Cons We currently use a different platform for real-time document collaboration. If this feature were to be included Firmex, we could manage all of our ongoing document sharing in one platform - which would allow for easier integration and ongoing support. " April 20, 2023 5.0 Firmex is a very useful for the M&A arena we are in, having trained several colleagues over the years they tend to pick this up quite quickly. Firmex has several tools to assist in the due diligence phase of a project (reporting, bulk download etc). Pros Ease of use, the reporting features that allow you to monitor progress and those that have accessed the data-room. Confidentiality is paramount in our sector and being able to restrict companies and individuals on the data they can see is very useful. Cons The only area that I think needs improving on (and I'm not sure how this can be done), when inviting people into data-rooms, on quite a few occasions the invite will end up in junk folders and not picked up. Reason for choosing Firmex Virtual Data Room We had a couple of demo's with alternative data-room providers, they were too over engineered compared to Firmex and thinking of others that would need to be trained up on these, both internally and externally, the risk was too great of someone making a mistake and provide the wrong permissions and also too many tick boxes , which could result breach of confidentiality. Since security and confidentiality is important it is the main reason why we created the View As feature to see what your guest users can/can't see based on their permission settings. In terms of user invites going to spam/junk, it's an issue within the VDR industry based on how the invitations are sent and individuals spam filter settings being high. In terms of the ability to customize permissions, we offer a role based system between what users have access to within the project (data room) and the information within meaning the documents. The permission combinations we have made are the industry settings we see most commonly used based on the roles you want to give host users vs guest users. I tried turning it off, but it would still be present in the dataroom. Our documents are named with numbers in front of them. So the extra No. column can be confusing. I have mostly used in in an M&A due diligence VDR model. I find the software to be intuitive and easy to use. I have had very few users come back to me and not understand how they can gain access tot he files they need, so it is first time user intuitive as well. Cons On con is to ensure you set up the file structure correctly in the first instance, as it will impact the flexibility you need to create multiple group access restrictions. Firmex allows me to lay out all of the closing documents and give access to the necessary parties for review and approval. Firmex also allows me to provide parties with large documents that can't be sent via email due to size. Overall Firmex has been a huge help to our law firm. Pros The most important feature I like about Firmex is how easy it is to use either from the administrator side or the user side. I have never had anyone ask questions on how to use it because it's so straight forward. Cons I would enjoy seeing some type of integration with Imanage so if documents change internally they would automatically update. Here's a quick summary of our versioning and document status options: Firmex's versioning feature is built-in to our system. You can choose to upload a new document, or a new version of a document. You and your team can always access the version history, while only giving guests users access to the latest version of the document (the "document of truth"). Firmex can also detect new versions of a document based on the content of the document. Firmex also supports content status on documents and folders. Many of our customers use this content status to designate whether a document is in draft, awaiting review, or final. This usually coincides with our document comment and tag systems.
