" October 2, 2025 5.0 Overall I'm completely satisfied with the software itself as well as the support I've received. Additionally the QuickBooks and Companycam integrations are a huge bonis. I highly recommend. Pros Moving from a more service oriented CRM, job costing was the main reason for the switch. Specifically bid vs actuals and how time is tracked onto projects. The granular nature of the bidding and tracking process has given me a much clearer picture of my producticity and profitability. Additionally, as I'm starting to branch into prevailing wage projects, the natural flow pushes toward AIA bidding which is a requirement on many of those projects. Cons Hard to give much criticism so far. The software is pretty robust and comes with a learning curve. That said, the support's been great and to emphasize a previous point, it really forces you to see your business as a whole. Business Manager Construction Used the software for: 2+ years ### "Knowify is a great fit for a small GC firm" September 19, 2025 5.0 Customer service is exceptional, problems are resolved incredibly fast, most times within the hour. Training has been great, loving all the deep dive training that is available. There are a few nuances with the system, but overall, it has been fairly easy to learn to use for both the office staff and field personnel. Billing is straight forward and clear. I like having the ability to manage my own users. Pros As a small GC with limited management staff, Knowify is comprehensive enough to cover most things but not too big that the system becomes cumbersome to manage. AIA billing is primary reason we selected this product for our business. The ability to sync financial transactions with Quickbooks is also a key feature we could not do without. Cons The submittal process is not ideal, the flow is difficult to manage and it is lacking some functionality that would be nice to help manage the submittal process. Project Management/Scheduling is adequate, but definitely has some room for improvement. And for subcontracts, I don't like that a single subcontract cannot include multiple phases of a project. Pros The ease of creating a Proposal, sending it to a client and allowing them a way of accepting it digitally. Knowify allows you to see the GP of your projects quickly and has a simple ways of accessing many tools. Cons The scheduling portion needs an overhaul, employees not assigned to a job don't have visibility of where other employees are assigned. There are times when the time tracking app glitches and closes. time tracking ans scheduling should be cleaner and easier. In my opinion the program provides excellent project management at a fraction of the cost. They listen to their clients and strive to improve the program. I highly recommend Knowify. Pros Knowify is a good value for the money project management system. It's easy to learn and very user friendly. It's available online & through their app making it easier to manage projects in the field and office. It syncs with QuickBooks allowing you to facilitate and coordinate both your project management and financials in a single entry. Knowify allows you to easily collaborate your project with your client too. Cons Knowify has made many improvements that have resolved some of the software limitations but there are still some that exist. Additionally, we really appreciate the featuring vendor management and compliance. The Development team has been very accommodating on our companies needs. We enjoy working with Terrin and Christina. Cons The Gannt chart capabilities are clunky and a little complicated when it comes to dependencies. It may be more of a learning curve than anything. The resource board is a little complicated since our project have mutliple phases that the subcontractors are responsible for and when scheduled on one item they do not go over into other phases. \[ie. if we have Electrical Rough in and Schedule Electrician A and we also have phase Electrical Top out it will not automatically pull the electrician into that phase meaning there is a lot of time input to make sure the schedules are correct. \] The bill approval integration with QB is annoying. When the bill is input into knowify it only allows the option to sync with QB or not PRIOR to the approval or rejection. This is annoying because bills that are not approved appear on the QB feed as though they were approved. It is frustrating for you guys to say to use the feedback and then nothing ever comes of it. Pros The ease of most of the software. There are a few things still not working as we need them to. But hopefully they will be rectified soon. Cons That I have made suggestions that seem to fall on deaf ears through the feedback portal. They may be merely suggestions to Knowify, but they are must haves for our office staff. We need to be able to search for customers by phone number or address or even their email address. We also need a print function, without having to download and print from there. It is time consuming to have all of these extra steps just to print something. They are continually there to answer my questions and help walk me through our program step by step. The technical team were great getting our templates exactly like we want the to look and added a few new features for our company Pros Definitely the online support. All products do offer same idea on what we need but it is the support that makes this program stand out. Cons The plan and track percentage increase option on the labor. Would be so much better if they gave the option for set rates like the Cost plus time & materials option. Even the ones who were difficult to achieve buy-in from now see not only the necessity, but the value in having such a tool at their disposal. Knowify makes the task of managing our projects better. Pros Being able to track jobs, their profitability, our productivity/efficiency , job costing, expense management is a game-changer. The reporting and data we get from Knowify allows us to investigate areas where we need to improve, and then implement processes to achieve our goals.If we had to choose one thing that Knowify does it is Change Order Management. We are able to capture revenue from change orders more frequently, and for more completely than before Knowify. This alone is ROI making it worth every penny of our investment. We recommend Knowify to other subcontractors, and GCs regularly. Since we know what it has done for us, we share the benefits with others. The more organized our customers and other subs are, the better the entire industry becomes!We can't sing the praises of Knowify without mentioning their customer service. They provide the absolute BEST support of any platform we have ever used. Bar none! Their training is stellar, and their ongoing improvement of their product is impressive. They have now begun monthly focused training which I personally will not miss, and encourage my team to attend as part of their own development. Cons One of the pain points with Knowify is the generalities of its permission structure. We are actually working with their developers to create a more granular approach to this issue. Even though this is a "con," the fact that they truly listen and embrace our concerns, and then propose actual solutions is something we value greatly in our relationship with the Knowify team!On a lighter note, some of our folks just didn't like the name "Knowify." So, we took the orange "O" with the dashes on top and decided it was a head with a spiked hairdo. As such, we affectionately nicknamed Knowify. We call him "Spike"! Review Source JS James S. It’s pretty much self-explanatory to me but you know I’m not a real big software guy even though I used to be a marketing manager for Computer Associates years ago. I should say and I don’t like software packages. Where you have to scratch your head and just waste time sitting there at the laptop when you have other things to do so this is to me is by far the easiest package I’ve ever used. Office Manager Construction Used the software for: Less than 6 months ### "Highly Disappointed" January 26, 2023 3.0 Our company moved from a total accounting program that encompassed project management geared toward construction, to Knowify Project Management app with QuickBooks Online. Once we paid for our subscription, the subscription names changed and although we are grandfathered in to what we purchased, any enhancement comes with a cost; the first request (tracking of overtime) was DOUBLE the subscription price. As a company that utilizes American Institute of Architects (AIA) project management and billing, we rely on project reports that tell us how much is booked vs spent on each phase, how much we have paid our subcontractors (minus retention) and how much our direct labor and burden costs are to-date. There is not a single report in this app that can tell me these important facts. There IS NOT a report that tells me the value of each phase, how much I have paid the subcontractor(s), and what our direct labor and burden costs are, to date for a specific project; vital information for any general contractor.And, even though Knowify can populate to QuickBooks, it does do so in the reverse. All invoices and expenses (including credit cards) entered into QuickBooks on a project DO NOT populate to Knowify automatically. One has to copy the url link for said invoice or expense, and paste it to a populate screen where it puts the expense into the project, but does not put it into the correct phase. One has to do that manually as well. Pros Inexpensive for what it does (but there is more of what it doesn't do, than what it does). Pros It has an organized dashboard and many features. Users can easily start a new project, add a description, divided the job into phases, and set the budget for each phase. The budget is detailed into materials, labor, and subcontractor costs. This can help users estimate the cost Vs profits for each phase. The program makes it easy to calculate materials and labor costs, just add the price per unit and charge per hour then add the total amount of units and the total number of hours. I like that data can easily sync with other accounting software like QuickBooks. Users can create work schedules for their staff and send them messages on their Knowify mobile app to give them tasks and the time frame. I like the time tracker and the detailed reporting module. Finally, I like that it is a paperless based system. Users can send emails with their proposals for e-signature. Also, they can send invoices with links for online payment. Cons Knowify is great, but it requires a high level of experience with similar apps.
