Cost reduction overall of processing service related billing and customer tracking. Also reduction in preprinted forms. Repairs data base that is always up to date. Made is a more profitable service company due to uniform pricing and makes it easy for tech to price out job.

Pros

Easy to use. Usage cost is applied to each ticket. Data bases updated regularly. QB integration. Am really liking the recently added feature of "installs & quotes".

Cons

Some of our problems are due to slow internet I suspect. Don't like the automatic archiving of work orders. I want it put away when I deem it appropriate. Don't like the new search engine dynamics. Old one was better in my opinion.

Was good and reasonable. Now it sucks. I am part of an HVAC froup on Facebook and many others are looking for a new program as well...all because of the new "features" that we do not want.

Pros

Service tickets by technicians. By the way...your industry choices do not include the HVAC field for this review.

Cons

The cost is constantly going up. Now they want to force us to pay for items we do not need...we cannot sync to Quickbooks without their new add-on.

For the most part it has been a good experience with Coolfront. Our profits and our price consistency has increased with the flat rate pricing. We have more customers paying on the job now.

Pros

Fairly user friendly. Creates consistent pricing throughout our service department. Can look back on a job and see which tech was dispatched to it. Upfront cost has lead to more customers paying on the job. Unlimited notes section for customers history. Paperless billing option.

Cons

Parts data base can be hard to navigate. Can't upload pictures to include with the work order. Discounts could be easier to customize. Frequent issues with glance backs. It would be nice if admin had the ability to change the cost of parts and if each tech had a separate schedule.

Flat rate / upfront pricing allows a business to charge what must be charged to realize a fair profit. The invoices are professional & legible. Pricing is uniform from customer to customer. Increasing the hourly rate is very simple. I wish I had started off using flat rate in 1994!!!

Mobile friendly & simple to create custom repairs.

Cons

Inadequate key search word feature for locating some of our HVAC repairs. (It has improved quite a bit over the last 2 yrs.

Dispatching trucks with 3 service trucks is nice. I do not like that you can’t change wording on a custom repair once you have entered a custom. You have to delete and start over. That is awful and wastes time

Pros

That costs of parts are pretty good as I can’t complain about price of parts used

There is still need of more repairs/parts

Pros

Up front pricing for my customers. It allows me to set my margin without employees being involved with cost of materials and markup. It has increased my profitability since implementing this software.

Cons

I've had a few complaints about the pricing. In some instances it does seem to be too much. I've had several complaints about the length of the invoice numbers. I've also received two complaints from a property management company; first the work order number stays a work order number on the ticket and does not change to an invoice number. This requires the staff to print the invoice and then write the work order number under the writing "Invoice" in order to process the invoice.a the second issue is they want me to email the invoice directly to the company that processes their AP, but the require the invoices in a PDF format. Can anything be done on these issues?

Coolfront easily allowed us to transition immediately into flat-rate pricing - simultaneously correcting a much needed labor pricing increase. We received little to no customer complaints. Many commented on ease of paying from phone/online.

Pros

Ease of use/repair pricing for technicians and customer interaction. Customers responded well to online payment features.

Cons

Not enough insights on invoice information/tracking of data. Monthly information is available - looking at the year month by month would helpful. Some of the tasks, particularly looking up previous invoices, isn't very intuitive. Would prefer a simple customer search button.

Coolfront has been a great asset to our company. We previously used a calendar and a pen to schedule our technicians. Being able to have an app and schedule our techs while I’m in the office or running errands has been a huge benefit. We also like the fact that the workorders sync with Quickbooks.

Pros

I like to see where each of my techs are located and if they have completed a job or not.

Cons

That the customer notes do not sync to Quickbooks

Gives us the ability to be a more paperless company where the majority of our invoices get emailed verses printed and mailed out and as a result can get payment faster when customer is not home to make payment at time of service

That our techs have access to flat rate pricing and being it is web based have access on any tablet, laptop, desktop or phone if necessary

Cons

Invoices that are still open or pending drop off into archives. Would like to see the system only sense the paid invoices drop into archives automatically after the current time it does it and leave other not mark paid to be manually archived

the ease and access is great. updated pricing is big plus. you dont need to buy a seperate flat rate pricing program this comes with it already.

Pros

The ease of use and how the screens operate. The new search is better and having options to filter also is a plus. Being able to populate past customer information and having a history of their previous services would assist techs in the field.

Cons

There isn't enough parts listed for certain types of equipment and usually have to either pick a part close or more often than not create my own repair, sometimes the price needs adjusting as well. With the elderly or folks with vision glasses it is often stated that the grey writing is difficult to discern.

Cons

The way the workorders line up in a row instead of each workorder under each technician. It would be easier if we could see each workorder for each technician on a schedule board.

Flat rate pricing, instantaneous billing, the glance back shows previous details of work performed at location. The sync tool helps cut back on office data entry. The customer service is excellent. They are very patient and alwayw willing to help.

I would like to be able to transfer all internal/external notes into QuickBooks Desktop.

CoolFront has made invoicing much easier. The ease of pricing a service/repair and having the customer authorize is on the spot is such a great time saver.

Cons

Getting used to the features takes a little time but that's with every change in a business. Clicking back and forth between current and archived invoices is a little time consuming.

Sharing necessary data with technicians without having to call them, text them or email them (busy office).

Pros

The ability to share customer data with manager, office staff, technicians & customers, somewhat live time. Ease of finding appropriate services and discounts to apply to work order. Ease of adding new services, pricing & discounts. Ease of using with customer other than old school customers who prefer hard copies. Believe it or not some customers still DO NOT have email.

Cons

Searching function not quick. No font, bold, italic or color change options. Not easy to integrate with QBooks. Not able to add attachments. We run out of work orders fast, a little pricey.

Consistent pricing helps me and my customers know that if I send Tech A or Tech B out, the price will be the same because they are using the same flat rate book! Also, customer history and Quickbooks integration is the cats' meow! Highly recommend this software for any HVAC, Plumbing or Electrical Contractor out there as a zero cost way to get into the flat rate pricing model.

Pros

Integrates with Quickbooks easily. Keeps a history (Glance Back) of previous service calls for the customer that is super easy to review. Updates database frequently to keep abreast of changing commodity prices (refrigerant, etc.). Zero cost to business to use. Hands down, the best choice for any HVAC business! Uses the same flat rate as Profit Strategies, but in an electronic, searchable form.

Pros

Convenience of quoting repairs to homeowners is very nice. Having the ability to report to customer the cost of repairs on the spot is a nice feature.

Cons

Far too many repair options for very similar repairs. Repairs database is not fully customizable to company usage to limit search times but does offer features for company and tech favorites for regularly used repairs.

Pros

When looking at flat rate books vs coolfront's mobile software, it was clear coolfront was the way to go. The database is always updating with market fluctuations and with the ability to add custom items it is a great fit for us.

Cons

The new search engine is pretty rough and seems to be lacking compared to the previous version. The ability to add a custom discount to a ticket without having to add it to the whole system first would be great. And the ability to change the order of items on the ticket would be fantastic.
