Overall, Confluence provides exceptional value for the money by serving as our company's single source of truth. It has transformed how we create, share, and maintain critical business SOPs. The platform makes file sharing incredibly easy across different teams, and the core features—especially the new AI capabilities—greatly reduce the friction of technical writing. It’s an essential tool for any organization that relies heavily on clear, up-to-date documentation.

Pros

The integrated Atlassian Intelligence (AI) features are an absolute game-changer, especially for handling business SOPs. The AI writing improvement tool is fantastic at taking rough drafts and instantly making them look polished, professional, and clear. Additionally, the auto-title feature works beautifully—it scans the content of the SOP and generates a highly accurate, relevant title that matches the subject perfectly. It saves our team a ton of time and keeps our documentation incredibly organized.

Cons

While the documentation and AI features are excellent, the search functionality can still be a bit rigid if you don't know the exact keywords of an older document. Also, if you don't establish a strict page hierarchy early on, the file-sharing and space structures can become cluttered quickly.

Overall, my experience with Confluence has been very positive. It became a pretty natural part of the daily workflow, particularly for onboarding, internal documentation, knowledge sharing, and cross-team collaboration. From a SaaS and SDR perspective, having one central place for processes, meeting notes, product information, and shared resources genuinely improved efficiency and made collaboration easier across the business. The file sharing and collaboration side are probably the standout features for me. It reduced a lot of wasted time chasing information and helped keep teams aligned on the same source of truth. The platform itself is stable, accessible, and easy enough to use once you’re familiar with it, although maintaining structure internally is important otherwise workspaces can become messy over time. I can’t comment too heavily on customer support or commercial value as I wasn’t involved in those areas directly, but from an end-user perspective it was a reliable and genuinely useful platform that added real value to the broader SaaS stack.

Pros

Confluence is a really solid platform for documenting processes, sharing knowledge, and keeping internal information centralised across teams. From a SaaS and SDR perspective, it worked well for onboarding material, SME notes, process documentation, meeting notes, and internal resources. Having everything in one searchable location made collaboration a lot easier and reduced time wasted chasing information through different systems or folders. The user interface is generally clean and fairly easy to navigate once you’re familiar with the layout. Creating and updating pages is straightforward, and the collaboration side works well with teams contributing in real time. Access and connectivity were also strong. Being cloud-based meant it was easy to jump between desktop and browser without issues, and it integrated naturally into the wider SaaS stack. From a security standpoint, it felt well controlled with permission-based access and visibility settings, which helped keep sensitive documentation restricted to the right teams.

Cons

The biggest challenge is that Confluence can become cluttered pretty quickly if there isn’t strong ownership around structure and documentation standards internally. While the interface is generally good, larger spaces can become difficult to navigate over time, especially when outdated pages, duplicate documents, or inconsistent naming conventions start building up. There were occasional performance issues as well, particularly with larger pages or heavily populated spaces where things could load a bit slower depending on internet connection quality. From a features perspective, the flexibility is great, but it can also create inconsistency if teams all build pages differently without governance in place. I can’t really comment too deeply on value for money since I wasn’t involved in procurement or admin decisions, and I didn’t have much interaction with customer support because I never ran into any major issues with the platform itself.

Average - some elements are really positive and add value but others are difficult and detract from the platform.

Pros

It's easy to structure and contain information maling it a useful tool for design documents especially when there are multiple linking aspects.

Cons

The fact the information that you can display from Jira is limited OR has to be manually added in. If confluence had its own tracking capabilities it would add so much more value.

Confluence is an industry-standard documentation tool that makes life easier. I relied massively on the tool when I was a beginner at my company to familiarize myself with the processes. Rovo is changing the entire face of the tool. The company does not have to pay for an internal RAG system, as the company documentation tool itself is incorporating it!

Pros

Its one of the best Softwares available for documentation. The layout is user friendly. The adaptation of internal AI agent ROVO is the best feature so far. users can directly ask the Bot questions without navigating to the exact path of the documentation. The templates are also a massive time saver, they prevent you from staring at a blank white screen.

Cons

There are not many cons that I can think of . The search function sometimes is annoying , producing results that are irrelevant. The permission system is actually a time consuming task for the admin eventhough its important for the internal security of the documentations.

Confleunce is a great tool to store all information and documents on the one site , it is like a library for products /projects. Great to share with stakeholders who can view all information in the one place.

Pros

The Pro's of confluence is it allows you to store content about your products in the one place and it allows you put links on to the one page to have all your documentation for stakeholders to view and read easily. It also allows you to link to your Jira page which helps keep everything in the one place

Cons

Cons of confluence are , I have found it quite a learning curve and quite hard to work out how to update confluence. It takes a while to get used to using this.

Very useful tool for internal documentation and shared knowledge. Useful to centralize procedures, meeting notes, project pages and team information.

Pros

The best thing is that information stays in one place instead of many emails or lost files. Teams can create pages fast, update documents together and keep history of changes. Very practical with Jira also.

Cons

If governance is weak, spaces can become messy after some time. Too many old pages or duplicate content can make search harder. Need some discipline.

It’s an powerful tool for team collaboration, and once you start plugging in AI tools to create custom workflows, it gets even better. But I have to take off a star because the lack of a clean, minimalist UI can be exhausting. If they could just clean up the interface and make it less heavy, it would be perfect. Still, since it is the standard, everyone knows how to use it

Pros

One of the coolest things lately is using the ChatGPT connector with Confluence - you can build some really impressive automated workflows for generating or organizing docs. Aside from that, the core teamwork features are great. Multiple people editing, leaving comments, and tagging each other just works well. It’s the industry standard for corporate wikis and documentation for a good reason

Cons

The design is way too cluttered. There is absolutely no minimalism here. The interface is packed with buttons, sidebars, and menus that just get in the way when you want to focus on reading or writing. If you just want a clean, simple space to draft a quick document, Confluence feels way too heavy and visually overwhelming
