Director Information Technology and Services Used the software for: 2+ years ### "No Reason To Change" July 31, 2020 5.0 We have used Hubstaff for 4 years to track our remote staff and have no reason to change to another provider. It is well establsihed in our business processes and we upgrade plans as we add more team members. Onboarding new team members is very, very smooth. Pros We create tasks in our Project system (jira) that appear in Hubstaff for the team member, they start the clock and we pay on that time spent - simple. There is a Dashboard to see who is working on what task at any time and lots of reporting. The project task gets the time spent reported back for project tracking/costing. We get 10 minute screen shots if there is a concern over productivity. I also use that to get a sneak peek on their design ideas if a client is calling me on progress and sometimes I'll suggest a change in direction. Cons We tried to interface with Quickbooks by Customer by Task but Hubstaff couldnt handle that. We do this via the tracking in Jira (which includes Hubstaff time by Task anyway). Reason for choosing Hubstaff We looked at a wide range of alternatives and felt Hubstaff offered the best value and lots of features for the price. Pros I like the time trackers and be able to have it integrated with Asana for tasks to be followed through. Cons Sometimes integrating to Asana can be a little tricky. I like that they offer a limited free version to get in and test things out before committing. The screenshots help to keep entry level employees on task and efficient, and the billing reporting features work well for independent contractors or agencies alike. Pros For most of our salaried positions we don't need to track time as closely. However, with some of our entry level employees we wanted to make sure they were staying on track and have a way to export their time entries to our payroll software Gusto. This accomplishes all of that. This takes screenshots randomly every 10-30 mins to keep our reps accountable. I've also used this as an independent contractor and it's good for proactively showing transparency and generating reports to bill clients as well. You can setup projects and assign tasks to manage projects in addition to the billing/reporting functions. Good for independent contractors and small teams. Cons They do offer a limited free version that I used as an independent contractor, but it is buried and not advertised well. I realize it's in Hubstaff's interest to get people on the recurring monthly plan (which I did once we grew), but I feel like they could position it better like Mailchimp does, and talk about how the software "can scale as your company does". The software does in fact do that, but they don't do a good job of presenting that. Another potential con. We give more trust and autonomy to our salaried employees and this might rub them the wrong way if we tried to make them use it. I also wish they'd improve the interface on the native mac app. It looks like Microsoft Lync circa 2005. Functionally, it works, but the interface is dated to be sure. We would be lost without it to track time on projects and employees hours. Pros Able to track time per task/project Able to monitor time spent and activity levels of employee Able to monitor screenshots and change frequency of them being taken Great customer support Able to manage a global business with workers working from their home (no need for office) Able to track employee's hours/activity Cons I have seen instances where staff overseas used a program to create mouse movements and keyboard strokes to mimic activity levels but this is minor because actual work output and screenshots tell who is using them. I wish that Hstaff would tell me when this occurs but they cannot due to slander/liability if someone is fired. The automatic time tracking feature eliminates the need for manual entry and ensures accurate recording of work hours, making payroll and invoicing processes smoother. The GPS tracking functionality has been particularly useful for remote workers, allowing me to stay updated on their location and optimize resource allocation. Cons One concern is the potential perception of intrusiveness due to the monitoring features offered by the software. Some employees feel uncomfortable with the level of monitoring provided.Another consideration is that Hubstaff's extensive features may not be necessary or suitable for all types of businesses. December 18, 2018 5.0 Its a pretty solid program to keep track of your productivity and sometimes I even use it to go a couple days back to check if I was able to do tasks that I may have slipped my mind. Pros \- random screen capture every 10 minutes that allows managers to check if employees are focused on their intended tasks - lets you track running time to the second that can also be used to determine pay. - you can track overall running time with preset time periods or set your own - forgot to time in? dont fret! you can edit this and leave a note to state your reason so managers can review and approve or reject the changes - has a mini time window that allows users to check how much time is running without closing any windows - works great with Mac and Windows - Different parameters used to measure productivity - color coded productivity - can view daily, weekly, and monthly productivity rate - easy to use interface - set tasks, projects, invoices, calendar schedules, admin can limit user access - easy to use dashboard with graphs of productivity Cons \- its not an exact science. My task is "Product Sourcing" which greatly relies on scrolling through thousands of pages to find a good item to sell and sometimes it takes the whole 8 hours to find 1-2 good items worth a second look. Hubstaff sees this as not productive and gives me a real low productivity percentage rate. - it can be manipulated if you still have time in between your tasks like opening new windows and tabs and mixing it with other "movements". It was more like a personal payroll assistant but operates more accurately and with many conveniences. I've looked around and wasn't able to find anything like Hubstaff! Cons Maybe the pricing is a bit high, especially for startups, but I'm sure it will blow you away with its features and make you say that it's worth every penny you spent on it. The program is cost effective and a great way to monitor remote employees. Pros I love using Hubstaff for our remote employees. It gives me access to see screenshots of what they are working on, assign tasks, job cost their time, and easily see what I need to pay each employee. Cons The only thing I do not like about Hubstaff is the desktop version needs to be downloaded to utilize the full services that hubstaff offers. Cons The billing department and the billing experience! As i was checking out the subscription (i am on a monthly subscription), and want to check how much would a yearly billing save me. i moved a knob from monthly to yearly and my credit card was charged! no warning, no confirmation, no thank you and no confirmation (on the web or the email) I found out by chance, a few hours later that my CC was charged for a year. Also, i was charged for a year after i just paid a week before. i had to write the billing support 3 times and they acted as if they didnt understand what is the big deal. which is a frustrating thing to do to a client. 780 bucks IS a big deal for me. also their replies were vague, late, and it took 3 emails before i was finally given the link to cancel this transaction. the app is amazing, the billing interface and support is terrible. In turn, it has allowed me to work out a much bette hourly rate to work towards and allows me to identify those clients who take up too much of my time for their budget. I use the Hubstaff monthly reports to give a clearer overview of where my time has been spent. Overall, Hubstaff has allowed me to work to better financial goals as well as helping with optimising my time. Pros This software is a brilliant price for what it does. When looking for a good time tracking software I wasn't too sure which would be best for me, however, I figured it was worth a shot. I only use it's basic features - eg I don't use the invoicing etc just the time tracking but by doing so I have really managed to optimise my time spent on both client work and personal work. I also like the ease of use of the software. I primarily use the Mac Application but have also used Hubstaff on my phone (iPhone) and PC - all of which have been simple to use. Cons At first, I found it difficult to find monthly reporting, however after a quick Google I managed to resolve this. I think it could be made easier to find. Review Source Jose A. We use it daily for 20~ freelancers. I wish they spent more time improving the stability / UX of the platform instead of new features. Pros Ability to have all freelancers track their time get paid in one platform. Also the ability to work on specific tasks and report how long they took are important for our business intelligence. Cons The synchronisation between hubstaff and hubstaff tasks is slow and buggy.
