I would definitely say it's not as user-friendly as I'd like it to be, and I'd prefer to use Notion instead for that reason. Pros Confluence can be used as a product wiki of sorts and also integrates easily with Jira tickets and tasks. There are tons of configuration options and it's able to host tons of information for a product team. Cons Because it's such a large tool, it can feel like the tool is just trying to include every feature under the sun. It's not super focused on what it's trying to do, at least that's what it seems like. It can feel overwhelming and confusing to navigate at first and takes some getting used to. Cons The usability isn't very easy for new users, which need to learn and sometimes even experiment the resources without any explicit help from interface. Pros Confuence is very easy to use and makes documentation fun and collaboration with others a breeze. It helps us organize and document our work, from meeting notes to operational documentation. Confluence was a good fit and works well on mobile for reading (which is how most use it where I work.) Authoring required staff who were unfamiliar with blogging or WordPress to be trained, especially those coming from a MS Office background. But those used to web publishing took to it fast. Plan out your spaces and pages according to how your org is structured and based on existing directory structures you have in Active/Open/Azure Directory. All major departments such as IT, Accounting, Customer Service have their own Confluence Spaces created, which makes information sharing with ease. Team calendars can be managed at one centralized space. Pros A very robust tool for sharing knowledge, information amongst project teams and for entire organization. Multiple users can edit same article at one. Very useful to create a project wiki for requirements gathering, meeting notes, knowledge base to name a few. A tight integration with JIRA makes this tool very valuable. As issues can be created tracked in JIRA seamlessly. Cons I find it hard to find some pages. Because it has a page hierarchy on a list, it can take some time to find what you are looking for. There is a search option that mitigates the problem. We also have some table features missing like freeze top row. Pros In my role where information varies by state, Confluence’s organization and wide options for formatting with a powerful search engine has made it an essential part of my day. As a user, I really appreciate the “personal space” function to keep my own information organized and linking it to available pages. Cons The way the comments are nested currently can make for a clunky page, especially when it’s a page that gets regularly updated. Cons The elements and building blocks are lagging behind competitors a bit. There is information I struggle to display without defaulting to plugins that are often paid and hard to source. Once you learn the main tricks, it is easy to save your main documentation and share among your teammates. You have the freedom to organize your files in multiple ways, add subfiles, multiple people editing the file at the same time, good notifications, and mentions to you and other people. I wish it could be integrated with other tools like monday.com etc. Pros I mainly used for project documentation for different campaigns. It is quite simple and versions help in locating the last changes. Cons Did not like the UI at times. Also, difficult to track changes if you are not one very familiar with confluence.
