### "The Collaboration Platform You've Waited For"

We document everything in Confluence. I run a digital marketing team of around 20 people and have a total of 40 users in the tool (a few other teams besides mine use it). It's been a fantastic tool to get everyone on the same page and keep track of our how-tos, meeting notes, plans, goals, features/specs, etc.

Pros

Real-time simultaneous editing Ease of finding and organizing what I've written Constantly adding new features Integration with Jira and Trello is great, but also works as lightweight project management by itself

Cons

Honestly, they've fixed my biggest cons, like storage space (now you can buy a bigger plan) and they keep adding more things. I think my colleagues would say there's still a learning curve, which is understandable, and I think Confluence has been changing the interface with more tips and features for new users (which is sometimes confusing for long-time users like me, LOL) One big con is still the limited integration with MS Office. Confluence fully replaces the need for Word in most cases, so that's not a big deal, but I wish the Excel integration and/or the table functionality was better. Also, printing is pretty tough when you have tables.

Reason for choosing Confluence

Confluence is quite inexpensive for what you get and it's super powerful. I really love the quick, accurate search results. The macro functionality and new "Slack" style slash commands are really cool. The notification system is very nice, especially the @mentions.

### "Great for collaboration, terrible as a knowledge base"

It puts documentation all in one place.

Pros

We use the cloud version for customer facing knowledge base (KB). A great tool for creating and maintaining documentation and how-to articles. Allows for numerous contributors, there are a lot of add-ons for features and functionality within a document. Syncs well with other Atlassian tools. Theme controls are fairly robust. The search is in depth and comprehensive, returns results from tags and body of a page or article. User community and KB is very helpful and responsive.

Cons

Our users are our customers, so inviting confusing and creating users is convoluted and limited. Once you designate the space as a KB, Confluence should provide user access in a way unique to a KB, but it the invitation process is still worded like a collaboration tool AND emails are NOT customizable. Users get bombarded by emails when a page is updated. The default setting is to have all users automatically watching the entire space, so when any update is made multiple emails are sent. You CANNOT set the user or group defaults for email preferences. SSO capabilities are not available in the cloud version. The user web service is severely limited and does not solve the issue. While there are a ton of add-ons from the marketplace, they are all 3rd party and these can deliver way more than Atlassian's supported offerings. This was a pro, but the con is that they are also limited to what they can tie into. We tried to use a theme from the market place, but it did not support the comprehensive search capabilities, only returned tags. Admin navigation is confusing, I use the product every day, yet I am constantly fumbling around trying to find where to go to do what I'm trying to do.

Overall, I use Confluence every day in my work to keep my (and my organization's) knowledge base relevant. I use to it to collaborate with other employees for improving internal processes, as well as for communicating important current info (such as outages or key developments). Confluence is unmatched in its search functionality, and allows my organization to keep its knowledge base completely streamlined.

Pros

I use Confluence as a customer service employee. We have a vast amount of procedures for managing internal systems, as well as for applying systems to actual contact with customers. All of these procedures are stored and maintained in Confluence. What helps me the most, is Confluence's super-advanced search functionality. Essentially, I merely have to type in a relevant word, and Confluence will list all the applicable articles. This allows me to find a relevant procedure for a specific situation in seconds. Another important feature to me is the commenting system. I collaborate with users who create and manage articles. When I see info in an article that's outdated or incorrect, I can leave a comment, and the article manager will get a notification. It's easy to collaborate in this way and keep information up-to-date. Lastly, the permission schemes help with keeping editing (or even viewing rights) limited to the relevant users. Within customer service this is important, as there are varying levels of authorization within our organisation.

Cons

In my opinion, the user experience and readability of the software could be improved slightly. The color scheme of blue/white/black isn't bad, but the layout tends to be somewhat messy. It could benefit from some streamlining, and perhaps more clear demarcation of elements within pages (such as more use of bold / italics, more variance in font size, and use of headers).

The UI is so much better now after their recent redesign. It's actually very usable, and has many content types and collaboration features that are intuitive . I don't mind using it. But it's still awkward or slow at times. And if you may need to share more than just a few pages outside of password-protected Confluence, it will be a pain at best, impossible at worst.

Pros

It does have great collaboration options. Adding/editing/sharing/tracking content with a team is great. It's great at managing INTERNAL private secret documentation. I appreciate the redesign they did few years ago. It's much easier to use now. Still, even that is not as good as Notion, which also has excellent collaboration features. I have no affiliation with Notion - I just wish my current and/or future employer would use it so I wouldn't have to use awkward slow Atlassian products.

Cons

Sharing anything outside of Confluence, to the general public, is simply not possible - except for saving each individual page as a PDF.

Confluence helped to decommission code check in tools like SVN and fileshare in organization. Verison control feature always helps to mitigate any risk during release and build deployment activities. It saved enough time and human efforts for data n file managments for multiple projects. Confluence turned to be life savior for many projects in cost effctive model.

Pros

Confluence is very user friendly so no need to spend time and money on employee training and learning. It is time saving tool in agile project lifecycle reducing heavy documentation and support. Better customer support compared to other vendors and softwares. Cost effective and resilient for Risk management and project planning activities.

Cons

Build deployment sometimes take time and version controlling mechanism require better practice for stability

Our regular tasks are made easier with confluence. With confluence as your sidekick, you won't need to bother your coworkers with questions about the problem you're solving in your spare time; instead, you'll have access to the same accurate details and streamlined procedure.

Pros

Confluence's ability to highlight the most recent edit to a single article or policy is a big plus. Confluence facilitates daily communication and collaboration inside our workplace. I appreciate that the most useful and frequently consulted information bases can be bookmarked for easy access.

Cons

The abundance of search results can be overwhelming at times. The areas are not always easy to navigate because they do not immediately open. The issue could be related to your internet connection. It's a useful tool overall.

This is a software that serves well it purpose, really easy and quick to use and does the job very well. And the posibility of interaction with Jira and Bitbucket is a real advantage.

Pros

Being an Atlassian product it is fully compatible with the rest of the suite, and being used together with Jira and Bitbucket is a real hit. It allows to link a Jira task/bug/story/whatever by just writing the element reference number; it will automatically create a link to the real stuff on Jira. This makes easy to keep work briefs about epics and stories, so you can easily talk about when or where you fixed something, and just link the task in which you logged the work. Besides that is really flexible allowing to have multiple sub-level pages to properly organize the information in a much more structured way than a Wiki. This allows to keep software documentation, teams structure and oranization, meetings briefs, and so on in the same application but in a well structured and easy to use way. Regarding the usability, the text editor is quite complete, and allows to create very neat pages really fast. It supports images, tables, formatted text... everything you would need in a documentation app, is there.

Cons

For this software I have not found any serious cons... maybe something I would like to be changed is the placement of the save button. On that location I use to miss it and sometimes I just closed the page without saving because I forgot the button was there; but that is just my problem remembering things.

Mainly because of the ease of use and the integration capabilities with the rest of the Atlassian Suite

Confluence is a critical tool for significant documentation from an engineering/product standpoint. I don't think it will be the only tool fast agile businesses will use for documentation but it is still best in class for engineering functions.

Pros

Confluence is the most trusted documentation player in the game. We use Jira for our engineering task management so naturally, the seamless vertical integration between the two tools is excellent. Confluence has an excellent template library and perhaps most importantly, the performance is always reliable. We can't use tools like ClickUp due to bugs and performance issues for long significant PRDs. The collaboration on confluence is excellent and permissions around editing is also important.

Cons

Confluence is quite clunky (much like Jira). The ability to edit isn't as easy as ClickUp or Notion and that can get frustrating when you're trying to make changes quickly.

Pros

I enjoy using Confluence because it is user-friendly & intuitive. It is also cloud-based, so there is virtually no maintenance on our side other than the content.

Cons

Some of the organization features for organizing pages could be a little better, or maybe just having some "best practices" explaining some examples on how to best manage pages & documetns for different scenarios.

Es muy sencillo y rápido de implementar. Es bastante amigable e intuitivo para el usuarios. Permite agregar texto, gráfico, vídeos, etc que enriquecen la gestión del conocimiento. Sus diferentes opciones como blogs, tablas hace la colaboración muchas más práctica.

Las opciones de edición son algo básicas aunque muy prácticas.

We use Confluence for all documentation starting from requirement gathering to designing testing and implementation. Confluence made our life easy with with high availability of document as a Source of Truth. All the team in the project can refer the latest updated document with updated comment, and tracking on. Business team are using it for all their feasibility analysis and requirement gathering. Design team are using it for all low level design. Testing teams are using this for tracking of issues. product support teams are using it for all issue tracking. Over all its a great tool which I recommend to all companies to have for their business improvement.

Pros

Most powerful thing I like about confluence is the availability and consistency of the document. along with the the feature where all team member in the project can access the document as a source of truth.

Cons

I couldn't find any cons as such but feel like its not used widely in the globe so those who are not used to of Confluence might find some difficulties at starting but once any one start using it I think they will love it!!!.

Better than ever because when you do a search, AI help you pinpoint the best results. It seems that is bow faster than it was.

Pros

Confluence is loading faster than it was before especially when editing and saving a page, the addition of AI make it easier to search.

Cons

Maybe the AI is a bit too much everywhere, I understand that it gives a better user experience when sesrching but we don’t need it everywhere.

Overall I would recommend using Confluence, but would caution people on how they rollout the new platform to their company. Ensuring that the expectations are communicated clearly for how the platform will be used, by whom and the frequency, are very helpful things to communicate when preparing your team to switch.

Pros

The interactive features of Confluence serves as the best feature and function of this platform! Our organization is relatively small (20-30 employees) and is a Foundation that interacts with other nonprofits in the area. As a result we had many touch points in the community through various teams and often time what we were doing would get lost. In an effort to improve our internal communication our organization adopted Confluence as a means of servicing our company. We used the blog feature heavily which proved to be the best method of communication internally and cut down on the amount of emails adding to the clutter in our inboxes. It also allowed discussions to happen seamlessly and served as a point of reference for folks to easily access when needed.

Cons

It wasn't always very user friendly. Our organization consists of a variety of ages, so the way that people have engaged with technology is also varied. There are times that adding spaces or pages have proved to be a challenge for those who don't consider themselves as "technologically savvy". There was a bit of a learning curve for me in learning to how to use the software, but the customer support team was helpful in walking me through difficulties. The mobile function also wasn't the best depending on how users have different spaces setup.

It is very easy to use. You can store documents and important information for your workers. In very demanding and changing fields it is a perfect tool.

It has a lot of specs and folders that would be confusing for someone with less technology or computer experience

My organization uses this in every aspect of the organization from idea management, marketing, operational, knowledge base, and more. We have been able to create a flow to systematically improve our efficiency overall.

Pros

Curating processes to fit the way we do business and organizing an easy access database to allow employees to utilize tools, or knowledge points it's crucial. Confluence allows you to easily create and navigate sources necessary to run a business.

Cons

The formatting limitations on some of the pages. While they offer a lot of layout options ultimately creating expanding boxes is not easy or user friendly. There may be a way to do it a lot of the time but it's not always obvious, as it should be.

The broad scope of customization options offered by Confluence has proven invaluable to meeting the unique needs of my team, as far as centralized project information is concerned.

Cons

As much as we would have liked to extend Confluence's use for project management purposes, the absence of task dependencies, customized roles and statuses , workload charts and the likes , limits us to only using Confluence as a project wiki / information hub for our projects .

Main issue that we have solved with this software is, sharing and giving access of document to certain user from various department. It help to protect the document and it will give insight if the document has been edited and the editor of the document.

Pros

I really like that Confluence is very flexible in managing collaboration of documentation and task. Creating a document and stored it in the cloud storage provided by this platform make the sharing process of the document is very easy and flawless and the document will only circulated inside the software which add more security to the document.

Cons

The only thing that i have problem with this software is, the full text search is not properly constructed. Too many unrelated search result is returned and that mean it is not accurate. I need to scan the result manually to find the document that i need and that action is taking time and slowing me down.

la libertad de compartir la informacion de una menra sencilla con todos los miembros del proyecto o de tu organizacion, sirve tambien copmo base de conocimiento donde se puede guardar informacion critica que puede que se pierda si se deja asi.

Cons

la unica cosa es el editor de texto, quizas se puede mejorar, aun que tal como esta ahora no perjudica de ningun modo el buen aprovecho de la herramienta

We were having problems to share information, and some users were not getting the right information. Knowing that we have a tool for information sharing like Confluence, we create a plan to start documenting all our processes, and now they are available across the company.

Pros

It is very useful to share all our documentation and knowledge base. All the users are now able to get updated information, and can share any documentation with the team.

Cons

It can become a bit slow sometimes, causing the pages to take longer to load and look for information.
