### "Zap Goes the Review!"

July 25, 2026

5.0

Zapier is essential for connecting tools and platforms that don't natively speak to each other. I really appreciate their customer support, the ease of use, and the ability to use it to automate tasks and workflows.

Pros

Zapier is now the AI-native way to create automations and workflows for digital teams, I really enjoy using Zapier to connect platforms that don't have integrations and be able to streamline my business. The overall cost of Zapier is incredibly affordable, considering that setting up APIs or doing your own out-of-the-box integrations would be ten times more expensive. I think that overall it's a great platform.

Cons

Occasionally, your apps will break and you'll have to reset or rebuild them, and that can be a frustrating experience. It is a persistent bug and issue that's been going on for years. However, I'd say that this is rare and the overall platform is incredibly stable.

Alternatives considered

[n8n.io](https://www.capterra.com/p/198028/n8n-io/)

Reason for choosing Zapier

N8N is incredibly complicated to use compared to Zapier. I'm sure that somebody would argue that N8N has more total capabilities, but it's really only approachable if you are an incredibly technical user.

### "A literal way to automate anything "

July 23, 2026

5.0

Having one tool that handles both my personal deal monitoring and my dealership automation has been genuinely useful, even though they’re serving completely different purposes. For deal monitoring it means I catch things faster without babysitting a group manually and for the dealership it means leads and updates flow into my workflow without constant manual entry. The pricing and occasional troubleshooting headaches are the main downsides but the time saved across both use cases makes it worth keeping running. I’d recommend it to anyone juggling more than one automation need since it flexes well across very different workflows without needing separate tools for each.

Pros

I use Zapier for two pretty different things, keeping my personal deal monitor groups running and handling automation for my dealership, and it’s held up well for both. On the deal monitor side, it watches for triggers and automatically pushes alerts or updates into the channels I actually check, so I’m not manually refreshing anything or missing a good opportunity because I wasn’t looking at the right moment. For the dealership it connects leads and paperwork triggers into my CRM and notification tools without me having to manually enter anything, which keeps things moving even when I’m not sitting at a desk. It connects with almost anything, so whether it’s a spreadsheet, a messaging app, or a lead source there’s usually already a built in way to link it up without needing custom code. Once a zap is built correctly for either use case it just runs quietly in the background and does its job.

Cons

Pricing scales up fast once you’re running two separate use cases with their own task volume, since dealership automations and deal monitor alerts both eat into the same monthly task limit. Troubleshooting a broken zap isn’t always straightforward either since it’s not obvious which step in the chain failed, so you end up clicking through everything trying to find where it broke. Building out the more advanced logic like filters or multi step conditions takes real trial and error and that learning curve gets steeper the more complex either workflow gets. Running both use cases side by side also means keeping track of which zaps belong to which purpose, so organization matters more than I expected.

### "Poor customer service"

May 22, 2026

2.0

Ok. Customer service offset what the product offers. I would rather go with a competitor with better customer service.

Pros

I appreciated that Zapier features a clean user interface and was relatively straightforward to configure. We used them for over a year.

Cons

My experience with their customer support was very poor. In particular, an agent named \[sensitive content hidden\] did a subpar job handling our concerns. Their subscription downgrading process is deceptive, giving the impression that your account has been downgraded when the change hasn't actually gone through. The customer service was not willing to acknowledge this issue and address our concerns.

Overall, my experience with Zapier has been positive. It is a powerful automation tool and has a lot of potential to save time, particularly when connecting programs that do not communicate with each other directly. There is definitely a learning curve, and building more advanced automations can require some trial and error. Once everything is working correctly, though, it can significantly streamline repetitive processes and make day to day workflows much more efficient.

Pros

I like the number of integrations Zapier offers and how much flexibility it provides for automating repetitive tasks. Once a Zap is set up correctly, it can save a significant amount of time and eliminate a lot of manual work. I also appreciate that you can build fairly customized workflows without needing extensive coding knowledge.

Cons

The setup can be more complicated than it initially appears, especially when you are trying to create anything beyond a basic automation. Troubleshooting can also be frustrating because it is not always immediately clear why a Zap failed or why data did not transfer as expected. The pricing can become expensive as you add more complex workflows, tasks, or higher usage.

### "An overall solid automation platform, held back by user experience issues"

August 7, 2026

5.0

Overall I have had a solid experience with Zapier. Despite some hiccups with account plan hurdles, our team has seen great imporvements to workflow efficiency buy taking tedious tasks and providing an automation to get rid of grunt work.

Pros

There are a couple things that stand out as great features in the Zapier ecosystem. First is the simple and intuitive workflow builder. Automations can be setup in minutes for anything you need, it can handle some pretty complex automations as well. The second feature that ties into the ease of complex automation creation is the Code feature which allows for more custom javascript or python where simple action steps will not suffice. All of these actions are tracked in a easy to understand dashboard where tasks usage is displayed for you.

Cons

The thing I like least about the Zapier system is the lack of connection version awareness and account change information. Firstly with the versioning awareness, you manually need to keep track of your many connections in order to make sure none of your automations are broken. Second is the account awareness. I needed to make a change in the plan structure of our account, which relied on shared automations. Once we switched all those shared automations were turned off, providing me with no indication prior to the switch or on the day of the switch. There was a period of time where are zaps just were not running and no alert was presented to our team.

### "Zapier Makes Cross-Platform Automation Much Easier"

August 10, 2026

5.0

Overall, my experience with Zapier has been very positive. It has helped us connect different platforms and automate many repetitive tasks that previously required manual work. I especially like that I can build useful workflows without coding knowledge. There can be some challenges with troubleshooting more complex Zaps, but overall, it has saved us a lot of time and improved our day-to-day operations.

Pros

What I like most about Zapier is how easy it is to automate repetitive tasks between different platforms without needing coding experience. We use several systems that don’t always integrate directly with each other, and Zapier helps bridge those gaps. For example, I’ve used it to automatically transfer and organize data between email, Google Sheets, and Monday.com. It saves a lot of manual data entry, reduces errors, and makes our workflows much more efficient.

Cons

What I like least about Zapier is that more complex workflows can be difficult to troubleshoot when something goes wrong. Sometimes a Zap stops working because of a small change in one of the connected platforms, and it is not always immediately clear what caused the issue. The task limits and pricing can also become a concern as we build more automations and process more data.

### "Makes our sales workflow easier."

July 30, 2026

5.0

This one is a solid platform to automate repetitive tasks and software syncing. It is throughout the day, the time saved allows me to concentrate more on closing sales and helping out my team as a Sales Director. But it is not turnkey, rather, it does call for some work to make certain you have everything working effectively. It's had some ups and downs but it's made our department much easier to manage data and processes!

Pros

Zapier has been instrumental in connecting various tools we use on a daily basis such as our email marketing software and our CRM. As a sales manager, I like how it automates follow ups with leads and helps us keep track of all tasks which saves us hours a week. Setting up triggers is not as time consuming as one would suspect, even for a non-technical person like myself. It’s a huge help in keeping customer data organized and actionable.

Cons

Sometimes, some integrations stop working for no apparent reason, slow down certain processes until we resolve the problem. Help articles are good but in emergency situations, I'd like to see the customer support getting back much faster. Additionally, pricing can get quite expensive when you require higher tiers, but of course that's something that we constantly check with regard to value for our team.

### "A great starting point for workflow automation"

August 12, 2026

4.0

Overall, I've had a very positive experience with Zapier. It helped me save time, eliminate repetitive work, and better understand what's possible with automation. While I've expanded to other tools for more advanced use cases, Zapier is still a reliable solution for many everyday workflows and one I'd recommend to anyone getting started with no-code automation.

Pros

Zapier was my entry point into the world of automation, and it made connecting different apps incredibly easy. I use it to automate many of my day-to-day workflows, like syncing data between tools, sending notifications, and reducing repetitive manual tasks. The interface is intuitive, it integrates with thousands of apps, and you can build useful automations without writing code.

Cons

As my automation needs became more advanced, I started to notice some limitations around flexibility and customization. More complex workflows can become difficult to manage, and the pricing can increase quickly if you rely on a high number of tasks or multi-step automations.

### "Save your time with Zapier"

June 21, 2026

5.0

Pros

Zapier has made it simple to automate tasks between software that normally don’t talk to each other. It’s been a huge help when using standard tools instead of developing custom solutions and at all before MCP.

Cons

You will need to pay if you want to run multi-step zaps or do anything meaningful with Zapier. Sometimes Zaps crash, but we are already notified sooner.

### "Zapier is our MVP"

June 14, 2026

5.0

Zapier powers our tech stack. As a result of Zapier's automations and integrations, we've been able to ease busy work for a number of our staff, tackle new projects more quickly, and continue to innovate.

Pros

We love the easy UI, the addition of an AI tool to help build workflows, and the vast number of available software integrations.

Cons

Honestly, the only thing we don't love about Zapier is the lack of a good SharePoint connector, but I believe that has far more to do with Microsoft limiting that access.

### "The Ultimate Productivity Multiplier"

January 1, 2026

4.0

My overall experience with Zapier has been transformative. It has shifted my focus from repetitive administrative tasks to high-value strategy. It is reliable, intuitive, and essentially functions as a digital employee that never sleeps. If you're looking to streamline your workflow and ensure your different software platforms actually talk to each other, Zapier is an indispensable tool.

Pros

The sheer breadth of integrations is Zapier’s greatest strength. It acts as the universal translator for our tech stack, connecting virtually any app I use without requiring a single line of code. The multi-step Zaps allow for sophisticated automation that saves me hours of manual data entry every week.

Cons

The pricing structure can be a bit steep, especially as you scale. Since you are billed based on "Tasks," high-volume automations can become expensive quite quickly. Additionally, while the interface is user-friendly, troubleshooting complex Zaps with many steps can sometimes be a bit tedious when trying to pinpoint exactly where a data mapping error occurred.

### "Powerful Automation Tool"

September 24, 2025

5.0

Zapier is an essential part of our business automation. We use it to connect marketing, reporting, and communication tools like Google Workspace, Klaviyo, and internal systems. It’s reliable and saves a lot of time, but we do need to keep an eye on updates and costs as we grow.

Pros

Zapier makes it super easy to connect different tools without writing code. Setting up automations is quick, the interface is clear, and it saves us a lot of manual work every week. The variety of integrations is huge, so we rarely run into a tool it doesn’t support.

Cons

Pricing increases quickly when you scale and need multi-step automations. Zapier sometimes updates the way certain steps work without notice, which can break existing Zaps and requires rework. Debugging complex automations can be tricky, and there can be slight delays in running tasks.

### "A Must-Have Tool for Automation and Growth"

May 16, 2025

5.0

Zapier has been a huge asset for streamlining and scaling my business operations. I use it to automate lead capture, onboarding, customer segmentation, and more. For example, when someone books an appointment through TidyCal, Zapier instantly adds them to my email marketing list, tags them appropriately, and sends a welcome message—all without me lifting a finger. It keeps my workflows clean, consistent, and efficient. It’s one of the few tools I rely on daily.

Pros

Zapier is incredibly intuitive and powerful. It allows me to connect tools that don’t natively integrate and automate repetitive tasks across platforms. The number of available apps and triggers is impressive, and even with minimal technical knowledge, I can set up workflows (“Zaps”) that save me hours each week. It’s also been stable—I rarely encounter issues once a zap is live.

Cons

The learning curve can be steep for more advanced workflows, especially if you're not familiar with logic-based tools. Some apps require premium plans to access certain triggers/actions, which can be a bit limiting for small businesses on a tight budget. Debugging multi-step zaps can also be a bit tricky without clearer error logs.

### "Glue our support tools and other applications."

December 14, 2025

5.0

Zapier has silently automated the repetitive tasks in my life, transferring data between our support system, email, and internal applications to allow me to spend more time troubleshooting technical problems.

Pros

My favorite feature is the ability to make small automations, which update spreadsheets, inform teams, or automatically open tickets when some events occur in other systems.

Cons

I hate that one wrongly-configured step can destroy a flow without any warning, and I do not always realize that something is missing until somebody notifies about it.

Setting up Zaps is incredibly straightforward, especially with the help of Copilot, and the testing features are intuitive and user-friendly. ### "Connecting Apps through basic online automations"

November 17, 2025

4.0

Zapier is an online automation platform which we use to connect Wufoo forms with TrackVia. It is great for automating data from one platform to another, so we no longer are required to do manual entries of data from Wufoo to TrackVia.

Pros

Creating a basic Zap in Zapier is quite easy and does not require knowledge on coding for non-technical users.

Cons

Connections are limited with the free plan, so pricing is the issue when you want to do a complex connections like multi step zaps. But as we use another online automation platform we don't really require a paid plan.

### "Great platform - very helpful and saves time!"

April 15, 2025

5.0

My overall experience with Zapier has been very positive. It’s a powerful tool that helped me automate routine tasks, improve efficiency, and reduce manual errors. The platform is user-friendly, and the wide range of app integrations made it easy to fit into existing workflows. While there was a learning curve for more complex automations, the time saved in the long run made it well worth the effort.

Pros

What I liked most about Zapier was its ability to eliminate repetitive tasks by connecting the tools I already use. It gave me back time to focus on higher-impact work by automating things like data entry, follow-ups, and notifications. The interface was easy to understand, and I liked how quickly I could build and test new workflows without needing help from IT.

Cons

What I liked least about Zapier was the complexity that sometimes came with multi-step or conditional workflows. While basic automations were easy to set up, more advanced Zaps occasionally required workarounds or trial and error, especially when dealing with branching logic or inconsistent data inputs across apps.

### "Zapier: an automation must-have for technical and non-technical users"

August 3, 2025

4.0

I think Zapier is a great product. I have been using it for close to a year, and so far I have had no complaints. I like the fact that I can integrate it with apps like Notion and Discord without having to get subscriptions for both apps. The email tips are great, and the available functionalities on the free tier are also impressive.

Pros

I like the simplicity that Zapier offers. The UI is pretty intuitive, and a non-technical person will have no issues understanding it. So far, I have had no technical complaints or issues while using it. I particularly like the fact that it feels like a free-to-use model, as you get pretty much the same value for the free tier as you would for a paid one (more freedom). The security and data management systems are also second to none. I have a few accounts linked to it and have not had any breaches so far. The support team constantly sends tips to help you use the software better.

Cons

The limit on the number of "zaps" and the absence of a pay-as-you-use model for free users bugs me. For the occasional user, the cost of the subscription packages might be a lot, hence the need for a pay-as-you-use model.

### "Zapier helped us automate our marketing workflows"

April 30, 2025

4.0

Our experiences has been great. Without Zapier, we would have no way to automate our website engagements. We are dealing with hundreds of submissions each year, so that saves us so much time. And that is all because of Zapier.

Pros

My company uses Squarespace for our website and the tracking is very limited. We moved away from Google Suite and there was no way to easily automate form submissions with Microsoft. Zapier helped us to do that. We can fully automate our marketing emails thanks to Zapier connecting our website to Hubspot. It is pretty flexible and offers a lot of features. Also, their updated pricing plan is great and allows much more on the free version.

Cons

It can be tricky to use at times. Setting up form submissions from Squarespace into Hubspot can be tedious if you are inexperienced. And not being able to use Webhooks without a paid plan is a bit frustrating, but understandable.
