Confluence Overview:

### Key takeaways

Insights from verified Capterra reviews

Confluence helps teams centralize documentation, collaborate in real time, and manage knowledge across departments. It’s most used by small businesses in IT and software services. Reviewers highlight real-time editing and structured page trees as standout features, while search limitations and formatting friction are common drawbacks. Recent updates include AI-powered page summaries and Loom video embeds.

### Our verdict

Confluence is a reliable choice for teams that prioritize structured documentation and cross-functional collaboration. While it offers strong editing and integration capabilities, buyers should expect a learning curve and occasional friction with formatting and search. Overall, my experience with Confluence has been positive. It’s a reliable tool for creating, managing, and sharing documentation within a team.

Pros

Confluence has real-time editing feature is very helpful for team collaboration, and the integration with tools like Jira improves workflow efficiency.

Cons

Confluence can feel slow and cluttered, especially when working with large spaces or a lot of pages. The search functionality is sometimes not very accurate,

My overall experience is good. We use it in a limited form, we create a page and name it, set up if we require a tree directory so we can have sub pages and folders and build from there

Pros

It's a centralized document management system that allows our team to collaborate and share knowledge to allow any of us to carry out tasks that we otherwise would not have the knowledge to do so

Cons

There is a required learning curve and before a certain level of understanding is attained it can be a little difficult to get setup and going. Each page has to be unique so we sometimes need to be creative with our titles as it can't cope with duplicates under different categories, so for example Google under user process guides, you can't also have Google under say troubleshooting.

Overall it is still one of the best tools to use these days. I would recommend to anyone who needs a wiki page for their office

Pros

Still a great tool to get everyone on board to take notes and share notes about their workflow and process

Cons

Can sometimes get a little too messy, may need more tools to help employees with their formatting of entries

Better than ever because when you do a search, AI help you pinpoint the best results. It seems that is bow faster than it was.

Pros

Confluence is loading faster than it was before especially when editing and saving a page, the addition of AI make it easier to search.

Cons

Maybe the AI is a bit too much everywhere, I understand that it gives a better user experience when sesrching but we don’t need it everywhere.

We use Confluence to share work ideas and save what is required, workplans and test plans. Collaboration with other team members is very easy.

Pros

Built in AI is useful as is the integration with Jira. Being able to decide what to watch is also vey helpful.

Cons

Using it for external users is still not viable. The template feature is very basic. The search ability is not good and the actual user interface is old.

I really can’t imagine working without Confluence every day. I would struggle to stay organized without it.

Pros

It really helps keep me organized with my daily tasks and long term project planning at work. I’m able to quickly see what I need to work on.

Cons

There seems to be a bug with the way tasks are displayed under certain columns on my tracking board that is cluttering my board in a frustrating way.

I really enjoy using it, and paring it with Jira for our internal tickets it works very well together. Great to put both a Knowledge base to reference on Jira easily, and as a Work Process management, so it's very versatile.

Pros

Confluence in my opinion, is a very good tool to keep me organized and being able to make documentation on the spot. I have used it to make How-tos and Work Process for my day to day and it was really easy to learn how to do things.

Cons

Sometimes the bad part is that some of the features of their non Cloud version seemed to be better and more updated, although it does seem like they have been adding things to it as I use it.

Overall, Confluence is a reliable platform for team collaboration and knowledge sharing. It works well as a central place for documentation and is especially useful for teams already using the Atlassian ecosystem.

Pros

Confluence makes it easy for teams to create, organize, and share documentation. The editor is simple to use and supports rich content like tables, attachments, and embedded tools. Its integration with Jira is very helpful for teams managing projects and documentation together.

Cons

As content grows, organizing pages and finding information can become harder. Search results can sometimes be cluttered, and performance may slow down on pages with lots of embedded content.

Overall, I liked the way Confluence made it easy to see the work of and collaborate with teammates and keep updated records even across employee turnover.

Pros

Confluence is a highly flexible platform that makes for easy collaboration within teams and even across departments.

Cons

It took some time to get used to the baked in forms for documentation. They were different than what I expected, but once I got the hang of which form was good for which kind of documentation, it was much more straightforward.
