SDE Information Technology and Services Used the software for: 1-2 years ### "Saves me from writing glue code, but the task count adds up fast" September 10, 2026 4.0 I use Zapier for side project automation rather than anything mission critical, and for that it is a good fit. It removes the boring plumbing between forms, spreadsheets, and notifications, and it has been reliable in the sense that when something does break it is almost always the upstream API rather than Zapier itself. Setup took no real learning curve, and I had my first useful automation running the same evening I signed up. My honest view as an engineer is that it is excellent value while your volume is low and hard to justify once it is not. If a workflow becomes important and fires constantly, there is a point where writing and hosting the script yourself is simply cheaper. Up to that point I would rather spend my evenings on the actual project than on glue code, and Zapier earns its keep for that alone. I would recommend it to anyone who wants working automation without owning infrastructure, with the caveat that you should model your task usage before you commit to a plan. Pros The integration library is the real selling point. Almost every service I wanted to connect for a side project already had a working app, so I skipped writing and hosting my own webhook handlers and cron jobs. As a software engineer I could have built most of these flows myself, but Zapier gets a multi step automation running in about ten minutes and I do not have to babysit a server or pay for one. The editor is clear, testing each step while you build catches bad field mappings early, and the run history makes it obvious which step failed and what data it received. Multi step Zaps with filters and formatter steps cover far more ground than I expected before you need real code, and the built in Code step is there for the cases that do. Cons Pricing is the main problem. Everything is metered per task, and a task is any single step that runs, so a five step Zap burns five tasks every time it fires. A polling trigger on a busy source eats through a monthly allowance quickly, and the jump between plan tiers is steep for a personal project rather than a funded team. I ended up adding filter steps early in my Zaps purely to avoid paying for runs I did not need, which is not how I want to design an automation. Polling intervals on the lower tiers are also slow, so anything that needs to feel immediate has to be rebuilt around a webhook trigger. Make and n8n both looked capable, and n8n was tempting because I could self host it, but every hour spent running my own automation server is an hour not spent on the actual project. Zapier already had maintained apps for everything I needed, so I had working automations the same evening instead of standing up infrastructure first. If it takes you at least three separate levels in the "activity log" menu path to get there, then maybe it should be named differently. So by doing this ourselves, we can save ourselves hours upon hours of waiting. Pros This allows me to simply "click" the connector I want and then automatically integrate. I was also very surprised that the custom slack integration worked (it pulled data) instead of completely falling apart like I had fully anticipated. I no longer need to cut and paste information back and forth. It is nice that the background syncing works in addition to what I thought would never work. Cons The CSV parser tool has been a huge block to completing everything we are trying to accomplish. The CSV parser will only parse 50K records and since the lookup table only holds 100K entries, it completely messes up our Asset file imports. Debugging is also terrible. Occasionally, our cost will spike when running large volumes of data; however, every time I submit a ticket to their support team, they close it without ever fixing the Ruby code issues I have. They have many drop down options for most things so they’re easy to use no matter how much of a non-computer person you are. I am shocked I did not have to write one line of code to get the google contacts synced. They list alot of applications. Cons I feel it’s way to expensive unless you’re using it for every possible thing in your life. Sometimes the french translation will not make any sense and it will be difficult to figure out where the correct button is to press. I am totally annoyed. I also hate it that some of the features such as the time delay feature do not automatically come with the software. Pros What I like most about Zapier is the ability to connect software without being a developer or relying upon the SaaS products themselves having native integrations. For example, I wanted new clients that I created in Xero to be added automatically to my Mailchimp list. I did the same with new contacts from Calendly sales calls. It was really easy. Cons Sometimes, when a connection doesn't work, it is frustrating for a non-developer to figure it out. For example, I would have issues with "email address" in Xero contacts. But those were vendors (as in accounts payable), not new clients. So maybe it was user error but it was frustrating. I plan to keep using Zapier Pros Zapier was easy to use even though it was unfamiliar to me. I was benefiting from Zapier within the first week and without any outside help. Zapier takes care of the boring repetitive part of my job, usually without error. I use it to automate recurring tasks and connect various applications. I can also use this same function to send reminders to myself or my clients through any channel. It helps me plan ahead in many ways and can even schedule and set up meetings for me. For basic use like most small business owners will need, Zapier is actually completely free. It's not often that I find something with a free plan that will actually do anything to help me so I really appreciate that! Cons With the free plan, there is no user support. I understand that maybe this is why they are able to offer the free plan, but I'm aware of many other completely free apps that still offer some manner of support.
