Overall it helps me manage my finances and keep the track of my costs. Also, UI needs to be updated a bit including the dashboard.

Pros

Zoho Books is honestly a fantastic tool if you’re running a small business or want to keep it for tracking personal expenses and want to put your accounting on autopilot without spending a fortune. It handles the daily grind like sending out invoices and matching up bank statements incredibly well. Plus, if you already use other Zoho apps like their CRM, everything connects perfectly right out of the box. They even have a free plan. I use it for making sure I am paying bills, getting the money I gave people.

Cons

Zoho puts strict caps on how many invoices and bills you can log each year, meaning you might be forced to upgrade to a pricier plan even if you don't need the extra features. It also doesn't play as nicely with outside apps compared to giants like QuickBooks.

I have been using Zoho for quite a bit of time now and I like their Free version, if you choose to upgrade it still doesn't break the bank. Zoho is a great tool for all

Pros

Zoho is a great app for small businesses and it can grow with you. I use it most to track expenses and to create costumer quotes.

Cons

At the moment there isn't something I dislike. One function I wish it had would be to tailor it to all kinds of businesses, like construction.

Switched from

[AccuLynx](https://www.capterra.com/p/116187/Acculynx/)

We switched due to Zoho being very affordable. We stayed for it's functionality and invoice management capacity.

Alternatives considered

[AccuLynx](https://www.capterra.com/p/116187/Acculynx/)

Reasons for choosing Zoho Books

I decided to go with Zoho instead of Acculynx due to price.

We tried it out for this year, as we were already paying for Zoho One but already 6 months in I can't wait to move sideways to a different system within the same cost bracket. Its made by people that have not had to use it as an accounts manager/financial controller, or worked in accounts practice. If the developers just tried out Xero and Quickbooks for a bit they would instantly see where theirs lack, but seeing comments in the forum some improvements just get ignored or shut down.

Pros

It links to Dext so it can auto import invoices and there is possibility to import and export most information in bulk (works well for chart of accounts, and stock items, invoices you can't bulk overwrite but can only import). Using a separate AI, you can write scripts to bulk update invoices (which wouldn't be a problem if you could bulk update every line).

Cons

Honestly there's a lot (39 reason to be exact, but I can't list them all). The bulk update tool is really frustrating - you can only do 25 items at a time, and it doesn't even show you the transaction details, just the gross value so you end up having a separate spreadsheet open just to check what you're moving which is difficult. Not only that but some things can't be bulk updated, some you have to do manually (like project!) Invoice numbers sort as text not numbers too, so your list goes 1, 10, 2, 21, 3 instead of actual order, which sounds minor but is so annoying when you're trying to find something. Reporting is another headache. I have already set up a power query excel sheet that reformats the detailed general ledger they give you, because numbers come out as text. VAT amounts and codes don't show up on transaction reports, and there's no report that just shows sales line items with the nominal, VAT, project and description all together - feels like such a basic thing to be missing. There is Zoho Analytics that might be able to combine all our company's general ledgers but it's not user friendly at all, still not managed to work it out 7 months in. If you want a project cost breakdown for all projects, it isn't possible, you have to run the cost summary and then click into each project separately (as we want to see materials and installs split out) - check out what Xero's does as an example. I don't know why it can't just run a general ledger for all unique lines with all possible fields. You will find on invoice, bills etc lists some fields you can't have shown on the main page, and some fields can't be shown on reports when theres absolutely no reason why it can't, so you end up creating custom fields just to be able to show the field. It also doesn't handle some UK accounting stuff the way it should. Vendor (aka Supplier - another point is everything is American!) payments sometimes post to prepaid expenses instead of trade creditors, and if you post multiple lines to the same nominal in a journal it groups them into one line on reports instead of keeping them separate, so you lose visibility of what's actually happened. Then there's just loads of small annoying things - you can't apply a credit to an invoice in a locked period even though it doesn't touch any actual transactions, you can't relink a bank payment to a different invoice once it's reconciled, and project search only works if you type the name exactly right in the right order. There's no ability to bypass lock period say if you are in a reviewer position so have to unlock it for everything! Oh and smart matching of bank items, is non existent except maybe where a payment matches an invoice exactly - you can't tick multiple at once and it doesn't learn from you put things or take an educated guess.

Sage hasn't changed much in 15 years (banking automation hadn't kept up), and I knew the capability of Quickbooks & Xero.

Reasons for choosing Zoho Books

The other two were far more expensive and we couldn't warrant those yet. Quickbooks I knew had a few flaws, but as we already had Zoho Books for free I thought I'd try it

Overall I found Zoho Books to be a good option, it’s good value for all of the capabilities it has. I am a UK based business owner and I eventually opted to switch for something which had smoother integrations with some of the other services and softwares that my business uses.

Pros

As with all Zoho products, the user interface is straightforward enough to do basic accounting and tracking without needing any specialised knowledge.

Cons

Took a little while to understand the various capabilities of Zoho Books but after a little bit of time exploring it was clear enough.

My overall experience with Zoho Books has been very positive. It has helped simplify day-to-day accounting tasks while improving financial organization and accuracy. The software is reliable, user-friendly, and suitable for businesses looking for an affordable cloud-based accounting solution. The regular updates and automation features make managing finances much more efficient, and I would recommend it to other small and medium-sized businesses.

Pros

Zoho Books is easy to use and offers a clean, intuitive interface that makes accounting tasks straightforward. It simplifies invoicing, expense tracking, bank reconciliation, and financial reporting in one place. The automation features save time, and the integration with other Zoho applications makes it an excellent choice for small and growing businesses.

Cons

Some advanced accounting and customization features require time to learn, especially for new users. Certain reports and integrations could offer more flexibility, and customer support response times may occasionally be slower during busy periods. However, these issues do not significantly affect the overall experience.

It is a hands-on application for managing the finances in a medium-sized team. It's helped us to be able to organize payments, contracts, invoices without paperwork amassing. On a few occasions when we have had issues, customer support have been quick to assist. It is a good choice for a few things but there are a few things that needs improvement, and it is excellent especially for companies that desire the best value for their money without unnecessary hassles.

Pros

With Zoho Books, we've streamlined our service contract management and client billing process. I really enjoy the fact that it is possible to customize invoices according to distinct customer contracts, with both recurring and one payment. The bank feed connection has saved us hours a month working on reconciling transactions. It's got everything that we need for a small team like ours for the price.

Cons

Sometimes there are little glitches when switching between reports/exporting. We would also like to see the mobile application have more editing functionality, so you can edit an invoice on-site when working remotely. Customizing reports could be more flexible at times, but it's not a dealbreaker. Certain operations such as importing bulk data are a bit cumbersome.

Very friendly software, great UI and easy to use. Customer service is also very prompt and helpful team.

Pros

It’s genuinely one of the easiest tools to get started with — very intuitive, even for someone who isn’t from a finance background. What stands out is the value for money; you get a lot of functionality without it feeling overly complex or expensive. It’s also one of the most widely used products out there and has really played a big role in transforming how businesses manage accounting today. The flexibility to customize based on business needs is a big plus, and most clients already trust and relate to the brand, which makes adoption much smoother.

Cons

Customization cost can go up at times. There has to be different plans that has to be subscribed to for the customisation to work

Pros

Easy to use, multi-currency support, good customer service (although I haven't had to contact anyone in quite some time), easy customizable invoices, nice interface. As someone doing my own books who's not a trained bookkeeper, this software gets the job done.

Cons

With having to add more customers/vendors to my account over time, the bill has risen quite a bit (CAD$120 back in 2020 to CAD$309 annual today) for essentially the same features. Reporting features can be confusing at times. Searching for transactions can be difficult as you can only seem to search for certain fields that you applied to the transaction. There's no way to search attached invoices or transaction notes for example.

very poor support. No desire to even show how a feature works. Just point to documentation and leave you high and dry No customization capability No automation tools Everything is manual

Pros

The tagging of transactions to different projects Meant mainly for medium and large companies with separate accounts dept

Cons

Not able to handle credit card merchant statements, with the government rules. for e.g. for transactions less than 2000 the MDR is not charged GST. There is no way to handle that other than doing manual entry for each transaction. For a retail business with 1000 transactions a day, doing this is really bad. Zoho support has no solution for this.
