### "Child's play once you've read the manual! ✨"

January 15, 2025

5.0

Pros

Zapier feels like child’s play once you go through the walkthrough! I just make sure to have the details ready for the two apps I want to connect, and voilà—after a few quick steps, my automation is all set up. Have been using it for both personal & client projects :)✨

Cons

Cost is an issue sometimes, for a solo entrepreneur/freelancer like me.

### "Great for My Workflow, Tough for My Clients"

November 21, 2025

4.0

I genuinely love using Zapier. It’s the tool I reach for first because it’s reliable, predictable, and doesn’t bury me in unnecessary AI layers. I’ve tried Make and a handful of the newer automation platforms, but Zapier still feels like the most practical option for the way I work. It does exactly what I need without turning every simple workflow into a science project, and that’s why it stays my go-to.

Pros

Zapier connects all my software seamlessly, and once a zap is set up, it runs reliably without much attention from me. I find the platform easy to use, and it saves a ton of time by keeping everything automated in the background. I also appreciate that they’re always adding new integrations, which keeps the tool flexible and useful as my tech stack grows.

Cons

The biggest challenge is that most of my clients struggle with it. Even simple automations feel overwhelming to them, and the interface isn’t very beginner-friendly. When workflows get more advanced, the learning curve becomes even steeper, which means I often have to build or troubleshoot things for them, especially when they become disconnected or need updated.

Alternatives considered

[Make](https://www.capterra.com/p/154278/Integromat/)

Reason for choosing Zapier

I chose Zapier because it’s faster for me to build in and far easier for my clients to understand. Make is powerful, but it turns even simple workflows into a giant visual map that overwhelms most business owners. Zapier keeps things clean and predictable — I can set up a zap in minutes, test it, and know it’ll run exactly the way I expect.

### "Ran my business for years, now replaced by better APIs and AI"

March 13, 2026

3.0

Zapier enabled me for years to run a business with a lean team. However, the unspoken key is simply working with better softwares that have great APIs, as more native or AI-assisted connecting is happening everyday

Pros

Extremely large, nearly comprehensive connections to software, with an easy non-technical setup, and helpful AI assistance.

Cons

Unreliability veiled through ease-of-use, and byzantine permissions settings that make it difficult to complete integrations sometimes when paired with 2auth related issues

### "Superior but needs affordable tier plan"

December 11, 2025

5.0

Pros

Zapier has been consistently helpful and revolutionary in integrating our WordPress website with Pipedrive (CRM). The process is straightforward, and the AI agents have been instrumental in helping us shape it.

Cons

In the market, Zapier is more expensive than its competitors. I recommend introducing a subscription tier tailored for freelancers and influencers, enabling users with simpler needs to access and benefit from its features.

### "In-depth automations at the tip of your finger"

September 22, 2025

5.0

Overall, I couldn't be happier. I personally have tested most of the competitors, and I am yet to find one that offers as much platform coverage as Zapier does: easy to implement (to a point), easy to deploy, and most importantly, a very reliable and safe platform.

Pros

It mostly definitely has to be the massive amount of integrations available. Any SaaS you can name is available: CRMs, etc. I am yet to come across a platform we needed to integrate with Zapier that wasn't available, which is amazing!

Cons

Although it offers a massive array of available platforms as I mentioned earlier, some platforms surely lack certain triggers and options for certain platforms, even a few big ones, such as Google Sheets, doesn't offer a massive gamma of triggers. Also, data manipulation and API solutions can be complex, even though they are relatively straightforward for simple 2 - 3 step automation, they can become cumbersome once you have multiple steps and several data flows within a single Zap.

Alternatives considered

[n8n.io](https://www.capterra.com/p/198028/n8n-io/)

Reason for choosing Zapier

It felt that “n8n” features primarily targets individuals with extensive coding experience. While it’s no doubt a valuable feature, it may not be entirely suitable for the general end-users

Switched from

[Make](https://www.capterra.com/p/154278/Integromat/)

I must admit that Make is a clear choice over Zapier when it comes to UI/UX. It makes workflows more engaging and visually appealing, especially as it expands to include more features. However, it does lack in terms of platform support.

### "King of automation software is still relevant"

September 19, 2025

5.0

Works fine, it's very reliable and if your zaps aren't very complex costs are very reasonable. But nowadays you can get other alternatives, specially for internal use.

Pros

It’s the most well-known app of its kind (now maybe shares this title with N8N). Among that, the app is easy to use, has a HUGE pool of connectors (probably the biggest available) and you can start free (some sources like Facebook Lead Ads require a paid account, but 99% can be used even with the free tier).

Cons

Actual pricing has two different things: Zaps (a "recipe" from app A to app B) and tasks (each action that Zaps make). Pricing is based on TASKS, so if you make complex workflows (like in N8N) it can be very pricey, as each zap can consume a lot of tasks. For simpler zaps, it's very reasonable.

### "We lost money because of zapier"

October 22, 2025

We lost revenues because of the 2025-10-20 incident. Zapier was unavailable during all the day and doesn’t want to refund. We are clients since 2020 and this is not acceptable.

Cons

### "Great automation tool for productivity"

March 10, 2026

5.0

My overall experience with Zapier has been excellent. It helps connect multiple apps and automate repetitive tasks without coding. It is a great tool for businesses and individuals who want to increase productivity and manage workflows more efficiently.

Pros

Zapier makes it easy to automate tasks between different apps. The interface is simple and it supports many integrations, which helps save a lot of time and improves workflow.

Cons

Some advanced features require a paid plan, and beginners may need a little time to understand how complex automations work.

Overall, great experience and easy to learn user interface. It integrates seemlessly for our intraweb system

Pros

Cons

Pros

I think Zapier is a awesome tool to make work flows easier and helps ensure accurate data managment by tracking multiple softwares.

### "A Must-Have Tool for Automation and Growth"

May 16, 2025

5.0

Zapier has been a huge asset for streamlining and scaling my business operations. I use it to automate lead capture, onboarding, customer segmentation, and more. For example, when someone books an appointment through TidyCal, Zapier instantly adds them to my email marketing list, tags them appropriately, and sends a welcome message—all without me lifting a finger. It keeps my workflows clean, consistent, and efficient. It’s one of the few tools I rely on daily.

Pros

Zapier is incredibly intuitive and powerful. It allows me to connect tools that don’t natively integrate and automate repetitive tasks across platforms. The number of available apps and triggers is impressive, and even with minimal technical knowledge, I can set up workflows (“Zaps”) that save me hours each week. It’s also been stable—I rarely encounter issues once a zap is live.

Cons

The learning curve can be steep for more advanced workflows, especially if you're not familiar with logic-based tools. Some apps require premium plans to access certain triggers/actions, which can be a bit limiting for small businesses on a tight budget. Debugging multi-step zaps can also be a bit tricky without clearer error logs.

### "Connecting our disjointed hotel systems."

January 15, 2026

5.0

In hospitality we use too many separate apps. This tool acts as the bridge that keeps our data management consistent. It saves us hours of busy work, though the price for higher tier plans feels steep for a small business.

Pros

Moving guest data from one system to another is my favorite feature. It allows me to move guest data between our booking engine and PMS automatically without any manual copying.

Cons

The cost can increase if you are going to do complex, multi-step automation. Debugging specific errors when a connection fails is often confusing for people with little or no experience with network technologies.

### "Great tool to save time and automate processes"

October 31, 2025

5.0

Zapier allowed my company to streamline internal processes and manage org workflows much seamlessly and faster.

Pros

Zapier is a great platform to automate and sync processes, saving a lot of time and reducing the risk of manual errors, while keeping a simple and interactive UX. It also has a community that helped me debug issues when I encountered them, as well as the client support team that has always remained attentive to solving my inquiries.

Cons

It would be great to keep on making conditionals for paths smarter, since otherwise it forces me to create a path for each future date of events, instead of asking it to run a different path each first Thursday of the month (for example)

### "Useful but could be more user friendly"

October 23, 2025

4.0

Essential tool, wish it was a bit more user-friendly and did not require tech-savvy staff to navigate it.

Pros

Zapier provides automations to help save time and manual work in transferring information between platforms. Some of the automations are really valuable for us.

Cons

Changing automations was a pain when we had a change in staff and ownership of zaps needed to be adjusted. Its also sometimes slow to troubleshoot zaps that break down.

### "Powerful automation but bit pricey"

October 17, 2025

4.0

Zapier became an important part of the workflow. I like you can save time by automating manual data entry tasks but it can get expensive if you require heavy automation.

Pros

Zapier can help you hours by automating tasks that are repetitive and can connect apps which generally dont connect. Zaps can set up easily by a non technical user as well.

Cons

It is bit expensive and when you start multi step zaps or if you require higher limits. The intregrations between apps can break as well sometime and troubleshooting can take quite a time

Pros

Cons

### "Connecting Apps through basic online automations"

November 17, 2025

4.0

Zapier is an online automation platform which we use to connect Wufoo forms with TrackVia. It is great for automating data from one platform to another, so we no longer are required to do manual entries of data from Wufoo to TrackVia.

Pros

Creating a basic Zap in Zapier is quite easy and does not require knowledge on coding for non-technical users.

Cons

Connections are limited with the free plan, so pricing is the issue when you want to do a complex connections like multi step zaps. But as we use another online automation platform we don't really require a paid plan.

### "Zapier helped us automate our marketing workflows"

April 30, 2025

4.0

Our experiences has been great. Without Zapier, we would have no way to automate our website engagements. We are dealing with hundreds of submissions each year, so that saves us so much time. And that is all because of Zapier.

Pros

My company uses Squarespace for our website and the tracking is very limited. We moved away from Google Suite and there was no way to easily automate form submissions with Microsoft. Zapier helped us to do that. We can fully automate our marketing emails thanks to Zapier connecting our website to Hubspot. It is pretty flexible and offers a lot of features. Also, their updated pricing plan is great and allows much more on the free version.

Cons

It can be tricky to use at times. Setting up form submissions from Squarespace into Hubspot can be tedious if you are inexperienced. And not being able to use Webhooks without a paid plan is a bit frustrating, but understandable.

### "Essential tool for any marketing team"

May 26, 2025

5.0

Excellent tool that is crucial for my team to reduce manual work where applications don't have a native integration.

Pros

Ability to connect applications where a native integration does not exist. Easy to use and setup for non-technical staff

Cons

Sometimes the integrations don't work exactly as intended - this may be more of an issue with the applications themselves and how they are setup vs. Zapier itself.

### "Zapier streamlines my work"

December 13, 2024

5.0

Overall, Zapier has been a solid tool for streamlining my workflow. It's not perfect, but it definitely makes my work life easier. The time I've saved is worth the investment, and I appreciate how it helps me focus on more important aspects of my business instead of getting stuck in manual data entry. If you're looking to automate some of your routine tasks, it's definitely worth checking out.

Pros

Zapier has been super helpful in connecting my apps without me having to do everything manually. I love how it automatically moves information between my tools - like when a new lead comes in, it instantly updates my spreadsheet and sends a welcome email. It's saved me a ton of time, especially with repetitive tasks that used to eat up my day.

Cons

The pricing can get a bit steep if you want to do more advanced automations. The free version is pretty limited, so you'll likely need to upgrade as your needs grow. Sometimes the app connections can be tricky, and if something changes in one of your apps, your workflow might break unexpectedly.

### "Zapier: an automation must-have for technical and non-technical users"

August 3, 2025

4.0

I think Zapier is a great product. I have been using it for close to a year, and so far I have had no complaints. I like the fact that I can integrate it with apps like Notion and Discord without having to get subscriptions for both apps. The email tips are great, and the available functionalities on the free tier are also impressive.

Pros

I like the simplicity that Zapier offers. The UI is pretty intuitive, and a non-technical person will have no issues understanding it. So far, I have had no technical complaints or issues while using it. I particularly like the fact that it feels like a free-to-use model, as you get pretty much the same value for the free tier as you would for a paid one (more freedom). The security and data management systems are also second to none. I have a few accounts linked to it and have not had any breaches so far. The support team constantly sends tips to help you use the software better.

Cons

The limit on the number of "zaps" and the absence of a pay-as-you-use model for free users bugs me. For the occasional user, the cost of the subscription packages might be a lot, hence the need for a pay-as-you-use model.

### "a helpful automation tool"

December 1, 2025

5.0

Zapier helped me connect several tools without coding. Automations run smoothly and cut down repetitive work in daily tasks.

Pros

The interface is clear, and creating workflows takes only a few minutes. Integrations are numerous, and triggers/actions make automation easy to build.

Cons

Some advanced workflows require higher plans. When many Zaps are active, organizing them properly becomes important.

### "Excellent tool to integrate applications without technical knowledge"

December 17, 2024

5.0

I am a web designer and sometimes I need to integrate localized forms into my website, so that they can be integrated with other tools such as CRM, Google Sheets, etc. For example, on one of my websites, it was easy for me to integrate a form created in Gravity Forms with the Odoo CRM.

Pros

What I like most about Zapier is the number of apps we can integrate without having any programming knowledge. I've had very specific projects where I have to integrate two or more apps and when I look in Zapier, they already have a way to integrate them, this saves me from having to pay someone to do the integration for me.

Cons

I would say the prices are a bit high, also, the first time I used it, I had a hard time understanding how it works.

Cons

### "Zapier is my go to automation tool "

August 14, 2025

5.0

Pros

Zapier saves me hours of manual work every week. I mostly use it for CRM integrations, like automatically updating contact records and triggering follow-ups, and it works reliably. It hooks into other platforms I didn’t even think it could connect to. Support’s been quick to respond every time I’ve had an issue, they’ve always tried to help however they could.

Cons

The user interface is pretty slow and not the easiest to get around, and some features like certain zaps need a paid plan.
