Confluence has become our 'single source of truth.' The tool provides effective organization because it replaces our disorganized shared drives. The system becomes efficient after users learn to operate macros which include the table of contents and JIRA snapshots. The system needs time for users to learn its features but it has become essential for our team to manage their knowledge base.

Pros

The main advantage of Confluence software lies in its ability to unify all content into a single system. The 'Spaces' structure makes it very easy to organize documentation by department or project. The real-time collaborative editing feature of the system works perfectly because it stops all problems that come from managing different document versions. The system's built-in connection to Jira enables users to associate their technical work with corresponding documentation which becomes essential for their operational needs.

Cons

The search functionality operates with two main drawbacks because users must already know the exact page title to complete their searches. The page editor software becomes difficult to use when users try to create complex page designs that include multiple levels of table structures which leads to formatting problems.

Confluence is an industry-standard documentation tool that makes life easier. I relied massively on the tool when I was a beginner at my company to familiarize myself with the processes. Rovo is changing the entire face of the tool. The company does not have to pay for an internal RAG system, as the company documentation tool itself is incorporating it!

Pros

Its one of the best Softwares available for documentation. The layout is user friendly. The adaptation of internal AI agent ROVO is the best feature so far. users can directly ask the Bot questions without navigating to the exact path of the documentation. The templates are also a massive time saver, they prevent you from staring at a blank white screen.

Cons

There are not many cons that I can think of . The search function sometimes is annoying , producing results that are irrelevant. The permission system is actually a time consuming task for the admin eventhough its important for the internal security of the documentations.

My overall experience with Confluence has been mostly positive. It’s helpful for organizing notes and working on group projects, and it’s fairly easy to use once you get used to it. There are some bugs and slow moments, but overall it gets the job done well for school work.

Pros

Confluence is a good tool for keeping our documentation in a central location and feels worth the money. It’s easy to use, makes sharing of documentation easy with clients and people I work with. It has useful features, but there are some bugs at times.

Cons

Some pages don’t load properly or take a long time to open. Formatting can also break, like text moving around or images not showing up right. Sometimes edits don’t save straight away, which can be frustrating. Customer support is okay, though it can be slow to reply.

In general, Confluence is a dependable and indispensable software that ensures the documentation is always up-to-date and team collaboration is supported. As a technical product support person, it is very important for me to have a very good organised knowledge base, and Confluence help me a lot in creating, updating and sharing information through different teams. If you add Jira to the mix, you get a really strong environment for monitoring work and recording workflows. Though there are some issues with large scale organization, it is still one of the best tools for structured documentation and internal knowledge management.

Pros

Confluence very effectively centralizes documentation and provides a single source of truth among many different teams. Its page editor is very easy to use, and it’s very simple to create structured knowledge bases due to its ability to embed Jira issues, diagrams, tables, and multimedia. In addition, Confluence has great collaboration features, such as inline comments, version history, and page permissions; therefore, teams can collaborate on content without losing control of it. Confluence is particularly useful for product documentation, process guides, and cross-team knowledge sharing.

Cons

Unstructured and poorly governed large spaces can lead to navigation challenges. There can be instances when search results bring up old pages and managing permissions for multiple spaces can take up a lot of time. Although the editor is quite flexible, it can sometimes get sluggish for heavy pages. Some advanced formatting features are only available through plugins, which may make things a bit more complicated.

Overall my experience with Confluence has been very good. It meets the needs of nearly any document writing use case and if future upgrades continue to bring additional integrations with other services I think it would become an outstanding product. I've used Confluence almost daily for several years and will likely be continuing to use it for many more.

Pros

Confluence is easy to use and acts as a common central repository for everything from documentation to meeting notes. I like some of its newer features such as live editing for documents, and search results that can include messages from a linked Slack account. I've used some of its less commonly noted features like blogs to a degree and find them very helpful in some cases (such as publishing a period internal newsletter for other engineers).

Cons

Confluence has historically not had the greatest search functionality in my experience. I think it is getting better and recent improvements are going in the right direction, but more is still needed (finding a document I'm looking for is still sometimes surprisingly challenging).

Overall we love it, we use it a lot in our product a tech teams we've found that the customer support is super responsive in getting back to us regarding any software issues which we may have which have been very few.

Pros

For us at Collinson, Confluence has become a staple due to a number of reasons. Firstly it's super easy to use and understand and then some of the features and how they have improved over time has been great for us.

Cons

I don't think it's the cheapest software in terms of what it does it's got a a lot of value but for teams which are large it can become costly.

Overall experience has been good. The permissions and the page creation are ably supported online. The addition of AI ROVO is coming up well and will be better once it manages to store the prompts.

Pros

Confluence offers the flexibility to update, share, collaborate and contribute on documents. We have our product features and each of its user story created in Confluence with images, diagrams, flowcharts. Users find it extremely easy to use and refer to it whenever required. Moreover, the spaces and sections can be organized to map the relevant user stories to the user journeys.

Cons

It is noticeable that sometimes, when we are updated a large document with more text, the online version becomes slow. This issue is resolved once we refresh the page. The user experience of the dashboard can improve a bit more.

Love it. Can't imagine working without it. I can dump all my work in there, invoke other users, collab on design, embed Figma and micro board on single pages. It's like my brain in one place.

Pros

So fast. It's the industry standard for tech people. Personally nothing does what Confluence does. I've tried all the alternatives and nothing comes close.

Cons

Other users find it a little hard at time, but with training this can be overcome. The learning curve is steep for low level users.

I really enjoy using it, and paring it with Jira for our internal tickets it works very well together. Great to put both a Knowledge base to reference on Jira easily, and as a Work Process management, so it's very versatile.

Pros

Confluence in my opinion, is a very good tool to keep me organized and being able to make documentation on the spot. I have used it to make How-tos and Work Process for my day to day and it was really easy to learn how to do things.

Cons

Sometimes the bad part is that some of the features of their non Cloud version seemed to be better and more updated, although it does seem like they have been adding things to it as I use it.

It’s an powerful tool for team collaboration, and once you start plugging in AI tools to create custom workflows, it gets even better. But I have to take off a star because the lack of a clean, minimalist UI can be exhausting. If they could just clean up the interface and make it less heavy, it would be perfect. Still, since it is the standard, everyone knows how to use it

One of the coolest things lately is using the ChatGPT connector with Confluence - you can build some really impressive automated workflows for generating or organizing docs. Aside from that, the core teamwork features are great. Multiple people editing, leaving comments, and tagging each other just works well. It’s the industry standard for corporate wikis and documentation for a good reason

Cons

The design is way too cluttered. There is absolutely no minimalism here. The interface is packed with buttons, sidebars, and menus that just get in the way when you want to focus on reading or writing. If you just want a clean, simple space to draft a quick document, Confluence feels way too heavy and visually overwhelming

Pros

As a knowledge management platform, Confluence is extremely valuable. It provides a single place where employees and managers can reliably go to find company information such as ROEs, HR resources, stock option details, and sales documentation. Instead of information being scattered or siloed across tools, everything is centralized and easy to access. The keyword search functionality is especially powerful and saves a tremendous amount of time. I have never had an issue finding what I need as long as it exists in the system. It is dependable, well organized, and works exactly as intended.

Cons

I do not have many cons to point out from a functionality standpoint. The biggest limitation tends to be how consistently teams keep information up to date. Occasionally, some content can be slightly outdated, but this is more dependent on internal processes than the platform itself. When teams are disciplined about maintaining documentation, Confluence works very well overall.

My overall experience is good. We use it in a limited form, we create a page and name it, set up if we require a tree directory so we can have sub pages and folders and build from there

Pros

It's a centralized document management system that allows our team to collaborate and share knowledge to allow any of us to carry out tasks that we otherwise would not have the knowledge to do so

Cons

There is a required learning curve and before a certain level of understanding is attained it can be a little difficult to get setup and going. Each page has to be unique so we sometimes need to be creative with our titles as it can't cope with duplicates under different categories, so for example Google under user process guides, you can't also have Google under say troubleshooting.

My experience with Confluence has been excellent. It’s a reliable platform for daily documentation, team collaboration, and meeting notes. Pros

The best part about Confluence is how well it integrates with Jira. It makes it really easy to link documentation with tickets, projects, and sprint planning. Combined with its strong organization and search features, it’s perfect for keeping everything connected and easy to find.

Cons

Exporting large documents to PDF can be slow at times, especially if the page has a lot of embedded content. It's not a major issue, but something to be aware of.

Confluence is an online documentation and word-editing tool designed for collaboration. It makes editing and sharing thoughts, etc. much easier for all members of my teams. Confluence stresses the importance of usability as it is evident in its never-ceasing improvements of it product features. Besides, it is updated in tandem with latest development in technology. So lately there are more AI-enabled functions that have been added to aid the users' workflow.

Pros

It is my go to place for writing and documenting at work. Wherever I have the connection to Confluence, I can write down my ideas, record my findings, share my contents with coworkers, and comments on other's documents.

Cons

It sometimes takes me a few more steps to find the latest documents I worked on. Even though on my personal space on Confluence, there is an immediate column called "Recent updates" showing my latest documents. Still the column width is too narrow for me to recall or fully grasp what those documents are about.

Pros

As an Admin, I was capable of accessing the spaces and there is role based access. Also, can set up the permissions per user. Confluence has structured documentation and has version control, if someone accidentally delete something on file, you can easily retrieve.

Cons

It has no built in AI compared to other platform. Lacks AI-powered auto-suggestions or intelligent filters seen in tools like Notion AI
