Since we have implemented it, we got a better overview of our projects and became able to plan ahead and more long-term. Pros The product is very easy to use, intuitive, and fast. We love the ability to zoom in and out and have different views of our timeline. Cons What I (currently) miss most is the ability to quickly update the schedule. For example, to select multiple "tasks" for one employee and move them 1 or more days forward, in other words, to shift or postpone someone's entire schedule. We change schedules quite frequently so it would be easier for us to have this enabled. But I've heard that this would be possible down the road. Now I simply go to the “Home” area and see who is due. So I don’t get screamed at by my boss. Helps with our remote team. All of us work in different time zones. I could not possibly manage that on my own. Using the AI agent to summarize yesterdays chaos, saved me from reading 100 comments. There are fewer sticky notes on my desk. Which is nice. Pros Honestly I use it as necessary but the dashboard does tell me what my team is working on and I am surprised that the automation runs on time instead of never. Cons The worst part about Resource Guru is the guest access. I keep accidently providing clients full seats. Way over priced. Clunky. The items marked as “Required” on the Home page are junk. This works well for us as we have a small number of facilities we manage. I cannot offer a recommendation for/against this project for large numbers of resources (>10) as it might be cumbersome at that point. For our limited resource pool, it works well. Pros The interface is simple to use and understand with respect to resource availability and conflict. It serves its purpose well. Cons New feature rollout is buggy. When I switched between the "beta" ("new") experience back to the classic, I received a nagging email from the company telling me I had recently logged in using the "classic" experience and it would eventually be discontinued, and that I should try out the "new" experience. This product is basically a shared calendar, and while it offers reporting that is a hybrid somewhere between Microsoft Outlook and Project, it's a bit too pushy with respect to new features. We needed to share this message because the old schedule will shortly be retired, and we didn't want people to be taken by surprise by that. As long as you click the cross to close the message, it won't reappear for you. I also wanted to take the opportunity to reassure you about the new schedule. It's a vast improvement on the old one - it's been completely rebuilt from the ground up to provide lightning fast scheduling, infinite scrolling, lots of enhancements including elastic overtime, and it's just as stable for incredibly large teams as it is for very small ones. Pros This a great platform for agile planning and programming for my projects and team. Its quick to set up and hit the ground running. I really like the ability to be able to review the utilization stats on the projects and staff, then pull that information over into the timesheets. Many other platforms I've tried get way to bogged down in details, Resource Guru captures all the information you actually need to run your business smoothly. But it does that function very well instead of spreading itself to thin. " November 25, 2019 5.0 Positive, I do enjoy managing RG for our company. My company want us to migrate and start using the schedule planned for Office 365, but I had to push back and explain that this software is up to date, already does everything we need it too and Office 365 still has a long way to go before we can use it for what we want. It's safe to stick with RG that we know how to work, we know what it does and what i can't do and it works, no need to change something that isnt broken. Pros I like the appearance of the software - its clear, self explanatory, easy to navigate, see the bigger picture to jiggle schedule resource about, etc. I like how easy and quickly the support team are there to assist when needed. I like how it shows you who has booked what and the daily reminders via email of what is coming up, etc. Cons It isn't a negative but I would like to have a scheduling log, to see at what time and date did someone book a slot onto the schedule. I manage the Creative Studio, depending how many campaigns and the urgency in hitting these deadlines, I need to keep track of the entire departments availability, knowing when i can move things around in order to deliver last min projects. Only myself should have booking access, but I currently share it with Creative Directors, so they can schedule in my absence, but I can't see when they have booked them in so i can keep track. Resource Guru quickly solved that problem. Pros The software was very easy to implement and even easier to use. The reports page provides a great, visual presentation of our creative department's utilization for the week. Until we started using the software, we were unable to track enough data to inform a successful creative resource meeting. Now we have visibility into the upcoming weeks which has significantly decreased our dependence on freelance talent. Cons The waiting list and overtime feature can be a little confusing. The hours don't get added to resource bookings and increase the utilization percentage. It would be great if the overtime hours pushed the utilization percentage over 100% to clearly highlight over-allocated resources. I just wanted to touch base on your request for utilisation to show at more than 100%. It's not possible to book someone for more than 100% of their time - our booking clash warning system prevents this to help ensure you always meet your deadlines, and without burning out your team. But if you want to overbook resources, you can do this by adding bookings with overtime, and overtime hours will be itemised in the "Overtime" column on the Reports, so it's easy to see where your team are overstretched. " December 12, 2022 5.0 Overall, we are very happy with the tool. Over the course of years, we had to find work arounds and come up with creative solutions (within what's possible in Resource Guru) but having found those solutions, we are getting what we need from Resource Guru. Pros Generally speaking the UX/UI of this platform is very user friendly and easy to learn/use. I love the color coding feature (that can be used for marking projects, resources, etc) and the recently added filtering by the "Resource Booker" is very useful too. Last but not least, I like that Resource Guru keep this product alive as every once in a while they publish new features and enhancements. Cons Resource Guru for our organization does a great job of helping us schedule resources of projects over time. So I can't really think of major issues. But one minor pain point is once we create a "non-billable" project and schedule resources on that project. Often and after a while (usually when a project is signed and official) we have to change that project to "billable", but although we do that, we still need to manually update each and every resource booking under the "Schedule" section and mark each booking to be "billable". Ideally and if we change the billability on a project level, all those resource bookings should inherit the change that was applied to the project. I brought resource guru to my current company after experiencing it as a project manager at another consulting firm. Pros The ability to filter, sort, and visualize resource assignments across 50+ individuals with a variety of technical abilities has helped remove a lot of the pain in managing geographical diverse field crews Cons I would like the ability to see 4-6 months on the screen at once. Instead of individual blocks for each day, I would like to see each block represent one week (a zoom out option). Some projects are 1-5 days, while a lot of assignments are 3+ months. Reason for choosing Resource Guru Deltek was great for accounting, but not user friendly when trying to play tetris with the schedule and 40-50 technicians. Pros Can't believe how cheap this software is and all the built in capabilities! It's great, we are a team of 7 and this has helped us with our project management bookings. You can clearly see what work is booked in over the weeks/months and allows you easily to move stuff round. Cons I would like there to be an option to have specific colours per clients. It would also be good if it retained hours per project. For example we have big animation projects in that are broken down into sketches, moodboard, animation etc and would be good to have some sort of log if the time gets moved. Once your team activate their account, their photo comes under their control (along with their name and email address). Resource Guru was designed so that each person invited into the app has control over their own details and can keep their own details up to date. This helps to prevent one person from being burdened with keeping everything up to date. So, the best thing to do is to ask your team to update their own photos themselves. If you have any resources that have been added to your account without being invited (or who have yet to activate their invite) then you should still be able to upload photos for them.
