its not my fault, you left it at my house, I cant return it" Unfortunate Epic is Dr. Goyal at Inspire Behavioral Health, Vienna, VA. One of the providers at the practice was charged incorrectly due to being listed under incorrect provider Type and kareo states that its not their fault, they cant credit money back. Story hasnt even begin yet... Don't even get me started on other aspects of customer service.

The sales lady who was mesmerizing and made it look like a dream EHR

### "Kareo has great reporting"

Kareo has been an improvement from our previous software. I appreciate that the cost each month has been predictable and fair.

Pros

The reporting capabilities and customization of reporting is the most valuable feature to us. We are able to give our clients a more comprehensive view of the financial health of their practice. Contract management reports and analysis reports help us to give suggestions and analyze the data coming in so that providers and practice managers can see how claims are processing and where the money is coming from and going to.

Cons

The ERA enrollment process has been a nightmare. I feel like this process was not adequately described to us, and it has been dramatically more time consuming and labor-intensive than we thought it would be. Customer support has been inconsistent. In some circumstances, the representatives have been very helpful, but in others, they have been disconnected and unable to adequately resolve issues.

### "Terrible Software. Your practice will lose money"

Very disappointed. I don’t know what issues they are having but too frequent problems accessing a software that I may a lot of money for. If you can’t access it then you are not getting what you pay for and it cost you money in the long run

Pros

I like that it’s link to the billing software which makes it easier for billing

Cons

Software frequently crashes, sometimes all day which means you have no access to patient information, cannot check in patients or collect co-pays. Basically you end up rescheduling patients which results in hours of lost work time and staff unable to work. We’ve lost thousands of dollars in revenue because of this faulty, nonfunctional and unreliable Kareo software. And don’t bother trying to call customer support because you will not be able to reach anyone live. You’ll hear the same prerecorded message saying “we are aware of the problem.” There are better and less expensive softwares out there for your practice. Do your due diligence and think twice about investing in Kareo

It's functional but works more as a copy and paste function that back and forth communication.

Pros

The software is very user friendly and is easy to learn. It was fast to implement and to begin the ERA/EFT enrollment process.

Cons

Once something is entered into Kareo it is almost impossible to remove it. For example, providers that no longer work for the practice or adding a CPT code to an already submitted claim.

I signed up for Kareo with all the promises that they had given us about the functionality and up until the start date everything seemed fine. After starting it I realized that half the options were not available and my staff could not work with Kareo. Every single time we called them they referred as to their online videos. Their staff is unable to answer any questions. I ended up switching back to my old software after 1 day of a clinical mess in my office, and they refused to cancel my subscription. So after I used Kareo only for 1 day and I signed a 1 year contract which they refused to cancel, I ended paying for a year, when i tried to tell them to cancel the automatic yearly renewal, their staff said that I have to call them on 29 April to cancel for 1 May otherwise it will be renewed for another year. I decided to just pay for the entire year and get them off my back. Very sad. I usually am not that pained by a Software enough to go and write reviews but I would definitely Suggest everybody keep away from this product. Their service is the worst ever.

Pros

The web based scheduling and the fact that I could switch over after a few days, but that was a farce since there was no real training.

Cons

No automatic fax , very poor support, every question is answered with please look at the video. and please read below, they are trying to make every penny they can

Pros

As the biller for our office, I enjoy being able to send claims directly through the software as well as receive ERA's extremely fast. Our office utilizes the messaging feature on a daily basis to forward information between staff. We love being able to text and email clients directly from the software as well.

Cons

Features that could be improved are first and foremost with the patient portal. The portal does not allow scheduling/viewing appointments directly through it. Also it only allows one client to register per email, which causes an inconvenience for our clients who have multiple family members that attend. When integrating our information from the old system to Kareo, alot of the information did not go to the correct areas of the software and we have had to manually fix alot of it.

### "Does not do its job"

Horrible. This software has cost me tens of thousands of dollars over the past two years.

Pros

Relatively inexpensive with a straightforward interface.

Cons

It does not capture billing charges. We have entered in office visits and it fails to capture them for billing. I didn't realize this until I noticed that someone patients had never been billed despite me seeing them in the office several times. It has been over a week since I filed a complaint and the most they will say is that they are "looking into it".

There's a significant amount of updating required before it becomes efficient for your practice and patients. It appears they focused solely on iOS systems, catering to the MD's needs rather than addressing the practical usage for patients and staff.

Pros

Looks like Outlook or Google calendar. Seems simple probably because it is a simple EHR with no features.

Cons

\*\*\*NO APP OR WORKAROUND FOR ANDROID USERS \*\*\* Personalizing forms for logic questions is not allowed. It's not possible to include survey questions that enable automatic calculation for numeric values associated with the selection, as you would find in platforms like JotForms. Additionally, there is no app available for Android users. Furthermore, the patient app tends to get locked and is quite confusing for them to set up.

### "I will never recommend Kareo "

No problems being solved, no benefits. It makes our lives and our jobs harder/

Pros

Kareo doesn't work well for us. It constantly logs us out of the application. My boss cannot input her notes for her patients without Kareo logging her out multiple times. It is frustrating! We are not able to send medications to pharmacies or receive labs without attempting multiple times. We have tried to reach out for help at least four separate times, to no avail.

Cons

All of it! The fact that we constantly gets logged out. The fact that medications will often not be sent to the pharmacies even though we sent in a request. The fact that you can be using it to put a new patient in the system and it will constantly log you out. It is almost unusable.

### "Since the merger you failed the customer "

Cons

I own a small private practice with 2400 patients. I started out with kareo in 2020. For the most part the system was fine. Now since the merger to I am having a tremendous amount of difficulty getting through to people and a straight answer to open tickets. I ask direct questions on certain matters. I do not get an email back until days later if ever at all. When I do get an answer by email it's a boiler plate with acronyms in text. How do I know what your acronyms mean? The patient portal doesn't work, I have 2 providers unable to send narcotics, and the system is down at least twice a week. these are the tickets that are not resolved 02594906,04485694 02744350.0274902402758921 0259490
