The equipment signing feature is especially useful, and support is consistently responsive. While integration with Intune is helpful, data input still feels manual and some fields like RAM and processor don’t map correctly. It also lacks visibility into installed software. Pros The signing feature for equipment issuance is our favorite. It’s simple, efficient, and keeps everything accountable. Cons The platform still feels quite manual when it comes to data input. Integration with Intune is helpful, but not all fields map correctly. Details like RAM and processor often don’t come through. It also doesn’t pull software installed on our computers, which limits visibility into our full asset profile. Regarding the Intune integration, the missing RAM and Processor data stem from limitations in Microsoft’s Graph API. Intune’s Physical Memory property currently returns 0, and processor details aren’t exposed at all. Because of this, we’ve removed those fields until Microsoft updates their API. We are actively exploring ways to use other Graph API endpoints to enhance data collection, (though this is a resource-intensive process) . But, your feedback reinforces that this is an area worth continued investment. Regarding pulling in installed software on computers, Reftab has the ability to do this with Intune. " October 2, 2025 3.0 Overall, it's better than what we had before. Not sure if we'll be keeping it long-term as it's expensive and I think there is room for improvement. Pros I like that it has strong integration with Intune and Entra ID. I also like the automated processes for assigning assets to users based on Intune. Cons Lack of customization. For example, when we term an employee, it would be nice if could automatically assign their assets to a "returning to stock" status automatically. Furthermore, some of the built in templates and asset fields we don't use but we can't remove them. Its pricing model is also a bit expensive. For offboarding, we can automatically flip assets to a “Returning to Stock” status when a user is terminated or moved into an offboarding group. The same workflow can notify IT, and even create a pickup task so nothing slips through. On customization, you can hide fields you don’t use, reorder sections, and build your own templates and categories so the screens match your process. It's what I needed for IAM.I have implemented it for three different companies and have found it to fit those business needs each time. Departments can have the data they request in an easy report. I can automate audits and verifications. I can customize the end user notifications. It fits the bill. Pros gives me the granularity that I want, but the ease of auditing with automations. You can customize it to almost exactly what you need. Their support is awesome to work with and easy to contact. The product itself is visually appealing and simple to navigate for admins. February 27, 2026 4.0 Overall, my experience with has been great. I inherited the task of running it for my company, and it has been a work in progress for us. With that being said, it has been a huge help in the increase of efficiency for the whole company. Pros has given me the ability to keep my large inventory in order. With the large inventory we have a lot of moving pieces and the automated alerts to our employees have been very helpful. Cons The only thing that has not been great is the audit system. I was not able to do an inventory audit on through because it seems to only work if you are scanning the inventory. We do not use a scanning system, so I just did it by hand. Also being able to trust what's actually imported into . Cons I wish there was a way to set up a two way sync for certain assets. For example, it's handy to have VM's located in Intune stored in , but would be nice to hvae a means to clean them up. As well as some of the hardware information from Intune that can't be mapped. Also things would be nice to have like the Apple warranty information, but I know we're at Apple's mercy with the API there. Its a great product and simplified our way of tracking University assets. We moved from a different vender which was becoming too costly for us to maintain so migrated to Reftab. The onboarding of Reftab was excellent and we have built a great relationships with the project and support team members at Reftab. We were well supported throughout with regular catch ups and support for the development team. Compared to our previous product we have also reduces our internal support tickets to our Application team by more than 50%. in the last year we have had 30 tickets raised to the central teams which have all been minor issues like user error or training. Our previous product for the 8 month in 2024 had 71 ticket. From a centralised management point of view we are very impressed by the service and support received and our technicians within the campuses have all found RefTab to be a far better product than our previous application. Pros The features on have supported us so well over the last year. Some of the many features we like are: Tenants: which allows us to have our Campuses under separate tenants and support us with different opening times, time zones and different ways of working we have across the University API design: we rely heavily on the API to integrate booking information with our timetabling platform. We have had a very positive experience using the API and its supporting documentation UI: Having customisable portal for our users really helps with our multiple brands and the staff view is well designed and easy to navigate. User provisioning: We are able to configure this all via the UI which makes the set up and maintenance much more efficient compared to our last vender. Cons I don't think there are any Cons, any gaps that have been identified have been quickly resolved and have been very reactive to include enhancements that support not only us but their other customers. Pros We are a cleaning company, we use to track our vacuums, mop poles, caddies, etc. Lots of low cost items, but hard to keep track of. Easy to leave at jobsites. This has been huge in keeping our assets. WE have seen a savings from not having to rebuy lost items. The software is comprehensive enough we also use it to provide asset lists for taxes as well. The software can track your item locations, you can add picture of the items, the cost and date of purchase as well as track how long you had it till it was disposed off. The reports let you know who and how many times the item has been checked out. Cons The two issues we had with the software was the inability to change asset numbers and the printing of tags was complicated system. Both of these have been upgraded making the software even easier to use. Reason for choosing Reftab We looked at many asset management systems, including having one custom built for us. was a gem of a find. Pros We started using to help support the development of our humanitarian trips and found it to be a critical key to increasing our capacity. The ease of onboarding was a #1 priority and I was able to search for everything I needed to set up. The import functions were also very, very easy to use and helped tremendously.
