Pros

I love the pricing at combined with the great support and wealth of features. Autoresponders are important to my clients and I have used some of the advanced fatures as well. Its great to know I have a form srvice that will anser my support tickets and provide a variety of important form fields. I have been with Cognito for over 10 years now!

Cons

I would like to be able to add smtp to all my forms, but my account level only allows 1, I do understand that is an advanced feature.

My overall experience with has been genuinely really positive. It’s one of those tools that just quietly gets on with the job and makes life easier without creating extra work. From the start, it felt straightforward to use. I didn’t need loads of time to get going, and I was able to build forms that actually did what I needed quite quickly. As I’ve used it more, I’ve found it scales nicely too - whether it’s a simple form or something more detailed with logic and calculations, it handles it well. What stands out most is the reliability. Once something is set up, I trust it. Submissions come through properly, and I’m not second guessing whether it’s working in the background. It’s also saved me a lot of time. Instead of messing around with manual processes or trying to stitch different tools together, everything sits in one place and just works. Honestly, there’s not much I actively dislike because it’s a really solid tool, but if I had to pick something, it would be that a few of the more advanced features can take a bit of figuring out at first. Things like deeper conditional logic or more complex calculations aren’t always immediately obvious, so there can be a small learning curve if you’re trying to push it further. Once you get your head around it, it’s absolutely fine - it just takes a bit of exploring. Also, now and then I’ve found myself wanting a bit more flexibility in the design or layout side, especially if you’re trying to match a very specific look and feel. That said, these are fairly minor points. Overall it’s been a really positive experience and those little limitations haven’t got in the way of using it day to day.

It's unacceptable for a company to operate without this support. Cognito's customer service is truly peerless. I cannot remember the last time I worked with such positive, dedicated solutions staff. Not only are they always available to answer any question, from billing to "how do I do this with the tools available", but they seem genuinely happy to help solve the puzzle that is your latest requirement, providing not only an example in your instance, but an explanation of how it was done. Or, if they cannot for whatever reason, they are happy to log an issue for a future feature for their team to develop.

Pros

Cognito unifies and simplifies our processes, providing tools that are accessible to an average user, but powerful enough to satisfy any of our needs. As a University, we have hundreds of forms, capturing everything from food allergies to personal grievances, to exam deferrals and Cognito has had a solution for all of them.

Cons

Some common workflows still require complex several-step processes that should be simplified, such as approvals or guest roles. While there are workarounds, these are not as easy for average users to set up. Consolidating these functionalities into discrete, simplified pieces would make a huge improvement. Additionally, Cognito does not support some of the larger enterprise requirements, such as role based access control syncing with our identity management software; this means we have to manually maintain hundreds of users and try to keep this synced - a pain point that regrettably grows the more we use the platform.

I cannot overstate how important Cognito has become to our daily operations. It’s now a key tool for building forms that consistently achieve their intended purpose and support the way our teams work.

Pros

Cognito has taken our form‑building capabilities to a new level. Its logic tools and calculation features allow us to collect, validate, and sanitize data far more effectively. It has become an integral part of our operations, supporting multiple departments, and through its Power Automate connectors, has enabled significant automation across our workflows. Not to mention it is very cost-effective.

Cons

I wouldn’t necessarily call this a con, and I don’t consider myself an expert in Cognito form building, but I do think very novice users may find the learning curve a bit steep. That said, Cognito’s built‑in AI now helps generate the logic needed to achieve most outcomes, even for beginners. While the AI isn’t always perfect, it generally gets you close and significantly reduces the barrier to entry.

Fantastic. It is the only form builder that we have found that can handle the tasks that we need for our data collection needs, such as gathering data in table format and then being able to manipulate that data independently, add it to an excel template, transfer it to other forms, etc.

Pros

The wide array of data collection options and workflow tasks that can be automated via this platform, especially in combination with Microsoft Power Automate.

Cons

The visual editing options are more limited than with other form builders out there. You can do some of that with Cognito, but it's still limited.

I love . I use it in many different areas of my life and appreciate that I don't have to know how to code in order to access cool features.

Pros

They continue to add new features! This is a robust platform that offers solutions to all kinds of things businesses need.

Cons

Sometimes getting answers to issues is difficult. I wish there was a chat support that would be more timely for quick questions or things that require quick solutions. I also wish you could build a dashboard of sorts on forms to see data information easily. Having access to basic statistics would be so helpful.

I've been a customer for, probably about a decade now. I use it for work and personal stuff and it's been rock solid the entire time.

Pros

It allows me to collect and organize information more easily than anything else I've tried. I'm able to create custom unit configurations with full validation and smart show/hide logic easily, save it to a database that I can easily reference at any time, and I'm emailed Word DOCs that I'm able to capture and organize seamlessly.

Cons

If there is one thing I'm DYING for them to add is an easy entry duplicate feature. Right now, I'm able to do so by filtering my list by the entry number, exporting out the data, then reimporting the data I just exported as a new entry. It takes way too many steps for what I would only assume wouldn't be too difficult of an option to add once an entry row is selected, from the Actions button (where right now I start the download dance from).

Cognito has been wonderful for storing information and creating contracts for my clients. It's very organized and user-friendly. I've had two assistants over the years and both of them didn't have any trouble figuring out how to use it.

Pros

It's very easy to use. I love the way it collects data in an organized way. It's super helpful that I receive an email notification every time someone fills out my form. It also always asks for 2-factor authentication, which increases security. I love that I can designate certain forms as favorites, and they will be at the top of the menu on the left side.

Cons

Even though the 2-factor authentication is good for security purposes, I wish I could turn it off because sometimes my assistant logs in for me, and she always has to text me to ask for the code, and I'm not always looking at my phone or email then.

We have used Cognito for several years and have a lot of forms with them. The system works well for our needs and the support is also quick and efficient.

Pros

It's a great form builder that has helped us build our front-end on our website without needing other programming tools. It is easy to learn, easy to make adjustments and has enough flexibility.

Cons

It's all great. The form tool has options to choose language of the form, so another future feature would be to allow for automatic translations of forms. Now we have multiple forms in different languages and need to copy/translate manually.

Overall, I'm thrilled with . We've been using it for several years and I'm happy to see improvements with the platform over time. This software solved a major business issue we had with Microsoft Forms, and we'll continue to use Cognito and integrate it in every component of our business that we can.

Unbeatable for the price-point. Incredibly easy to learn and the possibilities are endless. We have both simple and complex forms, including some with workflows integrated to our Microsoft suite of products. Support team is quick to answer and receptive to ideas for improvements as well.

Cons

There's nothing I explicitly dislike about . Sometimes, formula-based fields in your forms can be difficult to create since they have different syntax than formulas in Excel.

Pros

Simple to setup forms and make edits to information. Easy to coordinate work flow within the organization. All internal users quickly access and use the information provided.

Cons

Very difficult for clients to return to the same upload document from an external source. External clients need to enter multiple forms if they have additional information.

The way I look at it is: if you want something to happen at a certain time, look at the action someone would take to trigger it. In your case, if you want a notification when someone hits submit, look at the "submit" action. There, you can set your workflow to send an email. If you are ever unsure about where that is, on your build page, you can click the submit on your form, and the window to edit your action will pop up on the right. Pros

It's easy to use, quick creation of user friendly forms. We have never had any issues looking at past submissions. Our employees are able to use the forms. Email notifications have been consistent and timely.

Sometimes setting up the fields of only do this when that happens is not very easy. Trying to figure out the settings is channeling and it would be nice to offer a preview or test run that does not submit the form as an entry.

Overall, is a great choice if you need a customizable form tool that’s relatively easy to use once you’re familiar with it. A little patience upfront is worth it for the flexibility and control you get in return.

Pros

The ease of use is one of Cognito’s biggest selling points. Once you get the hang of it, setting up forms is straightforward, and the customization options are fantastic. You can create everything from simple sign-up forms to complex workflows with custom fields and conditional logic—it’s flexible enough to meet a lot of different needs.

Cons

There’s a bit of a learning curve in the beginning. The platform offers a lot of options, which can feel overwhelming until you find your way around. Also, I’ve run into situations where email filters block form notifications or access to forms entirely, especially with more restrictive email systems. It’s manageable but can be a hassle if you’re sending forms to a wide audience.

Pros

Cognito makes forms easy to set up, but offers more customization than you would expect.

Cons

Sometimes the user interface doesn't allow certain actions (such as a multi-copy) and can take more clicks than it should to get somewhere.
