Pros I like how easy it is to share documents with our working group, which comprises of banks, lawyers and their client. Cons Honestly, we can do without the "No." column. I tried turning it off, but it would still be present in the dataroom. Our documents are named with numbers in front of them. So the extra No. column can be confusing. We do send out invitation emails when being granted access to a data room, wtihin the email are links to the URL of the data room project you have been invited into. Pros It is very efficient and I have never had an issue downloading files or accessing a data room. Cons I don't like the new interface as much as the previous one. The previous interface was a little easier to use and I didn't have any issue with functionality. I don't like that when you checkbox individual files, you don't have the option to download them with the folder path. You can only download with a folder path included if you click the "Download" button without checking any files, which can be a little cumbersome downloading unneeded files. We do have the ability to leave comments and tags which can be found on the right hand side of the documents tab. " April 20, 2023 5.0 Firmex is a very useful for the M&A arena we are in, having trained several colleagues over the years they tend to pick this up quite quickly. Firmex has several tools to assist in the due diligence phase of a project (reporting, bulk download etc). Pros Ease of use, the reporting features that allow you to monitor progress and those that have accessed the data-room. Confidentiality is paramount in our sector and being able to restrict companies and individuals on the data they can see is very useful. Cons The only area that I think needs improving on (and I'm not sure how this can be done), when inviting people into data-rooms, on quite a few occasions the invite will end up in junk folders and not picked up. Reason for choosing Firmex Virtual Data Room We had a couple of demo's with alternative data-room providers, they were too over engineered compared to Firmex and thinking of others that would need to be trained up on these, both internally and externally, the risk was too great of someone making a mistake and provide the wrong permissions and also too many tick boxes , which could result breach of confidentiality. Since security and confidentiality is important it is the main reason why we created the View As feature to see what your guest users can/can't see based on their permission settings. In terms of user invites going to spam/junk, it's an issue within the VDR industry based on how the invitations are sent and individuals spam filter settings being high. If there are, it’s usually on my end fixing access settings. Pros The security features that administrators are able to apply are also quite useful to maintain confidentiality.Management and user interface is clean and logical. It is easy for newer users to get used to which is useful for us as we are often working with many different clients.The reporting feature is also quite useful in managing users and documents. Cons Frequent login prompt is a downside. Having the ability to set the duration before being automatically logged out would be helpful. Many banks and other financial institutions prohibit the use of Dropbox and Box. It is a critical piece of our day to day activities and increases our productivity dramatically. Pros I love how easy is it to set up data rooms and add users with different tiers of access. It allows me to set up permission structures and then just worry about getting the right data in the proper folder. I also like how intuitive the software is - it allows me to onboard clients quickly. Cons I wish they would allow sessions to last longer - I'm in Firmex all day and find that I have to log in many times. I have mostly used in in an M&A due diligence VDR model. I find the software to be intuitive and easy to use. I have had very few users come back to me and not understand how they can gain access tot he files they need, so it is first time user intuitive as well. Cons On con is to ensure you set up the file structure correctly in the first instance, as it will impact the flexibility you need to create multiple group access restrictions. It should be easy to use. Pros Once you figure out how to use its easy but I had to take the time out to figure out. Uploading and downloading is very easy, this function is easy to figure out. But we have to make sure the "Upload, all at once" button has to be clicked. Customer service is excellent. Cons Its easy to use once you used it. But its not easy to figure out how to use. If I want to create a new folder, it should be easy to find and to use it. Its not clear what "Add Directory" is. I had to go to the help section to obtain a clear answer. It looks like a folder once I "ADD Directory". And the folder color is grey and stays grey. To me, grey is not being used or not functioning. Color should be change to a folder color or some other color. I had ppl email me that they had access and no longer have access. I have to send another invite, so there is some disconnect there. And it happened with ppl that used Firmex many times before. Is not clear how to add or delete ppl when you are adding them to the Firmex.
