## Cost breakdown

In March 2025, SimplePractice revamped its pricing system, making changes to the plan expenses and the features available within each tier. As a result, current and potential customers of SimplePractice should pay close attention to this cost breakdown. Much of the information online about the software’s pricing is now outdated.

### Starting price

SimplePractice’s flexible pricing structure can suit a wide variety of clients, from solo practitioners to multi-member teams, and also provides room to grow your business. The software charges a flat monthly fee, with three options for features and functionality that range from entry-level to advanced. For customers who sign up after a 7-day free trial, SimplePractice offers a 40% discount for the first 12 months of their subscription.

Now priced at $49 per month, the Starter plan remains SimplePractice’s least expensive option. This tier includes the software’s core functionality—including scheduling, billing, payments, notes and documentation, and insurance—and is well-suited for solo professionals who are starting their journey in private practice.

Next, SimplePractice offers the Essential plan, which costs $79 per month. The Essential tier includes additional features such as appointment reminders, client messaging, contact forms, multiple calendar syncs, custom treatment plans, and an analytics dashboard.

Priced at $99 per month, SimplePractice’s Plus plan is the most extensive of the three. This tier includes advanced functionality such as client announcements, out-of-office scheduling, group telehealth, premium phone support, and adding team members to your plan.

### Billing options

All of SimplePractice’s pricing plans are billed per month, with no annual subscription option. While some customers may be attracted to a monthly plan, others would prefer the stability (and financial discounts) of annual payments.

Monthly plans are usually better for customers who prioritize flexibility: they can switch plans (or switch to an alternative software) without incurring a great expense. However, this flexibility comes at a cost: annual plans usually have discounted prices that encourage customers to sign up for the longer commitment.

Monthly plans are also a good way for potential customers to try the software at a lower cost without having to pay for an entire year. In fact, SimplePractice encourages this with two free trial options:

- A 7-day free trial, followed by a 40% discount for the first 12 months.

- A 30-day free trial, followed by a full-price monthly subscription.

### Feature differentiation

Comparing the features of SimplePractice at different price points helps illustrate the difference between the three pricing tiers:

- **Number of users:** The Starter and Essential plans only support a single user. With the Plus plan, users can add more team members at an additional cost.

- **Scheduling:** The Starter plan provides basic features such as online appointment scheduling, a client portal, and telehealth. The Essential plan includes appointment reminders, client messaging, confirmation and cancellation texts, and a client waitlist. The Plus plan adds client announcements, out-of-office scheduling, and group telehealth appointments.

- **Notes and documentation:** The Starter plan lets users write and access patient notes, diagnoses, and treatment plans, and it includes a library of intake form templates. The Essential and Plus plans add customizable notes, assessments, and treatment plans, and they let users save and copy frequently used text between files.

- **Billing and payments:** The Starter plan includes credit card processing, in-person payments, and automated billing and invoicing. The Essential plan adds automated payment report (ERA) recording and 10 free electronic insurance claims per month. The Plus plan adds automatic insurance status checks and 35 free electronic insurance claims per month.

- **Customer support:** Subscribers to all plans can receive live customer support via chat, phone, or video, as well as email support. Subscribers to the Plus plan also receive access to a premium phone support line for faster access to live help.

## What users say about SimplePractice pricing

Our team examined over 2,700 reviews from verified SimplePractice users on our website to understand how they feel about the software’s pricing.

Users generally have mixed opinions about the affordability of SimplePractice. While some find it highly affordable and valuable for solo providers, others feel that it is overpriced—especially for small and new practices—with frequent price hikes and limited customization options.

In particular, the subscription and pricing model has received significant criticism. Users feel forced into higher-tier plans to access basic features, and price increases are seen as unfair and steep. Also, many users find the software expensive and lacking in features compared to its competitors. Some users have switched to other platforms to save costs, while others appreciate the software's ease of use despite the higher price.

Here are some of the things that users mentioned about SimplePractice pricing[\[1\]](#footnotes):

## Total cost of ownership

Thus far, we’ve mainly discussed SimplePractice’s subscription prices, which are assessed as a flat monthly fee. However, the subscription is just one of the potential costs that you’ll incur while using the software. Below, we’ll discuss the total cost of ownership of SimplePractice, including transaction fees and multi-user pricing.

### Upfront costs

Upfront costs are the initial expenses you pay when buying or subscribing to software, such as software licensing, setup, customization and configuration, data migration, and onboarding and training.

As discussed above, the main upfront costs of SimplePractice are the monthly subscription fees, sorted into three tiers: Starter ($49 per month), Essential ($79 per month), and Plus ($99 per month). However, there are other upfront costs that you might pay for SimplePractice, depending on your choice of features:

- **Client groups:** Group appointments and group telehealth sessions (with up to 15 clients) are ordinarily available only in the Plus tier. For an extra $20 per month, Essential plan subscribers can also access this feature. (However, it’s unclear why SimplePractice offers this option, given that the cost of upgrading to the Plus tier—which includes additional features and functionality—is also an extra $20 per month.)

- **Adding team members:** Solo practitioners who are subscribed to the Plus plan can add more team members, such as clinicians, practice managers, billers, supervisors, and schedulers. The cost depends on the team member’s role. Billers, supervisors, and schedulers can be added free of charge, while practice managers cost $39 per month. Clinician pricing is more complicated: $74 per person, per month for two to five clinicians; $72 per person, per month for six to 15; and $69 per person, per month for 16 or more.

- **Clinician fees:** Healthcare professionals use Current Procedural Terminology (CPT) codes to identify various medical services and procedures. The U.S. American Medical Association (AMA) charges SimplePractice a royalty for every clinician who uses the software. As a result, SimplePractice users must pay an annual fee of $20 per clinician using the software ($18, plus a $2 processing fee).

- **ePrescribe:** An electronic prescription feature is available for subscribers of all tiers, which allows users to check patients’ medication history, prescribe and authorize medication, and order refills. This feature requires an $89 setup fee, plus a recurring charge of $49 per month (or $49 per clinician, per month for Plus subscribers with multiple clinicians).

- **ePrescribe PDMP:** SimplePractice users can select a PDMP (prescription drug monitoring program) integration for electronic prescriptions, which helps track patients’ prescriptions of controlled substances and identify patients at risk of an overdose. This feature requires a $699 setup fee, plus a recurring charge of $6.25 per month.

### Other costs to consider

Beyond these upfront costs, SimplePractice users may also incur expenses in the form of transaction fees:

- **Bill payment:** When clients pay their bills online with credit cards, debit cards, HSA cards, or FSA cards, practitioners are charged a processing fee of $0.30 plus 3.15%.

- **Insurance status checks:** The cost of a manual insurance status check varies depending on the tier. Starter and Essential tier subscribers pay $0.25 and $0.15 per check, respectively. However, the cost is included for Plus subscribers.

- **Electronic claim filing:** The cost of sending an electronic insurance claim varies depending on the user’s pricing tier. Starter tier subscribers pay a flat rate of $0.50 per claim. Essential tier subscribers receive 10 free claims per month, then pay $0.35 per claim for up to 250 claims. Plus tier subscribers receive 35 free claims per month, then pay $0.25 per claim for up to 250 claims. For these subscribers, the fees for additional claims beyond the 250th decrease as the number of claims increases. For example, starting at the thousandth claim per month, Essential tier users pay just $0.29 per claim, while Plus users pay $0.19.

#### Services needed to implement or manage the platform

SimplePractice users shouldn’t have to pay extra costs to implement or manage the platform. As a cloud-based software as a service (SaaS) platform, SimplePractice is hosted on the provider’s servers and infrastructure, and users access the software remotely via the website or mobile app. This means that you don’t have to pay the costs of installing SimplePractice on your own machine or maintaining the software over time.

If you encounter a question or issue with the software, you can reach out to SimplePractice’s customer support team. Starter and Essential tier subscribers can get help via chat, email, phone, or video, while Plus subscribers have access to a premium phone support line. However, all of these options are included in the upfront subscription pricing, so you won’t have to pay extra for customer support.

#### Internal resources needed for ongoing platform management

SimplePractice is mainly designed for the needs of solo practitioners and small teams, who likely don’t have any IT professionals on staff. In addition, the software has a user-friendly interface, even for those who are minimally tech-savvy. As a result, users likely don’t need to devote internal resources to managing the SimplePractice platform.

## How to choose the right SimplePractice pricing plan

Choosing the right SimplePractice pricing plan requires considering the features and functionality that you need as well as the budget that you have to work with. Consider the factors below when selecting a SimplePractice tier:

_Key considerations while choosing the right SimplePractice plan_

- **Assess your business needs.** Different practitioners and teams will have different requirements when it comes to EHR software. The number of users is an essential concern. If your care team has more than one person who needs to access SimplePractice, then you’ll have to subscribe to the software’s Plus tier, which is the only one that allows you to add more users. One thing that’s not a concern is compliance with regulations such as HIPAA; all three tiers are HIPAA-compliant and certified by the HITRUST framework. However, because the features of SimplePractice differ substantially between pricing tiers, you’ll need to consider which functionality you truly need and which you can do without.

- **Compare the features of each plan.** SimplePractice pricing tiers are well-differentiated in terms of the features and functionality they offer. For appointment scheduling, the Essential and Plus tiers each have a handful of features that aren’t available from less expensive plans. For note-taking and documentation, the Essential and Plus tiers offer more options and greater customization than the Starter tier. For billing and payments, more expensive plans offer discounts when filing electronic claims. Finally, the Essential tier has an analytics dashboard, while the Plus tier adds features like premium phone support and role-based user permissions.

- **Consider your budget.** Since SimplePractice is cloud-based software designed to be user-friendly, the costs of training and implementation should be minimal. However, healthcare professionals in private practice often have tighter budgets than those affiliated with hospitals, especially when starting out. While the difference between the cheapest and most expensive pricing tier of SimplePractice is only $50 per month, you should also consider the costs of add-ons like electronic prescriptions—as well as adding more team members, whether you need to do so right now or you plan to expand in the future. Finally, if you perform a lot of insurance status checks or file a lot of electronic claims, a more expensive tier could actually save you money by offering lower transaction fees than the entry-level Starter tier.

## How to maximize the value of your SimplePractice subscription

While some users believe that SimplePractice is on the expensive side when it comes to EHR software, that doesn’t mean you can’t get your money’s worth out of the platform. Below are some suggestions for how you to leverage SimplePractice’s tools and features and maximize the software’s value:

_Ways to maximize the value of your SimplePractice subscription_

- **Make use of all the features.** SimplePractice comes with a wealth of features that can save you a great deal of time and effort, which you should factor into the software’s total cost of ownership. For example, the client announcement feature in the Plus plan lets you send a single message to all clients at once instead of searching for each client’s contact information and then messaging each one individually. Other features that may have a positive return on investment include the client waitlist and the integrated website contact form that can help generate leads for new clients.

- **Leverage customer support and software resources.** All SimplePractice subscription plans have access to customer support via chat, email, phone, and video. In addition, Plus subscribers can use SimplePractice’s premium phone support line, which connects customers to a live support agent faster than the standard queue. Next, make sure to explore the software’s community resources; the [SimplePractice knowledge base](https://support.simplepractice.com/hc/en-us) includes various guides on how to get up and running with the software. The SimplePractice website also hosts [community forums](https://support.simplepractice.com/hc/en-us/community/topics) where users can share custom notes and forms and vote on feature ideas and suggestions for the software.

### Additional tips for getting the most out of your SimplePractice plan

- Use the software to create a professional website for your practice, adding the contact form and appointment request widgets that let new and existing clients set up appointments with you.

- Leverage calendar features such as color coding, calendar sync, out-of-office scheduling, and cancellation texts to make scheduling more efficient and avoid lost revenue due to missed appointments.

- Choose a pre-built note and documentation template (available in the Essential and Plus tiers) that can be reused for multiple clients, saving time and effort.

- Access the analytics dashboard (available in the Essential and Plus tiers) to easily view income, outstanding balances, appointments, and notes at a glance.

- For teams with multiple members, create an admin calendar (available in the Plus tier) that combines users’ schedules and allows for creating internal team events.

## Is it worth paying for SimplePractice?

The answer to whether SimplePractice is worth the investment will depend on your needs and budget. Below, we’ll break down all the important factors to help you decide.

### Value for money

SimplePractice is a top-rated EHR solution that appears in our [2024 Capterra Shortlist for mental health software](https://www.capterra.com/mental-health-software/shortlist/). According to our analysis of verified user reviews, SimplePractice has an average value-for-money score of 3.83 out of 5 stars over the last two years, based on 140 ratings. This rating reflects the divergence in user opinions about the software’s pricing, with many customers satisfied with the cost while others want more for their money.

Below are review excerpts from SimplePractice’s verified users that discuss the tool’s value for money[\[1\]](#footnotes):

Minal N.Psychotherapist, FounderHealth, Wellness and Fitness1-2 years

It is really expensive compared to other EHRs out there and their customer service is ok

### Features of the free trial

Regardless of SimplePractice’s value for money, the tool offers two different free trial options that let prospective customers evaluate the software for themselves without worrying about the cost:

- The first option lets users try the software for free for seven days and then subscribe with a 50% discount for the first three months.

- The second option lets users try the software for free for 30 days and then subscribe at the regular price.

If you’re only concerned with cost savings, the first option is clearly the better choice. By taking this option, you’ll save roughly 1.75 months of the subscription fee (50% off for three months, plus 100% off the first week). In comparison, the second option lets you save only one month (30 days) of the subscription fee.

However, the second free trial option may be preferable depending on your situation. By giving you a longer evaluation period (30 days vs. seven days), the second option lets you test more of the software’s features and functionality. By doing so, you’ll arrive at a more accurate conclusion about whether SimplePractice is the best EHR system for you—or whether one of its alternatives would be better. (And by picking the right EHR system, whether SimplePractice or something else, you’ll be more likely to save money in the long run.)

Whether you select the first or second option for a SimplePractice free trial, you’ll have access to (almost) all of the software’s features during this period. This includes scheduling and appointments, note-taking and documentation, billing and payments, and more. In particular, the free trial lets you file as many electronic insurance claims as you want with no charge, which would ordinarily result in a transaction fee. However, there is one feature that free trial users lack access to: the ability to customize templates and reminders for emails, texts, and voice calls.

### Customer support options

All SimplePractice pricing tiers have access to customer support via email, phone, chat, and video. Subscribers to the Plus tier can use a premium phone support line that connects callers to a human faster, which is ideal for time-sensitive inquiries. In addition, all SimplePractice customers can access the software’s knowledge base, which contains guides on how to use the software’s features to set up and manage your practice and work with clients. The SimplePractice community forums are useful for exchanging templates and suggesting new software features, but as of writing they don’t have a place for requesting technical support.

## Is SimplePractice right for you?

### Assessing your requirements

To decide if SimplePractice is the right EHR system for your business needs and objectives, you should first assess your requirements and compare them with what the software has to offer. Here are some factors to consider:

- **Team size and number of users:** SimplePractice lets you add more team members to your subscription, but only when you subscribe to the most expensive tier (Plus). What’s more, the cost depends on the team member’s role: billers, supervisors, and schedulers can be added free of charge, while clinicians and practice managers require an extra monthly payment. If you have a large team that all needs to use EHR software, you should also investigate other options that may be more cost-effective.

- **Complexity of needs:** SimplePractice offers a wide range of features that will appeal to any healthcare professional in private practice, including scheduling, note-taking, billing, and more. However, many of these features are locked away in the Essential and Plus plans, requiring you to purchase one of these subscriptions to have access. Even functionality like messaging clients and sending appointment reminders requires an Essential plan subscription.

- **Security and compliance:** If your business operates in the U.S., it’s crucial to be compliant with HIPAA, which regulates the privacy and security of patient data. The good news is that SimplePractice—like any respectable EHR system—is HIPAA-compliant at all tier levels, using methods such as encryption, passwords, application monitoring, and multi-factor authentication to restrict unauthorized data access. In addition, SimplePractice is certified by HITRUST, a widely used healthcare security framework for regulatory compliance and risk management.

- **Customization options:** All SimplePractice users—whether Starter, Essential, or Plus—can select from intake form templates to use in their patient notes. In addition, Essential and Plus tier subscribers can use dozens of pre-built note-taking templates, as well as modify these templates to suit their custom needs. These users can create custom progress notes, assessments, and treatment plans to better serve individual clients.

### Alternatives to SimplePractice

SimplePractice has received an average score of 4.6 out of 5 stars, based on more than 2700 verified Capterra user reviews. In particular, the software has received an average of 3.83 out of 5 stars in the “value for money” category over the past two years. ### Making the final decision

SimplePractice is a viable option for solo practitioners and small businesses in the mental and behavioral health space who need a strong EHR (electronic health records) system. With multiple pricing tiers, SimplePractice is flexible enough to meet the needs of diverse users. However, opinions are more mixed on the subject of the software’s value for money, with an average rating of 3.83 out of 5 stars.

The software’s Starter plan—as the name suggests—is well-suited for solo practitioners who are just starting their private practices. It offers basic features for scheduling, note-taking, and billing. The Essential plan gives solo practitioners a wider feature set that includes client messaging, client waitlists, custom note-taking templates, and an analytics dashboard. Finally, the Plus plan is well-suited for larger teams with multiple members who need to access the EHR system. The Plus plan also includes benefits such as advanced scheduling features, premium phone support, and discounts on electronic insurance claim filing.

Ultimately, you have two choices to make: whether SimplePractice is the right choice for your EHR system, and if so, the right SimplePractice plan from among the three pricing tiers. If you’re considering SimplePractice, there’s no harm in signing up for one of the software’s two free trial options for seven or 30 days and trying out its features for yourself. ## FAQs

Are there any upfront costs?

Yes, SimplePractice users may pay multiple forms of upfront costs. All users must subscribe to one of three pricing tiers: Starter ($49 per month), Essential ($79 per month), or Plus ($99 per month). In addition, users must pay an annual fee of $20 for each clinician using the software to provide CPT code access. Finally, users may choose to pay additional upfront fees for features like adding team members and electronic prescriptions.

Are there any other fees?

Yes, SimplePractice also charges various transaction fees for billing, payments, and insurance. When patients pay their bills online, the user is charged a fee of $0.30 plus 3.15%. In addition, users may have to pay fees for filing claims electronically and checking insurance status, depending on the pricing tier and the number of requests per month.

Can you tell me more about the annual AMA fee for CPT® code access?

CPT (Current Procedural Terminology) codes are used by healthcare professionals as a common “language” when referring to medical services and procedures. The U.S. American Medical Association (AMA) is the creator and maintainer of these CPT codes. It charges royalty and licensing fees for their use by third parties. SimplePractice must pay royalties to the AMA for including CPT codes in its software, so it passes this cost on to the customer by charging a $20 annual fee for each clinician that uses SimplePractice.

What is the cost for appointment reminders in SimplePractice?

SimplePractice includes appointment reminders as a feature in its Essential and Plus tiers. The Essential tier, which is the cheaper of these two options, starts at $79 per month.

Does SimplePractice offer any discounts?

SimplePractice does offer some discounts to new customers. After completing a seven-day trial, users can sign up for one of the three plans at a 40% discount for 12 months. For example, the $49 per month Starter tier instead costs $29.50 per month for the first year. In addition, if you refer a colleague who signs up for at least 90 days of SimplePractice access, both you and your colleague will receive $200 in credit.

Can I change my plan later?

Yes, SimplePractice subscribers can change their plans at any time. If you upgrade your plan in the middle of the month, you will be charged the difference between your previous plan and your new plan, prorated based on the number of days left in the month. Similarly, if you downgrade your plan, your account will be credited the prorated difference between the plans.

Is SimplePractice HIPAA-compliant?

According to SimplePractice, the software is compliant with the U.S. Health Insurance Portability and Accountability Act (HIPAA). SimplePractice uses multiple data privacy and security techniques to protect sensitive patient information, including passwords, data encryption, multi-factor authentication, firewalls, application monitoring, logs, and backup and disaster recovery. In addition, SimplePractice is certified by HITRUST, a widely used healthcare security framework for regulatory compliance and risk management.

#### Methodology

1. Review excerpts are passages extracted from longer reviews written by verified reviewers. We obtain these excerpts by applying an algorithm that considers factors including, but not limited to, length, topic coverage, and thematic relevance. Excerpts are evaluated for positive or negative sentiment and receive a sentiment score. Excerpts represent user opinion and do not represent the views of, nor constitute, an endorsement by Capterra or its affiliates. Excerpts are not edited for clarity or grammar.

2. Our research team identified these features from vendor websites (as of March 18, 2025) based on their analysis of what users find valuable or expect from appointment management software. This list is not exhaustive. For additional features, refer to the vendor’s website.
