I had worked many different digital rota systems for different companies but this one was an instant hit. Took around 10 min to get an idea of how it works then you learn as you try different things. So much easier and better than any other I had tried previously. Having 40+ rotas life would be very hard without Rotacloud. Pros Easy to use for staff using their mobiles phones. Ability to see all rotas on one week for that staff member. The ability to change shift details from one location. The ability to put up an open shift for all staff members instantly. An invaluable tool for multi site rota management the best I have used so far. Cons A little slow loading, does not show the full title of the rota in the drop down which is a pain if all your rotas titles start the same way. Minor issues though really. It has streamlined rota management, improved communication with staff, and reduced the time spent on scheduling and payroll preparation. It’s an efficient and user-friendly system that has made day-to-day workforce management much easier. Pros RotaCloud has greatly simplified my staff rostering and saves a lot of time. It makes it easy for staff to see their upcoming shifts, and it’s very effective for highlighting unfilled shifts so they can be picked up quickly. It also helps track changes to rotas clearly and produces helpful reports that make monthly payroll tasks much easier. Cons I don’t have any complaints. However, it would be helpful in the future if there was an option to download monthly staff payment reports sorted by surname rather than first name, as this would better match the setup of my payroll system. The system is good value for money, easy to navigate and on the rare occasion that we have had to contact the team our issues have been resolved quickly & professionally. I would highly recommend for any business. Pros The ease at which we can schedule our working week. Working in construction things often change at the last minute and RotaCloud allows us to make changes at the drag of the mouse. Viewing the weekly schedule in one screen allows us to keep on top of our planning. January 19, 2026 5.0 Very good and straightforward, the software is user friendly, value for money when you consider the time savings on planning rotas, and the customer service is great. Pros A time saver, straightforward scheduling software that allows the team to view shifts, request to change them and teach their annual leave. From a business perspective it saves hours of juggling rota planning, has a nifty document sharing and storage facility and builds in coatings for shifts. This allows forecasting of shift costs and supports budget setting, and reduces the time taken for working out staffing costs. Cons I don’t have any dislikes but would love to see more HR functions in the app. For example; template onboarding documentation. Finance Manager Hospital & Health Care Used the software for: 2+ years ### "RotaCloud - A Simple and Effective Payroll Solution" April 11, 2024 4.0 RotaCloud is a very user friendly system covering most of our requirements for Staff time management and payroll as well as other areas that we wouldn't necessarily expect from this type of product. I still find it both visually appealing and easy to use despite the fact that it has many complex skills and features 'under the bonnet'. They are also very open to update suggestions and engagement which is clearly something that has kept us onboard as it has evolved over the last 4 years. More of the same in the next 4 years please! Pros The user interface was great and still is. Implementation was very straightforward. It has all the features we were after compared to the other products we looked at and the administration of these has generally been quite straightforward. The team behind the curtain were very helpful and communication during set up and the following months was excellent. Cons There were initially some teething issues with our business as we are a Private Charity Nursing Home with very specific staffing needs. This made fitting into RotaCloud take some getting used to rather than buying a bespoke product. However, one of the Pros to come out of any of the Cons is that the team are very hands on with customer issues and product updates initially came thick and fast. Nearly all of our early problems were addressed, resolved or a workaround found. I now look forward to what software updates are incoming to further improve our day to day use. Pros We use the rota management side of Rota Cloud and really like the ease of use of the platform. The Rota Cloud team are also very open to development feedback and are always really supportive if you have a question. Cons Not being able to drag a shift from one week to the next. However, if I used the templates more i could help myself! Pros These ease of setup for both myself as the boss and for my team. It also allows the team to manage their shift swaps. Once I've set the shift pattern for any given day and assigned the shifts, I have peace of mind that any swaps will be within my desired shift pattern. I also have clear view of any holidays or days off booked when assigning shifts, which sometimes I missed using our old system. Cons I can't move the shifts around from the dashboard page. Pros Simple to use, and any issues are address or suggestions for changes are always taken onboard Cons not so much a dislike more a feature I would benefit from is if there was an option to bulk print rotas, for example we post our rotas 4 weeks in advance (they get posted due to this being the preference as they are not good with technology) at the moment I have to print every individual locations Rota for every one of the 4 weeks and doing this for everyone is just so time consuming, so if there was a way to bulk print chosen locations from a date to date that would be very beneficial but other than that I have no dislikes about the system at all. All of our team benefit from each feature on RotaCloud, from managers to HR to care coordinators to our health care assistants.The customer service is one of their greatest features, as all the team are so helpful, friendly and professional! Pros Firstly, the customer service from RotaCloud is outstanding, they are always on hand to talk, they are friendly and always do their best to help you via their chat service. It's a great balance between professional and fun, myself and the team will send funny gif's and memes!The system itself is put together very well and is very user friendly - its very easy to schedule shifts on the Rota, to complete time sheets and monitor annual leave. The reports system is an amazing feature, it breaks down everything from sickness reports, to how many hours worth of shifts per month. It saves us a lot of time working it out individually. It is my favourite feature working with HR. Another great feature that we use all the time is the bulk action tool, which allows you to move shifts from one employee to another in one go, rather than one by one. It saves the company a lot of time! Cons A feature that would need to be improved on timesheets would be that it would be helpful if when there is a missing clock in record, it flags up which clock in record is missing, rather than flagging up the day. Due to the nature of our business (community care) our staff can have 10+ shifts allocated per day. So when it flags up, it becomes quite time consuming to go through each one to check where the missing record is! We are currently experiencing a bug with the bulk action tool whereby we are unable to bulk action any shifts from the "open shifts". Cons if rotacloud also had a finger print system that could link straight up with the cloud based rota would make it a complete system to use and make payroll huge, i do not like the clock in and out on mobile devices because sometime staff can get away with alot of things. Much more efficient management of holiday allowances and leave requests. Pros This software has been great for us and moving to it, from pen and paper, was the best decision we ever made. We have most definitely saved time in both writing and administering rotas, and the app means that all the staff know when they are expected in work without being able to say they hadn't been told! It is generally really easy to use from both a Manager and Employees point of view. The customer support is excellent, with questions being answered very quickly through the online chat facility. This is also great as it means you have a record of the conversations so if you need to refer back to something later on then you are able to do so. We manage two sites and 6 rotas in total across the business with nearly 100 employees. Being able to manage the leave through rotacloud has proven far more efficient and ensured that we are not in danger of finding ourselves at the beginning of December with a lot of holiday to make up with staff - something that seemed to happen every year historically. Cons There are some quirks which I would love to see ironed out. The 'Availability' function cannot cope with both ongoing requests and individual requests at the same time which is really frustrating. The majority of our crew are casual employees who have ongoing commitments as well as one off commitments so we have had to come up with a workaround to enable them to add all of their availability without the danger of some of it being missed. It would also be useful to have an easy way to see, and reinstate, past employees. With a very transient workforce, often away at university or travelling for long periods, we don't want to keep them on the system but need to be able to reinstate them when they return. May 29, 2020 5.0 Fantastic, as mentioned fantastic value for money and gets the job done! Some fantastic features and also the customer support service is world class. Pros My main pro about this software is that it is fairly straight forward to use and has lots of great features including the capacity to clock in and out, put in leave requests and generally build and manage rotes. And it is exceptionally good value for money. Cons I don't really have any issues only suggests of what should be added. As the business owner, manager of my company and also an employee elsewhere that uses another software similar to this there are a few features that could massively improve rotacloud. I have listed my suggestions below; - Messaging capacity - team should be able to message each other, their department, managers etc. - Leave feature isn't as straight forward as could be. - Team should be able to just put a days request off in and select the actual times they are requesting off whether it be 10am-5pm (college, uni) or all day as currently all leaves go on like booking in a holiday. - PLEASE ADD A DAILY LABOUR CARD REPORT!!! - this should include two sections am and pm that shows you who is on what shift, what department and any open shifts. - I am desperate for this feature as I currently create on myself so I can easily look in front of me as to who is working when. This report should also show each team members weekly hours, overtime highlighted in red, and a summary of the daily labour costs. - LOOK at Hot Schedules as their daily labour report is fantastic. I use it every day and couldn't run the business without it. I have not tried other products in this field but I haven't had to because it does almost everything I want and with the regular updates I am sure the things that I might want will come sooner or later. I wish all software companies worked as well as the Rotacloud team do. Pros Easy to use, useful updates of things that you didn't know you needed but end up using all the time Cons I haven't really got any dislikes. It does what it says.
