### "Powerful Knowledge Sharing Tool"

January 21, 2026

5.0

Confluence is a powerful tool that all organizations should leverage to maximize the knowledge sharing potential.

Pros

Confluence is one of the most user-friendly content sharing tools. The flexibility of workspaces allows for organizations to build a user-friendly network of documentation. It's best feature though, is the integration with Jira. It simplifies the sharing of knowledge bases.

Cons

The learning curve for permissions management can be arduous, especially when managing external accesses.

Reason for choosing Confluence

The Confluence/Jira integration is the primary reason that we went with Confluence. It is seamless.

### "Easy to use for documentation, but Has Some Bugs"

April 16, 2026

5.0

My overall experience with Confluence has been mostly positive. It’s helpful for organizing notes and working on group projects, and it’s fairly easy to use once you get used to it. There are some bugs and slow moments, but overall it gets the job done well for school work.

Pros

Confluence is a good tool for keeping our documentation in a central location and feels worth the money. It’s easy to use, makes sharing of documentation easy with clients and people I work with. It has useful features, but there are some bugs at times.

Cons

Some pages don’t load properly or take a long time to open. Formatting can also break, like text moving around or images not showing up right. Sometimes edits don’t save straight away, which can be frustrating. Customer support is okay, though it can be slow to reply.

### "Effective but limited"

May 15, 2026

3.0

Average - some elements are really positive and add value but others are difficult and detract from the platform.

Pros

It's easy to structure and contain information maling it a useful tool for design documents especially when there are multiple linking aspects.

Cons

The fact the information that you can display from Jira is limited OR has to be manually added in. If confluence had its own tracking capabilities it would add so much more value.

### "Confluence over 2 years"

April 20, 2026

4.0

Confluence is a solid documentation and knowledge management tool that works best when the team is disciplined about how they use it. The Jira integration and structured page organization make it a natural fit for software and project teams that need a single source of truth. However it does require upfront effort to set up properly and ongoing maintenance to keep it from becoming a dumping ground for outdated pages.

Pros

It centralizes all project documentation in one structured space made it incredibly easy for the whole team to stay aligned without digging through emails or scattered files. The page hierarchy and space organization felt intuitive once set up, making it simple to find the right document at the right time. The integration with Jira was a genuine time saver

Cons

Search functionality is another challenging point as it doesn't always surface the most relevant results, especially when pages haven't been tagged or titled consistently. Page management also becomes harder to maintain over time as spaces grow, and without strict team discipline around naming and organization, things can get messy and hard to navigate quickly.

### "Great Knowledge Base Tool That Keeps Teams Aligned"

May 24, 2026

4.0

Overall, my experience with Confluence has been very positive. It became a pretty natural part of the daily workflow, particularly for onboarding, internal documentation, knowledge sharing, and cross-team collaboration. From a SaaS and SDR perspective, having one central place for processes, meeting notes, product information, and shared resources genuinely improved efficiency and made collaboration easier across the business. The file sharing and collaboration side are probably the standout features for me. It reduced a lot of wasted time chasing information and helped keep teams aligned on the same source of truth. The platform itself is stable, accessible, and easy enough to use once you’re familiar with it, although maintaining structure internally is important otherwise workspaces can become messy over time. I can’t comment too heavily on customer support or commercial value as I wasn’t involved in those areas directly, but from an end-user perspective it was a reliable and genuinely useful platform that added real value to the broader SaaS stack.

Pros

Confluence is a really solid platform for documenting processes, sharing knowledge, and keeping internal information centralised across teams. From a SaaS and SDR perspective, it worked well for onboarding material, SME notes, process documentation, meeting notes, and internal resources. Having everything in one searchable location made collaboration a lot easier and reduced time wasted chasing information through different systems or folders. The user interface is generally clean and fairly easy to navigate once you’re familiar with the layout. Creating and updating pages is straightforward, and the collaboration side works well with teams contributing in real time. Access and connectivity were also strong. Being cloud-based meant it was easy to jump between desktop and browser without issues, and it integrated naturally into the wider SaaS stack. From a security standpoint, it felt well controlled with permission-based access and visibility settings, which helped keep sensitive documentation restricted to the right teams.

Cons

The biggest challenge is that Confluence can become cluttered pretty quickly if there isn’t strong ownership around structure and documentation standards internally. While the interface is generally good, larger spaces can become difficult to navigate over time, especially when outdated pages, duplicate documents, or inconsistent naming conventions start building up. There were occasional performance issues as well, particularly with larger pages or heavily populated spaces where things could load a bit slower depending on internet connection quality. From a features perspective, the flexibility is great, but it can also create inconsistency if teams all build pages differently without governance in place. I can’t really comment too deeply on value for money since I wasn’t involved in procurement or admin decisions, and I didn’t have much interaction with customer support because I never ran into any major issues with the platform itself.

### "Strong Collaboration Platform That Can Get Cluttered"

May 1, 2026

5.0

My overall experience with Confluence has been very positive. It’s a powerful tool for team collaboration, documentation, and knowledge sharing. I’ve used it extensively to create and manage documentation, track processes, and maintain a centralized knowledge base, which has significantly improved team efficiency and transparency. That said, the experience can vary depending on how well the workspace is structured and maintained. In well-organized environments, it works exceptionally well, but in larger or poorly managed spaces, it can become cluttered and harder to navigate. Despite a few limitations like occasional performance issues and basic formatting constraints, it remains a reliable and valuable tool for collaboration across teams.

Pros

What I liked most about Confluence is how it brings everything into one centralized, well-organized workspace. It makes documenting processes, sharing knowledge, and collaborating with team members very seamless. The page hierarchy and search functionality make it easy to find information quickly, even in large projects. I also appreciate how easily it integrates with other tools, especially Jira, which helps keep development and support work aligned. Overall, it significantly improves team collaboration and transparency.

Cons

What I liked least about Confluence is that it can feel slow and cluttered, especially as content grows over time. Without proper structure and maintenance, spaces can become disorganized and hard to navigate. The search feature, while helpful, doesn’t always return the most relevant results. I also found formatting to be somewhat limited compared to other documentation tools, and managing permissions can sometimes be confusing.

### "Essential platform for technical documentation and team knowledge management"

April 23, 2026

5.0

Overall my experience with Confluence has been very positive. At NextDay, we use it as our central hub for all technical documentation, including API contracts, front-end and back-end architecture docs, and system flow diagrams. One of the biggest advantages is the ability to integrate with developer tools via MCP or API, which allows us to create and read documentation programmatically using tools like Claude Code. Having a single, reliable place for all our technical knowledge has made collaboration and onboarding significantly easier.

Pros

Excellent for organizing technical documentation in a structured and searchable way. The integration with developer tools through APIs and MCP makes it easy to automate document creation and keep everything up to date. The ability to document architecture, API contracts, and system flows in one place keeps the whole team aligned. Having a single source of truth for all technical knowledge has made collaboration and onboarding significantly easier at NextDay.

Cons

The editor can feel a bit slow when working with large pages that contain many embedded elements. Search could also be more precise when looking for specific terms within technical documents.

### " Great for Jira users, a bit heavy for simple note-taking."

May 25, 2026

5.0

Overall, Confluence provides exceptional value for the money by serving as our company's single source of truth. It has transformed how we create, share, and maintain critical business SOPs. The platform makes file sharing incredibly easy across different teams, and the core features—especially the new AI capabilities—greatly reduce the friction of technical writing. It’s an essential tool for any organization that relies heavily on clear, up-to-date documentation.

Pros

The integrated Atlassian Intelligence (AI) features are an absolute game-changer, especially for handling business SOPs. The AI writing improvement tool is fantastic at taking rough drafts and instantly making them look polished, professional, and clear. Additionally, the auto-title feature works beautifully—it scans the content of the SOP and generates a highly accurate, relevant title that matches the subject perfectly. It saves our team a ton of time and keeps our documentation incredibly organized.

Cons

While the documentation and AI features are excellent, the search functionality can still be a bit rigid if you don't know the exact keywords of an older document. Also, if you don't establish a strict page hierarchy early on, the file-sharing and space structures can become cluttered quickly.

My overall experience with Confluence was positive. It has been reliable and effective for keeping information centralized and accessible across teams, making collaboration much easier.

Pros

What i like most about Confluence is the ease of use ,it is very much a plug and play that requires minimal onboarding, flexible, intuitive and with good level of customization.

Cons

If i had to pick something that could be improved then it would be the KPI and reporting features, maybe a wider range of options would add significant value.

### "Great tool to manage team knowledge and processes"

April 16, 2026

4.0

Useful tool that is a vital part of our agile sprint processes and ceremonies where we can capture vital documentation easily

Pros

Good tool for my team to capture knowledge centrally rather than keeping it in someone’s head or random doc

Cons

Too many documents might make search-ability difficult but that could be due to the way we’ve organised the folders

### "Super clean!"

July 9, 2025

It's great for documentation, though some folks find it less efficient for daily project management. Overall though, it's an amazing tool for collaboration and documentation, but there is a bit of a learning curve.

Pros

Clean and easy to use, great features for creating and organizing documentation. Integrates seamlessly with other tools like Jira. The templates are super helpful for getting started quickly, and it's really easy to customize pages.

Cons

Pricing can be a bit steep, especially for small teams. It takes some time to get used to all the features and advanced configurations, which can be overwhelming for new users.

### "A Centralized Hub for Team Knowledge and Collaboration"

January 4, 2026

4.0

Overall, my experience with Confluence has been positive. It’s a strong tool for team documentation and knowledge sharing, especially for keeping information centralized and accessible. While navigation and content upkeep can be challenging as documentation grows, its collaboration features, integrations, and flexibility make it a valuable platform for maintaining shared knowledge and supporting cross-team alignment.

Pros

I like Confluence most for how effectively it centralizes knowledge and documentation in one accessible place. It makes it easy for teams to create, organize, and share information such as project plans, meeting notes, and technical documentation. The collaborative editing features, version history, and commenting tools support real-time teamwork, while integrations with tools like Jira help keep documentation closely aligned with active work. Confluence’s structured pages and templates make it easier to maintain consistency and keep information easy to find.

Cons

Confluence can sometimes feel cluttered and difficult to navigate, especially as spaces and pages grow over time. Finding specific or up-to-date information isn’t always intuitive, and content can become outdated if not actively maintained. The editor and formatting options can also feel inconsistent at times, which can slow down the documentation process.

### "Great Collaboration Tool for Software Teams with Room to Grow"

October 16, 2025

4.0

Confluence is a powerful tool for software teams looking to centralize documentation and improve collaboration. Its seamless integration with Jira makes it easy to connect project work with relevant content. The platform is user-friendly and well-suited for organising technical specs, meeting notes, and internal knowledge. While it could improve in areas such as real-time editing, file handling, and search functionality, it still delivers strong value for the features it offers.

Pros

Confluence is great for software teams thanks to its tight Jira integration and intuitive structure. It made collaborating on specs, notes, and design docs easy, with solid file sharing and version control. For the features it offers, it delivers good value for money.

Cons

Search can be hit-or-miss, and editing files directly isn't seamless—you often need to download and re-upload. Permissions and navigation can get tricky in large spaces. Real-time collaboration is limited, and performance slows with heavy content.

### "Excellent centralized knowledge base for teams"

December 30, 2025

5.0

Pros

As a knowledge management platform, Confluence is extremely valuable. It provides a single place where employees and managers can reliably go to find company information such as ROEs, HR resources, stock option details, and sales documentation. Instead of information being scattered or siloed across tools, everything is centralized and easy to access. The keyword search functionality is especially powerful and saves a tremendous amount of time. I have never had an issue finding what I need as long as it exists in the system. It is dependable, well organized, and works exactly as intended.

Cons

I do not have many cons to point out from a functionality standpoint. The biggest limitation tends to be how consistently teams keep information up to date. Occasionally, some content can be slightly outdated, but this is more dependent on internal processes than the platform itself. When teams are disciplined about maintaining documentation, Confluence works very well overall.

Fantastic software. Great user experience. Easy export, great data security. I didn't use file sharing feature very much but I find confluence to be one of the best documentation platform available.

### "Excellent file sharing tool"

October 7, 2025

5.0

Confluence has made file sharing easier for me with a variety of roles and clients across multiple industries for about eight years now - I'm really happy with it.

Pros

I'm such a fan of confluence. I work with a variety of clients and if they're not signed up to Confluence, it's one of the first changes I suggest to them. It's great for organising files for larger companies with a lot of departments and key documents workers might need to see. It saves so much time as you don't have to ask managers for key documents all the time, you can just use search terms to find them on Confluence. I also find the UX incredibly user-friendly. It's so easy to find your way around Conference and get hold of what you're looking for. It's also very customisable. No matter what sort of business you have, you can make it work for you.

Cons

Confluence can be complicated for people who aren't very software-versed to get their head around. I've had feedback from some employees that they find it overwhelming and difficult to set up.

### "Confluence : Practical review of collaboration, clarity and constraints"

April 5, 2025

5.0

I’ve used Confluence extensively to document processes, manage project knowledge, and collaborate across cross-functional teams. I appreciate how it integrates seamlessly with Jira, making it easier to keep requirements, timelines, and updates in one place. While it’s a powerful tool, I’ve also navigated challenges like permission settings and formatting quirks, which taught me the importance of structure and clear organisation in shared knowledge bases.

Pros

I use Confluence as a knowledge database in integration with JIRA. It helps me collaborate with my wider team on several topics easily.

Cons

It can be overwhelming for the new users as it is for the new joinees in my team. I usually have to schedule training sessions to get them up and running with the tool

### "Confluence"

February 9, 2026

5.0

Pros

I particularly appreciate the ability to create standardised page templates, as this helps maintain consistency across procedures, meeting notes and technical documents. Collaboration is also seamless: several people can work on the same page, add comments, or track the revision history. Finally, the integration with Jira is a real strength, as it directly links documentation with task tracking.

Cons

When the volume of pages becomes significant, some information can end up being lost or duplicated if the structure is not properly managed. In such cases, it is easy to have multiple versions of the same document, which can create confusion. I also find that notifications can become excessive when following several spaces at once, and some important updates may go unnoticed.

### "Solid market leader"

March 11, 2025

4.0

Confluence helped us to exploit the potential hidden in other Atlassian products: Jira and JSM. It is widely utilized as a knowledge base for both our staff and customers. Its ability to separate public and private spaces helped to bring everything to "one place". Native integration with other Atlassian tools also shines whenever you need to dive deep into a specific topic, like, for example, creating a CAPA report for an incident- a Confluence article serves as a report linked to existing issues and tickets, making it easier for customer-facing teams to find the content they need. What is the most problematic is the lack of an article versioning feature that would help allow our team of technical writers to keep our robust documentation up to date- we needed to figure out versioning automation that would mark specific articles as candidates for an update once a new version of a given feature is released.

Pros

I like the clean look the articles have and how we can integrate them into other Atlassian products.

Cons

Lack of built-in versioning of articles that makes keeping articles up to date a challenge in a growing environment.

### "The Good Confluence"

October 19, 2025

4.0

I started using confluence few years ago and its been a good experience so far and would recommend it to new users.

Pros

I started using confluence 3 years ago and its been mostly good experience. There are several features that are mostly of specific interest. For example, I like the ease to share document to wide range of people, export document as PDF and its general user interface

Cons

Despite several useful features of Confluence, its sometimes slow. Also, its generated PDF are somewhat not of good quality. In addition, the user interface could be improved and more easily accessible because there are sometimes too many clicks and too rigid in some options in my opinion.

Cons
