Inventory Management Assset Mannagement Tracks not only who has assets, but the assets availability (i.e., needing repair or functional) also cost, age, maintenance and repair cost. October 1, 2025 5.0 Overall it has allowed us to keep easy track of our computers, supply stocks, and made it easier to offboard people and make sure we get all of their equipment/ devices back. So in the long run probably saves us a lot of money which is huge for a non-profit like us. Pros I love the ease of use, customizability, and different use cases. Reftab allows us to keep close track of anything from high dollar assests, computers, monitors, and accessories, all the way down to product licenses and general supplies. Cons When I connected our NinjaRMM it added a bunch of duplicate devices, most likely "user error". I think it should cross reference serial numbers, where a lot of our Dell's use the service tag which is most of the devices we have. I inherited the task of running it for my company, and it has been a work in progress for us. With that being said, it has been a huge help in the increase of efficiency for the whole company. Pros Reftab has given me the ability to keep my large inventory in order. With the large inventory we have a lot of moving pieces and the automated alerts to our employees have been very helpful. Cons The only thing that has not been great is the audit system. I was not able to do an inventory audit on through reftab because it seems to only work if you are scanning the inventory. We do not use a scanning system, so I just did it by hand. If there is a way to work around this, I would love to know. Custom device information is a large bonus. Device history is also a plus so you can see how equipment was handled prior to being lent out the latest time. Cons Certain user screens are difficult to navigate as they do not direct you to anywhere. An example of this is when you go to Loanees and click on a user and can see their loan history, but you cannot directly click on any item. If you aren't able to figure a task out they have helpful documents explaining each process step by step or customer service is very responsive and friendly to work with. Pros Easy to understand and use. This software is very simple and straight forward and very customizable. Cons You can't change the fields in the LDAP sync to custom fields such as Screen size etc. If importing machines you can't have the asset status set to in stock automatically. Which means you have to go to each asset and change the status manually. You can make a Workflow Automation that changes the asset status automatically for any new asset added after creation. Anything from laptops to slide rulers. I checked into several options. Some free, some where the startup cost was over $5K. When I found Reftab, I was sold right away. It was so easy to get setup and it covered everything I needed. But then, there's the tech support and customer service aspect. Wholly cow, the Reftab team is on it!!! I've run into a few cases where I could use a feature. I submitted my use case and OMG, they developed it and implemented it. Now, if I asked for something that no one would use, mileage could vary, but they respond quickly and really seem to understand my needs as a customer. The product is great, but the support is what really sold me! Pros Reftab is really intuitive. I setup my first instance without needing any support and barely glancing at the documentation. I had a fully functioning demo running with assets and testing check in check out in about an hour of signing up for a demo account. The mobile app adds to that intuitive use. Cons I wish I could tie printing inventory labels to my Dymo labelwriter and use a label template to print more customized intentory labels right from the Dymo. OK... I haven't asked if that was possible, yet. May 13, 2022 5.0 From the first point of contact, Reftab have been amazing. I have been in contact with Mike, who I believe to be one of the founders of the software. Personally I find that amazing that we have contact with a founder, who is really able to give me all the answers I need directly without going through long support terminals like with other software programs. Mike has been extremely helpful with the setup of our account - always replying very quickly to emails. Although we are only just (slowly) starting to use Reftab, everything about it is great so far & it works really well. Due to an extremely busy work schedule, we have not been able to push its limits just yet, but so far, so good. Thanks to the Reftab team for all the help so far! Pros \- The features are super easy to use - the Reftab team are very responsive, efficient & effective when it comes to troubleshooting or answering queries - The check-in /out feature is really simple to use - almost everything is modifiable & customisable Cons The mobile app lacks the option to edit details / barcodes for Accessories, which from an Office Supply Management POV, is important as it allows me to work from my mobile when adding / editing stock. It does exactly what I need it to do: keeps track of stuff without becoming another thing that needs managing. It’s clean, fast, and lets me know who’s got what, when it’s due back, and what condition it’s in - Reftab feels built for people who actually do things, not just manage them. Cons What bugs me about Reftab is that it still feels a bit rigid. It’s great for tracking assets, but the workflow side can get clunky. It would be nice to have an auto generation for that so you know you're not duplicating it but also the option to change it if you wanted to. Each of the different instructors can know exactly where the equipment is as well. Pros I can check out our school equipment to students seamlessly with the app on my phone or on my computer. I can also track and run reports regarding the status of the equipment. This is just what our program needed at a great price. Cons The UI of the app and the desktop version would greatly improve the product. Owner Facilities Services Used the software for: 2+ years ### "We save time and money because of Reftab" March 7, 2022 5.0 Every time I have had a question, or issue trying to do accomplish something with the software, the help has been very prompt, and helpful. Pros We are a cleaning company, we use Reftab to track our vacuums, mop poles, caddies, etc. Lots of low cost items, but hard to keep track of. Easy to leave at jobsites. This has been huge in keeping our assets. WE have seen a savings from not having to rebuy lost items. The software is comprehensive enough we also use it to provide asset lists for taxes as well. The software can track your item locations, you can add picture of the items, the cost and date of purchase as well as track how long you had it till it was disposed off. The reports let you know who and how many times the item has been checked out. Cons The two issues we had with the software was the inability to change asset numbers and the printing of tags was complicated system. Both of these have been upgraded making the software even easier to use. Reason for choosing Reftab We looked at many asset management systems, including having one custom built for us. Reftab was a gem of a find. The price point was very doable, especially for us we have very low cost items we are tracking, we just have a lot of them. It was simple to use, straightforward layout. We have adapted multiple processes to fit Reftab. It has become one of the most important tools I use. We were there in the early days before the site became as feature rich as it is today and we are pleased to say we stuck around. We are proud to have our logo on your home page displaying that we use your product Cons It's hard to say what I don't like. Over the years I have seen the site develop and today I'm left with feeling that anything which isn't quite right will get there eventually.
