Zapier is the fastest way I know to turn a marketing or sales workflow idea into a live automation. As Head of Growth, I rely on it to keep our acquisition data flowing cleanly between ad platforms, CRMs, and analytics tools without engineering dependency. It's not the cheapest option once you scale, and it's not the deepest for complex enterprise logic, but for speed-to-value and breadth of connectors it's still the default. I'd recommend it to any growth or marketing operator who needs to move quickly — just keep an eye on task usage as you grow.

Pros

Zapier has been the connective tissue of my growth stack. The breadth of integrations is unmatched — I've used it to wire HubSpot to Salesforce, push form submissions into Attio, sync ad lead forms (Meta, LinkedIn, Google) into our CRM in near real-time, and trigger Slack alerts on high-intent activity. The visual Zap builder is genuinely accessible, which means I can spin up a working automation in 10–15 minutes without pulling an engineer in. Multi-step Zaps, Paths (conditional logic), and Formatter are powerful once you understand them, and the recent AI-assisted Zap builder has cut setup time noticeably.

Cons

Pricing scales aggressively as task volume grows. Once you're running enterprise-volume workflows across multiple CRMs and ad platforms, the per-task cost becomes a real line item to defend, and it's easy to blow through your tier without realising it. Some of the deeper integrations are shallower than they appear certain HubSpot and Salesforce actions don't expose every field, which forces workarounds with custom webhooks. Error handling could also be more proactive; you often only notice a broken Zap when downstream data goes missing, rather than getting an immediate alert. For more complex orchestration, I've found tools like Make or n8n more cost-efficient at scale.

Pros

The biggest pros are the huge integration library, the no‑code editor, and the reliability for simple workflows. It’s straightforward to build basic Zaps off common triggers (new email, new row, new form entry, etc.), and we appreciate being able to start from prebuilt templates and then adjust them for our property management use cases. For a lean team, that means we can “hire automation” instead of hiring another admin just to move information between systems.

Cons

On the downside, pricing does ramp up as you add more Zaps and volume, and you have to watch task counts if you’re connecting multiple apps across a growing portfolio. More advanced workflows can also get complex to debug—especially when there are conditional steps or multiple branches—and support/documentation sometimes require a bit of digging when something breaks

Overall, Zapier is a really great platform and has helped us bring most of our ideas to life. If you want a no-hassle drag and drop interface, and have some technical knowledge or know how to map out conditional logic (if this, then that), then this is the platform for you. If you have really complex logic and do not want to have to code and test python and create sub-automations, then look for something like n8n.

Pros

Zapier is one of the more cost-effective automation platforms out there. It is easy to use with a drag and drop interface, and has plenty of documentation to help you automate whatever use case you can imagine (to some extent, of course). Customer support has gotten a lot better over the years and I would like to say is pretty quick in getting issues resolved. I love all the notifications we get with zapier run errors and the ability to see where exactly the hangup is, what it is, and the ability to in-line edit the data and re-run the errored steps to avoid interruptions. I love that I can have a folder structure as complex as I want to store and organize all of our company's zaps.

Cons

Zapier likes to change their interface a lot. Since 2022 when I first started using Zapier here at the company, I cannot tell you the number of times the UI/UX has changed. Sometimes for the better, but other times with changes that I don't like at all. They also do this without notice and with no guided workflow tool to guide you through the updated interface to find what you need. It is sometimes like learning a new software all over again... Not the best. There are also limitations when it comes to decision paths on how many paths you can have and sub-paths. If you have complex use cases, you have to have zaps within zaps (called sub-zaps), which is not ideal and creates additional overhead from an IT perspective.

Zapier is truly useful for maintaining my workflows seamless, particularly as part of a small team whose timelines are tight. This frees up my time for design and client needs so that I can focus on what I love doing. Occasional glitches can occur, but there is customer support that reacts and can help solve problems within a reasonable time. Although the price is a little steep, it is worth considering for any creative professional who is handling multiple tools and is pressed for time.

Pros

Zapier has been a lifesaver when it comes to automating repetitive tasks. As a graphic designer I have to work with a number of platforms, such as Google Drive, Slack, and Trello. Zapier helps me connect them, so I'm not wasting my time keeping them updated or notifying the team about changes. This comes in particularly useful for client feedback loops and efficient organization of project assets. Setup is speedy, and the integrations appear ceaseless.

Cons

Sometimes Zaps do not work as intended, particularly if there are complicated conditions. Solving those problems can take more time than I would prefer and the error messages aren't always obvious to the non-technical user that I am. Also, the cost can be quite expensive if you require higher level plans, which could be difficult for us as a small company. Some additional pricing options would be nice.

We're a small business and routine tasks are important, but we don't need any IT overheads to use Zapier. There are some occasional issues with workflows, but nothing that can't be overcome. It is a practical tool to help streamline the process of handling bookings, internal communication and client follow ups. Customer support is responsive but there are more technical guides to setups on the actual ERP.

Pros

We've had a lot of success using Zapier with our booking system to integrate it with other tools, like Slack and Google Sheets. No coding skills are needed to set up workflows, saving time. It’s especially helpful for handling repetitive tasks like updating client records or tracking inquiries. The number of pre-built integrations is vast, and it's actually quite smooth for smaller teams (like ours) with multiple things going on.

Cons

At times, a workflow fails without any error messages, making it more difficult to troubleshoot. For some integrations some things I need to just find a way around. If you require higher tier plans for more Zaps and higher level apps, pricing can get costly. More documentation to address advanced data management issues would be desirable.

Zapier worked well for our needs and helped keep our systems connected, but the value equation was mixed. From a functionality standpoint, it delivered. From a cost perspective, it felt hard to justify paying a higher monthly fee for only a handful of low-volume but necessary automations. We found it useful, but it would be much more appealing if there were better pricing options for small businesses with modest automation needs.

Pros

Zapier does exactly what it promises: it connects tools that otherwise wouldn’t integrate easily. We use it mainly for syncing leads and client data between platforms like MINDBODY, Meta, TikTok, and Google Sheets, and once the automations are set up, they run reliably without much maintenance. The setup is flexible, integrations are extensive, and for critical workflows it can be a real time saver. For small teams, having these automations in place removes a lot of repetitive manual work.

Cons

The biggest downside for us was pricing. Even with very light usage and only a few automations, we had to move to a paid plan that felt expensive for what we actually used. There isn’t a well-priced tier for businesses that need Zapier’s premium features but don’t run high volumes of tasks. Also, when something goes wrong, error messages can be unclear, which makes troubleshooting more difficult than it should be for non-technical users.

I genuinely love using Zapier. It’s the tool I reach for first because it’s reliable, predictable, and doesn’t bury me in unnecessary AI layers. I’ve tried Make and a handful of the newer automation platforms, but Zapier still feels like the most practical option for the way I work. It does exactly what I need without turning every simple workflow into a science project, and that’s why it stays my go-to.

Pros

Zapier connects all my software seamlessly, and once a zap is set up, it runs reliably without much attention from me. I find the platform easy to use, and it saves a ton of time by keeping everything automated in the background. I also appreciate that they’re always adding new integrations, which keeps the tool flexible and useful as my tech stack grows.

Cons

The biggest challenge is that most of my clients struggle with it. Even simple automations feel overwhelming to them, and the interface isn’t very beginner-friendly. I no longer have to manually enter data into JIRA and SAP which has eliminated another thing from my list of things to worry about. So by doing this ourselves, we can save ourselves hours upon hours of waiting.

Pros

This allows me to simply "click" the connector I want and then automatically integrate. I was also very surprised that the custom slack integration worked (it pulled data) instead of completely falling apart like I had fully anticipated. I no longer need to cut and paste information back and forth. It is nice that the background syncing works in addition to what I thought would never work.

Cons

The CSV parser tool has been a huge block to completing everything we are trying to accomplish. The CSV parser will only parse 50K records and since the lookup table only holds 100K entries, it completely messes up our Asset file imports. Debugging is also terrible. Occasionally, our cost will spike when running large volumes of data; however, every time I submit a ticket to their support team, they close it without ever fixing the Ruby code issues I have.

We set up Zapier often for clients to trigger marketing or project management operations. Our clients love how easy it is to connect softwares and it saves them manual entry time!

Pros

Zapier makes it easy to create custom automations that solve complex problems cost effectively! Their AI helps cut time building automations by 75%! I also appreciate that their AI helps troubleshoot zaps! My favorite feature is that you can actually explore your Zap runs and Zapier will show you successful runs or why a Zap failed. This has made troubleshooting so easy for clients!

Cons

I have had issues with software API blocking Zap's effectiveness. AI did help me create a work around to still create the automation we needed.

### "I am glad this works go good"

Prior to finding this software my sales tools were not communicating with each other and I had to do everything by hand. It brings my toggl timekeeping info into my cms so I don’t have to keep track of all these different dates. This is better than that other application I spent 5 hours on before I got frustrated and left it for this.

Pros

I’m happy the support team people are pretty good about answering emails quickly as I thought I would be stuck here till tomorrow. They have many drop down options for most things so they’re easy to use no matter how much of a non-computer person you are. I am shocked I did not have to write one line of code to get the google contacts synced. They list alot of applications.

Cons

I feel it’s way to expensive unless you’re using it for every possible thing in your life. Sometimes the french translation will not make any sense and it will be difficult to figure out where the correct button is to press. I am totally annoyed. I also hate it that some of the features such as the time delay feature do not automatically come with the software.

Overall, I couldn't be happier. I personally have tested most of the competitors, and I am yet to find one that offers as much platform coverage as Zapier does: easy to implement (to a point), easy to deploy, and most importantly, a very reliable and safe platform.

Pros

It mostly definitely has to be the massive amount of integrations available. Any SaaS you can name is available: CRMs, etc. I am yet to come across a platform we needed to integrate with Zapier that wasn't available, which is amazing!

Cons

Although it offers a massive array of available platforms as I mentioned earlier, some platforms surely lack certain triggers and options for certain platforms, even a few big ones, such as Google Sheets, doesn't offer a massive gamma of triggers. Also, data manipulation and API solutions can be complex, even though they are relatively straightforward for simple 2 - 3 step automation, they can become cumbersome once you have multiple steps and several data flows within a single Zap.

Overall, Zapier has been amazing for both our business and our customers. We’ve built tailored Zaps that handle everything from internal scheduling tasks to automating client-facing workflows in sales. It has improved efficiency across pretty much every team now, enabling us to scale processes without increasing overhead. Even with minor challenges, the time saved and improvements to productivity far outweigh any drawbacks.

Pros

Zapier’s ease of use and flexibility stood out the most for us. Setting up Zaps is really easy, I’ve got a few of the team trained up now, even for complex workflows. It has delivered real value for money by automating repetitive scheduling and admin processes, we used to spend a good few hours a week on calculating time on jobs but Zapier has fixed this completely. In a previous job I built a lot of Zaps for customers, having the ability to copy workflows I've developed into their account was a massive win.

Cons

While the platform is powerful, pricing can become expensive as usage grows, granted when we’ve messed up and built costly Zaps they have been super accommodating and useful to fix them. Some integrations occasionally have limitations compared to native tools, which can require creative workarounds. I will say data management can be tricky until you get your head around tables. That has helped massively but there's a learning curve when you're used to just using spreadsheets.

In fact, today alone Zapier saved me many hours of tedious and monotonous manual data entry, it is a really good investment.

Pros

It connects things, and as far as I can see, it has done so (at this point in time), which was very impressive.

Cons

I do not believe that searching for the "hidden" settings of how to configure some of these "hidden" features is unreasonable to spend your time doing. If it takes you at least three separate levels in the "activity log" menu path to get there, then maybe it should be named differently. It often times does not even inform you when one of your zaps fails; therefore, it could be hours before you notice.

Works fine, it's very reliable and if your zaps aren't very complex costs are very reasonable. But nowadays you can get other alternatives, specially for internal use.

Pros

It’s the most well-known app of its kind (now maybe shares this title with N8N). Among that, the app is easy to use, has a HUGE pool of connectors (probably the biggest available) and you can start free (some sources like Facebook Lead Ads require a paid account, but 99% can be used even with the free tier).

Cons

Actual pricing has two different things: Zaps (a "recipe" from app A to app B) and tasks (each action that Zaps make). Pricing is based on TASKS, so if you make complex workflows (like in N8N) it can be very pricey, as each zap can consume a lot of tasks. For simpler zaps, it's very reasonable.

Cons

You will need to pay if you want to run multi-step zaps or do anything meaningful with Zapier. Sometimes Zaps crash, but we are already notified sooner.

Pros

My use of Zapier has been limited, but has been significant for what I needed. The broad range of integration capabilities is what makes this service so important. In a world of APIs and the need to have constant integrations, you can't go wrong with Zapier. It is fairly easy to use and their customer support is extremely helpful! Compared to other similar integration services, the cost is also appealing.

Cons

It can be a little confusing if you do not understand API integrations. While they are very easy to work with, it is just a different world for some folks.

I still use Zapier and will continue to do so. I've since moved from Calendly to NeetoCal and from Mailchimp to MailerLite. I have yet to create those connections. But I'm sure it will work. Basically, if there's an open API, you're golden.

Pros

What I like most about Zapier is the ability to connect software without being a developer or relying upon the SaaS products themselves having native integrations. For example, I wanted new clients that I created in Xero to be added automatically to my Mailchimp list. I did the same with new contacts from Calendly sales calls. It was really easy.

Cons

Sometimes, when a connection doesn't work, it is frustrating for a non-developer to figure it out. For example, I would have issues with "email address" in Xero contacts. But those were vendors (as in accounts payable), not new clients. So maybe it was user error but it was frustrating.

Zapier has silently automated the repetitive tasks in my life, transferring data between our support system, email, and internal applications to allow me to spend more time troubleshooting technical problems.

Pros

My favorite feature is the ability to make small automations, which update spreadsheets, inform teams, or automatically open tickets when some events occur in other systems.

Cons

I hate that one wrongly-configured step can destroy a flow without any warning, and I do not always realize that something is missing until somebody notifies about it.

### "Zapier pour des tâches automatisées "

J'utilise Zapier depuis plus de 2 ans aujourd'hui et j'ai toujours des zaps qui tournent. Les automatisations cassent parfois, mais je reçois instantanément une notification pour tout régler.

Pros

J'aime le concept d'automatiser certaines tâches : envoi automatique de mails, de factures et entrer de donnée sur CRM . J'ai du mal à créer les automatisations moi-même (les zaps), alors j'utilise des templates.

Cons

Utiliser Zapier est souvent très chronophage. J'ai plusieurs adresses mail Google et pouvoir lier différents comptes à Zapier pour les utiliser différemment, c'est compliqué.
