This software beats them all. Pros The interface is easy to set up and use. The app is also very good. Customer service is very helpful. Cons The vineyard module is a little confusing with respect to calculating yields but otherwise it is fine. The support used to be really good with walking you through issues, now it seems like a get AI more than people. The features it includes are great if you can manage to use them correctly and know what you're doing, but overall, there are better softwares out on the market that are easy to pick up without a lot of instruction. Unfortunately, Vintrace is not that software for me and my team. Pros Initially, the user interface was what attracted us to the software. It looked intuitive and easy to use. There are plenty of features that if utilized correctly, are a great benefit to the production of the company. Cons The UI was more clunky that it seems. If a mistake is made, it can be difficult to amend something that should be easy enough to just fix. There are other production softwares that simply do a better job with ease of use and onboarding a team. Accountant/Finance Manage Wholesale Used the software for: 1-2 years ### "Finance Department" August 26, 2022 3.0 As far as the management of the manufacturing it works well for the wine maker. Inventory and product build is clunky as you have to be very specific on how you build a product otherwise the costing will report incorrectly so this exposes us to incorrect costing errors and the financials, sales orders and reporting is clunky and amateurish compared to what is available on market. It is not flexible in allowing settings to be used to customise the system to be relevant to the organisation. E.g. WET calculation choice and which calculation is used based on Retail sales. MYOB does not seem to have a problem with the different reporting calculations with WET but vintrace does especially when inter-grating with Xero. Information comes through as one line. Not option for wine that is not rebatable and rebatable. Have to split up each Xero invoice to correctly report the WET. Integration is only one way. Any changes to the system can not be transferred back the other way. I do not believe the system should be advertised as being able to integrate with Xero it just data dumps as there is only a once of communication with Xero. Pros I like it has the potential to be an intergrated package that works well in not only the manufacturing but right through to the finance and invoice. Inconsistencies make it difficult to trust. Cons Intergration options with Xero or other accounting software packages. Attention to detail is not their. E.g. on sales orders you have to sometime click the dates multiple time for it to register correctly. Reporting is terrible and limited compared to other sofware packages and requires a great deal of time and manipulation in excel to extract the information required for production, marketing and finance. Inability to customise simple things like an invoice. Or the template for sending invoices. The email sent to clients is extremely unprofessional but can not be changed. the only option is to email information to myself and update the correct working or download the sales order and send as attachment. Not professional at all. Reason for choosing vintrace I did not choose it and at this point in time there is to much wine making data in the system to change. If the option to change was presented I would not be disappointed. As a finance department I have sent through I would hate to think a number of support tickets and 99% of the time I would get option not available put it as a suggestion. I have stopped putting as a suggestion since nothing gets done. It streamlines how we communicate work that needs to be done, work that has been done and allows us to use that information out of one, clear system. Pros We can run all of our winemaking work orders, analysis, volume tracking, costing, etc through this system. It handles all of our production needs and keeps it all in one spot for everyone to see and reference. It gets us out of spreadsheets all of the time and streamlines workflow. It allows us to make better wine! Cons I would love to see some things consolidated into one space rather than being able to do most of what you need in a few different spots. Better all inclusive views of fermentation management, better all inclusive views of topping management. Tighter integration with analysis results. But we love it! VIntrace allocated this stock to the 'Crush Pad'. It would be good to be able to click on this location to see which customers have reserved the stock - When conducting a dispatch search, it would be good to search by customer - No ability to view a stock dispatch from the Sales Order - When pulling a report, cannot select multiple options \[ie more than one customer or stock type\]. Would be good to search by SKU - having single bottles and cartons makes for a very large SOH report - Consolidate the carton and single bottle Pros Ability to integrate with Xero. Live stock on hand from Phone Cons \- Payment terms on pricelist, not on customer level. No ability to allocate stock items by SKU, Brand, Vintage, Variety, Region, etc when creating the stock item - Sales Orders automatically close once saved. Pros This platform is heavily skewed to Cellar Management and our Winemaking team are pretty happy with how they can produce Work Programs and manage fruit intake, cellar operations and the wines generally. From the bottled goods end, it works well for packaged inventory management and dispatch Cons COGS are tricky to get super accurate. We can't customise invoicing or the Dashboard, which has been designed purely with Cellar management in mind. Being based in Australia, the invoicing simply cannot handle the WET tax calculations so we are having to do these manually to ensure we are compliant with ATO requiremnts. You can attach all files so they are easy to access if audited. Customer support is fantastic. Once you get a hang of it, you can utilize vintrace to work in the best way for your company. Pros You can tailor to the program to your specific needs. It's very easy to use, and you can set up the program in a way that makes the most sense for your winery/business. Once you get the hang of it's features, and how to navigate through the program, it is very easy to use and understand how to operate the vintrace system. It's very user friendly. It is easy to train people on how to use the interface in the winery. Cons It can be a bit daunting at first glance. Sometimes it can be a bit too open ended, and will take a bit of trial and error to set up systems to work the way that is best for your company/day-to-day use. The way the app has been setup in the cloud means I can work from anywhere and still ensure I can setup jobs for my employees, even from the other side of the world. We have found the ability to easily pull reports a very useful tool as well as inventory tracking, costings, fruit intake and analyses, barrel work, additions - actually you get as much out of the system as you put in. Vintrace and the app has become an invaluable tool for managing our business on a daily basis. Cons The software isn't the most intuitive, you will need to invest time to get to know the system's intricacies, which to begin with can be quite frustrating. We are UK based so when we contact customer services we need to factor in response time - which to be fair has always been very quick considering. If any of my clients need to know what date their 2016 Syrah started fermentation, it just takes a couple of clicks rather than searching through thousands of paper work orders from four years back. Pros It is very customizable, so if you are a very small winery or a huge custom crush facility, you can make the software suit your needs. Winemaker Food & Beverages Used the software for: 2+ years ### "vintrace review" August 6, 2020 5.0 Pros In my experience Vintrace is significantly easier to use than the main competitor - there are literally less key strokes to access the same data, and the interface is intuitive. With relatively little training we can have 'light' users of Vintrace doing things like adding lab analysis. Heavy users (winemakers) need more experience and training to get the most out of the software, but the help desk is easy to access and can generally answer questions in the moment while on the phone. The phone app is a terrific recent addition - walking around the tank farm I can easily look at composition or lab results. I can make tasting notes or other little reminders without having to be at my desk. Cons There is not much to dislike, but if I have to find a criticism, I wish the work sheets were easier for cellar hands to read. But as I write this I'm thinking I should take this up with the help desk as there is probably a simple fix to present worksheets in a custom template? They are also really good at listening to the customers needs and altering the program to meet these. Pros At a basic level of just writing and updating job notes Vintrace is easy to use. It is also really well set up when you are viewing a product to look at all the different aspects such as lab, composition and additions. Cons The new vessel search feature is a bit ugly and not the easiest to use. It can be annoying when it keeps clearing the search if you go into a product and then come back out without clicking on the correct link. For example, automatically tying an additive or operation to a price and automatically showing up on the invoice. Also, analysis tracking has been useful. There are some aspects that are less helpful with the way our custom crush billing is set up that makes it difficult to use vintrace. Overall, a good experience (once you learn the system.) But plenty of room for improvement. Pros There are many capabilities that may or may not be utilized, depending on how in depth you want your tracking to be. The system can track everything from wine compositions and gallons and equipment and storage and dry goods inventory and costing all in one place. You may choose to use all or only some of the functions which makes it pretty versatile for different business models. Cons \- Unable to perform topping from more than one topping vessel at one time. - There is "time-tracking" of labor for completed work orders, but not a way to export this data in a manner in which beneficial to track labor costs. Generating reports from this data would he helpful. - CSV files generated are not very "clean" looking. I always have to do a lot of reformatting in order to be able to send a clean looking excel report to clients and other staff. - Client logins where they can generate their own work orders for custom crush would be a plus. Pros Organized data with easy access to most features. Easier DMA data uploading adds way more points which we have been waiting for 5 years. Mass data uploading is also a great help. Cons Would have been good to add function to email/in-system notify someone say winemaker if result is abnormal. Or options to choose to be notified or to track specific tank if someone else update the result which is in high importance. At the moment we are using email but would be so much easier if it's included in Vintrace.
