My overall experience has been positive. I have used Cognito Forms to support entrepreneurship programs, application processes, technical assistance, evaluations, document collection, and participant follow-up. It is reliable and cost-effective, particularly for organizations that need to digitize processes quickly. However, as operations become more complex, additional integrations, custom development, or complementary platforms may be necessary.

Pros

Cognito Forms is flexible, easy to configure, and powerful enough to manage complex application and evaluation processes. I especially value its conditional logic, calculations, file uploads, automated notifications, workflows, and the ability to organize large amounts of applicant information without developing a system from scratch.

Cons

Some advanced processes require workarounds or external tools. Managing facilitator availability, complex scheduling, customized dashboards, document repositories, and highly specific workflows can be difficult. Reporting and integrations could also be more flexible for organizations managing several programs simultaneously.

### "A Go-To Tool for Building Flexible, Professional Forms"

I’ve used Cognito Forms a lot when building forms for websites, and it has become one of my go-to tools. It is easy to get started with, but it also has enough options to handle forms that need more than just a name and email address. I like being able to add conditional questions, file uploads, calculations, and custom messages without having to build everything from scratch. It has helped me create forms that are more useful for the people filling them out and easier for the team receiving the information. Some of the more advanced features took a little time to figure out, but once I got familiar with them, I found Cognito Forms to be really flexible. Overall, it is a solid option for anyone who needs professional-looking forms that can do a little more.

Pros

The workflows in Cognito Forms can't be beat. They have simplified so many processes within my workplace. We have been able to eliminate paper trails and confusing emails. It has helped stop wondering where certain actions are in a process.

Cons

I think that Cognito is still growing, and at this point might not be fully ready to meet all the needs of the huge university system, in particular in the people forms. It works well within individual departments, but when you try to expand beyond that - multiple departments, full university - it's a little overwhelming. It would also be great if there was a way to integrate Banner with the forms, so we could pull in employees automatically.

It was horrible. I had an issue with their login, so I could fix an issue, but no one could help me. I was losing money by the minute.

🔴 I strongly advise against using this company. If your business relies on functional forms, it's crucial to have real-time customer service to address any issues that may arise. It's unacceptable for a company to operate without this support. In today's competitive business environment, companies with good customer service thrive, and I hope businesses like this one realize the importance of providing real-time support before they become obsolete like Blockbuster.

My overall experience with Cognito Forms is great. I really enjoy using the forms and finding more powerful, user friendlier routes for my customers. When I have needed additional support, the quickness and information given back to me is relevant, straight to the point and sometimes offer alternative ways to go about my issue if necessary.

Pros

Easy to use and understand. Quick to learn and very versatile. Compared to other form software it is great value for money while keeping everything secure.

Cons

I use Sumup for my business account however, Cognito forms currently does not offer this type of integration and I am left with using two forms of card payment which is not ideal. I would like to see more flexibility with some of the fields or even add more fields for users as well as different functions for buttons or button placement and better uses of statuses and roles to improve performance.

### "Powerful Without Being a Headache"

Some software you have to fight; Cognito Forms just flows. I’ve spent most of my waking hours in software over the last decade, and very few products are this capable without becoming a headache. The builder is intuitive, the user experience is excellent, and it has scaled reliably across dozens of forms and thousands of users.

Pros

The balance between ease of use and flexibility. A business owner can launch something quickly, while developers still get advanced logic, flexible deployment, and a genuinely open API.

Cons

After building dozens of forms and onboarding more than 5,000 people, the only issue I’ve encountered was a mismatch between UTC and a user-entered date and time fed from the API. It’s manageable with downstream conversion tools, so hardly a dealbreaker.

Overall very satisfied with cognito forms, forms are well secured and easy to create and embed forms that are virtually spam free

Pros

One of the things I appreciate most about Cognito Forms is how intuitive and user-friendly it is. The drag-and-drop form builder makes creating professional forms incredibly simple, even for users with little or no technical experience. I can quickly add, rearrange, and customize fields without needing to write any code, which saves a significant amount of time. The interface is clean, responsive, and easy to navigate, making the entire form-building process enjoyable. Whether I'm creating registration forms, surveys, or data collection forms, Cognito Forms provides the flexibility I need while keeping everything straightforward. It has become one of my preferred form-building platforms because it allows me to build polished, functional forms quickly and efficiently.

Cons

The only downside I've experienced with Cognito Forms has been the price increases over time. While I understand that software companies need to adjust pricing as they continue to improve their products and add new features, it was still a bit disappointing to see the cost go up. That said, the quality of the platform, its intuitive drag-and-drop builder, and the time it saves me make it well worth the investment. Despite the higher price, I continue to use and happily pay for the service because I haven't found another form builder that offers the same combination of ease of use, flexibility, and reliability. Overall experience has been great! I prepare all my on-line forms with Cognito Forms. You can even provide price / cost options for selection and link your payment platform to receive payment!

Pros

Cognito Forms are easy to use, very user friendly, and can be personalised with your Company logo, etc. I find the options where documents can be signed easy to manage, and remove the necessity of hand filled documents completely. Data handling is very efficient. I have used Cognito as a customer contact form for our website, as well as entry forms for various Chess related tournaments. The security is excellent, since there is no e-mail that can be intercepted and bank details changed, for example. The forms can be printed and stored securely. I believe this platform is great value for your money!

Cons

The free version has data capturing limitations, and if you reach that in the middle of a campaign, you have the possibility of missing some entries.

Yes, I have enjoyed creating automated workflows and processes that save me and my employees a lot of time.

Pros

With Cognito Forms, it is a lot easier to create automated workflows than complicated apps like MS Power Automate.

Cons

Although it is easier than MS Power Automate, there is still a learning curve with using the app, especially with complex or multiple step workflows. However, there is a lot of reference material in the app. You need to just get in the app and play around and test things in order to learn the ropes.

It's super easy to learn, and works perfectly for us. In the forms we are asking for large files and sensitive data, visualizing and exporting is ok. The Pro plan price suits us well.

Cons

Sending the data to a Microsoft Excel database wasn’t as straightforward as we had hoped, possibly due to our own limitations. However, we managed to overcome these challenges and successfully transfer the data. The visualization of the individual records is satisfactory, although it could be enhanced in terms of the quality of the uploaded images.

We started using Cognito several years ago for some simple form work as the old InfoPath was going away. In the subsequent years, Cognito become integrated into every part of our institution due to it's easy of use for anyone coupled with the ability to do complex workflows.

Pros

The complex workflow abilities are our favorite part of Cognito forms. When we show other form vendors the complexities of our workflows, they admit defeat because they cannot compete with what we are already using.

Cons

The most common request I get is the ability to integrate with our ERP system and SMS. We would love to be able to pull names and users with that type of integration.

Pros

Cognito has taken our form‑building capabilities to a new level. Its logic tools and calculation features allow us to collect, validate, and sanitize data far more effectively. It has become an integral part of our operations, supporting multiple departments, and through its Power Automate connectors, has enabled significant automation across our workflows. Not to mention it is very cost-effective.

Cons

I wouldn’t necessarily call this a con, and I don’t consider myself an expert in Cognito form building, but I do think very novice users may find the learning curve a bit steep. That said, Cognito’s built‑in AI now helps generate the logic needed to achieve most outcomes, even for beginners. While the AI isn’t always perfect, it generally gets you close and significantly reduces the barrier to entry.

My overall experience has been very positive. So much so that I'm an affiliate and wholeheartedly recommend them to my clients. It's a powerful piece of software and almost anything you want to do can be done. The ease of use is a huge bonus for my clients who are not tech savvy.

Pros

I absolutely adore Cognito Forms. I use it myself and recommend it to all my clients. It's very easy to use - there's a drag and drop interface so you can build the form very quickly. You can add email notifications that go to the user as well as anyone else who needs to be notified. You can also redirect to a different page upon submission which is nice. If you want to do some advanced calculations and have conditional elements, that's also possible and quite powerful. This part does have a bit of a learning curve, but the majority of users will probably not need it. However, if you do get stuck, just reach out to their support, and they walk you through exactly what you need to do in order to create the form you want. I've got nothing but good things to say about their support team. Each form has a section where you can view entries and export whatever view you'd like. You can create a PDF template to send to your users if you're building things like purchase orders from the form input. You can accept payment as well which is really handy for one-off purchases. Subscriptions are not supported as far as I have seen, but it is easy to sell items or collect donations.

Cons

There's not a whole lot to not like, really. One thing I'd love for them to do is to have some kind of global fields. I often build forms that need the same fields and while I can copy whole forms and edit those, sometimes you just need to add one or two things and having some global elements would be a real time saver.

Exceptional. It's one of my favorite tools. I use it for internal database (employee and inventory) as well as complicated fee calculators, as well as simple lunch orders.

Pros

It's very user-friendly and intuitive. The team is easy to work it and LOVE that are always making new improvements and adding features.

Cons

Very little. I'd like to add the ability to create calendar appointments and generate barcodes (barcode font).

Cognito has been wonderful for storing information and creating contracts for my clients. It's very organized and user-friendly. I've had two assistants over the years and both of them didn't have any trouble figuring out how to use it.

Pros

It's very easy to use. I love the way it collects data in an organized way. It's super helpful that I receive an email notification every time someone fills out my form. It also always asks for 2-factor authentication, which increases security. I love that I can designate certain forms as favorites, and they will be at the top of the menu on the left side.

Cons

Even though the 2-factor authentication is good for security purposes, I wish I could turn it off because sometimes my assistant logs in for me, and she always has to text me to ask for the code, and I'm not always looking at my phone or email then.

Very good! I would recommend Cognito to anybody looking for a platform that could be an alternative to MS Forms, Google Forms, or even SurveyMonkey.

Pros

It's very easy to use. The dashboard is very user friendly. Workflow is easy. This helps building forms so much easier. It's coding without coding. Very intuitive.

Cons

How the forms are listed on the side bar, I wish there was an option to change views, like icon views, list view, etc.

Overall somewhat pleased with the product the difficulty returning to the same upload sheet for external clients is a major issue.

Pros

Simple to setup forms and make edits to information. Easy to coordinate work flow within the organization. All internal users quickly access and use the information provided.

Cons

Very difficult for clients to return to the same upload document from an external source. External clients need to enter multiple forms if they have additional information.

I do want to flag something on the external client access issue — this is actually something I can help solve! Guest Portals allow external clients to easily return to the same form. I love cognito - it revolutionized the way I'm able to operate my organization and streamlined formerly arduous tasks.

Pros

ease of use - I feel like I learned a lot of different ways to use it in a very short time flexibility - I've been able to use the forms for a lot of different tasks that needed to be automated

Cons

I would like to be able to copy information from one form to another form without having to copy the whole thing. I'd like the security options to apply to all possible categories instead of just a select few.

Overall Cognito is a great tool for our small bsiness. A lot went into creating a smooth and easy to learn experience. This makes it a great tool when hiring assistance since it is easily taught and learned.

Pros

Value for the money. Besides being easy to navigate, the real value is how much you get for price from payment integration to data management.

Cons

It's a little confusing moving from the entries mode to build or publish mode. I find myself still trying to figure out how to move through some of those options.
