It does what it promises perfectly. The UI is very friendly and pleasant - make for a great user experience. I used it to track the tasks for my team for almost a year. I would have kept using it but the company mandated a different tracking system and I had to abandon it. I like that Resource Guru'a focus on their product and customer service. I also appreciated the slow introduction of new features. Overall, very pleasant and satisfactory experience with a great application. User Experience Lead Financial Services Used the software for: 6-12 months ### "An adequate calendaring tool for resource management" October 19, 2019 3.0 We use Resource Guru to manage the utilization/booking of our research facilities. This works well for us as we have a small number of facilities we manage. I cannot offer a recommendation for/against this project for large numbers of resources (>10) as it might be cumbersome at that point. For our limited resource pool, it works well. Pros The interface is simple to use and understand with respect to resource availability and conflict. It serves its purpose well. Cons New feature rollout is buggy. When I switched between the "beta" ("new") experience back to the classic, I received a nagging email from the company telling me I had recently logged in using the "classic" experience and it would eventually be discontinued, and that I should try out the "new" experience. This product is basically a shared calendar, and while it offers reporting that is a hybrid somewhere between Microsoft Outlook and Project, it's a bit too pushy with respect to new features. We needed to share this message because the old schedule will shortly be retired, and we didn't want people to be taken by surprise by that. As long as you click the cross to close the message, it won't reappear for you. I also wanted to take the opportunity to reassure you about the new schedule. It's a vast improvement on the old one - it's been completely rebuilt from the ground up to provide lightning fast scheduling, infinite scrolling, lots of enhancements including elastic overtime, and it's just as stable for incredibly large teams as it is for very small ones. The team managers are adapting to it well, so having two layers of management and the ability to track all layers is perfect. Pros I like that it doesn't try to be anything else than resource allocation, and that it does this very well. In a department with 25 people plus some 'machines', we manage to keep track on our activities very well, and distribute the load in time and across the resources as needed. Cons I find it very intuitive, both for the user who can view the bookings, and for the manager who tries to keep track on everything. As stated above, many tools try to embrace project management, time registration, etc. - but we are really interested in the resource allocation only. If I should mention anything, it would be the request for slightly more flexible reporting options. However, the people behind Resource Guru are very responsive, so they will probably fix it before I am done with the review. I have thoroughly enjoyed using the software so far and it has certainly made things easier on myself and my team. Although I have a long list of things I think the software can improve on, I hope to work with the development team to open a dialogue on these additions. I know that our application for the software may be unique, but I'm sure the developments will be appreciated by others as well. Pros Resource Guru is a very clean-looking software that provides an ease of use unlike I've seen in other products. No training was required to bring my team online with the software, much of it is intuitive. I appreciate the professional look and feel as well as the simplistic interface. Filtering is something that is crucial to our business, and while I love the functionality of it there is definitely room for improvement. Through implementing small workarounds we were able to bring this software online for a team of over 100 field service engineers with very short turnaround (less than three weeks of overlap between the old software and Resource Guru). Cons While Resource Guru provides a clean and simple software, at times I find it too simple. There are some features that are built in some places but not others. For example I have the option of custom tags for filtering Resources. I can build out a filter for region, city, desired schedule, skillets, or even favorite food if I want to. However, none of this applies to Projects. I would love to be able to filter projects by region, city, state, or custom tags like skillset and software required. It seems to me that the exact same functionality could be copied and pasted over to Projects. There are other minor tweaks to be made, like exiting a window. Sometimes I am met with an "are you sure you want to exit" window because I'm currently editing something, but more often than not I am allowed to simply click outside the window or hit escape and all of the editing in progress is lost. Furthermore, it would be nice to be able to input repeating holidays or events. For example, New Year's Day is always on January 1st. Why do I have to scroll forward and manually input this holiday every year? It would be great to just set it and forget it. Another addition I would love to see is the ability to mark jobs/projects as tentative or unconfirmed. This could be in the form of a checkbox that adds a gradient to the job so it looks different than the rest. Something simple to differentiate it from confirmed projects is all I'm looking for. Resource Guru quickly solved that problem. Pros The software was very easy to implement and even easier to use. The reports page provides a great, visual presentation of our creative department's utilization for the week. Until we started using the software, we were unable to track enough data to inform a successful creative resource meeting. Now we have visibility into the upcoming weeks which has significantly decreased our dependence on freelance talent. Cons The waiting list and overtime feature can be a little confusing. The hours don't get added to resource bookings and increase the utilization percentage. It would be great if the overtime hours pushed the utilization percentage over 100% to clearly highlight over-allocated resources. I just wanted to touch base on your request for utilisation to show at more than 100%. It's not possible to book someone for more than 100% of their time - our booking clash warning system prevents this to help ensure you always meet your deadlines, and without burning out your team. But if you want to overbook resources, you can do this by adding bookings with overtime, and overtime hours will be itemised in the "Overtime" column on the Reports, so it's easy to see where your team are overstretched. Given how fuss-free the management tools are to use, the reporting system is the proverbial icing on the cake, as it aggregates all your available data in one easy to use panel. Not to mention, it is so intuitive to use and has such a remarkably low barrier to entry, that I onboarded all my team managers in a single day, and have never looked back. Cons Some parts of the UI look a bit dated, like the "adding resources" panel, but it's honestly not a big deal because you only use it once when adding your resources, and hardly touch it ever again. Other than that, changing the default working hours is a bit tedious, but again - do it once and you never need to adjust it again. September 29, 2021 4.0 Pros I personally find very useful being able to schedule tasks for me and my colleagues in a way that is easy to compile and understand (no more multiple Google calendars for each project!). Very nice that you can also choose between having a time-based booking or specific time. In general most of the features are very user friendly and changes to tasks/events can be applied very quickly. Cons Unfortunately the mobile view is not very clear and it takes a few steps to go on the task-page. This means that most of the time I prefer going back to my laptop (when I can!) to insert tasks or check my schedule. And every day, through a short stand-up meeting, we review the daily plan of everyone to make sure everything is clear. Thanks to the simplicity of the UI we can easily replan on the fly in case of project changes. Pros UX is awesome Simplicity of the solution. Cons The one-side only integration with Google Calendar. If we plan meeting in people's calendar, ideally it populates ResourceGuru (and would place it in queue in case of conflict/overtime). Pros Can't believe how cheap this software is and all the built in capabilities! It's great, we are a team of 7 and this has helped us with our project management bookings. You can clearly see what work is booked in over the weeks/months and allows you easily to move stuff round. Cons I would like there to be an option to have specific colours per clients. It would also be good if it retained hours per project. For example we have big animation projects in that are broken down into sketches, moodboard, animation etc and would be good to have some sort of log if the time gets moved.
