We use TrackVia to keep tabs on open projects and inventory, and even enable our customers to access a portal for better real-time communication. Our clients use TrackVia as a full-blown ERP system. Pros TrackVia is a gamechanger for businesses of all sizes in every industry. This unique platform enables citizen developers to centralize their data in the cloud, opening the doors to exciting new opportunities such as improved reporting, process automation, and 3rd-party integrations. Cons Smaller businesses and startups may be priced out. Though, when implemented correctly, TrackVia can combine multiple pieces of existing business software together and save money. The learning curve is low for users but starts getting very technical for admins once to get deeper into building apps. Pros I love the ability to change and customize tables. It allows me to pivot on the fly. Cons I really wish the mobile app was more customizable. I just don't really like the UI in the mobile app. Although it is very functional. Switched from [WorkMax](https://www.capterra.com/p/83248/About-Time/) Workmax was not flexible enough for our usage. The custom fields were not broad enough for our use case. I can confidently say that I have already gained skills to create and customize as needed. I continue to sharpen my skills with their awesome webinars and knowledge base. Cons I hope to see more work in the look for the end user experience. With that said, there has been some improvement to the end user experience and it has been definitely for the better. Pros I like the ability to make tables with relationships the can be compiled into separate views easily. The “low code” platform really helps small business. Cons I don’t like how the fields are so constricted. It almost makes it feel bulky and not user friendly. You get 4 spaces per page length to input data. Pros The fact that we can customize our database and create specific reports was a big selling feature of this product. The initial training helped us get started and we've been able to take it from there. Cons Using the system and customizing it can get very complicated. After the initial consultation, you are on your own so make sure you keep refreshing your skills on using the system. Pros There are features that have been taken away with new improvements to the system such as being able to pick a page to go to instead of taking the time to click on each page. I have lists with 100's of pages and that is a difficult and time consuming task to try to get to page 90. Also the ability to have more on a page. Would like to see them come back. We were able to build a very specialized, unique work flow that aligned exactly with our company goals. Everyone was able to engage in the development and make it our own. The company is extremely responsive to our calls and fixes. Reliable and no down time. Cons Some of the reporting is limited and I know they are working on it. I love that you can import from and export to Excel; that setting up a table is incredibly easy. Cons If I could point to anything, it's the inability to shift records between similar tables rather than having to export and then import, losing any docs that were uploaded. Using the API we have interfaced several key data sets that assist in data audit and keeping information relevant. The ability to grow the applications incrementally and to solve real business problems has been of tremendous benefit for our needs. It has helped us organize information, streamline workflows, and reduce manual processes. The flexibility and customization options are especially useful because we can build forms and processes around our specific needs. There is a learning curve with some of the more advanced features, but once everything is set up, TrackVia is a reliable and valuable tool for managing projects, inventory, documents, and day-to-day operations. Pros TrackVia is a solid platform with good value for the money. It’s flexible, easy to customize, and useful for inventory, project management, forms, and organizing documents. The ability to build workflows around our needs is a major benefit. Pros: I like the flexibility and customization. It helps keep information organized, streamlines processes, and reduces manual work. Cons The biggest downside is the learning curve, especially when setting up more advanced workflows and custom forms. Some features can take time to configure properly, and it may take some trial and error to get everything working exactly the way you want. More complex setups can also require additional training for team members. This is great since someone almost lost their rights due to a lost document. The platform creates an audit trail sufficient enough that I do not receive complaints about the accuracy. Pros I built a simple purchase order workflow without things completely falling apart or having to wake up IT to assist me. My coffee has turned into ice as of about an hour ago. However the drag/drop tool set for creating forms and fields work fairly well for what they are. I also was able to link this to some of the rest of our processes using the api which I thought would never work (it did). Overall, I am happy I didn’t have to write code to create a basic form. Cons Creating a custom report is pain and always seems like something isn’t quite right. Sometimes it is super slow when all users are logged in. It allows Admins to split their account into different Applications which allows specific users to be granted access to the apps through the roles and set preferences/permissions for the users. Data can be easily imported from a spreadsheet and also exported. Integrations through API or automation platforms allows admins to sync TrackVia data with their own website or other enterprise automation platforms in real time. Data can be customised into Graphs, Pivots or grouped for Reporting/Analytics. The mobile app is compatible with iOS and Android devices.The use of GPS/Geolocation on forms is great pinpointing where tasks have been completed especially for field staff using mobile devices. Customer support is a great help when issues occur, they will try their utmost best to investigate the issue and try and resolve it. Pros TrackVia's ability for customisation, where we were able to split our account into different applications, such as Inventory Management, Employee Management, Project Management etc. Integrations with other enterprise applications and automation of data creation/updating through application scripts. Cons The TrackVia mobile app does not have the ability filter data (quick filters) unlike the web version. Review Source LW Laura W. I employ it in managing my project and structuring our event data. It is not that bad of a value, but working with very large datasets can be infuriatingly slow. Pros The convenience of the form creation is unbelievable, and we can create our own data collection applications in a few seconds and customize them to fit our event participants and employees without involving the developer. Cons It may perform poorly and be slow with large lists of event guests and the customer service is usually slow enough to respond to our marketing campaigns that are fast-paced. Cons Some of the advanced integrations or reporting capabilities require assistance from IT, and mobile interface requires extra setup for field staff, bringing little delays with complicated workflows. April 17, 2025 4.0 Trackvia has been such a handy tool for us. If we need to build a new business process we could get it done in trackvia. We actually used it to build our very own support ticket system and it performed very well. We could schedule reports and customize views to maximize our workforce efficiency. Pros Trackvia is excellent at customization. We love the ability to build views and dashboards to show our clients, employees and vendors exactly what they need to see in a way they need to see it. Once you learn the basics of it, it is very easy to build and create workflows and applications that work. Cons I think with its easiness to build, some of the more complicated tasks become very difficult. We were unable to successfully geofence our sites to be checked into by vendors even with paid support to build the platform. They can grab location coordinates at a point in time, but not sort or block check in when not in a given radius.
