The equipment signing feature is especially useful, and support is consistently responsive. While integration with Intune is helpful, data input still feels manual and some fields like RAM and processor don’t map correctly. It also lacks visibility into installed software. Pros The signing feature for equipment issuance is our favorite. It’s simple, efficient, and keeps everything accountable. The support team is very helpful whenever issues arise. Reftab offers great value for the price, delivering strong functionality without breaking the budget. Cons The platform still feels quite manual when it comes to data input. Integration with Intune is helpful, but not all fields map correctly. Details like RAM and processor often don’t come through. It also doesn’t pull software installed on our computers, which limits visibility into our full asset profile. Regarding the Intune integration, the missing RAM and Processor data stem from limitations in Microsoft’s Graph API. Intune’s Physical Memory property currently returns 0, and processor details aren’t exposed at all. Because of this, we’ve removed those fields until Microsoft updates their API. We are actively exploring ways to use other Graph API endpoints to enhance data collection, (though this is a resource-intensive process) . But, your feedback reinforces that this is an area worth continued investment. Regarding pulling in installed software on computers, Reftab has the ability to do this with Intune. It's what I needed for IAM.I have implemented it for three different companies and have found it to fit those business needs each time. Departments can have the data they request in an easy report. I can automate audits and verifications. I can customize the end user notifications. It fits the bill. Pros Reftab gives me the granularity that I want, but the ease of auditing with automations. You can customize it to almost exactly what you need. Their support is awesome to work with and easy to contact. The product itself is visually appealing and simple to navigate for admins. The integrations alone have been a game changer for us. Cons A lot of the cons are feature requests that I've put in. Generally its the lack of something existing that is a con to me. October 1, 2025 5.0 Overall it has allowed us to keep easy track of our computers, supply stocks, and made it easier to offboard people and make sure we get all of their equipment/ devices back. So in the long run probably saves us a lot of money which is huge for a non-profit like us. Pros I love the ease of use, customizability, and different use cases. Reftab allows us to keep close track of anything from high dollar assests, computers, monitors, and accessories, all the way down to product licenses and general supplies. Cons When I connected our NinjaRMM it added a bunch of duplicate devices, most likely "user error". I think it should cross reference serial numbers, where a lot of our Dell's use the service tag which is most of the devices we have. I inherited the task of running it for my company, and it has been a work in progress for us. With that being said, it has been a huge help in the increase of efficiency for the whole company. Pros Reftab has given me the ability to keep my large inventory in order. With the large inventory we have a lot of moving pieces and the automated alerts to our employees have been very helpful. Cons The only thing that has not been great is the audit system. I was not able to do an inventory audit on through reftab because it seems to only work if you are scanning the inventory. We do not use a scanning system, so I just did it by hand. If there is a way to work around this, I would love to know. Very easy and simple to use. If you aren't able to figure a task out they have helpful documents explaining each process step by step or customer service is very responsive and friendly to work with. Pros Easy to understand and use. This software is very simple and straight forward and very customizable. Cons You can't change the fields in the LDAP sync to custom fields such as Screen size etc. If importing machines you can't have the asset status set to in stock automatically. Which means you have to go to each asset and change the status manually. You can make a Workflow Automation that changes the asset status automatically for any new asset added after creation. Anything from laptops to slide rulers. I checked into several options. Some free, some where the startup cost was over $5K. When I found Reftab, I was sold right away. It was so easy to get setup and it covered everything I needed. But then, there's the tech support and customer service aspect. Wholly cow, the Reftab team is on it!!! I've run into a few cases where I could use a feature. I submitted my use case and OMG, they developed it and implemented it. Now, if I asked for something that no one would use, mileage could vary, but they respond quickly and really seem to understand my needs as a customer. The product is great, but the support is what really sold me! Pros Reftab is really intuitive. I setup my first instance without needing any support and barely glancing at the documentation. I had a fully functioning demo running with assets and testing check in check out in about an hour of signing up for a demo account. The mobile app adds to that intuitive use. Cons I wish I could tie printing inventory labels to my Dymo labelwriter and use a label template to print more customized intentory labels right from the Dymo. OK... I haven't asked if that was possible, yet. Pros Quite simply, the developers are so responsive, that issues and suggestions are acted upon and that makes such a difference to the product today. The flexibility of fields and categories means that it could fit all possible use cases. The self service portal is really handy and user friendly. Settings are plentiful so you can get things as close as you can to how you want it. It's simple, yet powerful and has so so much potential. We were looking at the better known alternatives whilst testing reftab as there were a few niggles and add-on which should be as part of the standard package (when compared to competitors) but this is all resolved and I'm really glad we stuck by it. Cons Reporting is a little lacklustre, it is basically a filter and that's about it. It would be good to see formatted, client friendly reports, as well as checkout receipts, packing lists, hire terms and other handy supplementary paperwork. The accessories feature could do with a bit of TLC as it feels like there is a lot of potential, but doesn't quite integrate with the rest of the ecosystem properly yet.
