## Overview of TheraNest pricing

[TheraNest](https://www.capterra.com/p/130400/TheraNest-Mental-Health/) is a practice management software application for mental health professionals that has been recognized in our [2024 Capterra Shortlist for mental health software](https://www.capterra.com/mental-health-software/shortlist/). It is designed for therapists, psychologists, social workers, and counselors who are in private practice or members of a non-profit organization or educational institution. TheraNest includes features such as appointment scheduling, note-taking, document management, billing and payments, and more.

TheraNest has five pricing tiers based on the number of clients you have: up to 30 clients, 30–39 clients, 40–49 clients, 50–79 clients, and 80 or more clients. These five tiers can be paid in monthly or annual installments, with a discount available when paying annually. All pricing tiers include the same feature set, but other features (such as e-Prescribe and electronic claims filing) are available for an additional fee.

## Cost breakdown

TheraNest’s pricing model is based on the number of clients you have, rather than the functionality that you want. By making the software’s features available to all pricing tiers, the software takes a more straightforward approach than some of its competitors, removing the need to consider which tier fits your business.

TheraNest offers a 21-day free trial that allows users to explore the platform's features without any initial commitment or credit card requirement. After the free trial, users can select a plan that best suits their practice needs to continue using the platform.

### Starting price

Defining TheraNest’s pricing tiers by the number of clients means that the software is suitable for a wide range of users, from solo practitioners to larger organizations. Offering lower prices for smaller practices also provides room to grow your business organically as you take on more clients. TheraNest subscriptions can be paid monthly or annually, with discounts of roughly one month available when paying annually.

TheraNest’s cheapest tier allows for a maximum of **30 clients** and is priced at $42 per month (or $460 per year). This tier includes the software’s core functionality—including scheduling, note-taking, and billing—and is a good choice for solo practitioners getting a start in private practice and small nonprofits.

The next tier allows for up to **40 clients** and is priced at $54 per month (or $589 per year). This tier includes the same functionality as the base tier, with no additional features besides the ability to take on more clients—which makes it a good choice for growing private practice businesses or smaller nonprofits.

TheraNest’s third tier allows for up to **50 clients** and is priced at $65 per month (or $707 per year). This tier is suitable for larger private practices with a handful of therapists or counselors, as well as non-profits or community health clinics serving a wider community.

The fourth tier allows for up to **80 clients** and is priced at $98 per month (or $1,072 per year). This tier has a much larger spectrum of client numbers (between 50 and 79 clients), which makes it suitable for mid-sized nonprofits and educational institutions with a smaller counseling department.

Finally, the software’s highest pricing tier begins at **80 clients**, with pricing available on request from TheraNest’s sales team. Given TheraNest’s decision to base pricing on the number of clients, the cost likely continues to increase for organizations that have client numbers much larger than 80.

### Billing options

As described above, TheraNest offers both monthly and annual subscription plans, with a discount of roughly one month available for customers who pay annually. While some customers will be attracted to the flexibility of monthly plans, others will prefer the stability (and lower cost) of an annual plan.

Monthly plans offer a cheap way for potential customers to test out the software for a month or two, without having to commit to an entire year upfront. In fact, TheraNest encourages this behavior by offering a 21-day free trial, as well as a software demo from the TheraNest sales team.

In addition, monthly plans are often better for users who need flexibility, letting them move between pricing tiers (or migrate to an alternative solution) without taking a significant financial hit. On the other hand, annual plans are better for users who are satisfied with the software and are willing to make a bigger commitment in exchange for the discount.

### Feature differentiation

TheraNest bases its pricing tiers on the number of clients rather than the feature set. As a result, the only point of differentiation between these plans is the number of clients you can record within the software. Otherwise, all TheraNest subscribers enjoy access to the same base set of features and functionality (with other features available for an additional fee).

The optional features that TheraNest customers can choose to add to their plan include:

- Client portal messaging and self-scheduling

- Appointment reminders

- Eligibility checks

- Individual and group telehealth

- e-Prescribe

- Wiley Treatment Planner

- Electronic claims filing

We’ll discuss each of these features in more detail later when we examine TheraNest's total cost of ownership.

## What users say about TheraNest pricing

Our team looked at more than 900 reviews from verified TheraNest users on our website to understand their opinions on the software’s pricing.

TheraNest offers a range of pricing options that many users find affordable, especially for small practices. Some users have expressed frustration with frequent rate increases and high fees for certain services. TheraNest offers discounts for nonprofits and annual payments, which some users appreciate. However, there are complaints about the lack of flexibility in providing discounts for service outages or other issues.

TheraNest's pricing model is based on the number of active clients, which offers flexibility for growing practices. Users appreciate the ability to adjust their subscription based on their caseload, but some find the per-client pricing structure less favorable as their practice grows. The all-in-one pricing for unlimited therapists is also a positive aspect. Here are some of the things that users mentioned about TheraNest pricing[\[1\]](#footnotes):

I appreciate that it is priced based on practice size. As I have a small practice on top of my full time job, it's nice to not be paying more money than I am bringing in.

## Total cost of ownership

Thus far, we’ve focused on TheraNest’s subscription costs, which are assessed as a flat monthly or annual fee. However, this is just part of the total cost of ownership (TCO) that you’ll pay as a TheraNest subscriber. Below, we’ll go over the other expenses that you may incur while using the TheraNest software.

### Upfront costs

Upfront costs are the initial expenses that you pay when buying or subscribing to software, such as software licensing, setup, customization and configuration, data migration, and onboarding and training.

As we’ve discussed above, the main upfront costs of TheraNest are the monthly or annual subscription fees, sorted into five tiers. However, there are other upfront costs that you might pay for TheraNest, depending on your choice of features:

- **Telehealth:** While TheraNest supports remote therapy sessions, you’ll have to pay extra for the convenience. Individual (one-on-one) telehealth costs an additional $12 per month per therapist, while group telehealth sessions of up to 20 people cost an additional $25 per month per therapist.

- **Client portal features:** TheraNest offers a client portal free of charge to all customers where their clients can fill out intake forms, add insurance, make payments, and more. However, client portal features such as messaging and self-scheduling (compliant with HIPAA regulations) will cost an additional $6 per month per therapist (with a free license included for the first therapist).

- **e-Prescribe:** Subscribers of all tiers can pay for access to an electronic prescription feature, which allows clinicians to check patients’ medication history, prescribe and authorize medication, and order refills. This feature costs an additional $65 per month per clinician.

- **Wiley Treatment Planner:** The Wiley Treatment Planner is a library of pre-made treatment plans, therapeutic interventions, and client goals developed by the publishing company Wiley to help with a variety of mental health conditions. TheraNest customers can access these plans and progress notes for an additional $25 per month per therapist.

One thing to note is that unlike some of its competitors, TheraNest does not appear to charge extra for additional user accounts. This means that solo practitioners and larger businesses with multiple therapists will pay the same for the same number of clients.

### Other costs to consider

Beyond these upfront costs, TheraNest subscribers may also incur expenses in the form of transaction fees:

- **Eligibility checks:** TheraNest users can automatically run eligibility checks on potential new clients to determine if they are covered under their health insurance plan. This feature is only available for customers of the Apex EDI claims clearinghouse, and costs $0.25 per check.

- **Appointment reminders:** Sending bulk appointment reminders in TheraNest is priced per message. Email reminders are included, while sending reminders via SMS or phone costs $0.10 per text or per call. This minor expense is likely worth it when compared with the lost revenue of a missed appointment.

- **Electronic claims filing:** Users can submit insurance claims electronically with TheraNest, but at a small cost per claim. According to the TheraNest website, the cost of filing a claim varies from $0.17 to $0.23 per claim; however, TheraNest does not offer details on how or when it decides to charge a higher or lower price. Other practice management solutions, for example, offer discounts based on the number of claims filed, with discounts available for higher claim volumes.

According to TheraNest’s website, the company also offers managed billing services, which help customers save time and effort by outsourcing their billing workflows. Users will have access to a dedicated billing specialist and regular meetings to discuss claim submissions, approvals, and rejections. The price of this service is available on request from TheraNest’s sales team.

#### Services needed to implement or manage the platform

Fortunately, there shouldn’t be much cost or effort involved in implementing TheraNest for your business. This is because, like many practice management solutions, TheraNest is a software as a service (SaaS) platform. SaaS software is hosted on a remote server and delivered to users via the internet. As a result, you don’t have to pay the costs of installing TheraNest on your own machine or maintaining the software over time.

One factor you might need to consider if you’re migrating from another practice management system is the cost of moving your data into TheraNest. According to the TheraNest website, the company offers data migration services to help you with this effort; however, interested customers will need to contact the sales team for pricing details.

If you encounter an issue while using the TheraNest platform, customer support is available in multiple formats. Fortunately, all subscribers have access to the same level of customer support, and the costs are included in your monthly or annual subscription—so there’s no extra charge you’ll pay when getting help.

#### Internal resources needed for ongoing platform management

Solo practitioners and small teams in private practice make up a large part of TheraNest’s customer base. These businesses don’t tend to be IT-savvy and may not have easy access to IT professionals. In addition, TheraNest has been designed as a user-friendly software platform, even for those with minimal tech skills. As a result, users likely don’t need to devote internal resources to managing TheraNest (such as a dedicated platform manager).

## How to choose the right TheraNest pricing plan

Unlike with some other practice management software, TheraNest customers don’t exactly have many options in terms of which pricing plan they have. Rather, the decision is made for you based on the number of clients you have in the software.

Therefore, the real choice when it comes to TheraNest is whether the software makes more financial sense for your business than its competitors do. Consider the factors below:

_Considerations while choosing the right TheraNest pricing plan_

- **Assess your business needs.** Different practitioners and teams will have different requirements when it comes to EHR software. TheraNest offers the standard features of mental health practice management platforms, including scheduling, note-taking, and billing. In this case, the most important distinction between TheraNest and its competitors is the pricing model. Whereas other practice management software charges based on the feature set or the number of users, TheraNest’s pricing tiers depend on the number of clients you have. Depending on the number of therapists and/or clients in your practice, TheraNest’s pricing model could be a selling point or a detriment for your business.

- **Compare the features of each plan.** The functionality of the TheraNest software remains constant between pricing tiers. To do a proper feature comparison, then, you’ll need to contrast TheraNest with its closest competitors. For example, while TheraNest has many features to recommend, certain other features such as a mobile app and a website-building tool are absent, which may cause you to look elsewhere. In addition, TheraNest charges for certain features (such as appointment reminders, client messaging, and self-scheduling) that may be available for free from other providers, so make sure you select the most cost-effective choice.

- **Consider your budget.** TheraNest is cloud-based software with a user-friendly interface, so the costs of training and implementation should be minimal. However, healthcare professionals in private practice, nonprofits, and educational institutions often have tighter budgets than those affiliated with a hospital, especially when it comes to smaller organizations. For up to 80 clients, a TheraNest subscription costs $98 per month—a little more than $1 per client per month. But this doesn’t take into account the costs of add-ons like e-Prescribe and the Wiley Treatment Planner, nor fees such as electronic claims filing. Perform a realistic assessment of your monthly activities to decide if TheraNest is truly the best option in terms of pricing for your business.

## How to maximize the value of your TheraNest subscription

Even if you’ve decided that TheraNest is the most cost-effective practice management solution, that doesn’t mean you can’t get the most out of what you paid for. Below are just a few ideas for how to leverage TheraNest’s feature set and maximize the software’s value:

_Ways to maximize the value of your TheraNest subscription_

- **Make use of all the features.** TheraNest’s extensive feature set can save users a great deal of time and effort, which shouldn’t be overlooked when considering the software’s total cost of ownership. For example, the software’s customizable templates for intake forms and progress notes can dramatically streamline therapists’ note-taking, helping cut down on repetitive busywork. Other features that may have a positive return on investment include handling batch payments and TheraNest’s managed billing service—so you can spend more time seeing clients and less time hunting down reimbursement.

- **Leverage customer support and software resources.** All TheraNest subscribers have access to customer support in the form of email, phone, and chat. Support team members are available from Monday through Friday between 7 AM and 7 PM Central time. TheraNest support agents can help new customers migrate to the platform, including the software’s tool for importing client demographics and insurance data. In addition, TheraNest offers a knowledge base with articles and videos for answering common questions and hosts training classes for customers to learn more about the software. Finally, the company provides an online FAQ and a list of free tools and resources for mental health practitioners.

### Additional tips for getting the most out of your TheraNest plan

- Use scheduling and calendar features such as appointment filtering, recurring appointments, calendar sync, appointment reminders, and email notifications for changes to your calendar; this will make the scheduling process more efficient and prevent lost revenue due to missed appointments.

- Create and reuse templates for intake forms and progress notes across multiple sessions and clients to save time and avoid duplicated effort. For an additional monthly fee, you can also use the pre-built Wiley Treatment Planner notes.

- Check TheraNest’s in-depth reporting and analytics feature and track crucial metrics and key performance indicators (KPIs) of your business, such as revenue breakdowns, client demographics, referral sources, and more.

- Automate your billing and payment workflows with TheraNest’s features for batch invoicing, batch statements, and batch submissions—freeing up more time for seeing clients.

- Subscribe to TheraNest’s managed billing service, which handles complex billing questions and issues for you and lets you focus on providing care to more clients rather than chasing down payments.

- Make your clients’ experience smoother and more efficient with TheraNest’s client portal, which allows users to fill out intake forms, self-schedule appointments, pay their statement balances online, and view messages and documents.

## Is it worth paying for TheraNest?

The answer to whether TheraNest is worth the money will depend on your business goals, requirements, and budget. Below, we’ll discuss all the important factors to help you make the final decision.

### Value for money

TheraNest has received top marks as an EHR solution and appears in our [2024 Capterra Shortlist for mental health software](https://www.capterra.com/mental-health-software/shortlist/). According to our analysis of verified user reviews, TheraNest has an average value-for-money score of 3.92 out of 5 stars over the past two years, based on 47 ratings. This rating reflects the difference of opinions about TheraNest pricing, with some liking the client-based pricing structure while others finding issues with rate increases or certain fees.

Below are some quotations from verified TheraNest user reviews that discuss the tool’s value for money[\[1\]](#footnotes):

### Features of the free trial

TheraNest offers a 21-day free trial of the software, which should be enough time for potential customers to evaluate its features and functionality. According to the TheraNest website, no credit card is required to sign up for the free trial. However, if you choose not to subscribe to a paid plan after the trial, your account will be put on hold and your files will eventually be deleted from the TheraNest servers.

There is no indication on the TheraNest website that the company restricts or limits the features of the free trial, which suggests that users will have access to the software’s full functionality. However, it’s also likely that users of the free trial may have to pay transaction fees for features that are not included in the base subscription price, such as eligibility checks, appointment reminders, and electronic claims filing. A credit card may therefore be necessary to use these additional features. Since there’s no commitment or payment information required, the best way to learn about the TheraNest free trial is to sign up and test it out for yourself.

### When to upgrade

As mentioned above, the TheraNest free trial lasts for a maximum of 21 days, after which you’ll have to subscribe to a paid plan or risk losing your data. As of writing, TheraNest does not offer a free plan that customers can use indefinitely with no subscription fees. The decision to upgrade to a paid plan from a free trial will therefore depend on whether you find TheraNest’s features and functionality useful enough to continue paying for them.

In addition, as discussed above, TheraNest pricing tiers are based on the number of clients you have, not the features that you want to use. As a result, the decision of whether to upgrade from a lower tier to a higher one is largely out of your hands; you should naturally move between tiers as your business grows. Some users will be attracted to this simplicity, while others will prefer a practice management solution where pricing is based on the feature set.

### Customer support options

Regardless of their pricing tier (i.e., the number of clients), all TheraNest subscribers have access to the same customer support options via email, phone, or chat. According to the TheraNest website, customer service is available from Monday through Friday from 7 AM to 7 PM Central time. Some potential customers may prefer this straightforward flat pricing structure. However, others (especially larger organizations) may need greater availability of customer support (e.g., 24/7) or may want to pay extra for premium support options, which means that TheraNest may not be suitable.

## Is TheraNest right for you?

### Assessing your requirements

To determine if TheraNest is the right mental health EHR system for your needs and objectives, examine your business requirements and compare them with the software’s features and functionality. Below are some things to consider when evaluating TheraNest:

- **Team size and number of users:** Unlike some of its competitors, TheraNest does not charge extra for more than one user account (although it does charge a monthly fee per clinician for add-ons such as telehealth, e-Prescribe, and Wiley Treatment Planner). As a result, TheraNest may be a cost-effective option for larger teams of therapists and clinicians, since you won’t have to pay to add each person to the subscription plan.

- **Complexity of needs:** TheraNest offers a range of functionality that is on par with similar software in this space, with features including appointment scheduling, note-taking, billing and payments, and reporting and analytics. What’s more, these features are available to all subscribers regardless of pricing tier. One potential sticking point is telehealth: while some competitors include this in the subscription price, TheraNest customers need to pay a monthly fee per clinician for both individual and group telehealth sessions. As a result, if your practice is highly remote-dependent, you may wish to consider other options.

- **Security and compliance:** According to TheraNest, the software is fully compliant with HIPAA regulations. User data is backed up and encrypted (both in transit and at rest) and stored in the Amazon Web Services cloud, which guarantees an uptime of 99.9 percent. AWS is also compliant with other security frameworks and regulations such as SOC, ISO 27001, and PCI DSS.

- **Customization options:** TheraNest offers limited customization options for note-taking and documentation. Users can create custom templates for intake forms and progress notes and reuse them across different clients and sessions.

### Alternatives to TheraNest

As of writing, TheraNest has received an average score of 4.4 out of 5 stars, based on more than 900 verified Capterra user reviews. Given the wide range of options when it comes to practice management software, however, it would be wise to consider TheraNest alternatives as well before making a final decision.

**SimplePractice** has an average rating of 4.3 in the “value for money” category, with a starting price of $49 per month. Other alternatives could include **Alleva** (4.5 stars, pricing not publicly available) and **CounSol.com** (4.7 stars, pricing starts at $49.95 per month). **TherapyNotes** (starting price of $59 per month) and **Valant EHR Suite** (pricing not publicly available) are two more options whose users believe the software represents good value for money.

[SimplePractice](https://www.capterra.com/p/130710/SimplePractice/)’s billing management capabilities have received top marks from Capterra reviews. Users like the software’s all-in-one solutions for scheduling, note-taking, and payments, although billing errors and complexities may occur. SimplePractice’s client management and practice management features are also appreciated, including its client portal and file storage.

[Alleva](https://www.capterra.com/p/180899/Alleva/) has received positive reviews from verified Capterra users for its learning and teaching features and its user-friendliness. According to reviewers, these training sessions and webinars help them start using the software. In addition, users appreciate Alleva’s customizability, although performance glitches can subtract from the user experience.

[CounSol.com](https://www.capterra.com/p/124769/CounSol-com/) is also praised by verified Capterra reviewers for its billing management features, which streamline administrative tasks and make users more efficient. Other notable functionality includes the software’s client portal and its integration with third-party payment processors like Stripe and Square.

[TherapyNotes](https://www.capterra.com/p/118981/TherapyNotes-com/)’ billing management features are again a standout for verified Capterra users. The software efficiently handles billing functions under one roof (although some reviewers have reported issues with billing errors or system performance issues). Beyond billing, users like TherapyNotes’ patient management feature for seamlessly viewing patient data.

[Valant EHR Suite](https://www.capterra.com/p/81298/Valant-Behavioral-Health-EHR/) has received mixed reviews from verified Capterra users regarding its patient billing and customer support. Reviewers say that billing is efficient but can have issues with errors and limitations, while customer support is generally helpful but can suffer from long wait times and a lack of responsiveness. The software’s appointment scheduling feature has received similarly mixed reviews.

### Making the final decision

TheraNest is a viable option for solo practitioners, small businesses, nonprofit organizations, and educational institutions in the mental health space who need a solid EHR (electronic health records) system. With subscription tiers based on the number of clients served, TheraNest offers a pricing model that is different from many of its competitors and may appeal to certain audiences. However, opinions are mixed on the subject of TheraNest’s value for money, with an average rating of 3.92 out of 5 stars.

The software’s feature set and functionality are the same for all pricing tiers, and users should move naturally between tiers as their client list expands. TheraNest’s appointment scheduling, note-taking, and billing and payment features have received generally positive scores from reviewers, who find them to be useful and cost-effective.

Ultimately, the decision of whether TheraNest is the right practice management software for you will depend on your business needs and objectives. The good news is that you don’t have to make a choice right now—you can continue your research on the TheraNest website, which features a knowledge base, FAQ, and resources for mental health practitioners. You can also browse reviews from verified Capterra users, request a demo from the TheraNest sales team, or sign up for a 21-day risk-free trial of the software.

## FAQs

Yes, you may be eligible for a TheraNest discount as a qualifying nonprofit organization. Nonprofits receive a discount of 25 percent on their base subscription price. In addition, all TheraNest customers can receive a discount of roughly one month’s payment by choosing an annual subscription. Finally, TheraNest has partnered with a number of third-party organizations—including therapist networks, website designers, and email providers—to offer discounts on their services to TheraNest customers as well.

How much does TheraNest charge for credit card processing?

TheraNest does not appear to explicitly state its credit card processing fees. According to the company’s website, there is “no gateway fee or monthly fee for credit card processing in TheraNest. We offer one low processing fee so you get to keep more of the money you earn.” Based on the examples from [this FAQ page](https://support.therapybrands.com/s/article/360052606091-Payment-Processing-Payouts-to-Your-Bank-Account-TheraNest), however, the credit card fee can be estimated as roughly 3.1 percent (e.g., a fee of $2.32 for a $75 charge).

Does TheraNest have telehealth?

Does TheraNest work on an iPhone?

Yes, TheraNest works on iPhone and Android mobile devices. Users can create a shortcut to the TheraNet website and save it to their home screen for easy access.

Is TheraNest an EHR?

Yes, TheraNest is EHR (electronic health record) software, which serves to store and track patient health information in a digital format. In particular, TheraNest is designed for mental health professionals. You may also see TheraNest described as EMR (electronic medical record) software. EHR and EMR are closely related concepts, but EHR files are designed to be more easily shared with other healthcare professionals outside the provider who created the record.

Can I use TheraNest for free?

TheraNest does not offer a free plan among its pricing tiers. However, potential customers can try a 21-day free trial of the TheraNest software. The lowest-priced paid plan offered by TheraNest costs $42 per month or $460 per year. If you do not subscribe to a plan after the free trial ends, your TheraNest account will be put on hold and your files will eventually be deleted.

What are alternatives to TheraNest?

While TheraNest is a popular solution for practice management software in the mental health space, it’s not the only option. Alternatives to TheraNest include SimplePractice, Alleva, CounSol.com, TherapyNotes, and Valant EHR Suite. These platforms may differ in terms of their feature set, pricing model, and expected user base, so interested users should do their research and perform a full comparison of these alternatives.

#### Methodology

1. Review excerpts are passages extracted from longer reviews written by verified reviewers. We obtain these excerpts by applying an algorithm that considers factors including, but not limited to, length, topic coverage, and thematic relevance. Excerpts are evaluated for positive or negative sentiment and receive a sentiment score. Excerpts represent user opinion and do not represent the views of, nor constitute, an endorsement by Capterra or its affiliates. Excerpts are not edited for clarity or grammar.

2. Our research team identified these features from vendor websites (as of March 25, 2025) based on their analysis of what users find valuable or expect from mental health software. This list is not exhaustive. For additional features, refer to the vendor’s website.
