It provides a centralized way to manage client records, track assistance and referrals, collect information through intake forms, and generate reports. I particularly like the way it reduces the need for spreadsheets and gives teams a shared view of service activity and outcomes. The learning curve is reasonable, although organizations with more complex reporting needs may need some additional configuration. Pros What I like most about CharityTracker is how it brings client information, assistance records, referrals, and reporting into one place. The interface is fairly easy to navigate, and the reporting tools make it easier to track outcomes and prepare information for internal or funding-related reports. I would highly recommend CT to any agency that needs a robust system to collect data and manage clients. I will also add, the reports were very useful for us in the data collection and allowed us to collect data that was used to apply for additional funding. Pros I liked the easy navigation of the system. We were a grant funded program that started using Microsoft Access, which within a few month's of the program launch, we realized that we needed something more. Being a grant funded program, we needed a system that was budget friendly. While researching different systems, I came upon Charity Tracker. I set up a demo with \[sensitive content hidden\] and we noted that it meet our needs at the time. After a year, our program grew and evolved we had a need for additional assessments to be created. We worked with \[sensitive content hidden\] again and were able to have additional assessments created that allowed up to capture additional data. Cons Nothing really. For what we needed at the time, CT meet our needs and was very budget friendly. The system is easy to use and learn. We started using the system immediately, there is no long development phase. CharityTracker was ready to be used immediately and had all the basic functions we needed to move our paper files online . They have always supported us in the way we may need to tweak this in order for it to meet all our needs. We use it for our entire county so other providers can see what assistance is being given by who to prevent "double dipping" by clients. We most recently started using the outcomes to measure the results of our financial coaching program. I LOVE Charity Tracker and will (and have) recommended it to other agencies. Pros The customer service is AWESOME!!! Always quick response and notifications in advance if they know of system issues occurring. The system is simple to learn and easy to use. Cons I can't really think of anything against the system. It does what it is supposed to and we are able to obtain the information we need. Although the system is HIPAA-compliant and designed to support data-informed decision-making, some partners hesitate because they feel they lack the staff time for input. In reality, CharityTracker’s features can actually streamline their processes and save time once integrated into daily operations. I would also love to see the introduction of “Sister Networks” across counties, since many organizations serve the same clients beyond our borders. Broader data sharing would strengthen collaboration and could help populate \[sensitive content hidden\] for all of North Alabama, moving us closer to a unified, statewide community resource. Its also the tool to use to track outcomes for a Getting Ahead in a just gettin' by world program, with it's own module customized to match the assessment and turn out progress reports, stability scores and Return on Investment. Pros Navigation of the software is as easy as navagating a common webpage. History of modifications eliminates the chance that another agency might update (and loose) an address or phone number that you need. The Alert system is very helpful for quickly communicationg to other agencies. Cons That every agency in the whole community isnt using it! Cons Still having a hard time measuring goals over time, especially when our coaches are not the most tech savvy. Cons It cannot support some of the files we need to upload as they seem to be too large. Also, we cannot separate storms or regions. Everyone has access to all of the client information. May 6, 2025 5.0 Charity Tracker was hard for my volunteers to learn at first. We used to have a much simpler program to use. But, once we got used to it, Charity Tracker has been so helpful in recording a great deal more data about our clients, and the ROI system is fantastic. Pros How much information I can keep on each household member and how I can transfer members between households. And the ROI system. Cons How if I spell a client's name wrong it will not include them in the search results. Also how the reporting is pretty clunky. And, it would be great if we could easily make private versions of profiles that were made by other agencies. It seems like there are a lot of openly viewable profiles out there for clients that, when they are asked, refuse to sign an ROI and do not want their information visible, but because another agency made the profile, we can't do anything about it.
