TrueContext has been a huge asset in transforming our field data collection process. We’ve moved from manual paperwork to fully digital, automated workflows. The platform is reliable, scalable, and well-supported. It has drastically improved our data accuracy, compliance, and reporting speed. We moved to TrueContext to eliminate manual data entry, reduce errors, and speed up reporting. It offered the best mobile experience and flexibility for our field operations compared to other platforms we tested.

Pros

The mobile-first approach is fantastic — our field teams can easily collect data on the go, even offline. The ability to customize forms and workflows has allowed us to streamline operations and reduce paperwork. Integration with systems like Salesforce and SharePoint was smooth and has helped centralize our data.

Cons

The initial setup can be a bit technical, especially when configuring advanced workflows or API integrations. Also, the user interface, while functional, could benefit from a more modern refresh in some areas.

Overall very happy with the product. We think we are getting a lot of value considering how much we use it in our business.

Pros

The learning curve to getting started is great. The implementation of the truecontext university made it easy to onboard new members of the team with form building.

Cons

Overall, our experience with TrueContext has been positive. However, we've encountered some issues—particularly with bugs and inconsistencies between the Windows and iOS apps. To improve accessibility and ensure a more consistent user experience across platforms, we would strongly prefer the availability of a web-based version rather than relying on the Windows app.

Not fond of the system. It is time consuming to keep up with all the data being received by our users. I have to then transfer this data to another service to get some usable numbers that I can present to our executive group.

Pros

There aren't many positives if any I can say about True Context as it sits now. It is a data collection center. For an upcharge there are other analytics capabilities that other companies roll into one standard price.

Cons

Smart logic works less than 50% of the time when you have long forms that require a lot of smart logic. The analytics you get is practically nothing. You have to build a power BI or another spreadsheet to decipher the data collection, so in theory, you are paying for multiple services that could be done with one provider. (Safety Culture and Predictive Solutions are two that are one-stop shops for data and analytics).

From an admin perspective, what stands out most about TrueContext forms is the level of control and standardization they provide across the organization. Administrators can build robust conditional logic, enforce required fields, manage version control, and ensure users follow consistent processes, which greatly reduces errors and compliance risks. The ability to control user permissions, automate workflows and approvals, and integrate data directly into ERP or other business systems minimizes manual entry and improves data accuracy. Additionally, centralized management of users, submissions, and revisions—combined with reliable offline functionality—gives admins visibility and confidence that field data is captured correctly and efficiently. Overall, the platform helps streamline operations while maintaining strong governance and data integrity.

Cons

From an admin perspective, what I would least like about TrueContext forms is that the flexibility and power of the platform can also make it complex to manage. Building and maintaining advanced conditional logic, integrations, and workflows can become time-consuming, especially as forms grow in size and complexity. Small changes may require careful testing to avoid unintended downstream effects, and version control across multiple user groups can add administrative overhead. Additionally, troubleshooting sync issues, integration failures, or user errors can fall heavily on the admin, requiring both technical knowledge and ongoing oversight. While the system is powerful, that same depth can create a steeper learning curve and increased maintenance responsibility.

### "TRUECONTEXT REPLACE OUR PAPER FORMS AT LAST"

We had Paper Forms EVERYWHERE We would receive Inspection Sheets Back Incomplete or Illegible, and the worst part was Techs would lose the paperwork between the Job Site and the Office, IT WAS A DISASTER. TRUECONTEXT put the Forms on their Phones and made sure Nothing Got Lost or Skipped. For Any Team That Performs Inspections, Installs, or Service Calls Where Documentation Is Important – This Will Replace All the Paper They Are Using With Something That is Trackable.

Pros

Our biggest feature with the mobile forms are that our Field Techs can now fill out Inspection Reports and Work Orders on Site and all the data will appear instantly at our office as soon as we get the submissions in. I went back to the office after a very long day and we have already received all the Form Submissions for Today prior to me sitting down at my desk. The Conditional Logic also helps reduce the amount of confusion the guys have in the field by only showing them what is applicable to each Job which reduces the likelihood of them not reading the Instructions Carefully.

Cons

It does take a while to build out more complicated forms, the Logic setup for the forms isn’t hard to understand – but it’s not something you learn overnight. The Mobile App works well but it is definitely less polished than the Desktop version and since it is being used every day in poor conditions by our Field Team this is a problem. Also (I know this is minor) the Form Submission Notifications can be delayed in arriving and since we need to wait until the Inspection is Complete to Move the Job Forward this delay is somewhat annoying.

For the value of money it is easy to use. Customer support is always available and on the fly help. The workflow management style really helps it run smoothly. Any bugs and issues they have articles and help for all subject needs. The Project Management of how these sheets are built is quite amazing.

Pros

It is easy to make any kind of form for our plant. Easy to import and export info into these forms. I recommend using Pronto Forms.

Cons

Just a bit of a learning curve for newer updates. They do have a cool picture when updates happen in the interface screen. More of a what is what when changing material.

TrueContext has helped us move away from paper-based workflows while reducing errors in data collection. It standardizes our forms and makes sure technicians capture the right information each time they’re in the field. The automated workflows and instant data uploads save us time and strengthen collaboration between field teams and the office. Overall, it makes our field processes faster, more reliable, and much easier to manage day to day. However, the workflow can feel convoluted at times, and some options aren’t always clearly visible or easy to access when I need them.

Pros

Creating and editing forms with a wide range of options works very well. Collaboration features are solid as well. The initial learning curve can be somewhat steep, but understanding the basics can get you a long way to using TrueContext effectively. Overall, the forms significantly simplify field work.

Cons

The workflow can feel convoluted at times, and some options aren’t always clearly visible or easy to access when I need them.

Overall positive. The program can be complicated to learn without taking significant time to create custom forms and fix mistakes. However, I have not seen another program that has near the capabilities of TrueContext. Relationship with support has been positive.

Pros

Customizable form questions and conditional logic, and the various data destinations that are not all on other platforms. Great program for large, complicated forms.

Cons

Form Builder is a bit clunky and needs updating. Some bugs with large forms, and some issues lately with email data destinations blocking certain emails within our user domain.

### "A cost-effective mobile forms platform with features that most other products do not have."

We have been using ProntoForms since 2016 and have over 400 active Pronto Forms for Sales, Safety, Construction, Inspections, Warranty, Mileage tracking, and Customer forms, all maintained by just one forms administrator in our I.T. department. That part of their job does not require all their time therefore they still have time available to perform other functions in the I.T. department.Support from the ProntoForms team is excellent. Sometimes you have to push a bit to receive higher level support for help and training with more advanced features, but overall support is very good.Construction: No more hauling around bins of customer and construction documents to have signed and often out of date. Everything is up to date, pulled from our ERP system, and ready for customers to sign.Sales: No more paper documents. All sales documents, including price and cost calculations, are done within the ProntoForms coding, and handled by an internal administrator/forms developer within our I.T. department.Warranty: Customer inspections are handled via ProntoForms. Dispatching the completed and signed inspection form instantly to the Warranty department and the customer, keeps communication together, up to date, and the Warranty department can start handling the issue right away rather than having to wait for signed paperwork to be brought back to head office.Environmentally Responsible: No driving back and forth from job sites to the office to hand in paper work.

Pros

1) Simple to use, but many other mobile forms products are also simple to use.2) Customizable forms: Conditional logic, repeatable sections, and ability to perform math calculations makes ProntoForms also suited for use in Sales Forms.3) Enterprise Edition features: Using web-linked forms, team form completion hand-offs, specific types of form dispatching & data routing, camera to text conversion, and workflow settings...are all fantastic to save time and money.

Cons

1) Web-linked forms cannot pull from data sources (yet). They are working on this.2) No integration with DocuSign, and not enough features built-in to replace DocuSign (however we have not found any other mobile forms platforms that integrate with DocuSign, so this is more of a feature request than a dislike). We use ProntoForms for many departments including having customers sign sales contracts. We need the ability to send a form to a customer for signing. We look forward to the day we only need ProntoForms and no longer need to include a separate electronic signature platform in our sales process.

Reason for choosing TrueContext

ProntoForms can pull from just about any cloud or local data source with a bit of customizing work. It is easy to have staff in the field with up to date forms field information having local data uploaded into ProntoForms refreshing as quickly as every 5 minutes. The ability for ProntoForms to perform math/calculated output from base numbers in the data source is a crucial feature to which we have not found a competing product.

My overall experience with ProntoForms is best till now. It is one of the best mobile solutions for workflow streamlining along with app building in most strengthened manner so that a strong, scalable and replicable work flow and process management solution can be built around without any problem. Managing all ground operations activity and capturing of evidences from field team is now easy task and does not pose any issues in collecting primary and secondary data for businesses. Visualizing data through real time dashboards and bringing business intelligence in raw data is possible with ProntoForms .

Pros

The best mobile forms solution, available in the market for businesses and professionals. The strong app building management through this forms to create robust forms for field team and ground team. All the complex work tasks and work activities are managed in unified manner and can be monitored through single workflow. The ground team can take accurate input from field in these forms in effortless manner without any hustle. Pronto Forms is the one stop destination for contextualizing and customizing Health, Safety and Management aspect of training management in most easy manner possible. No trouble at all.

Cons

We are still figuring out for deploying this software in offline manner without internet connectivity. Most of our ground teams operate in remotest districts of the states and does not have any internet bandwidth or network connectivity in such regions. Real time submission of filled forms should be made available in offline manner without internet usage. Cost reduction can be further looked into for devising new low cost strategy model on usage of the ProntoForms at lowest cost possible in different business environments.

We can rapidly prototype and deploy work process automation tools to our users. Prontoforms integrates seamlessly with our back-end systems with minimal effort. The API is robust and allows for enhanced integrations.

Cons

Each time we identify an improvement opportunity with the software, the Prontoforms team goes to work solving it. Sometimes this takes time, but it is well worth the wait.

When working with bigger forms it becomes slightly slower while editing/adding/removing questions (minor issue).

We started with a big learning curve as I had to help the tech team redesign a couple of forms. Once the technicians had their login credentials and learned the form submission, it really sped up billing and the response time to customers.

Pros

Our company was able to move to paperless invoicing and form submissions. As a subcontractor, we only had access to certain features but it definitely improved our response time to customers.

Cons

Older style website version, had to download an extension to help download invoioces quicker than one at a time.

Easy to use, form creation is simple and flexible allowing for quick deployment and customization, the drag-and-drop builder and conditional logic are designed for building complex workflows etc.

Cons

Lack of out-of-the-box reporting feature, Support is generally helpful, but complex issues especially around custom reports or integration can take time to resolve etc.

It's been a very short period of time working with TrueContext, but I think that the overall app has been great to work with as an admin and it's easy to learn new things about it due to the documentation.

The documentation is very solid, makes it very easy to work on creation of users and starting an SSO/connecting an API key.

I think the overall application is very solid, I haven't worked with it long enough to say anything other than not liking the UI.

ProntoForms assists us in optimising our products and providing a dependable solution to our consumers that meets their demands. The file generation procedure is really straightforward, and the forms developed are extremely strong, allowing for extremely simple integrations. We mostly use it as a sales support tool, and the formatting is excellent. Because our forms are linked to Google Drive, all of the data that we previously manually entered into spreadsheets is now immediately available and ready to be examined.

Pros

The form generation interface is incredibly user-friendly and allows you to construct forms quickly and efficiently. I've never had greater customer service from a vendor, and I used to work in Account Management. Exceptionally courteous and understanding, particularly with me as the new administrator. It's really simple and quick to use, and it also allows people who work remotely to contribute without difficulty. Cons

Personally, I'd want to see some improvements in the usage of date and time fields, as well as the kind of computations that can be performed on them. When we need to alter data, it's a stressful procedure that takes a long time. It also lacks customization, unlike other software on the market. Although, once understood and properly followed, repeating this procedure gets easy; however, their documentation, which should assist with such inquiries, is ambiguous and lacks sufficient answers.

### "Practicality and functionality on a single app"

Since I work in customer service, the app has been really easy for me to use since the search bar is very helpful and provides precise information. Also, the account creation, is simple and the instructions are clear.

Pros

What I like the most is how easy to use and practical TrueContext is.

Cons

This isn't related to the functionality of TrueContext, but some of the blank spaces that aren't required to be filled (for me at least) ask for some information unknown to me.

Easy to manage and easy to set up forms and easy to deploy to the field

Cons

Reports are not easy to format as needed. Size limit on reports is a real problem 20 MB is too small
