My overall experience with Club Automation has been very positive. It’s easy to use, cloud-based, and stable, with no lag when navigating links. The member app works well, and the Brivo 24/7 door access system is reliable, even without internet. Their U.S.-based customer service team is great to work with—responsive, friendly, and knowledgeable. While the CRM system could be stronger, improvements are underway. I already have access to the new scheduling system in beta, and it looks promising. It’s clear they are continuing to invest in the software, and those investments are making a noticeable difference in performance and usability.

Pros

Club Automation is easy to use, with a clean, intuitive interface that makes daily tasks simple. Because it’s cloud-based, I can access it anywhere, and it’s proven to be stable and reliable with no noticeable lag when navigating between links. The member app works well and offers a smooth user experience. The integrated Brivo 24/7 door access system has been rock-solid, continuing to work even when the internet is down, which gives me peace of mind.

Cons

The CRM system could be stronger, though it’s clear the team is actively making improvements. I already have access to the new scheduling system in beta, and once it’s fully rolled out, I expect it will be a great upgrade to the platform.

Club Automation has been a game changer for our teams in so many ways. There are many stand out qualities, but above all else their team and quality of service is exceptional. From the moment you express interest, to ongoing day-to-day support and updates, you will be prioritized and cared for.

Pros

All supporting staff were fantastic, from the initial sales team to the implementation team and ongoing support staff! The software itself strikes a good balance of being both user friendly, and powerful enough to dive into the details. It's tailored well to your club and its unique needs, while also allowing your team the ability to continue customizing it as time goes on.

Cons

There can be small quirks here and there. Bugs pop up on occasion, and sometimes the user-friendly design can feel as though it limits your ability to have granular control of everything. However, bug fixes roll out regularly, and anything that might drastically effect you is handled quickly by the service team. As with any software, many times the limiting factor is your proficiency, not the software itself. More often than not, our ability to take a specific action is limited by our understanding of the software, not its actual capabilities.

### "TOTAL FAIL"

This platform has been a major operational burden. Club Automation actively slows down business, creates avoidable problems, and consumes time that should be spent running and growing a gym. It is completely unsuited for modern, automated, or staffless facilities and feels stuck in an outdated corporate mindset. I would strongly caution any gym owner against using this system. There are far better, more flexible, and more user-friendly solutions available, and choosing Club Automation was a mistake I would not repeat.

Pros

There are essentially no meaningful positives. While the system can technically process payments and control access, those are baseline requirements that nearly every modern platform handles more efficiently. Any functionality it offers is negated by how difficult, slow, and frustrating it is to use in real-world operations.

Cons

Club Automation is one of the most inefficient, outdated, and frustrating business systems I have ever used. The interface is clunky and unintuitive, simple tasks take far too many steps, and even minor changes often require submitting support tickets instead of being self-managed. Billing is rigid and error-prone, reporting is unreliable and difficult to extract useful data from, and access control issues create unnecessary risk and member frustration. Support is slow, inconsistent, and frequently unhelpful, especially when problems are time-sensitive. Costs are high, add-ons are constant, and the system feels designed to lock you in rather than help you operate efficiently.

Overall, I like using the software and working with customer service. Appreciate the fast response when our company has a question or needs further assistance with a specific account.

Pros

Customization of the POS System, Digital Contracts, Linking of accounts, Fast Customer Service Response

Cons

Auto-redeeming sessions based on check-in are not offered. Happy to hear the company is looking into it. Wish there were another option to remove a package without deleting and giving credit only. For example, let's say a wrong package was selected but wasn't paid for due to an error by the front desk employee. If no payment was taken, and when the package is deleted, it auto puts a credit on the account the package is worth. Wish there were another way to delete the error transaction altogether without automatically giving an internal credit.

We are happy we migrated to Club Automation. Club Automation is receptive to feedback and they have an exceptional customer service team. Whenever we have a question we don't have to wait for a response and the answer is very thorough. Thank you!

Pros

Club Automation improved our online membership sales tremendously. We have also gained better communication tools via email and text.

Cons

We want online booking to require payment immediately upon booking. We would like to have packages that can be auto billed monthly that are used to book in group x and not have to link an add-on to the customer profile in addition to having the auto billed package.

After migrating to their platform it was terrible from day 1. Prior to migration they were nothing but helpful and friendly.

Pros

The software was more user friendly than other softwares we used.

Cons

Bad accounting in the software. Very buggy in general. The worst though was that even though we told them we weren't interested in long term contracts, that is all they do. When we sold the business, refused any data migration unless we paid 36 months of dues and merchant service fees (estimated). Total for that would have been $180,000. Never do business with these snakes.

I work in the membership department, and I feel that this is so much better of a platform to track and manage our members, types of memberships, and pulling out reports for budgeting.

Pros

It is efficient, up to date, and fairly easy to use once you figure out what you need, especially in the report area feature.

Cons

I wish changing a main member to a non-main member was a bit easier and did not require so many steps, I also feel that Family merging tools could be easier to do as well. Too many steps in order to remove duplicates.

Club Automation has been night and day difference, compared to our old system. Everything about CA has been faster, smarter, better processing, etc. Hands down the best system for our style of athletic club!

Pros

The support team - \[sensitive content hidden\] - have all been wonderful with their help and have helped us streamline our entire system. The fact that CA is on a browser is super helpful for us staffmembers when trying to use it from home, laptop, etc. Our old system Compete Jonas, was extremely slow, and CA is extremely fast- it's a game changer for our club!!!

Cons

The thing that I liked least about Club Automation is that our data, from our old software system, didn't transfer over as cleanly as we wanted. There was a good chunk of memberships that had payment information / card information inaccurate - which caused some difficulties for the first couple of weeks.

Overall I am very pleased with Club Automation. The system allows me to make changes or edits to my schedule from anywhere. It is visually easy to use. Encompasses all of the data we need in the appropriate fields. I like the ability to generate reports for member data, payments, and utilize check in history. Member support has always been able to solve any issue or mistake I've needed their assistance on fixing. Would highly recommend their services to others.

Pros

This product easy to use and encompasses most of our business needs. The support team is professional and responsive. I love that I can view my personal and team's schedule all in one location.

Cons

Having to choose "confirm" from the prompt when making appointments takes additional time. I was also interested in the Club Automation 2.0 version, but our site was not chosen to roll out the new platform yet. Hopefully soon!

Pros

payment processing is very detailed and reports are always correct, love the member information on the checkin screen makes it very easy to manage

adding services and clicking through the back screens, also automateed emails could be easier to use and setup

It took 6 month to on-board (which compared to Shapenet or ABC or Mind body is 3 x's as long) with several team re-shuffles. I spent 1000's of dollars having my team sit through redundant trainings only to run into obvious software break downs while the presenter was demonstrating how to use it. If you are even considering this software please give me a call and let me go into greater detail \[SENSITIVE CONTENT\]

Pros

They present a well rounded package with fluid tools and robust reporting. The exact opposite is true; the software is challenging to use, the reporting is confusing and incomplete with misleading data. the customer support is lost half the time and don't answer the phone the other half. Please don't use this software.

Cons

They lock you in to a 5 year contract so no matter how bad they perform you are on the hook. They have dozens of "known bugs" that you just have to deal with. thier PT and membership contracts are inflexible, they will randomly bill your members the wrong amount for no apparent reason. They will bill historically cancelled members that were dormant in your previous data but for some reason were reactivated by CA. DO NOT USE THIS SOFTWARE

ABC decided that they knew better than us and halted billing. We had to jump through several hoops to get it turned back on.

I'm new to Club Automation, but it is definitely an upgrade from the last gym software that I had used.

Pros

Home page user-friendly interface. Personal Training visual calendar for selecting dates and logging sessions.

Cons

The method in which you log specific times for personal training could be smoother. Highlighting a time slot, not inputting anything, and then changing the date does not remove the original time highlight. This is troublesome when you highlight a time slot by accident and hope to erase it faster by just change the date instead of re-clicking and re-dragging the mouse cursor to remove the time slot.

Pros

Nothing. There have been no pros to using this software. We previously used ABC, which was by far a better solution.

Cons

Club Automation is denying our gym to transfer service away from their software company based on a contract we signed that was falsely presented. We were told we would have online gym sign up, management of our member charges and accurate information storage and billing. They have not followed through with any of this. In addition, they are unable to provide support for us when needed via the helpline, seemingly due to lack of staffing. Our gym has lost many members due to billing issues with Club Automation. Members have been charged inaccurate prices and the company replies that they have no idea why it’s happening. Members are also not charged at all. We’ve had to audit the entire member list multiple times and inaccurate billing continues. Additionally, we have lost hundreds of hours of our (gym owner) lives and our staff time trying to resolve software glitch issues with our member information storage, management, payroll and billing. We have respectfully requested to transfer our member management and billing software to another company that can provide us with what we need, and Club Automation is refusing this reasonable request. Buyer beware.

Pros

I love the ease of use and the capability that we have to go paper free. We are able to track everything in the system from camp registration, programs, membership, personal training, etc. I love the visibility that we have to track and stay on top of all scheduling for our trainers and massage therapy staff.

Cons

The only thing negative drawback about the software is that when you have multiple facilities on the software, you are only able to have one logo for all facilities and one address / name for all facilities, which makes it difficult for invoicing and contracts.

If a half star was available, I've give 4.5 to quality, ease and functionality. We have looked at a lot of platforms and Club Automation is clearly the best available. No question! Even in the places that I would like to see improvement, the customer service and support more than overcomes. They are fast to respond, work diligently to solve problems and don't just pay lip service to get back with answer. They do it!

Pros

It's a seamless product. From first check-in to billing and accounting, it's all right there. The customer service is above any vendor I've ever dealt with. The people behind Club Automation are what make the company so great!

Cons

The Communications Center is still a place that could be better. At least in the way we wish to use it. It is so close to being a total game changer in our business, but it is getting better. There have been some enhancements over the years and it's improving all the time.

### "Our Conversion to CA"

We have decided to convert all 9 of our clubs because we like the software.

Pros

How user friendly it is. In our old software you had multiple steps for on function which made it very inefficient. Also, when we have contract changes, we can do it ourselves. Our old software required us to submit changes to them and it took months to get the changes made in the software. If we have recommended changes to CA they really listen to us and send to their back office team for consideration. They are very reactive to our industry. Our team finds most processes have saved them time.

Cons

It would be very helpful if other types of forms such as address changes, terminations, change of payment forms could be automated. Currently we have paper forms that are filled out and we have to upload. If CA had a way for these forms to be part of the system so the information can be within the system and signed online by the member.

Our experience with Club Automation has been a nightmare and not something I would wish on anyone. There are much better options out there with companies that actually want to work with your business and care about you.

Pros

Nothing. Everything seems perfect until you sign the contract.

Cons

I am not one to leave reviews anywhere but if I can help one small gym owner from making such a big mistake than it will be worth it. Club Automation is the most deceitful company you will find marketing software in our industry. After promises we’re made that the software could perform a task our prior software could not we signed a contract with them. Immediately after the contract was signed we quickly learned that their software could not perform what they had promised. Club Automation attempted various times to collect money and make us continue with a 5 year contract after we told them it could not do anything they said and we did not want to proceed. We never implemented their software and years later they are still trying to collect money for it. If you are thinking about going with Club Automation feel free to personally reach out to me. It has honestly been one of our biggest mistakes since being in business 18 years is attempting to even work with a company who doesn’t have the best interest of their customer in mind.

They said it could perform something that we later learned it could not.

We have been using CA since January 2013. It has grown with our needs. As any software, there are some things it does not do yet, such as P/L's but otherwise it is a great system. We are able to keep track of everything when it comes to my pros and to our clients! Customer Service is above and beyond and makes dealing with any issues that do happen to come up - easy to deal with!

Pros

The ease of keeping track of client's accounts and the ease of payroll.

Cons

There is still no report for p/l's for each class - I have to do that manually which takes quite a bit of time.
