Even seemingly distant systems can be connected in some way, including through generic webhooks. This makes data silos and complex reporting much easier. Community-provided zaps also cut down on configuration steps, so that you do not need API experience to create a connection. Cons Zaps can be hard to configure and design if you do not have somewhat intimate knowledge of the tools you are connecting. Most out of the box tools will have easy integrations, but some simply require more dedicated configuration and tinkering. Zapier is also expensive, compared to other potential approaches. I do, and I'm going way deeper in 2022. But it takes two things to publish on eight or more platforms every day. Time or another employee. Zapier is that employee. Simple to set up software that links your social media accounts using IF/THEN plug and play scenarios turns one post into eight in just a few easy steps. If you are a content creator this is an essential software to help you manage growth and sharing content, and if you are a small business owner I think this is a great way to get started on growing your social media marketing game. Pros Simple, easy to set up and use. Easy to connect accounts with plug and play functions. Cons Could use more social channels to connect, and options for older content. For example, IF you publish a new Youtube video, THEN share to Twitter. (But I'd like to be able to access and re purpose older evergreen content.) It allows me to stay on top of important changes to my apps and respond immediately when needed. Pros What I liked the most is its ability to flexibly and efficiently integrate different web applications, also the interface is easy to use and its configuration is quite simple. The platform has a wide variety of preconfigured applications that can be connected in a few steps. I also like it because it offers a search feature to easily find specific integrations. Cons Although the platform offers a wide range of preconfigured apps, I have encountered some limitations in terms of the availability of specific integrations. " August 27, 2019 5.0 Pros I really like how easy it makes it to connect multiple apps. You can set up triggers and then corresponding actions to those triggers. You can automate so much of your "menial" tasks that it will free up large chunks of time for you. Its compatibility range is very large as well so chances are whatever software you are using already has the ability to work with Zapier. And the few that dont can use Zapiers existing documentation to create Zaps. Generally if you can envision a workflow between two apps, Zapier will most likely be able to help you create it. Cons It is a little complex to set it up for the first time. It might require some trial and error. And if your usage is high enough, you will run out of the "free" option pretty fast. I love the idea. The execution is also much better than at least one other application I've seen, which I appreciate. I think the thing that sets Zapier apart is the customer support. Folks at Zapier are willing to help you learn and do better, and that means a LOT to me. I also really applaud the company for its philosophy and ethos of collaboration, freedom, and openness. Thank you, Zapier, for restoring quite a bit of my faith in tech companies. Pros I love that Zapier can automate all sorts of things that otherwise I have to do manually. It's a really amazing idea, and automation has really founds its place in the spotlight recently. It also integrates with, at this point, basically every application known to man, meaning that every single thing you might want to do is basically possible. Talk about awesome! Cons I will admit that I am not very good at creating zaps. It takes me a lot of time and effort, and I still don't really understand what I am doing most of the time. Thankfully, the customer support is STELLAR and I always get the help I need. Zapier also sends you notes to let you know when you've done something wrong, which is quite nice of them. Pros They provide an integral management system, a global business management software, it has a task or project management system, when two applications can complement each other and it makes sense to use them, they include automatic synchronization with calendar applications, many organization functionalities and support includes native unifications. Cons Don't forget to check these extensions to see if a connection between them is already developed. If your processes are very specific, it is possible that even if two applications have a native integration, it will not allow you to create exactly what you are looking for. Cons Although anyone can use it, to use any of the more advanced features does need some coding knowledge - simplifying that would be great. Another one is the User Experience of building the ZAPs. Cons The confusion about personal and team plans. Moving ZAPs back and forth between personal and team plans. Zapier allows you to automate your workflow processes and run automatically using multiple systems. It has greatly reduced the amount of manual work that my team does in multiple systems. Cons Zapier has out of the box zaps (workflows) that are easy to use but creating but getting truly integrated is not easy. Auto filling a spreadsheet from web form submissions, emails when a sale happens, etc. - it's all possible and streamlines workflow. Pros It allows incredible automation features to be set up between two very separate pieces of software. A trigger in one of them leads to an action in another. In the world of digital marketing things often get complex and bringing in a bit of automation here and there is always helpful. Zapier has allowed me to set up email notifications for Facebook lead campaigns so that each new lead is then outreached immediately by the sales team. This is just one of many examples where Zapier has been irreplaceable. Every business I've worked with has either used Zapier or could use it to automate certain actions and take work load off staff members. If one is starting out and needs automation in their business for repetitive tasks, I would recommend Zapier. Pros The ability to create tasks that could be automated without the need for knowing to code. One can avoid hiring a developer to create a code integration between two or more applications. This is great for multi step/multiple apps. Zapier has an extensive list of software that can be integrated and it's the first choice by development teams that their software is available to the platform. We've found it useful for integrating our social media apps with each other email services. Helping build our audience. For those that are new and have few tasks, there is a free option. Cons It is limited to products that have an approved API. The number of 'Zaps' is limited by the plan and sometimes but the apps that are being integrated. Creating Google Sheets of logs from API calls, that can be reviewed/analysed monthly Pros The interface is really intuitive, and the way the Zaps (API calls) interact with each other is flawless - if there is ever a data problem, it always lies with one of the in-out APIs rather than with Zapier. The feature that allows you to modify data in between the input and output stages is super-powerful, using RegEx and Boolean qualifiers. Cons The capability of Zapier is limited by the information that the input/output APIs supply, and sometimes those limits mean that a much heralded connection between two APIs is not as great as it sounds, although this is not really Zapier's fault. Cons Wish more connectors were available for smaller cloud-based applications. I use some more industry specific applications that are not on Zapier. So, if user fills a form, something else happens. If a user fills say, a form that they want private training, it should get emailed to a specific person to follow up. What's neat about Zapier is if you want them to email that request to a specific person, then put them on a email workflow within your email platform, that sends follow-up emails. Which then also sends them to your SMS platform so you can follow up via text messages. Pros Zapier is a great tool to hook up two pieces of software and have it communicate with each other. I can quickly deploy a zapier solution that used to require me to write a lot of code. I can tell my non-techie team to use zapier instead of harassing the dev team. It's been a huge time saver. Cons Maybe I'm an edge case, but I frequently find two pieces of software that I use that need to communicate in a specific way, and there's no way to do that in Zapier. It's as if they look for the most basic application. As a developer, I am able to look at the api docs, spend an hour or two connecting the dots and testing, and it works. Which begs the question - why can I do it and Zapier cannot? And if I wasn't a developer, how many people need these features and they aren't getting it? Review Source CT Christian T. The paid plan is very expensive, but is a great investment over a Virtual Assistant. Pros I love that you can create 5 free 'Zaps' a month. Zap is pretty much an automation that communicates with the apps you set it up with. For example, if I wanted to add a newsletter subscriber, I can use Zapier to add them to a newsletter, and use a Zap to also add their name to a database at the same time. It takes a manual step out of your process, which will save a you tons of time. Cons It's ridiculously expensive if you get a plan above 5 free zaps. However, if you have tons of automation and processes that you do manually, then investing may be a good idea. If you are thinking of getting a Virtual Assistant, then you may definitely want to consider Zapier as the zap options may negate the need of a VA, and will save you money by subscribing to Zapier annually as opposed to paying a VA weekly/monthly.
