### "Confluence emerges as a versatile collaboration tool with distinguishing features"

August 31, 2023

4.0

Structured content creation has transformed the way our team gathers and disseminates information. Our workflow has been unified due to the smooth integration with our existing products, which has increased efficiency and reduced the need for continual context switching. The adaptability of Confluence is extremely empowering.

Pros

Confluence is a dynamic collaboration tool that enables teams to easily create, share, and interact. Its capabilities for structured content development and integration improve productivity and knowledge sharing. While improving its learning curve and multimedia features would enhance the experience, Confluence's overall benefits make it a valuable asset for companies seeking to improve collaboration. For starters, its dynamic and structured approach to content production enables teams to develop, organize, and share material in real-time. This encourages knowledge sharing and speeds up project progress. Confluence's integration features help to streamline workflows by connecting with a wide range of applications, resulting in a more cohesive and efficient work environment.

Cons

The platform's sophistication may present a minor learning curve for novices, particularly those unfamiliar with collaborative software. Furthermore, while Confluence excels at text-based material, its multimedia embedding and formatting choices may be improved to provide a more aesthetically engaging experience.

Alternatives considered

[Notion](https://www.capterra.com/p/186596/Notion/)

Reason for choosing Confluence

Confluence was chosen because of its capacity to improve cooperation and knowledge exchange. We were able to develop extensive documentation and resources using the structured content strategy, which aided in the seamless execution of the project. Furthermore, the platform's integration features ensure that our work ecology remains coherent, avoiding data silos and increasing overall efficiency.

Switched from

[Basecamp](https://www.capterra.com/p/56808/Basecamp/)

The requirement for a complete collaboration platform motivated our decision to use Confluence. We previously relied on disparate documentation tools, which hampered effective communication and information retrieval. Confluence's organized content foundation made this process more accessible, and its interaction with the products we already use made the transfer smooth and productive.

### "Confluence is My Bible"

July 15, 2023

5.0

It is very helpful. My mentor said this is our bible at work and that is true. Overall, Confluence is a fantastic tool. I don't think we are gonna be able to do our jobs efficiently with out it.

Pros

The whole look of the tool makes me feel like I can do anything and share anything with my team. It is very helpful to us when we are working because it can help us work efficiently. The tool help us help our team outside the country timely. We do not have to search for a very long time because we can use keywords. Time is very important for we could not waste the time of the staff for they are assisting members. It would be bad for business to waste time.

Cons

Last month there's a lag, an error message is popping-up every time I try using the search box. I am glad the error is now fix. I am currently using my confluence with ease again.

### "It is gradually improving overt time but has a steep learning curve."

August 30, 2022

4.0

It continues to feel clunky and bloated and it feels like it could be much more user-friendly and lightweight for 90% of customers.

Pros

Integration with sister product JIRA. The two products together make a powerful combination, where you can reference work tasks or content pages in each product.

Cons

Formatting pages can be a real headache at times and when you drag and drop images or other documents into a page they seem to appear anywhere but where you were putting them, which requires constant copying and pasting to fix.

### "Confluence for Knowledge Management and Agile Project Management"

July 1, 2022

5.0

Confluence is a must-have software in all big companies to encourage collaboration and provide an Agie project management tool for team coordination.

Pros

The software is very flexible to customize, scale to integrate and add advanced features of collaboration.

Cons

Notifications and updates emails sent to users are sometimes boring and repetitive. I prefer to have some new ways to highlight changes in a better interactive way.

### "Best knowledge management platform "

November 24, 2022

5.0

We have been using confluence to store information of different forms in confluence. It has been very efficient and seemless. I has support to ton of plugins which helps to incorporate different forms of data like flowchart, code, etc.

Pros

Confluence acts as knowledge treasury for all the tech companies. I really like it suits for all kinds of documentation and tracking like SOPs, task tracking, Design document, etc. And the way it manages the revision history, that is very efficient and useful.

Cons

I don't see any major down sides of using confluence. But if it could add support to html pages just like GitHub pages which will render the pages as seperate application instead of individual pages will be great

### "One stop tool for documenting almost anything"

June 30, 2022

4.0

Overall, the feature is a good to have and can make life easy by providing a single stop platform for all the documentation and giving a knowledge hub.

Pros

Collaboration with numerous tools already in use by our company like Asana, Slack, Miro Board, Google Sheets, etc. , Ease of use and sharing documents just by a click, and Permission handling of users.

Cons

Struggle to share snippets of code and adhering to syntax, and not having a flowchart builder feature.

### "Bells and Whistles but just Noise"

September 19, 2022

3.0

Pros

The software has a lot of things that might be useful for businesses and nonprofits, so there was a lot to unpack and hope for with selecting it. There are many things to create when you have domain names and other branding things that you can change, so that is amazing and awesome to allow your own signature branding to shine through.

Cons

Too bad the software is so complex and complicated and somewhat confusing to utilize. They have a lot of things that might have been useful if you deal with Jira, to deal with complaints and software people, but if you are not an IT person or familiar with how these things interact with one another, then it becomes rather complex and somewhat challenging to navigate and setup for any valuable use within the nonprofit, educational group, or SMB. This product has a lot to offer if you know where to look, but in the end, it is mostly about connections to other things that seem to beef it up. Whereas actual use is not so helpful.

Reason for choosing Confluence

It was unique from what we could find in that it allowed us to manage our engagement with our researchers and clients, but in the end, it was not very effective beyond just allowing us to brand our presentation to onboarding better.

Switched from

### "Practical Option for Atlassian Users"

June 4, 2021

3.0

When paired directly with JIRA, the Confluence platform can be a very powerful tool in terms of organizing project documentation with active or archived projects. Unlike other JIRA add-ons, the ability to activate or deactivate the product at the individual user level makes it much more affordable and a solid value option. As a standalone product, however, Confluence falls shorts in terms of features and user interface when compared to other word processors or document cloud storage systems.

Pros

Confluence is a great option for existing Atlassian users looking to seamless integrate an active knowledge base into their project workflow. With direct connection to the JIRA project management platform, Confluence allows you to connect existing users directly to relevant project documentation. Its base functionality is fairly intuitive for novice users, and its advances permissions schemes allow you to create a variety of admin tiers that can restrict access to relevant users only. The integration between Confluence and JIRA is as simple as checking a box in the user admin panel.

Cons

As a general word processor, Confluence can be a little clunky when compared to the UX of similar processors such as Word of Google Docs. While its advanced features can be very useful for more experienced users, available tutorials can be difficult to come by and are often outdated. Like most Atlassian products, the bounty of features, settings, and schemes can be very overwhelming to the average user and are not overtly intuitive. Document organization can also be very confusing, as there are a variety of options to choose from when creating parent and child pages.

### "Notes and Document Management for Pros"

September 18, 2021

5.0

Confluence is the best notes taking and document creation software available - it's a well-integrated, easy to navigate tool that enables live collaboration whilst providing a range of integrations to other business tools!

Pros

Easy to use navigation bar per space (topic area) of store notes coupled with a range of text formatting and style features - Confluence is one of the best software tools available for notes taking! The inbuilt macros, linking page functions, mentions, comments and live editing all add to the allure of the Atlassian product range.

Cons

Confluence can be a steep learning curve due to the overwhelming amount of functionality available - including the permissions and access control clashes.

### "Best knowledge management and wiki out there"

November 20, 2020

4.0

If you use other Atlassian products, Confluence is the perfect complement. Because exporting documents is so bad, it works best if you, your colleagues and your stakeholders/clients all exist in the same Atlassian ecosystem.

Pros

Highly configurable and easy to use document templates, beautiful interface akin to using Medium, and deep integration with Jira Software and Jira Service Management are the features I find most useful. Recent changes to Templates to enable you to quickly search and preview available templates is incredibly helpful, as inline commenting while editing and being able to quickly convert anything into a Jira issue. Being able to use Confluence to defer service management requests by offering reporters the option of self serving an answer to their question/problem is a stroke of genius.

Cons

It's beyond irritating that exporting documents as a PDF is so horrendous out of the box. I also find the concept of Actions vs Jira issues confusing. I consistently find myself missing actions that have been buried in Confluence.

Switched from

[Google Docs](https://www.capterra.com/p/160756/Google-Docs/)

Confluence far outweighs what is available within Google Docs. Although Google Docs enables better presentation and enables me to share documents with anyone, whether they're a licensed user or not, it's templates are lacklustre and it's unable to provide the powerful integration with a developer workflow that Confluence can within the Atlassian suite.

### "A great tool to create your wiki space, helps enterprise to maintain their knowledge and doc space."

February 4, 2022

Overall confluence is excellent, great to have such solution, very user friendly when creating the page.

Pros

Really liked the idea of creating your personal/team pages and organization wide pages. Also audience can be controlled via permissions. This really helped in keeping the project progress as keeping the knowledge documentations.

Cons

Search in confluence is not really one of the good feature, you need to enter multiple keywords to get exact page you are looking for. Sometimes it displays the results which really not relevant to what you searched.

### "Solid note/documentation software, but pricey for what it is"

November 10, 2023

5.0

Generally a positive experience but it's a classic case of the established, expensive, and less flexible piece of software compared to more modern options like Notion. I would recommend really only to teams that use Jira heavily and want a source of documentation.

Pros

Works really well with Jira and especially for developer teams that require integration with it. The editor is solid and offers a number of add-ons. Dark mode looks great and document indexing is smart.

Cons

Real time editing isn't as seamless as Notion is. Adding addons is hard and requires admins to set up. Very expensive.

Pros

The collaboration aspect that allows multiple users to edit a document at the same time helps engagement and takes the pressure away from any note taker running a meeting. Cons

### "Modern day Knowledge Management Repository"

June 19, 2023

5.0

It has greatly improved our team's ability to create, organize, and share information effectively. The platform's features such as real-time collaboration, version control, and content organization have enhanced our productivity and streamlined our workflows. While there may be some areas for improvement, such as more advanced formatting options and task management capabilities, the user-friendly interface and intuitive design have made it relatively easy to navigate and use. Additionally, the availability of integrations and Atlassian's support resources have helped us integrate Confluence with our existing business processes, further enhancing its value. Overall, Confluence has been an essential tool in facilitating knowledge sharing and enhancing collaboration within our organization.

Pros

Confluence is a powerful collaboration tool that offers several impactful features. Its most impactful features include the ability to create and organize content, collaborate in real-time, and have version control for easy tracking and reverting of changes. With a user-friendly interface and intuitive design, Confluence is generally considered easy to use, allowing users to navigate, create, and edit content seamlessly. As for integration with existing business processes, Confluence provides various integrations and APIs that make integration with other tools and systems relatively straightforward. It offers flexible options for customizations, allowing businesses to tailor the tool to their specific needs and workflows, thus facilitating a smooth integration process with existing business processes.

Cons

As an end user of Confluence, I find the tool to be quite robust for collaboration, but there are a few features that I feel could be improved or added. For instance, I would appreciate more advanced formatting options, better task management capabilities, and improved visualization options for data. Additionally, I must admit that certain aspects of the product, such as complex permissions settings and the learning curve associated with advanced features, can be difficult to use initially. When it comes to integrating Confluence with our existing business processes, the level of difficulty can vary based on the complexity of our processes and the specific integrations required. In some cases, it has been challenging and has required additional configuration or development efforts, but Atlassian does provide resources, documentation, and support to help facilitate the integration process.

### "No better way to share knowledge across my department. "

July 19, 2023

4.0

Confluence has been highly advantageous for my department as it enables us to discover faster and more efficient methods for project planning. Moreover, it allows us to access crucial project information from any location where our colleagues are situated, enhancing collaboration and flexibility within the team.

Pros

One of the standout features of Confluence, in my opinion, is its remarkable ability to foster collaboration among teams within my department. It provides a centralized platform where my colleagues , regardless of their level or location, can conveniently access shared departmental project documents and content. This efficient accessibility has significantly reduced time spent on exchanging multiple emails to gather and discuss information.

Cons

I find it frustrating when Confluence's page editing is misconfigured, leading to the display of incorrect values. This issue hampers the smooth functioning of tasks, causing them to deviate from the expected behavior.

### "Great collaboration and project management software!"

November 26, 2022

5.0

Overall, my experience with Confluence has been good. It a very good software skill to learn, with a lot of jobs asking for experience with the software. Confluence's multi user colllab along with its knowledge management is really great.

Pros

Confluence by Atlassian provides projects a single space for its management along with a platform to collaborate. Sharing documents within teams and with the clients is very easy thanks to this software. Dashboards can be created which can be modified as and when needed and can be shared directly with the required parties concerned. This is a great way of maintaining proper means of communication, especially when the two parties interacting are not located in the same area, and are connecting remotely.

Cons

While this is a great software, at times users might find that it has a steep learning curve. A user might find it a little confusing to navigate around the software in the beginning. There might be some basic issues with the jira queries as well, which are required to fetch the data required by the user.

### "The Collaboration Platform You've Waited For"

October 31, 2019

5.0

We document everything in Confluence. I run a digital marketing team of around 20 people and have a total of 40 users in the tool (a few other teams besides mine use it). It's been a fantastic tool to get everyone on the same page and keep track of our how-tos, meeting notes, plans, goals, features/specs, etc.

Pros

Real-time simultaneous editing Ease of finding and organizing what I've written Constantly adding new features Integration with Jira and Trello is great, but also works as lightweight project management by itself

Cons

Honestly, they've fixed my biggest cons, like storage space (now you can buy a bigger plan) and they keep adding more things. I think my colleagues would say there's still a learning curve, which is understandable, and I think Confluence has been changing the interface with more tips and features for new users (which is sometimes confusing for long-time users like me, LOL) One big con is still the limited integration with MS Office. Confluence fully replaces the need for Word in most cases, so that's not a big deal, but I wish the Excel integration and/or the table functionality was better. Also, printing is pretty tough when you have tables.

### "Great for collaboration, terrible as a knowledge base"

July 12, 2018

3.0

It puts documentation all in one place.

Pros

We use the cloud version for customer facing knowledge base (KB). A great tool for creating and maintaining documentation and how-to articles. Allows for numerous contributors, there are a lot of add-ons for features and functionality within a document. Syncs well with other Atlassian tools. Theme controls are fairly robust. The search is in depth and comprehensive, returns results from tags and body of a page or article. User community and KB is very helpful and responsive.

Cons

Our users are our customers, so inviting confusing and creating users is convoluted and limited. Once you designate the space as a KB, Confluence should provide user access in a way unique to a KB, but it the invitation process is still worded like a collaboration tool AND emails are NOT customizable. Users get bombarded by emails when a page is updated. The default setting is to have all users automatically watching the entire space, so when any update is made multiple emails are sent. You CANNOT set the user or group defaults for email preferences. SSO capabilities are not available in the cloud version. The user web service is severely limited and does not solve the issue. While there are a ton of add-ons from the marketplace, they are all 3rd party and these can deliver way more than Atlassian's supported offerings. This was a pro, but the con is that they are also limited to what they can tie into. We tried to use a theme from the market place, but it did not support the comprehensive search capabilities, only returned tags. Admin navigation is confusing, I use the product every day, yet I am constantly fumbling around trying to find where to go to do what I'm trying to do.

### "Confluence: the hub for knowledge management"

January 5, 2021

5.0

Overall, I use Confluence every day in my work to keep my (and my organization's) knowledge base relevant. I use to it to collaborate with other employees for improving internal processes, as well as for communicating important current info (such as outages or key developments). Confluence is unmatched in its search functionality, and allows my organization to keep its knowledge base completely streamlined.

Pros

I use Confluence as a customer service employee. We have a vast amount of procedures for managing internal systems, as well as for applying systems to actual contact with customers. All of these procedures are stored and maintained in Confluence. What helps me the most, is Confluence's super-advanced search functionality. Essentially, I merely have to type in a relevant word, and Confluence will list all the applicable articles. This allows me to find a relevant procedure for a specific situation in seconds. Another important feature to me is the commenting system. I collaborate with users who create and manage articles. When I see info in an article that's outdated or incorrect, I can leave a comment, and the article manager will get a notification. It's easy to collaborate in this way and keep information up-to-date. Lastly, the permission schemes help with keeping editing (or even viewing rights) limited to the relevant users. Within customer service this is important, as there are varying levels of authorization within our organisation.

Cons

In my opinion, the user experience and readability of the software could be improved slightly. The color scheme of blue/white/black isn't bad, but the layout tends to be somewhat messy. It could benefit from some streamlining, and perhaps more clear demarcation of elements within pages (such as more use of bold / italics, more variance in font size, and use of headers).

### "It's flawed, like other Atlassian products. Use newer tools like Notion instead."

May 26, 2023

4.0

The UI is so much better now after their recent redesign. It's actually very usable, and has many content types and collaboration features that are intuitive . I don't mind using it. But it's still awkward or slow at times. And if you may need to share more than just a few pages outside of password-protected Confluence, it will be a pain at best, impossible at worst.

Pros

It does have great collaboration options. Adding/editing/sharing/tracking content with a team is great. It's great at managing INTERNAL private secret documentation. I appreciate the redesign they did few years ago. It's much easier to use now. Still, even that is not as good as Notion, which also has excellent collaboration features. I have no affiliation with Notion - I just wish my current and/or future employer would use it so I wouldn't have to use awkward slow Atlassian products.

Cons

Sharing anything outside of Confluence, to the general public, is simply not possible - except for saving each individual page as a PDF.
