Comments: When I Work is truly a great tool for scheduling. Use it for forecasting as well to determine where you can make the best use of your resources across one or more projects. This tool also helps you understand what your organization is capable of handling. It will definitely save you from scheduling headaches and the potential issues around delivering work when you are better able to have full visibility across all your teams and the projects they are working on. A great stand alone tool, as well as a great integrated tool.

Pros: When I Work is a simple and truly effective time scheduler for resourcing projects in your organization. You can track across one or more projects, as needed, and identify time availability for the work that needs to get done. This is often one of the most challenging aspects of keeping projects on track and very few project management tools can help you like When I Work can. Unlike the "capacity" view of other applications, When I Work gets down to the most granular details. It allows you to identify when and where a team member will be used, including time-off, breaks, lunches, meetings, etc. You can use these categories to identify how best to allocate their time. The scheduler allows you to see teams based on shift or positions (roles). You can track un-paid breaks and time off, as well as customize schedules and create templates for reuse. You can even create specific shifts for one time or recurring use and maintain notes on each entry. It also provides high level visibility of total individual team member capacity as well as what is scheduled and what has already been used. View your teams across one or more projects or job sites and distribute resources across them all as needed. It offers program-like management of projects and does not restrict you to individual projects, which can become cumbersome when re-allocating time of one team member across two or more projects. When I Work is a great tool for planning, or simply use it in addition to your project management application. Its scheduling features make it a powerful tool that lets you forecast as well, by easily making changes in schedules as needed. You will spend less time manually calculating your resources and where to place them, saving you time and money. Changes to any schedules are easy to see and the responses are easy to manage. When I Work also offers features like task management, which allows you to manage projects of less complexity in the same application. And if you are looking for integration, yes, you can use their library of APIs for that. But, you need to click on the developer link at the footer for more details. Their integration features are not prominently displayed on their website.

Cons: No cons I could personally find for the application and its use. Integration via APIs are present, but this is more for organizations who have techs who can implement them. I have seen organizations with limited development capabilities due to their areas of expertise, where integrations might pose a small challenge... but this should not necessarily pose as a true con for you.

Pros: It is EXTREMELY easy for the end-user to utilize this software. There are also some pretty good mobile applications that it offers which makes tracking your schedule very easy!

Cons: There are a lot of overly-helpful tips and suggestions that constantly spam the administrators' email accounts and scheduling interfaces. (Essentially the company does this to assist the administrators, but there is no way to stop it, which makes it very annoying after awhile). The mobile application can also be buggy at times, and the website schedule does not work properly on mobile phones that don't have a "desktop view", as the website does not have a mobile version designed for it. This forces you to use the mobile app on mobile devices unless your mobile phone can display it in a "desktop view". On a normal computer interface, this works just fine.

Overall: Scheduling is EXTREMELY easy! Long gone are the days of paper postings and random email messages. It is VERY nice being able to reference your entire schedule from the moment it is posted, going all the way back to your initial employment. Even those with little to no computer experience can use it fairly easily.

Pros: The ease of the program. It was very user-friendly. Scheduling used to take 2 hours, but it was cut down to 30 minutes with WhenIWork. I love that I could customize the shifts. I especially loved that employees had to acknowledge their shifts. There was no more miscommunication that an employee didn't see their schedule. It's also been a great tool to get staff on the same page. The ability to message everyone at once was awesome. Plus the program tells you which employees have viewed the messages. It also has the option for employees to clock in via the app and you can link it with payroll. Employees are able to submit requests for time-off or vacations. Everything you need is in one place. The customer support team is available immediately through their live chat. They have always been very helpful and friendly. Absolutely a wonderful program!

Cons: The only thing I would modify is to have the ability to block off certain dates for requests. That way an employee wouldn't be able to request off Black Friday for example.

You can create a Schedule Annotation in 'Week View' by clicking the 'Chat Bubble' icon next to the date. You will just need to fill in the details of the annotation and select the box for 'Don't Allow Time Off'.

Pros: I love that employees can indicate when they are available and when they are not available. I love that they can put in requests for time off which helps me not rely on myself for remembering. I love that there are additional features for rate of wage. I like the attendance and I can see if employees are showing up late or getting into overtime. There is a budget feature which I have not used but think would be very helpful in the future.

Cons: I wish that I could have the option of excluding some employees when sending a general email through WIW. I also wish that open shifts were always a different color especially when looking at the schedule by position. This would bring my attention to the open shift and alert me that someone is needed. I wish I could publish an employees schedule out for more than 1 week.

Overall: I think scheduling would not be managed as well without this software.

When sending custom email messages to your employee's you can select which employees you would like to send the email messages to, by clicking on the "To" field and selecting their names from the list.

There is not a way to automatically change the colors of the OpenShifts. Instead managers would have to manually edit the OpenShifts and change the colors on the Scheduler page.

Pros: My employees can use the app to get alerts and check their schedules. Employees can swap shifts with my approval. The time card is integrated into the schedule app. It is somewhat easy to use. We have used this software for about 2 years. When we first started with them there were not a lot of options out there. And it served its purpose. Our employees seem to like using it.

Cons: There are several cons. I think the price is too high for what you get. Trying to process the time cards is very cumbersome and not very easy to understand. We run 24 hours a day and this software is not well suited to a 24 hour clock. Overall I spend too much time trying to understand how to use the time clock - punch in/out- and it is really frustrating. Also- their customer support is really pretty horrible. There is not a way to call someone and you have to submit an email to support and it can take them a bit to get back to you. Issues with time cards are things you want an answer for right away and they do not offer a quick response. Also- you really have to use a desk top to process the time cards and it does not function so well with google chrome- I think safari works better- but I prefer to use chrome. There are glitches with it that are just frustrating.

Overall: Initially it was a good solution for employee scheduling. We added the time clock after about 8 months and it has served its purpose. It allowed us to not use a google doc to schedule employees. It is a a good scheduler but not as great of a time clock.

Pros: Looks slick, appears to offer a lot (which it does, at a cost, see below...) Customer support is very responsive - live chat, email, etc. I may not like their answers (see below) but I can't fault their timely attention, their patience, their attentiveness.

Cons: 1. Pricing Practices The page at wheniwork.com/pricing says nothing, just that schedulling is free for less than 75 employees (and anything over is a "contact us for enterprise" price, which is fine). Great, I think, I'll sign up, start working with it. Glad I didn't invest much time. I set up a few employees, downloaded the apps, started working out the wrinkles. And after a few hours of looking, and testing, and reading, it looks good, but... ...then I discover that basic features like scheduling more than 10 days ahead (!) are paid-for. So is time tracking. Etc. That's ok to charge, but not ok to deceive - and there's *no* simple way right now to see a comparison of features and costs before getting signed-up. And this is not a small bump. You can't bolt-on a little extra. To get a proper working app, the minimum number of users they offer 20 minimum and the time attendance module adds something like 50% on top. But really it is transparency and deceptive practices that have *really* turned me against this product in a *very* short period of time - and that is *very* sad. If they'd allowed me to choose up front to devote my time, great; but they didn't. I had to ask support what "long-term scheduling" meant (that being something not included in the free plan). That means more than 10 days... No other warning of that, that I could see. I feel deceived. 2. App Reliability Others have mentioned glitches. I started working with the iPhone app - it stopped working for some tasks. I contacted support who said it was restricted to my account only, and they would get their developers to look at it. So I stopped using the iPhone app. My wife's Android phone wouldn't recognise her (valid) phone number when accepting a request to log in. So 2 strikes there. Your mileage may vary. 3. Limited Integrations A few years ago, WIW posted on their Facebook page that they used Xero. Some commented then - why no integration? No answer. Years later, still no integration with Xero. No Zapier integration, either. The cynic might think that WIW gets kick-backs / referral fees / bonusnes from Quick Books, Gusto, etc. which is why they're the (very limited) integration "partners". There's an API of course, if I had time. Again, I'd forgive that for a free / cheap deal. But it isn't a free / cheap deal *for a working scheduling solution* - a schedule that doesn't reach into next week is *not* a working schedule. So, yes, I'm annoyed. I feel like I've wasted my time. I feel like I've been deceived. I feel like I signed-up and invested time based upon what is almost a lie. And that sucks - not least because it was so needless. The product isn't awful, the pricing (whilst I may not like it) isn't the worst out there. The limitations are limitations, but every product has some. And that, really, is sad. The silver lining is that the free plan only launched yesterday. So perhaps they'll think again about the offering. And my experience is unlikely to be the same as that people had before me. But it is what it is today - so much so that I've signed-up for GetApp just to leave this review.

We hope that many small businesses, including those like you in the apparel and fashion industry, will find value in being able to schedule their employees 10 days in advance and notify them electronically rather than printing out Excel spreadsheets that require their employees to come into a physical location to see their schedule or call a coworker who is currently working to find out when their next shifts will be. As with any new launch, we will continue to try to improve and appreciate your honest and thoughtful feedback about the pricing and how it was displayed to you. Pros: It's visual and simple. It schedules down to 15 minute increments. It makes a very dynamic schedule like ours, easy to manage and understand.

Cons: It would be good if a shift automatically started from the time you first click on the schedule. It would be good if they understood how tricking and overcharging their customers leads to a complete lack of loyalty. Buyer beware! Just keep on checking your subscription amounts each month. As if you don't have other things to be occupied with.

Overall: I loved this product until a setting (that I didn't touch) mysteriously changed itself, causing my subscription to increase significantly. I didn't notice it for 14 months. When I addressed this with When I Work, I was told that their policy is to not provide credits or refunds - in this case even when it seems it was them that had overcharged. I have gone from a very satisfied long-term customer, to one who feels like When I Work is not there for its clients at all. And I am suspicious that others would have their background settings changed as well (I didn't even know what or where it was).

We understand your frustration in this situation where you enabled a feature which was underutilized.

When I Work does not change billing settings without the explicit written consent by the Account Holder.

We also email out an invoice to Account Holders for every transaction made to ensure clear transparency.

When I Work's flexible and transparent billing allows businesses to only purchase what they need. For some of our customizations, such as international text support, there is a recurring monthly add-on fee.

All pricing customizations are clearly listed on the Account & Billing Page and prior to consenting to the recurring payment- we require the Account Holder's consent to our Terms of Service, Refund Policy, and Privacy Policy.

Pros: We love the fact that our employees can access it on their phones. Our employees are college students, so being able to use it on a mobile device is crucial. Our old program didn't have that functionality. I also like that I can go in and move someone's shift to "open" for any other employee to accept. Since our employees are college students and anything required for a course is excused from work, so it is really nice to be able to go in and move a shift for an employee that has an exam or something like that. I also like that employees have to acknowledge their shifts.

Cons: Two things - I can't go in and schedule just one person. We are on a college campus that operate on quarters. I would like to be able to look at an individual schedule for a certain time period and edit it as necessary, but that functionality doesn't exist. My employees are frustrated with the notifications. It is great that someone can do a "drop shift request" that goes out to all of the other employees, but it is frustrating to get 10 emails about that. We (mainly our hourly employees) wish there was an option to get the notifications in a digest once a day instead an email for every single notification.

Overall: It saves us a lot of time. We have 130 college students that work for us and they are always swapping shifts or need a shift off for an exam or something like that. They can do all of that through When I Work and I don't have to be the middle man in any of that anymore. It also helps hold them accountable. It makes them acknowledge their shifts and tells them that they are still responsible for the shift until someone accepts it (and notifies if/when it is accepted). It is nice that they get that reminder every time they need to drop a shift and I don't have to find them and remind them all of the time.

Pros: This product is super straight forward and very user-friendly. It is very easy to use the scheduler as well as keep up with employee hours on the Time Tracker. You can easily edit attendance if your employee forgets to clock out and sending messages to the whole group is super easy with the group message feature.

The online based platform is great and the app is the perfect way to post the schedule without having to send out emails of spreadsheets etc. Notifications come straight to your phone regarding scheduling changes, shift swap requests, time off requests, and even when your employees forgot to clock in. Notification alerts are easy to change in settings. There's even a setting to get a reminder 2 hours prior to your shift so in case your schedule is constantly changing, its so easy to keep up with it!

Cons: The satellite/gps location isn't as good as it can be with regards to clocking in. Sometimes it will not let you clock in due to being "too far away" when you are standing right at your work. The app sometimes freezes up when clocking in/out or takes a while to process a clock in. So then when you press "clock in" again, it'll actually clock you out.

Pros: The ease of navigating the app. Being able to put the scheduling software directly on the phone of the employees is outstanding.

We also really enjoy utilizing the messenger tool. Its a great way to speak to everyone in an efficient manner.

Cons: We dont like the add drop portion of shift scheduling and changes. As a management staff we would like to use this but it has been difficult to create a process do to implement this do to it not requiring a manager approval.

I will certainly pass along your feedback about the Swap and Drop feature to our team so we can look into improvements that would make the feature more user-friendly.

In the meantime, we do have a way to turn on 'Manager Approval' for Swap and Drop requests. This means that when the Swap and Drop request is made, the request will first be sent to a Manager to approve before the request is sent to other users to pick up.

The Account Holder or a Manager can turn on the Manager Approval setting for Swaps and Drops from their 'App Settings' section via the web. They will then need to navigate to the 'Scheduling' section of the App Settings to enable Manager Approval.

Pros: Love the ease of the software, super user-friendly. Also, like that it is easy for all generations to use. Love that all requests can be made online, helping to eliminate paper.

Cons: Would like to see more options for tracking employee hours as far as the reporting goes. Also, other features like tracking employees who work different positions, and being able to report on those hours. Also would like for it to track employee hours who no longer work with us anymore. Don't like that once the employee is removed from When I Work, all of their history is removed as well.

Overall: Being able to go paperless was the biggest benefit. Also, the ease of the software makes it easy for Supervisors to make schedules and track hours.

Attractive inteface, serious limitations

Comments: So much promise, and a very attractive user interface. This might be fine for very small businesses, but has major limitations for tracking actual labour costs vs projected labour costs which is a key aspect of time management. Actual labour costs show up in the dashboard as a pretty line, but if you want to actually know the actual labour cost by day or % for actual sales, forget it. You'll have to export into excel and go back to that old game. If you run a restaurant or bar this feature alone should be a deal killer. Also if you run a company with multiple departments and want deptartment managers to be responsible for their own labour budgets but not view wages company wide...forget it. Supervisors can view wages for their department but not labour budgets! Managers can view wages and labour budgets, but company wide! So this system can work for a small business where one manager is in charge of all schedules but not for larger companies with department managers that shouldn't have access to company wide info. When will they come out with these and other features and fixes? Who knows...all they can say is...maybe, perhaps at some point, we're trying. How about a development timeline that customers can see so that they can tell whether a needed feature is going to be 2 weeks or 2 years, or never? How about a response from the development team about when a new feature might come out? No, just keep hoping. Well sorry, companies can ride on hope. Shiftplanning seems to be in the same price point, with larger feature set.

Pros: Attractive user interface. Easy to set up and add new shifts and move shifts around. Responsive support.

Cons: No ability to track actual sales vs budgeted without exporting to a spreadsheet. LImited access for supervisors to labour budget.

Thanks so much for the feedback. This is very helpful. You're right about our approach to features. We hold back and focus on the features we can make the very best. We'd rather do 10 things great, than 100 things mediocre.

We have a "mode" that you can turn on that will allow you to see labor budget by day compared adjusted projected sales. We also show you labor cost by $ and %. Pros: It's a simple and easy solution for scheduling. The managers Like being able to view on a computer , staff use the app to see their schedules.

Cons: The is no where for managers to make notes on employees regarding that schedules. - example while an employee did not show up to work - if you use the shift notes every is notified . Haven't yet been able to see if you can create a small group chat - example only managers.

When I Work does offer the internal "Shift Notes" on an employee's particular shift. If you add these notes, only the employee will see and be alerted with these notes/changes. Furthermore, you may be able to use "WorkChat" to communicate with staff and/or other managers when staff do no-show. Pros: Create's a standard line of communication between management and field personnel. Also helps the field personal to be prepared for their next task.

Cons: I work on the road a lot. The program is much easier to schedule personal from the desktop than it is from using the app on a device. Although it does not affect me all the time, it would be nice to see an interface on the device that was more similar to the one on the desk top. At least just for scheduling.

Overall: I work on small and large project. When I work helps to project how long man power will be tied up on large project, which helps forecasting, cost of labor, project schedule, when we can schedule the next project. On small projects is makes a clear line of communication between the project manager and the field personal, so that everyone is on the same page when it comes to scheduling.

Pros: When I Work seems to be the culmination of every scheduling manager's "But I wish I could......" statements. It is intuitive, flexible, and easy both during set up and for the end users. It also helps that the customer support and company culture are inviting and informative.

Cons: What I like the least is the fact that my company is currently stuck using a different Time Clock system so we don't use that specific functionality that When I Work offers.

Overall: Increased communication with employees, beneficial blog posts to pass along to our management team, and a system where we have experienced no down time

Pros: Both teenage employees and retirees are able to use the program with limited difficulties. It also allows flexibility in programs and cost which is ideal for a season company like ours. We have over 100 employees in-season, and less than 10 in the off-season and we make adjustments all year long.

Cons: The availability feature is not as user friendly as it could be, and has some limitations regarding users and changing availability after schedules have been posted.

Overall: Flexibility in scheduling and the ability to access different schedules for multiple locations all in one screen.

Pros: The new update that allows me to open up my app and see todays shifts right away. Makes looking at my daily schedule so easy.

I also like the ability to create holiday schedules and save them as templates.

Cons: Maybe Im just not sure how to do it but I would like to be able to click on a shift and change the persons name who the shift is assigned to. Currently it only allows me to change the location, hours, job title (I think).

Overall: When we first opened our business 2 years ago we were doing the schedule on a spreadsheet. It took hours. Now I can schedule 40 people in 5 locations in about an hour! Additionally it allows us to be more professional and accurate. I also love the new app update that when I open my app it brings me right to todays schedule as opposed to before when it brought me automatically to the start of my week.

Currently you would have to drag a shift to an employee's cell if you wanted to change who was working that shift. There is not a way within the shift details to do that.

Pros: Easy to set up and use. No upfront costs. Good support, although nothing ever goes wrong. Easy for employees to use. It's also great there is a mobile app, as our employees work at our customers' sites, and not from an office.

Cons: On repeat shifts, it would be useful o not have to set an end date. My shifts run on for years, and the maximum time you can set one for is 1 year. So every year I have to rebuild the shifts, which is time-consuming.

Overall: control of employees working at multiple customer sites

Pros: Easy of scheduling. I really like the intuitiveness of the product. The support is very responsive as well.

Cons: Lack of integration with google calendar. This would be an even better way to streamline use. Sometimes, there are bugs too.

Pros: Continual improvement to meet the needs of clients. The changes that have occurred over the last 3 years have improved our workflow and continually allows us to do more with scheduling and payroll. Reports that export to Excel/google sheets, budgeting, etc. WIW has allowed our staff the continuity it needs to be successful.

Overall: Made a very difficult task of scheduling multi locations and multiple staff members much simpler. What used to take several days of labor can now be done in a few hours, and we are 4 times as large as we were when we started. WIW has helped with that growth because of the efficiency in scheduling and budgeting our staff hours to fit our need.

Pros: It simplifies communication with staff and freelancers, pushing updates to them en masse. It is an attractive UI and the app functions pretty well. Support is responsive and communicative.

Cons: The permission levels need a lot of work. They are limited and global so you really don't have much control over who sees what. You can't copy a shift from one week to the next, this seems kind of basic, especially if an event spans multiple weeks it's inconvenient to have to build the shift twice. It would also be nice to have the ability for someone to view a schedule at a location other than the one they are scheduled at...for example, someone in one office wants to see if someone in another office is scheduled to be available or not without showing up in that locations schedule. Currently this is not possible.

Overall: Scheduling of our complexity is more or less possible with this software. It would be a huge headache otherwise.

Pros: The dashboard is intuitive. I was able to onboard my company and train my employees the same day we signed up and under the free plan. There were a few specific functions I was looking to implement and after a very quick and helpful response from their support staff I decided to upgrade to the basic plan which is meeting our needs perfectly. The support staff followed up our phone call with an email with even more training videos and FAQs that were very helpful.

Cons: The one thing I hope to see changed is to allow employees different clock in options. Since some of our employees have different work situations, like working from home, I'd like to be able to specify each employee settings rather than having to work off a global setting.

Overall: Our team is a bit unusual in that we all work various hours and often from different locations as we travel. I like that it allows us to easily keep track of everyones schedules and hours. We also often bring in temp employees for seasonal work and this system makes it really easy to add people and allow them to clock in and out. We also really appreciate the integration with our pay roll company. One less thing for our office manager to do is always a win!

Pros: everything, low cost, customer service is OUTSTANDING, user friendly

Cons: my only issue is that we still use a paper print out we use in order to look at the days ahead and I have not figured out a way to print out from When I Work that is very usable or readable.

Overall: We have approx 20 employees that we are juggling along with about 10 different positions and 10 different shift times. It doesn't sound like much, but the schedule used to take hours and hours. And juggling all the requests off and swapping shifts, there were always mistakes that were impossible to fix that effected the entire team. We switched our team over starting April 2016 and have been BLOWN AWAY with the time and aggravation this program saves me. It has helped legitimize us to our team and have made their lives so much easier as well. It took about 5 seconds for them to get used to the new way of doing things and have heard nothing but great things from the team. It has put all the responsibility on them to figure out their schedule and time off so I don't have to worry about it anymore! Probably the best thing has been the online chat customer service. They are prompt, easy going and knowledgable. I have given feedback of improvements that would work specifically for us, some of which they have already implemented in a very short time. I have zero...ZERO bad things to say about this program. This has been a complete lifesaver for me and my company.

Pros: I love the chat feature to ask someone directly whenever you have a question about the product. The staff communication features are awesome.

Cons: I don't really know how to suggest features. I also don't like that I have to pay to use the test messaging feature.

Pros: It's functionality. The ability for our entire staff to be on the same page, when it comes to schedules! It really puts the power back in the employees hands, and keeps them accountable for scheduling--making for a better work/life balance!

Cons: I would like to see another level of administrator created. I would love a "read only" version, which allows others in the organization to see the people working without having an account. This would be super amazing in my world.

Pros: Very easy to use. Drag and Drop scheduling makes adjusting on the fly very quick. Requests for time off and shift changes are all easy to see. And i Love the Dashboard for quick weekly overviews. We also love the "in-app messaging"!

Cons: When we first started using the App, there were a few little things that kinda bugged me, but I've since communicated with the When I Work Team and they've made a lot of changes to the program that make those issues disappear. Customer Support is great.

Pros: Very intuitive. If you can use a computer, you can use this software. I love the fact that my staff can use the work chat to get their shifts covered. No call no shows and last minute call outs have cut down dramatically since we implemented this.

Cons: I honestly don't have anything bad to report. I wish I could organize how my staff shows up in the scheduler so I could group like positions together in how they see the schedule, but that's minor.

Overall: Time it takes to schedule has cut down from several hours a week to barely an hour a week. Less last second call outs because of work chat. And my staff loves having their schedules on their phones!

Overall our team has loved using When I Work and recently transferred over from another offering. It's easy to use, Love the use of roles and repeat schedules and time frames for roles. Good stuff

Cons: They push hard for upgrades and won't let you opt-out of such messaging. They also have do not have as robust of a schedule export/print and email feature as it lacks customization. They could also provide alternative sort options within the scheduler. A basic feature they still lack.

Overall: We use WiW for the weekly and daily scheduling of our distributed 24/7 support team. It allows us the ability to create repetitive schedules while leaving the flexibility for employees to input time off requests and set days they cannot work.

Comments: I selected this app a few years ago due to it offering a 30 day free trial and being free to employees should I continue service (also no contracts with choice of low monthly or annual payments). I was impressed with the user-friendly interface and quick customer service responses that were understandable and thorough. I went from an impossible paper schedule that usually became outdated once printed/posted to a system that significantly reduced confusion and really enhanced trackable accountability.

Pros: User-friendly, time saver, reduce confusion, increased accountable, free trial, no commitments, excellent customer service

Cons: In the app (used mostly by staff), shift notes go unnoticed/unread due to no indication a shift has a note. The computer version shows a bubble indicating a note, but the staff rarely or never accesses computer version. .

Recommendations to other buyers: Try the 30 free trial and work with staff to address any issues...usually a quick easy fix.

An absolute must for any business!

Pros: When I work is the easiest program I've ever used for scheduling. There are so many functions to this program that you can't go wrong. You can send texts, emails, and other various alerts to tell people what their shifts are and any updates or comments that go with it.

Cons: There is nothing I don't like about this program. It is so amazing! But if I have to be real picky about it I would say that it could add a copy and paste functionality to it for copying work schedules.

Pros: So easy to use and learn. I have used support several times and each time I get clear instructions on how to do what I need to do. Very helpful, step by step directions.

Cons: The only thing I don't like is that I cannot acknowledge shifts for my workers. Sometimes they have difficulty doing it from their phones and I am talking to them in person so I would like to acknowledge their shifts. I get that there is a point to making them do it but sometimes it is easier to do it on my computer. Having said that it is a very small issue.

Overall: Lots of time saved and better communication with staff.

Pros: Self sufficient approach to letting my staff swap shifts and drop them. I really like being able to put our events on the annotation.

Cons: When you're listed as unavailable, you can't see the dropped shifts and few on my staff would like to just pick shifts up and not be scheduled on a regular basis.

Overall: Efficient way to schedule and keep track of how many were staffed for different events.

I searched and searched all over the Web. Some programs had some of the features I liked but were cumbersome to use in other areas. For my home healthcare business, I needed something that would allow me to quickly and easily keep track of the schedules of our independent contractors who we connect with our clients. When I Work was the solution I was looking for. It's easy drag and drop graphic interface was simple and made sense to me, a novice, who had never used this type of software before. When I began to have problems with it (being a newbie, and also discovering a couple of bugs) the tech support team was extremely responsive and got right on my issues immediately. They always resolved them to my satisfaction and gave me straight forward, honest answers. If the program couldn't do something, they told me. They didn't try to sugar coat it with sales talk and hype. It is an honest to goodness, down to earth scheduling program that you will like using for any type of business that works with scheduling of staff. I am not the type who writes a lot of reviews on things, but when I find something I like to work with and that saves me time and money, I like to share that with my friends and associates. This is just such a product. I think once you try it you'll take the bait and buy it :-)

Pros: EASY to set up schedules and templates to help avoid redundancy Color coding capability is nice, helps separate one client from another Easy to use on my smart phone with available Android App Drag and Drop capability is slick

Cons: Refers to workers as "employees" and my people are "independent contractors" (can't change this) When I copy one week's schedule to the next, the program often copies other schedules I didn't ask it to copy, so I use Templates to do future schedules

This has made scheduling and requests so easy! Saves me so much time!

Pros: The ease of use and specific scheduling features. The drag and drop features and the copying of shifts or whole weeks is wonderful. I love that you can see any requests or availability right on the day you are scheduling.

Cons: I wish you could cleanly print a whole month. It doesn't print as nicely as a week or day. We have just enough staff for there to be a day where some people won't make it onto the month schedule when printed. It's really the only flaw! I have to export and create a word doc to see a full month and I don't want to split my team in half :/

Pros: User-friendliness and clock-in/clock-out feature that is tied to the IP address of the location employees should be reporting to.

Cons: No PTO accrual. Integration w/ Quickbooks Online is not great with the payroll module. It does not split the hours into Regular, OT, and PTO categories. Makes the process still much of a manual lift when paying employees.

Overall: Better controls over time card monitoring, audit trail, and better PTO system then we were previously using.

Pros: I love being able to instantly share schedules and schedule changes with employees on the corresponding app. I also really like the time clock tool that allows employees to clock in and out on a work station or their phone app. Very convenient. Text help was quick to reply during regular business hours. Reasonably priced for my business type.

Cons: I am a first time user of this type of program. I did not find the set up to be very intuitive. I also felt a bit overwhelmed by the barrage of email and text tip messages I received in the first few days. I think it would be much more effective to ask the client if they would like a one on one Q&A/setup tour to address the personal needs of the business rather than peppering tips hoping something applies to the situation/business. Also, my business operates only at night and on the weekends so that is when my employees and I have questions. Text support is not always available when I need them which can be very frustrating.

Overall: Easy schedule sharing and time tracking.

Pros: This app takes all the hassle of building schedules and covering shifts completely our of the operation. It's versatile working across iphones and droids, has a web interface, and can even send direct text messages to your employees. I'm a big fan of the approval process for managers regarding time off and shift swap. I also like the employee export features that show time off used and (a different kind of export) a quick contact sheet when needed.

Cons: The option to print a schedule always prints in alphabetical employee order. I'd like an option to print in employee POSITION order.

Overall: This app has been great to us. It saved me hours of work i was previously doing in Excel. Also it expedites coverage by alerting the staff of open shifts.

Pros: Very easy to use even for a non techie person like me. All the employees appreciate being notified of their original schedule and any changes by text.

Cons: The only thing I can think of that I don't like about the software is it would be nice if it were less expensive. Also if we have really busy days and the employees need to clock in earlier it doesn't allow that.

Pros: ease, functionality, rollover capability , copy and paste function, excellent customer support. Staff really like the app function of the software. I prefer to do things on desktop, I enjoy that. I can easily add/remove/assign staff as is necessary. I can block days easily. requests arrive immediately.

Cons: it is more expensive than other similar products.

I cannot limit each employee's availability (I called and tried, found a solution, not best, but still a solution)

Overall: it is not THE answer to scheduling numerous part time staff around their shifts, but it is definitely than paper or excel spreadsheets. staff can access everything remotely and easily. Drop shift and pick up shift function is great. I have just started tracking hours and I really like that feature.

Pros: I love that it automatically syncs with my phone calendar. I don't have to worry about forgetting shifts because it reminds me with plenty of time. It's easy to trade shifts and talk to coworkers without exchanging phone numbers. I like how simple it is to say which days/times you're available and if you have preference on some shifts. Overall this is a great, great value.

Cons: The group chats can be a total pain, but thankfully you can adjust notification settings. It can sometimes be difficult to manage the schedule based on how the admins have pay periods set up, but once you get used to it, it isn't anything more than inconvenient.

Pros: Gives me a heads up on my scheduling and integrates easily with my payroll software and other apps. Because of the iPhone integration, I'm able to keep an eye on when employees are working and where as well as when they forget to clock in or out. I can instantly find out who scheduled to work each day and send them reminders as well as open shifts that need to be filled.

Cons: There's nothing I don't like about it, but I do wish there was a task management feature. I would love to be able to assign a complete a task list that would prevent them from clocking out until it was done.

Pros: This is a very user friendly software. We are able to quickly create, edit, and distribute schedules to our large staff. We love that the staff can quickly submit time off requests, send us messages about their schedules, and even drop/swap shifts if necessary, within moments of the schedule being published.

Cons: When I Work is a very proactive company, and they make software updates often. The only bad thing about this is that it can some time for us to adjust to changes that are made, and occasionally there are small glitches. But overall, I would say I am more satisfied that they are proactive in expanding what the software can do, than I am disappointed in these occasional issues.

Comments: In many companies, scheduling is critical to operations. Whether it's the tech sector or quick service food, ensuring you have the right people scheduled at the right time is critical to maintaining the optimal customer experience. Unfortunately, the all-in-one systems that exist in the HRIS arena today ALL lack highly intuitive and full-featured scheduling systems. Sure, there are plenty that have all necessary features but come at the expense of ease of use which, in the end, leads to less than optimal use. Enter When I Work, a scheduling first platform that is borderline enjoyable to use and makes the scheduling task for individual team leaders a breeze in our customer service and fulfillment operations. It's simple to identify needs by skill set or expertise when building a schedule or finding replacements for staff that will be out of the office. Integration with third party platforms such as payroll and accounting systems leaves much to be desired but functionality and ease of use comes first and that's where When I Work excels. User engagement is high with intuitive and easy to use mobile apps and location based clock-in is much preferred to IP restrictions.

Pros: Intuitive web based user interface Mobile apps that staff actually use Heads-up alerts for possible attendance issues Single system for scheduling and time clocks Excels in all the scheduling & T&A features where HRIS systems fail

Cons: Third party integration leaves much to be desired (payroll sync with the majors, accounting uploads) Service interruptions seem to happen more often than would be desirable (but are always very short)

Pros: What we like best about the software is the ease of use. Employees can see and take shifts and we can manage hours for payroll through it. It has saved us countless hours of stress and has made our entire system flow more efficiently.

Cons: We need a search feature for job sites within the schedule. We work on different sites and sometimes we need to track or find a shift by job site.

Pros: WIW is incredibly easy to use. The app is fantastic and the desktop version allows a bird's eye view of an entire week, which is phenomenal! So much easier to read compared to Google Calendar or the many schedulers based upon it.

Cons: The GPS feature can be a little wonky, depending upon location. Also, I really really really wish there was a client-facing side for folks who use WIW to schedule client requests.

Overall: WhenIWork is beyond easy to use. The setup is simple, employee on-boarding is easy, scheduling is a breeze and timecards are quickly completed.

Pros: This tool is great and helps you see how much you are spending on payroll and can let you customize roles. Very helpful for a business that has employees in various places and with mobile options.

Cons: The ecosystem isn't always as smooth or as intuitive as it could be. For some scheduling tasks it seems like you have to make a lot of extra clicks to get a job done.

Pros: When I Work makes schedule making so simple. I love the fact that I can just copy over the previous week to the following week rather than starting from scratch each week. It has made scheduling a painless task now. The ability to drag and drop each shift to the appropriate employee is also another great thing about this app.

Cons: I wish there was a way that you can pay to add 1 or 2 employees rather than having to move between tiers. Especially when you need just one more employee but the price increase is very steep.

Overall: Overall When I Work has been a great tool for me and I would definitely recommend it to anyone in charge of creating a schedule each week. It will make your job so much easier!

Pros: I love that it just keeps getting better and better with time. The added features and benefits are awesome and extremely useful.

Cons: The only thing I wish is that employee time off that has been used, would be tracked and easily accessible.

Overall: Managing employee time sheets and also being able to copy previous weeks when there are no team member requests, and even when there are, it is still completely easy and user-friendly to manage.

Pros: Customer service and the ease of the program.

Cons: When selecting on multiple locations it would be nice to only see the employees that are given rights to that location along with the ones who have hours scheduled. Currently if anyone is give rights to that location you see them on the schedule. That creates a very messy and hard to read screen. It would be nice to only see the ones that are currently scheduled to reduce the clutter.

Overall: I love the program and it's a great asset to my company. As my company grows this program will be able to grow with it. Under features and functionality I only rated it 4 stars, because I feel that it's missing one feature. That one feature is being able to record no call/no shows, excused or unexcused absences. Being able to list why they didn't know up is also vitally important. Also being able to run a report on that information would be vitally as important. Being able to record/document this information is very important in a human resource aspect. I have notice that this functionality is offered in a lot of other scheduling programs. On a side note, the customer service I have received this far is excellent and I love the convenience of that chat window and how fast the response time is. I am excited to see where hopefully the near future takes this program. Keep up the great work.

Recommendations to other buyers: I have shared some thoughts about the software and what I feel would make it better several times. I have more suggestions, but being able to record excused and unexcused absences, especially form the dashboard would be a huge benefit to it's users.

Comments: We had about 100 employees signed up for When I Work at a time. We had 4 different groups of employees(servers, bartenders, kitchen, and security) that were all signed up for the same account but were placed in different locations. This worked out great because the managers could see all of the schedules and if we had employees that worked in multiple locations it was easy for them to be added to both.

Pros: Their customer service reps are very willing to work with you to set up your account and answer all of your questions afterward. It's very easy to use and easy to show employees how to work their accounts. Employees can also put what shifts they prefer to work and ask off in the app.

Cons: Harder to make the schedule from a cell phone. I would recommend using a computer if you have a lot of employees. We didn't use the chat function on the app at all.

My own schedule as well as my staffs changes constantly. When I work keeps me updated of changes.

Pros: It saves our company time/money. Our office manager used to do scheduling manually. Our tour business depends on weather, so when a tour is cancelled it affects our scheduling off staff as well. WhenIWork makes the changes go very smoothly. I also like getting notifications.

Comments: Generally a good app that has helped both myself and employees get organized. It does get confusing when employees try to create custom availability and often the work chat freezes on me or just doesn't when I'm trying to reach my employees for an important matter. I will soon need to add another employee, however the price to upgrade to 6 employees will no longer be worth it to me as I can switch to an app that includes many other features (invoicing/payments, client calendar, better notes/logs, customer service and booking, client reminder, etc.) for better value.

Pros: Easy to use, saves a lot of time rather than creating a manual schedule, has some great features. Employees find it easy to understand and I love the clock in/clock out with gps tracking.

Cons: I need more features, has some glitches and doesn't work or freezes sometimes when I need it most. The cost is too high to upgrade just to add more employees. I would be happy to pay more for more features but it will start to lose it's value soon as my business grows.

Pros: The platform is easy to use for both employee's and employers. Well laid-out schedule which is easy to read and understand. Important functionality has been included such as employee PTO requests or shift swops, shift reminders and a free easy to use smart phone app for everyone to have immediate access to their schedule. Color coding all shifts and positions helps to easily visualize the whole schedule at once. Shifts are easily transferrable from one employee to another by drag and drop.

Cons: That some of the tools are out of my reach because they are only valid for the more expensive packages. Which is understandable because I am only paying for the cheapest package right now and there need to be benefits to buying bigger packages.

Recommendations to other buyers: Give it a try! They offer a free trial, no obligations. Create multiple positions and shift blocks with varaious employees, each with their unique color. The calendar schedule, with easy interchange between "daily" and "weekly" views will show the spread of scheduled shifts that is easy to read and manage.

Pros: Loved it from day one. Very scalable and worth every penny. You can use part or all of their services. Plus if you have any questions or issues, their customer service is like no other.

Cons: Worth every penny...just a lot of pennies. I wish the group chats were easy to control on adding or removing people. Also, you can't delete the group chats, and they end up getting a bit cumbersome. With all of that said. Can't complain.

Pros: Its simple and visually based. I love how easy it is for my staff to use and understand. It has been easy for my staff ranging in age and tech competency.

Cons: Sometimes little glitches pop up and take a while to get sorted out. I'd like a few more output methods(print options by site) as well as a way to tie some of the shifts together.

Pros: It allows all of my employees to know their schedules and changes in real-time without needing phone calls or visits inside to "take pictures" of those old paper schedules. Time OFF is an ease to schedule and maintain and Workchat has brought us all closer together!

Cons: There are some missing functions I wish it had, like being able to put Time OFF in and having those hours show up on the schedule as time worked when it is submitted with hours attached.

Pros: This app makes it super easy to clock in and out of work. You can also go in and edit any times that you forgot to clock in or clocked in/out late for some reason. That layout makes it easy to see your schedule and you can also see who else is scheduled and in what position. You can also request PTO and time off and indicate whether it's paid or unpaid and add notes to your request. It's just an overall really great resource to have for any type of business.

Cons: The only con would be that if you have your location services on, it will create a flag if you're not a specific location of your workplace when you clock in or out. That can easily be avoided by turning off the location service on that app though.

A great product, never have an issue using any part of it!

Pros: The ease of everything - viewing scheduled time, actual punch-in's, even budgeting! It is easy to make changes and the chat support is a great feature I have used numerous times.

Pros: There really isn't anything that stands out as there are dozens of similar services with similar features that surely provide far superior service.

Cons: There have been many bugs and features that don't work over the years, and 'it's a known issue' is the typical response with no follow up. Horrible customer service. They over bill you like a telecom company would and they make it a nightmare to try and get resolution. Frequent outages which leave staff unable to use the service and complete time critical schedules.

Recommendations to other buyers: We unfortunately choose this platform a few years ago when there were far fewer choices. Every time we've had an issue we get the worst support - it's as though a bot is responding without the ability to read. We recently discovered that they had been grossly over-billing us on one of our two accounts and we are now wasting even more time dealing with their inept service trying to get it resolved. We are trying to give them a chance to resolve since it will be a pain to switch to another service, but it looks like they could care less about providing any kind of service to a long term client.

I really, really enjoy this scheduling tool.

Pros: This app makes it extremely easy to swap your work shifts with other employees if they're interested. In addition, the app allows employees to painlessly request time off from their employers. A notification is automatically sent to the employer so that the employer can approve the request.

Cons: I don't find this app to be as useful on Android platforms as it is on IOS platforms. Sometimes, the system is a little too slow when it comes to locating my GPS location.

Overall: I am able to view any schedule changes on the go and I can easily switch my schedule or request any time off.

Pros: The location feature makes it easier to keep track of when employees actually are ready to work. Also the push notifications are nice to remind employees to sign in if they have forgotten.

Cons: Customer service has not been helpful. It is difficult to get in touch with them and they do not return emails very quickly. Also, this doesn't work well with Android phones.

Pros: I can repeat shifts and complete a schedule in a few minutes instead of hours upon hours. Adding and deleting employees is as simple as a click of a button. The shift reminders for all my employees is amazing and it helps to keep people on track and on time. No more confusing notes of time off requests. Each user controls there own personal time off requests and swap with others if need be.

Overall: Time, energy, proactive employees, and better money management.

Pros: It is really easy to use and employees really like being able to see their schedule and coworker's schedules/time off and that they can be notified when something changes. Setup was really easy too, and so is the maintenance of positions and shifts - so much better than paper calendars and pencil.

Cons: The time tracking doesn't meet par - there are gaps in what you should be able to track - like someone on a 4-10 schedule needs to have different OT parameters than others ( not possible to do).. things like that.

Pros: My relationship with this app it´s a fun one. I do hate the fact that I get to see how much work I have in advance, but I also enjoy that when it comes to my work, When I Work always helps me to be on time or to be clear about my schedule. I enjoy all the information that it gives so I always know whats going on at my office. So easy to use and understand, and that just make this app perfect to be in touch with my work. Pros: I love that I can add multiple locations and select which employees should be able to be scheduled at each location so I can bounce from one location to another and see if I already have them scheduled at another store, and total hours scheduled at all locations. It's also a real plus to have employees be able to log in and block out times, or days they can't work or submit requests for time off. They can also put shifts up for someone else to take. Saves me so much time when someone is sick or calls out.

Cons: I have not had any issues with using and I have been using for over a year. So as of now, I have no cons currently. Sorry to disappoint!

Pros: Super easy for employees to use, switch shifts, see and acknowledge schedules. I like being able to save a schedule template or copy a previous week's schedule.

Cons: It is too easy to delete shifts and there is not an easy way to see the history of what you have deleted. I also wish it was easy to have a manager be able to approve shift swaps but the managerial approval function does not work the way I would like (you approve before someone else accepts)

Overall: easy to use for scheduling and clocking ina nd out.

Comments: I started using Wheniwork in August with less than 20 employees in a brand new Urgent Care setting. I loved it from the first minute! The program is very user friendly- it actually makes scheduling FUN!, It is easy to use with varying levels of skill sets- I can look at the whole staffing for a day or week- or just the nurses or the techs. The staff like the email alerts when the schedule is published and also the ease with which they can give me their availability. Sending out emails for open shifts is a great feature, as is being able to sync your schedule to your phone. Not to mention reasonable cost.......

Pros: -Great support staff!! Every time I have emailed with a question, the response is timely and complete AND they follow up on it afterwards. - cuts down on time spent trying to fill sick calls, etc by sending out alerts to qualified staff ( you pick) - cuts down on time spent scheduling in general -ease with which employees can take open shifts and request time off, give availability - color coded shifts- being able to drag and drop when working on a schedule

Cons: As a scheduler, I would love to have the option to be able to look at a month a time. I would love to see a support index of user options- an ABC kind of tutorial. I feel there may be aspects of the program that I am missing. It would also be helpful for staff who are not as technologically proficient as others to be able to go back and see " how I do this". It might be there, but I can't tell. This review is really 4 1/2 stars!!!

Comments: We previously used another used scheduling app and recently switched to When I Work because of the time clock feature. We were excited to be able to integrate with Quick Books Online. However, the hours do not transfer accurately. They randomly round down. Also, the overtime amounts do not drop into to employees payroll information. It is all wrapped into total hours. Which, as mentioned is not even the true total. We were told to upgrade to Quick Books Online plus to solve the issue. It did not solve the integration problem and now we are stuck with a more expensive accounting program ( QBO +) that is difficult to downgrade.

Pros: Prettier interface compared to When 2 Work which is what we used for four years with no problems. W2W is much cheaper as well. It just didn't have the time clock feature.

Cons: Cost more than other scheduling programs and doesn't have full integration with payroll programs.

We recommend reviewing our Integration document outlining the requirements. This document also explains how the integration handles OT under "Considerations for Implementation" (https://help.wheniwork.com/hc/en-us/articles/202168909-Integrating-with-QuickBooks-). To clarify, all OT rules must be implemented in your QB account as When I Work exports out raw hourly data (not segmented by regular/ OT hours).

We are also happy to share that the issue with the Total Hours sum was addressed recently by our Product Development Team. We'd like to also clarify that When I Work will always round the decimal values on employee punches up to the nearest hundredth in every case where rounding needs to be applied.

Pros: Rather than an employee emailing the rest of their coworkers to get a shift covered, they just drop a shift in WIW and the other eligible employees get a notification. It's awesome, and has saved all of us from getting a ton more emails every day.

Cons: I wish there were more options for viewing the schedule, and it was a little more user-friendly on the app for doing on the go shift creation, but otherwise very few complaints.

Comments: I signed up for the trial of the scheduling side of the app all the while thinking that I was also getting the time and attendance function as well. Big surprise. A price for the scheduling and I have no idea how much more for the time and attendance part. When I tried to add the time and attendance part the website wanted to charge me another amount. I sent them an email (there is no phone number to call to talk to a live person) explaining this and was told the system would only charge me the correct amount and if it didn't, they would refund me the difference. Really? Is this the way to do business with your customers. The app works sort of, but not for this amount of money. I would rather use a spreadsheet than have to deal with poor customer service and these surprise pricing issues. My advice, look somewhere else for a solution and save yourself the headaches.

Comments: We are a Dog Daycare/Boarding/Grooming facility that has 7 employees and 3 contractors. We are working 7 days a week for our Campers to are staying and/or playing with us. When it was just 2 or 3 people I would text message their schedules, but as we grew so did my scheduling and notification job. My husband took a few months looking for an intuitive tool we could implement to help me with this process and found When I Work, it was implemented and the roll out as seamless. The staff was excited at how they can manage their profile and there was NO DOWNTIME and a very small learning curve for everyone. The Mobile App is very helpful when wanting to see who all has been scheduled. I also feel they care about their clients from the ease of use of the tool to the support they offer. Actions speak louder than words and although I have not required technical support I have had inquiries. They are very good about responding quickly and will also follow up. We all know how when you get busy and what we receive from them feels like we are part of team but when I have inquires or any assistance they are there for you and have your back.

Pros: Love the ease of creating a schedule for 10 people. Having the ability to estimate revenue to ensure I don't over schedule is very helpful to our seasonal business. We have very little details need to be given to the new hires. Their support Rocks.

Cons: I only have one, that employees are not able to see their hours on their own schedule. I think it's because as managers you can view number of hours scheduled and with a click it shows you can how much they will be grossing that period.

Pros: It makes scheduling a simple task AND adds features like schedule templates open shift offering that are icing on the cake!

Customer support is responsive and very helpful.

Cons: I would really like a link to view an employee¿s full availability directly from the weekly schedule. I have made a request, which was acknowledged in a very positive way. It hasn¿t happened yet, though.

Overall: I do not have many employees on my schedule - only 10, but Incan whip up a schedule from scratch in 5-10 minutes.

I can definitely understand wanting to see availability while scheduling and I wanted to make sure you know that availability for employees does show on the weekly schedule page in the triangles you see in the corners of the app. If nothing is there, it is assumed the employee is available.

Pros: Feature-rich, flexible, mobile-friendly platform. Has a modern, intuitive user interface (UI) backed by ample training, help, and support. Open application programming interface (API) lets users share data with payroll, Point-of-Sale (POS), and other people management programs.

Cons: Doesn't offer as many reports and direct integrations with payroll and POS vendors as some competitors. Cheapest price only covers a single location and up to five users.

Overall: When I Work is a full-bodied, attractive shift scheduling platform that works well on phones and desktops, and offers shortcuts and templates that help speed up scheduling for managers, giving employees more power over when they work.

Pros: Ease of use, particularly the ability to search back through past timesheets, export the data with custom date ranges. The time off requests and open shift features are very simple and easy for all employees to learn and implement.

Overall: Saved time and reduced mental anguish

Comments: Aside from lots of manual adjustments that managers have to make, I still love how I can process payroll through this system. Overall, I highly recommend When I Work!

Pros: I oversee seasonal programs at 3 different locations across 2 states. We love the scheduling features (which other products I've used have). This is great, but nothing above the norm. I love the "Attendance" feature, which allows me to control when and where employees can clock in. For example, parameters can be set to only allow an employee to clock in (on his/her phone app) within 10 minutes of a shift, and 100 meters from their shift location.

Cons: In New York City, where we are in and out of the subway system - the location feature rarely works. The app is much more accessible for iphone users than for android. I, as the owner/administrator (iphone user) never have an issue clocking myself in, but my employees VERY OFTEN do, making this less ideal. Even though we've sumbitted many help/support tickets, we still have not found a resolution to this!

When I Work has considerably saved me time each week scheduling staff at Twenty Sided Store.

Comments: PROS

I love that I can schedule employees on-the-go and check when employees have clocked in. I like that my employees can submit schedule requests that appear right in the scheduler for approval.

I love that the schedule syncs with google calendar and that my employees can choose to download just their schedule or the entire staff schedule.

I like that my employees can set reminders on their phone and get notified if I make a last minute schedule change.

AREAS TO IMPROVE

I would like my employees to be able to see when other employees have approved scheduled days off so if they do not request the same days.

I would also like to set an employees regular shifts for the week, rather than copy previous week, so that when a schedule change has been made for one week I can revert back to their regular shifts the following week.

I also wish that I could easily return from Timeclock to Attendance as I always accidentally click on the wrong link and then can't get back.

One more thing... In the scheduler, I would like to be able to have my employees give me their max hours requested but I would like to be able to set the max hours I want to give that employee each week so that I do not accidentally go over when scheduling.

The three numbers next to the clock under the employees name are not always formatted consistently. I would like it to always show - hours requested (set by employee) / hours scheduled (red once breached the max limit) / Max limit (set by me) - I do not like it when some display positive numbers and some display negative numbers. I want all to be consistent, one way or the other.

All that being said, I am really pleased with When I Work. Thank You!

Pros: I love how easy it was to learn and to use. My staff consists of mostly teens who all have smartphones, and it's great to have everything in one app that they can download. They can check their schedule, request off, and contact me all in one place. It has eliminated a lot of paper for us, as well as frustration in trying to get in touch with people who rarely check email. I used to dread making a schedule each week, but When I Work makes it simple!

Cons: The chat function has trouble loading pretty frequently, but usually fixes itself after refreshing it.

Pros: It is easy to build a schedule with this software. For our company, schedules vary day to day, and it is vital that we are able to communicate specific details to the crew members about what each day will entail. This software allows us a way to do that. Our guys like it to - it's easy for them to check their schedules.

Cons: There isn't much that we don't like about this software. It works great for us and our needs.

Pros: It was nice to be able to get notified when schedules for work were up. I feel like this enabled our staff to know more in advance what the next two weeks looked like. Each staff members qualifications to cover certain shifts was helpful too.

Cons: As a staff member who used it for schedule notification - I didn't have much problem using it.

Overall: It was easy to find replacements on the schedule, and for that, I liked When I Work. It takes away that awkward call to your manager asking for help in finding someone to cover your shift.It also elminates the "Oh I didn't get your call" from other staff members when you are trying to get a shift covered.

Pros: When I Work has completely changed the way I and my team manage our schedule. It has made our team significantly a more cohesive group by eliminating scheduling conflicts.

Cons: I honestly don't have any gripes with When I Work. Every single time I have submitted a help ticket they have been amazing with the fix and follow up.

Overall: Convenience is the biggest plus. It also helps employees get their schedule on the fly, and keep both management and staff in the know.

Pros: We currently utilize When I Work for all internal scheduling. It allows you to give job sites and daily instructions for individual employees.

Cons: Limited functionality. For basic scheduling purposes, it easily achieves it's goal. However, if you're looking to get much more than that, you might need to look elsewhere.

Pros: We love WhenIWork's system that allows our staff to clock- in when they are at each location. We also sync WhenIWork with our online payroll system and simply import hours to make payroll super simple.

Pros: Ease of scheduling, creating announcements and handling time off requests is a breeze. Something we haven't used as much but I love is the ease of switching shifts. Customer service has always been super helpful and accommodating.

Overall: Time savings is huge! I know some employees have had compatibility issues and storage space issues, but we have always had help from When I Work getting these resolved.

Pros: Text and email alerts for schedules and shifts. Ease of use when scheduling with ability to copy, drag and drop. Monthly, weekly and daily views allow for different types of planning.

Cons: Unable, so far, to schedule in the monthly view. Inability to log in and only see my location, whithout choosing it each time.

Overall: Quick scheduling and easy editing with immediate notification to employees of posted schedules and changes.

Pros: The ease of making schedules, the ability to copy the shifts and move them about the schedule. The ease of setting up new employees.

Cons: The chat freezes up and does not always work when using Google Chrome. Need more reports, like exporting the shift templates so that they can be easily edited to avoid having duplicates.

Overall: The ease of using and the ability to get the budget and cost of labor information.

Pros: Ease of use and cost are definitely the best aspects of When I Work. Onboarding new employees is a snap and allowing the staff to clock in and out with the app makes their lives a lot easier.

Pros: How easy it is to copy & change shifts between employees and weeks, and that it notifies employees of open shifts and then can grab it themselves. Keeps me on track with shift covering :)

Cons: Work chat notifications are only available on iPhone, not Samsung or others. It is hard to reach all of my employees in one medium as some cannot receive group text, some don't have Facebook and some don't check their email ;/

Overall: Saves time scheduling, and paper ;) Easy for employees to reference their schedule or change availability while not at work and instead of relying on me to give them answers at any time of day.

Pros: The ease of use. It's extremely convenient to setup schedules for everyone and have them immediately notified. We're so small we don't even need flex scheduling and all the other advanced features, but I've poked around and the whole thing just seems so smooth and seamless.

Cons: Honestly, I'm having a hard time coming up with any negatives. Back when we started using it, it was a bit more difficult to do things like split shifts or move things around, but all that's long gone.

Overall: Incredible streamlining of our scheduling flow.

Pros: I am able to change things on the go, even on vacation, and it's a great tool for people to change shifts around. It takes the responsibility off my shoulders, and that's nice. Also, people being able to acknowledge shifts is a great thing.

Cons: Some small tweaks would be nice, like copying two shifts at once (more than one, but not a whole week).

Pros: WIW has a great design and a lot of functionality. Some of my employees found it a little challenging to work with at first. but coming from a management perspective it was very useful. I liked being able to see in real time what my employees were requesting, and I REALLY like the chat feature where I can message everyone at once regarding a broad issue.

Cons: It was a little less user friendly at first than I expected, but nothing too bad and we got the hang of it fairly quickly.

Overall: This app made scheduling very easy and efficient. No more wasting time trying to pull up everyone's schedules and comparing them, trying to find something that works. Everything was there with this app. It took the guess work out of this aspect of my job!

Pros: Simple, easy, and intuitive way to create work schedules. Keep track of your schedule on the go with the When I Work App. There¿s also a way to set up time clocks so staff can punch in and out of their shifts to keep track of hours worked. Staff can also request days off or to switch shifts with a fellow employee.

Cons: With the most recent update, setting daily availability seems to have been removed and only setting availability for the week is possible. Definitely something easy that can be fixed with another update though.

Pros: Ease of use; mobile app; great customer service.

Overall: I checked out several similar products (including ShiftPlanning) before purchasing WhenIWork, and have been using them for nearly a year and a half. I manage a veterinary hospital with approximately 70 staff members (nurses, veterinarians, CSRs), and WhenIWork has made my life (and the lives of the other managers) much, much, much easier. Time off requests don't get lost or forgotten! I'm alerted when a shift needs to be filled! Plus, the customer service team at WhenIWork is honestly second to none. They have always been extraordinarily helpful and accommodating, even helping come up with workarounds when I have an unreasonable request :)
