### "The default automation layer for any growth stack"

May 9, 2026

4.0

Zapier is the fastest way I know to turn a marketing or sales workflow idea into a live automation. As Head of Growth, I rely on it to keep our acquisition data flowing cleanly between ad platforms, CRMs, and analytics tools without engineering dependency. It's not the cheapest option once you scale, and it's not the deepest for complex enterprise logic, but for speed-to-value and breadth of connectors it's still the default. I'd recommend it to any growth or marketing operator who needs to move quickly — just keep an eye on task usage as you grow.

Pros

Zapier has been the connective tissue of my growth stack. The breadth of integrations is unmatched — I've used it to wire HubSpot to Salesforce, push form submissions into Attio, sync ad lead forms (Meta, LinkedIn, Google) into our CRM in near real-time, and trigger Slack alerts on high-intent activity. The visual Zap builder is genuinely accessible, which means I can spin up a working automation in 10–15 minutes without pulling an engineer in. Multi-step Zaps, Paths (conditional logic), and Formatter are powerful once you understand them, and the recent AI-assisted Zap builder has cut setup time noticeably.

Cons

Pricing scales aggressively as task volume grows. Once you're running enterprise-volume workflows across multiple CRMs and ad platforms, the per-task cost becomes a real line item to defend, and it's easy to blow through your tier without realising it. Some of the deeper integrations are shallower than they appear certain HubSpot and Salesforce actions don't expose every field, which forces workarounds with custom webhooks. Error handling could also be more proactive; you often only notice a broken Zap when downstream data goes missing, rather than getting an immediate alert. For more complex orchestration, I've found tools like Make or n8n more cost-efficient at scale.

### "Zapier - A good beginner-friendly automation platform"

April 13, 2026

4.0

Overall, Zapier is a really great platform and has helped us bring most of our ideas to life. If you want a no-hassle drag and drop interface, and have some technical knowledge or know how to map out conditional logic (if this, then that), then this is the platform for you. If you have really complex logic and do not want to have to code and test python and create sub-automations, then look for something like n8n.

Pros

Zapier is one of the more cost-effective automation platforms out there. It is easy to use with a drag and drop interface, and has plenty of documentation to help you automate whatever use case you can imagine (to some extent, of course). Customer support has gotten a lot better over the years and I would like to say is pretty quick in getting issues resolved. I love all the notifications we get with zapier run errors and the ability to see where exactly the hangup is, what it is, and the ability to in-line edit the data and re-run the errored steps to avoid interruptions. I love that I can have a folder structure as complex as I want to store and organize all of our company's zaps.

Cons

Zapier likes to change their interface a lot. Since 2022 when I first started using Zapier here at the company, I cannot tell you the number of times the UI/UX has changed. Sometimes for the better, but other times with changes that I don't like at all. They also do this without notice and with no guided workflow tool to guide you through the updated interface to find what you need. It is sometimes like learning a new software all over again... Not the best. There are also limitations when it comes to decision paths on how many paths you can have and sub-paths. If you have complex use cases, you have to have zaps within zaps (called sub-zaps), which is not ideal and creates additional overhead from an IT perspective.

Reason for choosing Zapier

We just chose Zapier over the others simply because of the cost at the time, and where we were at as a company, it just made more sense.

### "We lost money because of zapier"

October 22, 2025

1.0

We lost revenues because of the 2025-10-20 incident. Zapier was unavailable during all the day and doesn’t want to refund. We are clients since 2020 and this is not acceptable.

Cons

I don't like the support and i can't reply to this question. I'm Writing a bad review about my recent experience.

### "Automation glue that quietly connects our property management tools"

April 17, 2026

5.0

Overall, Zapier has become a quiet but important part of how we run Minikaal—handling the repetitive connective work between our property, accounting, and collaboration tools so the team can focus on higher‑value tasks. I’d recommend it to other small property management and service businesses that juggle several cloud apps and want automation without hiring a developer or maintaining custom scripts.

Pros

The biggest pros are the huge integration library, the no‑code editor, and the reliability for simple workflows. It’s straightforward to build basic Zaps off common triggers (new email, new row, new form entry, etc.), and we appreciate being able to start from prebuilt templates and then adjust them for our property management use cases. For a lean team, that means we can “hire automation” instead of hiring another admin just to move information between systems.

Cons

On the downside, pricing does ramp up as you add more Zaps and volume, and you have to watch task counts if you’re connecting multiple apps across a growing portfolio. More advanced workflows can also get complex to debug—especially when there are conditional steps or multiple branches—and support/documentation sometimes require a bit of digging when something breaks

### "Great for My Workflow, Tough for My Clients"

November 21, 2025

4.0

I genuinely love using Zapier. It’s the tool I reach for first because it’s reliable, predictable, and doesn’t bury me in unnecessary AI layers. I’ve tried Make and a handful of the newer automation platforms, but Zapier still feels like the most practical option for the way I work. It does exactly what I need without turning every simple workflow into a science project, and that’s why it stays my go-to.

Pros

Zapier connects all my software seamlessly, and once a zap is set up, it runs reliably without much attention from me. I find the platform easy to use, and it saves a ton of time by keeping everything automated in the background. I also appreciate that they’re always adding new integrations, which keeps the tool flexible and useful as my tech stack grows.

Cons

The biggest challenge is that most of my clients struggle with it. Even simple automations feel overwhelming to them, and the interface isn’t very beginner-friendly. When workflows get more advanced, the learning curve becomes even steeper, which means I often have to build or troubleshoot things for them, especially when they become disconnected or need updated.

Alternatives considered

[Make](https://www.capterra.com/p/154278/Integromat/)

Reason for choosing Zapier

I chose Zapier because it’s faster for me to build in and far easier for my clients to understand. Make is powerful, but it turns even simple workflows into a giant visual map that overwhelms most business owners. Zapier keeps things clean and predictable — I can set up a zap in minutes, test it, and know it’ll run exactly the way I expect.

### "In-depth automations at the tip of your finger"

September 22, 2025

5.0

Overall, I couldn't be happier. I personally have tested most of the competitors, and I am yet to find one that offers as much platform coverage as Zapier does: easy to implement (to a point), easy to deploy, and most importantly, a very reliable and safe platform.

Pros

It mostly definitely has to be the massive amount of integrations available. Any SaaS you can name is available: CRMs, etc. I am yet to come across a platform we needed to integrate with Zapier that wasn't available, which is amazing!

Cons

Although it offers a massive array of available platforms as I mentioned earlier, some platforms surely lack certain triggers and options for certain platforms, even a few big ones, such as Google Sheets, doesn't offer a massive gamma of triggers. Also, data manipulation and API solutions can be complex, even though they are relatively straightforward for simple 2 - 3 step automation, they can become cumbersome once you have multiple steps and several data flows within a single Zap.

Alternatives considered

[n8n.io](https://www.capterra.com/p/198028/n8n-io/)

Reason for choosing Zapier

It felt that “n8n” features primarily targets individuals with extensive coding experience. While it’s no doubt a valuable feature, it may not be entirely suitable for the general end-users

Switched from

[Make](https://www.capterra.com/p/154278/Integromat/)

I must admit that Make is a clear choice over Zapier when it comes to UI/UX. It makes workflows more engaging and visually appealing, especially as it expands to include more features. However, it does lack in terms of platform support.

### "Ran my business for years, now replaced by better APIs and AI"

March 13, 2026

3.0

Zapier enabled me for years to run a business with a lean team. However, the unspoken key is simply working with better softwares that have great APIs, as more native or AI-assisted connecting is happening everyday

Pros

Extremely large, nearly comprehensive connections to software, with an easy non-technical setup, and helpful AI assistance.

Cons

Unreliability veiled through ease-of-use, and byzantine permissions settings that make it difficult to complete integrations sometimes when paired with 2auth related issues

### "I am glad this works go good"

March 23, 2026

5.0

Prior to finding this software my sales tools were not communicating with each other and I had to do everything by hand. It brings my toggl timekeeping info into my cms so I don’t have to keep track of all these different dates. This is better than that other application I spent 5 hours on before I got frustrated and left it for this.

Pros

I’m happy the support team people are pretty good about answering emails quickly as I thought I would be stuck here till tomorrow. They have many drop down options for most things so they’re easy to use no matter how much of a non-computer person you are. I am shocked I did not have to write one line of code to get the google contacts synced. They list alot of applications.

Cons

I feel it’s way to expensive unless you’re using it for every possible thing in your life. Sometimes the french translation will not make any sense and it will be difficult to figure out where the correct button is to press. I am totally annoyed. I also hate it that some of the features such as the time delay feature do not automatically come with the software.

### "Powerful and broad integration service. "

April 9, 2026

5.0

Overall, I have found this tool to be incredibly important. Being able to integrate tools that otherwise wouldn't helps improve efficiencies and productivity.

Pros

My use of Zapier has been limited, but has been significant for what I needed. The broad range of integration capabilities is what makes this service so important. In a world of APIs and the need to have constant integrations, you can't go wrong with Zapier. It is fairly easy to use and their customer support is extremely helpful! Compared to other similar integration services, the cost is also appealing.

Cons

It can be a little confusing if you do not understand API integrations. While they are very easy to work with, it is just a different world for some folks.

### "Great for technical and nontechnical Marketers!"

April 8, 2026

5.0

Using Zapier has made me feel more confident in my technical abilities and encouraged me to simplify my workflows myself, rather than reaching out to technical teams for support.

Pros

Zapier is a great tool for both technical and non technical users! Creating automated workflows between different platforms is something I’m able to do myself as a marketer using Zapier, and was very easy to learn by doing in the moment.

Cons

Because there are so many integrated tools, there is a lot to learn to use it successfully and can take trial and error.

### "The Ultimate Productivity Multiplier"

January 1, 2026

4.0

My overall experience with Zapier has been transformative. It has shifted my focus from repetitive administrative tasks to high-value strategy. It is reliable, intuitive, and essentially functions as a digital employee that never sleeps. If you're looking to streamline your workflow and ensure your different software platforms actually talk to each other, Zapier is an indispensable tool.

Pros

The sheer breadth of integrations is Zapier’s greatest strength. It acts as the universal translator for our tech stack, connecting virtually any app I use without requiring a single line of code. The multi-step Zaps allow for sophisticated automation that saves me hours of manual data entry every week.

Cons

The pricing structure can be a bit steep, especially as you scale. Since you are billed based on "Tasks," high-volume automations can become expensive quite quickly. Additionally, while the interface is user-friendly, troubleshooting complex Zaps with many steps can sometimes be a bit tedious when trying to pinpoint exactly where a data mapping error occurred.

### "Zapier makes you a developer!"

November 18, 2025

5.0

I still use Zapier and will continue to do so. I've since moved from Calendly to NeetoCal and from Mailchimp to MailerLite. I have yet to create those connections. But I'm sure it will work. Basically, if there's an open API, you're golden.

Pros

What I like most about Zapier is the ability to connect software without being a developer or relying upon the SaaS products themselves having native integrations. For example, I wanted new clients that I created in Xero to be added automatically to my Mailchimp list. I did the same with new contacts from Calendly sales calls. It was really easy.

Cons

Sometimes, when a connection doesn't work, it is frustrating for a non-developer to figure it out. For example, I would have issues with "email address" in Xero contacts. But those were vendors (as in accounts payable), not new clients. So maybe it was user error but it was frustrating.

### "Great tool to save time and automate processes"

October 31, 2025

5.0

Zapier allowed my company to streamline internal processes and manage org workflows much seamlessly and faster.

Pros

Zapier is a great platform to automate and sync processes, saving a lot of time and reducing the risk of manual errors, while keeping a simple and interactive UX. It also has a community that helped me debug issues when I encountered them, as well as the client support team that has always remained attentive to solving my inquiries.

Cons

It would be great to keep on making conditionals for paths smarter, since otherwise it forces me to create a path for each future date of events, instead of asking it to run a different path each first Thursday of the month (for example)

### "My Automation Helper"

January 15, 2026

5.0

It’s the most powerful thing to connect all sorts of different apps. And it’s worth every penny, expensive as the split second you finally get back to yourself. It automates my research process. I recommend it for automating just about anything digital that you have to do over and over again.

Pros

Zapier is magic for my workflow. It integrates my Jotform with Google Sheets for free. I no longer have to copy and paste information. Saves me hours of boring manual effort each and every week. It is amazing.

Cons

This can get expensive if you have lots of “Zaps” running. One connection fails, and sometimes I don’t know why. Creating complex workflows is a bit tricky and will take some experimentation. The “pro” features are expensive for a student.

### "Great platform - very helpful and saves time!"

April 15, 2025

5.0

My overall experience with Zapier has been very positive. It’s a powerful tool that helped me automate routine tasks, improve efficiency, and reduce manual errors. The platform is user-friendly, and the wide range of app integrations made it easy to fit into existing workflows. While there was a learning curve for more complex automations, the time saved in the long run made it well worth the effort.

Pros

What I liked most about Zapier was its ability to eliminate repetitive tasks by connecting the tools I already use. It gave me back time to focus on higher-impact work by automating things like data entry, follow-ups, and notifications. The interface was easy to understand, and I liked how quickly I could build and test new workflows without needing help from IT.

Cons

What I liked least about Zapier was the complexity that sometimes came with multi-step or conditional workflows. While basic automations were easy to set up, more advanced Zaps occasionally required workarounds or trial and error, especially when dealing with branching logic or inconsistent data inputs across apps.

### "Save time with Zapier"

May 5, 2025

5.0

Zapier helps me cut down on time spent with recurring tasks and overall just makes my life easier! I plan to keep using Zapier

Pros

Zapier was easy to use even though it was unfamiliar to me. I was benefiting from Zapier within the first week and without any outside help. Zapier takes care of the boring repetitive part of my job, usually without error. I use it to automate recurring tasks and connect various applications. I can also use this same function to send reminders to myself or my clients through any channel. It helps me plan ahead in many ways and can even schedule and set up meetings for me. For basic use like most small business owners will need, Zapier is actually completely free. It's not often that I find something with a free plan that will actually do anything to help me so I really appreciate that!

Cons

With the free plan, there is no user support. I understand that maybe this is why they are able to offer the free plan, but I'm aware of many other completely free apps that still offer some manner of support. Other than this I've found nothing wrong with Zapier!

### "Connecting Apps through basic online automations"

November 17, 2025

4.0

Zapier is an online automation platform which we use to connect Wufoo forms with TrackVia. It is great for automating data from one platform to another, so we no longer are required to do manual entries of data from Wufoo to TrackVia.

Pros

Creating a basic Zap in Zapier is quite easy and does not require knowledge on coding for non-technical users.

Cons

Connections are limited with the free plan, so pricing is the issue when you want to do a complex connections like multi step zaps. But as we use another online automation platform we don't really require a paid plan.

Overall Zapier will save you time and money with how many features it has, it helps keep small to medium companies stay up to date on modern advancements in technology.

Pros

The price to value is incredible, you are able to find pre-made automations for the systems you already use. You save time in day to day activities with little time to invest in automating and money invested.

### "Great tool for automating across marketing stack"

January 17, 2025

5.0

Zapier has been an incredibly valuable tool for us, constantly innovating and offering an impressive breadth of integrations that have transformed how we work. It’s easy to learn and use, making it accessible to the whole team, and it’s helped us create significant cost and resource efficiencies across our marketing and customer service operations. The no-code/low-code approach is brilliant for setting up automations quickly, but it does have its limitations when it comes to handling more complex workflows. Pricing can also be a challenge, as costs can add up quickly when you’re running multiple Zaps at scale. That said, Zapier remains an essential part of our toolkit, offering super convenience and functionality for streamlining our processes.

Pros

Constantly innovating. Easy to learn. The breadth of tools that can be connected is amazing. We've created cost & resource efficiencies across the full marketing & customer service stack

Cons

Pricing - if you utilise a number of zaps that costs can really add up. Zapier is a great no code / low code tool but not always the best solution if you're looking for highly complex automations

Excellent tool that is crucial for my team to reduce manual work where applications don't have a native integration.

Pros

Ability to connect applications where a native integration does not exist. Easy to use and setup for non-technical staff

Cons

Broadly positive. It helps out most when we would struggle to obtain our own API keys and permissions.

Pros

It is our go-to integration platform when we need one to bridge into high-end applications like Office365 and Google Reviews.

Cons

It can be fiddly to create and add steps, particularly when they are self-coded. The Zapier Agents offer was underwhelming.

### "Zapier: an automation must-have for technical and non-technical users"

August 3, 2025

4.0

I think Zapier is a great product. I have been using it for close to a year, and so far I have had no complaints. I like the fact that I can integrate it with apps like Notion and Discord without having to get subscriptions for both apps. The email tips are great, and the available functionalities on the free tier are also impressive.

Pros

I like the simplicity that Zapier offers. The UI is pretty intuitive, and a non-technical person will have no issues understanding it. So far, I have had no technical complaints or issues while using it. I particularly like the fact that it feels like a free-to-use model, as you get pretty much the same value for the free tier as you would for a paid one (more freedom). The security and data management systems are also second to none. I have a few accounts linked to it and have not had any breaches so far. The support team constantly sends tips to help you use the software better.

Cons

The limit on the number of "zaps" and the absence of a pay-as-you-use model for free users bugs me. For the occasional user, the cost of the subscription packages might be a lot, hence the need for a pay-as-you-use model.

Love the step by step navigation. Have used to map from pandadoc back to Hubspot to update deal amounts and stage etc and works perfectly.

Pros

The ease of use and easy navigation. Choosing a record to use an example is great to see what you need to add, take away. And the ability to test and every step of the zap.

Cons

Sometimes takes a while to get help from support. This is just due to time zones but can cause a frustration.

### "Zapier is my go to automation tool "

August 14, 2025

Pros

Zapier saves me hours of manual work every week. I mostly use it for CRM integrations, like automatically updating contact records and triggering follow-ups, and it works reliably. It hooks into other platforms I didn’t even think it could connect to. Support’s been quick to respond every time I’ve had an issue, they’ve always tried to help however they could.

Cons

The user interface is pretty slow and not the easiest to get around, and some features like certain zaps need a paid plan.
