They are so good it feels like we are part of the same company sometimes! They are fun, very helpful and well mannered! I love customer service and this team are a great example of how a company should project those skills. Pros I love that rotacloud has allowed me to gain time back for other responsibilities. It makes rota writing so much easier and quicker, helping my work load be more manageable. Cons I would say our staff would raise issues because they are reluctant to use the excellent help section. I personally do advise to use the product on the laptop rather than the app for those who struggle with mobile tech. Reason for choosing RotaCloud I had been recommended Rota cloud, some years before. I was so happy when we were able to finally start using it. Pros It has been an amazing experience using RotaCloud. From the very beginning, it was very easy and initiative to use. It has made shift allocation and staff management part of my job seamless. It has also made it possible to track and capture staff attendance and punctuality through the clock in and clock out system which shows not only the clock-in time but also the location, giving a sense of security for not only the people we support but also the staff. The availability of the mobile app helps during emergency shifts to know what staff member is available and quick assigning of shift. I must say that the RotaCloud I met when joining is not the same RotaCloud that is currently available as there is constant update of new features, giving great value for money. Cons There is nothing not to like about RotaCloud, from its intuitive outlay to the ever available and helpful customer service. I had worked many different digital rota systems for different companies but this one was an instant hit. Took around 10 min to get an idea of how it works then you learn as you try different things. So much easier and better than any other I had tried previously. Having 40+ rotas life would be very hard without Rotacloud. Pros Easy to use for staff using their mobiles phones. Ability to see all rotas on one week for that staff member. The ability to change shift details from one location. The ability to put up an open shift for all staff members instantly. An invaluable tool for multi site rota management the best I have used so far. It has streamlined rota management, improved communication with staff, and reduced the time spent on scheduling and payroll preparation. It’s an efficient and user-friendly system that has made day-to-day workforce management much easier. Pros RotaCloud has greatly simplified my staff rostering and saves a lot of time. It makes it easy for staff to see their upcoming shifts, and it’s very effective for highlighting unfilled shifts so they can be picked up quickly. It also helps track changes to rotas clearly and produces helpful reports that make monthly payroll tasks much easier. Cons I don’t have any complaints. However, it would be helpful in the future if there was an option to download monthly staff payment reports sorted by surname rather than first name, as this would better match the setup of my payroll system. Pros A time saver, straightforward scheduling software that allows the team to view shifts, request to change them and teach their annual leave. From a business perspective it saves hours of juggling rota planning, has a nifty document sharing and storage facility and builds in coatings for shifts. This allows forecasting of shift costs and supports budget setting, and reduces the time taken for working out staffing costs. Cons I don’t have any dislikes but would love to see more HR functions in the app. For example; template onboarding documentation. We get a lot less mistakes with the clock in and outs compared to our old system, which means that it's a lot quicker to do the sense checks and approve time sheets each week prior to payroll. Pros Ability to easily schedule shifts and share these shifts with employees. The clocking in terminal on the ipad makes it very simple for Employees to clock in and out for breaks and when they arrive and leave with minimal mistakes. Cons Would have preferred either fingerprint or facial recognition for verification of employee presence at the clocking in and out terminal. Also, the fact that you can't edit mistakes on things like peoples break clock ins / outs until the end of their shift is quite annoying. Alternatives considered [Payescape](https://www.capterra.com/p/215987/HR-Escape/) Reason for choosing RotaCloud Pay Escape wanted a lot of money up front, compared to £0 upfront from RotaCloud. They were also quoting 3 months to get setup and going (later reduced to 1 month as I' d expressed concern). I really can't see why it would need such a long setup period. I tested RotaCloud and got the basics setup within a couple of evenings so that I could have a play around with the functionality, and it was clear it was going to do what we needed at a fraction of the cost. Pros We use the rota management side of Rota Cloud and really like the ease of use of the platform. The Rota Cloud team are also very open to development feedback and are always really supportive if you have a question. Cons Not being able to drag a shift from one week to the next. However, if I used the templates more i could help myself! Pros These ease of setup for both myself as the boss and for my team. It also allows the team to manage their shift swaps. Once I've set the shift pattern for any given day and assigned the shifts, I have peace of mind that any swaps will be within my desired shift pattern. I also have clear view of any holidays or days off booked when assigning shifts, which sometimes I missed using our old system. Cons I can't move the shifts around from the dashboard page. I run a bar with a staff force of over 20 people and they all use it with no issues, claiming shifts, swapping shifts and booking holidays. Their customer service team are also really friendly and resolve any questions quickly, keeping you up to date every step of the way. Cons This is a hard one as I get on really well with RotaCloud. February 2, 2024 5.0 I love Rotacloud, it is the best business decision I made and both myself and all my staff love using it. For me, the owner, being able to see actual time worked, length of breaks, sickness time all in one place has been and it has made holiday request controlled and organised. The staff life the fact they can check their rota anytime, anywhere. The can request holidays, view holiday availability, add notes to requests and have a record. Pros Rotacloud is very easy to use for a non tec person like myself. The online customer support is great and tips and advice on how to set up. You can navigate the system, amend and update without interrupting your final reports. And for me the ease of final wage reports has reduced hours of painstaking worked for me at the end of every month Cons The only thing I would like is to be able to add my own selections in the drop down menu- Holidays/sickness etc as some book out time is specific or important for my business so would be bespoke to me. Cons if rotacloud also had a finger print system that could link straight up with the cloud based rota would make it a complete system to use and make payroll huge, i do not like the clock in and out on mobile devices because sometime staff can get away with alot of things. Reason for choosing RotaCloud time motto because they can have online rota aswel as a fingerprint system that links straight to the rota and amends the time they have clock in. but rotacloud on the rota side and holiday requests are so much more simple to use and easy for all ages. Much more efficient management of holiday allowances and leave requests. Pros This software has been great for us and moving to it, from pen and paper, was the best decision we ever made. We have most definitely saved time in both writing and administering rotas, and the app means that all the staff know when they are expected in work without being able to say they hadn't been told! It is generally really easy to use from both a Manager and Employees point of view. The customer support is excellent, with questions being answered very quickly through the online chat facility. This is also great as it means you have a record of the conversations so if you need to refer back to something later on then you are able to do so. We manage two sites and 6 rotas in total across the business with nearly 100 employees. Being able to manage the leave through rotacloud has proven far more efficient and ensured that we are not in danger of finding ourselves at the beginning of December with a lot of holiday to make up with staff - something that seemed to happen every year historically. Cons There are some quirks which I would love to see ironed out. The 'Availability' function cannot cope with both ongoing requests and individual requests at the same time which is really frustrating. The majority of our crew are casual employees who have ongoing commitments as well as one off commitments so we have had to come up with a workaround to enable them to add all of their availability without the danger of some of it being missed. It would also be useful to have an easy way to see, and reinstate, past employees. With a very transient workforce, often away at university or travelling for long periods, we don't want to keep them on the system but need to be able to reinstate them when they return. May 29, 2020 5.0 Fantastic, as mentioned fantastic value for money and gets the job done! Some fantastic features and also the customer support service is world class. Pros My main pro about this software is that it is fairly straight forward to use and has lots of great features including the capacity to clock in and out, put in leave requests and generally build and manage rotes. And it is exceptionally good value for money. Cons I don't really have any issues only suggests of what should be added. As the business owner, manager of my company and also an employee elsewhere that uses another software similar to this there are a few features that could massively improve rotacloud. I have listed my suggestions below; - Messaging capacity - team should be able to message each other, their department, managers etc. - Leave feature isn't as straight forward as could be. - Team should be able to just put a days request off in and select the actual times they are requesting off whether it be 10am-5pm (college, uni) or all day as currently all leaves go on like booking in a holiday. - PLEASE ADD A DAILY LABOUR CARD REPORT!!! - this should include two sections am and pm that shows you who is on what shift, what department and any open shifts. - I am desperate for this feature as I currently create on myself so I can easily look in front of me as to who is working when. This report should also show each team members weekly hours, overtime highlighted in red, and a summary of the daily labour costs. - LOOK at Hot Schedules as their daily labour report is fantastic. We'd struggle to complete staff management tasks now without the software and functionality of the software. Pros Good to be able to copy shifts forward to cover future weeks. Easy to swap staff from one shift or role to another. Cons Nothing to fault really, have looked at other software but RotaCloud continues to meet our needs.
