### "Smart Advocate- Smart Case Management "

Now that the system has been in use for some time, we are overall very happy with the Smart Advocate product. We are now looking forward to digging a little deeper into reports and some of the bells and whistles that Smart Advocate has issued in the new release.

Pros

The ability to keep all case information in one location, along with the tasking ability to keep track of tasks assigned to team members has been a a huge help and time saver. The case browse reports for our weekly meetings on cases status has really assisted the team in knowing where our cases stand, instead of digging through notes and emails on each case file.

Cons

The initial migration and conversion did not go as smoothly as we had hoped, however, once cleaned up and finally integrated into our firm operations we have found the CRM to be easy to use, beneficial to the firm and the way we manage cases.

### "Easily keep track of thousands of cases!"

The program made it easy for me to personally oversee over 2000 cases. Everything from case stage to type makes it all the more easier to keep everything oragnized.

Pros

I like the the task system the most. I get a daily report of what I need to do that day on top of all unfinished tasks and how long they have been pending.

Cons

It takes a little bit to get used to. I thought the emails I saved in the file were deleted only to find an icon I clicked to exclude emails. Clicked it back on and I had everything I was looking for.

### "Great System, Great Team of People"

OUTSTANDING overall. Love the development and implementation teams. They were communicative, thorough and left no stone unturned. After conversion, they transitioned us to ongoing support, which had a minor hiccup of frustration, but once back on track, we had weekly 1-hour meetings to go over questions that came up, but anything urgent was emailed and we received a prompt response.

Pros

Development & Implementation Teams were outstanding. The level of communication, follow up and follow through was above expectations. As a result of their amazing effort, our conversion had only one major issue, but it was very quickly resolved with no negative impact to work.

Cons

Not a fan of the calendar integration with Outlook. Wanted to love it, and tried several ways to make it work, but it was just not great. I am hopeful this will improve over time. Integration with QB works, but has some quirks that we needed to create a work-around for. Such as, only the primary contact address pushing to QB and not being able to select a mailing address for checks when the contact has more than one address, or not being able account for a DBA name versus the check payee name.

After the initial demo with management, we had every single role of the firm demo SmartAdvocate and there was not one negative concern about the system. Every question the team had looking for a problem with the system, was met with a logical and efficient answer that worked.

SmartAdvocate has great functionality. Each tool is intuitive and easy to learn to use. I also love how SmartAdvocate displays the case notes on the main page and that overall layout.

Cons

I wish SmartAdvocate organized the case documents into folders, instead of just one long list. I also wish they were a little faster responding to tickets reporting issues/bugs.

What I like most about SmartAdvocate is the organization of the files/ cases. Easy to find documents.

There is really only one thing I don't like about SmartAdvocate and that is that the left side is not the same for every case.

### "SA is the best bang for the buck "

Exceptionally good. Claude’s trainings really prepare both users and administrators to utilize SA to a high degree.

Pros

The back user features are easy to use. The system is set up very well. SmartAdvocate allows the end user to streamline processes in a quick and efficient manner. The flexibility of the merge codes is superior to all other case management software. Workplans are easy to create and even easier to use. The training is voluminous and broken down so even the most basic user can understand. The customer service is kind and extraordinary quick to respond.

Cons

I would love SA to add an option for “children”. In other words, if I had a parent docket that said “expert deposition” I could create documents under that docket so everything is in one clean and easy to find space.

Pros

Pros

Nice layout, very detailed, and the flexibility to annote almost anything.

Cons

Not very user friendly or intuitive. There are too many steps to do simple tasks and in this industry the complications get compounded with each case when processes are not clear.

I think color coding would be helpful. Smart Advocate is an internet based program and sometimes it can slow you down - which we may need higher internet.

### "Best Software on the Market"

Best investment a firm could make. If I ever move away from my current firm, I have to take SA with me. I wish I had a SA for my personal life. The sky is the limit with what SA can do as long as you take the time to input the information needed for the software to do what it can do. But the time it takes to prepare templates; enter client/expert/medical facility information is completely worth the benefits in efficiency that SA provides

Pros

SA has made me 100x better at my job and more efficient than I thought possible. Taking the time to set up templates, auto-run reports, and input client information makes handling an extremely high case volume manageable. I love that SA can correct firm errors. For example if one of our paralegals does not report an expense to accounting, we can perform a notes search for the day of the charge and identify the case to charge the expense to.

Cons

I wish SA was able to auto-change case status and sub status based on when a specific document category and sub-category was uploaded to the documents tab. SA implements this feature with the Med Providers Tab to change the status of a medical records request from internal to received when records are uploaded. It would be nice to be able to change the status of a case based on whether a specific document has been uploaded to the document tab so that a case browse report would give you a real-time look at where each case stands without having to rely on the users manual changes.

We've gone from calling and emailing clients ourselves to letting SA take the reins. That saved time converts to more time spent working on legal research and writing for our attorneys and new potential client outreach for our support staff.

Pros

The automated client outreach and task systems have been phenomenal. It doesn't get any better than this.

Cons

Out initial roll-out was rocky. Sometimes, features are labelled incorrectly or are not clearly defined. The automated processes rely heavily on inputting the information in the least visible parts of the application.

Cons

SmartAdvocate may already have this feature but would be nice to have some kind of document production management tool. The ability to summarize medical vists (records) is great. However, it would be nice to be able to do some mass ocr searches within medical records.

### "A Clean, Customizable Experience"

Pros

The platform is easy to use and navigate from Setup to Settlement. It’s designed in a straightforward manner with everything reasonably placed. Even someone unfamiliar with case management solutions could probably pick this up and jump into a workflow pretty quickly. Additionally, the ability to change what information is presented and where is a very useful feature.

Cons

The system has a few issues that are holding it back. The file preview tools seem to be very sensitive about when and where they want to work. While Word documents almost never have issues with previewing, PDFs sometimes can’t be previewed. For a while, HEIF documents weren’t supported well; I’m not sure if this has since been fixed. It would be great if medical bills could be copied to liens more efficiently instead of one item at a time. The calendar events are very useful, but when you delete a series, it doesn’t automatically remove it from your outlook calendar. Instead, it updates it to say “Deleted”. Perhaps it’s not possible, but it seems like it would be.
