Pros

I love the pricing at Cognito Forms combined with the great support and wealth of features. Autoresponders are important to my clients and I have used some of the advanced fatures as well. Its great to know I have a form srvice that will anser my support tickets and provide a variety of important form fields. I have been with Cognito for over 10 years now!

Cons

I would like to be able to add smtp to all my forms, but my account level only allows 1, I do understand that is an advanced feature.

Cognito's customer service is truly peerless. I cannot remember the last time I worked with such positive, dedicated solutions staff. Not only are they always available to answer any question, from billing to "how do I do this with the tools available", but they seem genuinely happy to help solve the puzzle that is your latest requirement, providing not only an example in your instance, but an explanation of how it was done. Or, if they cannot for whatever reason, they are happy to log an issue for a future feature for their team to develop.

Pros

Cognito unifies and simplifies our processes, providing tools that are accessible to an average user, but powerful enough to satisfy any of our needs. As a University, we have hundreds of forms, capturing everything from food allergies to personal grievances, to exam deferrals and Cognito has had a solution for all of them.

Cons

Some common workflows still require complex several-step processes that should be simplified, such as approvals or guest roles. While there are workarounds, these are not as easy for average users to set up. Consolidating these functionalities into discrete, simplified pieces would make a huge improvement. Additionally, Cognito does not support some of the larger enterprise requirements, such as role based access control syncing with our identity management software; this means we have to manually maintain hundreds of users and try to keep this synced - a pain point that regrettably grows the more we use the platform.

It was horrible. I had an issue with their login, so I could fix an issue, but no one could help me. I was losing money by the minute.

🔴 I strongly advise against using this company. If your business relies on functional forms, it's crucial to have real-time customer service to address any issues that may arise. It's unacceptable for a company to operate without this support. In today's competitive business environment, companies with good customer service thrive, and I hope businesses like this one realize the importance of providing real-time support before they become obsolete like Blockbuster.

My overall experience has been very positive. So much so that I'm an affiliate and wholeheartedly recommend them to my clients. It's a powerful piece of software and almost anything you want to do can be done. The ease of use is a huge bonus for my clients who are not tech savvy.

Pros

I absolutely adore Cognito Forms. I use it myself and recommend it to all my clients. It's very easy to use - there's a drag and drop interface so you can build the form very quickly. You can add email notifications that go to the user as well as anyone else who needs to be notified. You can also redirect to a different page upon submission which is nice. If you want to do some advanced calculations and have conditional elements, that's also possible and quite powerful. This part does have a bit of a learning curve, but the majority of users will probably not need it. However, if you do get stuck, just reach out to their support, and they walk you through exactly what you need to do in order to create the form you want. I've got nothing but good things to say about their support team. Each form has a section where you can view entries and export whatever view you'd like. You can create a PDF template to send to your users if you're building things like purchase orders from the form input. You can accept payment as well which is really handy for one-off purchases. Subscriptions are not supported as far as I have seen, but it is easy to sell items or collect donations.

Cons

There's not a whole lot to not like, really. One thing I'd love for them to do is to have some kind of global fields. I often build forms that need the same fields and while I can copy whole forms and edit those, sometimes you just need to add one or two things and having some global elements would be a real time saver.

I cannot overstate how important Cognito has become to our daily operations. It’s now a key tool for building forms that consistently achieve their intended purpose and support the way our teams work.

Cognito has taken our form‑building capabilities to a new level. Its logic tools and calculation features allow us to collect, validate, and sanitize data far more effectively. It has become an integral part of our operations, supporting multiple departments, and through its Power Automate connectors, has enabled significant automation across our workflows. Not to mention it is very cost-effective.

Cons

I wouldn’t necessarily call this a con, and I don’t consider myself an expert in Cognito form building, but I do think very novice users may find the learning curve a bit steep. That said, Cognito’s built‑in AI now helps generate the logic needed to achieve most outcomes, even for beginners. While the AI isn’t always perfect, it generally gets you close and significantly reduces the barrier to entry.

Fantastic. It is the only form builder that we have found that can handle the tasks that we need for our data collection needs, such as gathering data in table format and then being able to manipulate that data independently, add it to an excel template, transfer it to other forms, etc.

Pros

The wide array of data collection options and workflow tasks that can be automated via this platform, especially in combination with Microsoft Power Automate.

Cons

The visual editing options are more limited than with other form builders out there. You can do some of that with Cognito, but it's still limited.

Pros

They continue to add new features! This is a robust platform that offers solutions to all kinds of things businesses need.

Cons

Sometimes getting answers to issues is difficult. I wish there was a chat support that would be more timely for quick questions or things that require quick solutions. I also wish you could build a dashboard of sorts on forms to see data information easily. Having access to basic statistics would be so helpful.

I've been a customer for, probably about a decade now. I use it for work and personal stuff and it's been rock solid the entire time.

Pros

It allows me to collect and organize information more easily than anything else I've tried. I'm able to create custom unit configurations with full validation and smart show/hide logic easily, save it to a database that I can easily reference at any time, and I'm emailed Word DOCs that I'm able to capture and organize seamlessly.

Cons

If there is one thing I'm DYING for them to add is an easy entry duplicate feature. Right now, I'm able to do so by filtering my list by the entry number, exporting out the data, then reimporting the data I just exported as a new entry. It takes way too many steps for what I would only assume wouldn't be too difficult of an option to add once an entry row is selected, from the Actions button (where right now I start the download dance from).

The most secure option for forms is to have everyone, including employees, be users. You can work around this limitation, but it would be elegant to have an inexpensive user option with low level permissions for employees.

Been using Cognito for years within a number of organizations. The ability to collect information and it's integration with Power Automate has given me the ability to increase the effectiveness of every organization.

Pros

The learning curve and ease of use is great. Customizability is superior to any other forms builder. I love their continued launch of new features. Having used Cognito Forms since 2014, it has been amazing to watch the growth.

Cons

I wish there was a way to add files that others can download from the form as opposed to a content section.

My overall experience with Cognito Forms has been very positive. I use it to survey a team of 51, to export data that I can organize easily in a spreadsheet and to collect e-signatures so clients can sign up for an account to a website.

Pros

I am a big fan of Cognito Forms and have had a subscription while working for two different companies. I appreciate the ease of use, the ability to collect e-signatures from clients, and how easy it is to add my company's logo to brand the forms. I receive email notifications but can also have some of the results of different forms sent to my colleagues as well.

Cons

Sometimes it is hard to login. At times, I am asked to login by receiving an email (which can be difficult to receive the emails on my work email) and doesn't even give me the option to login using my username and password. I have to go searching around trying to find a way to login using the username and password.

Sometimes setting up the fields of only do this when that happens is not very easy. Trying to figure out the settings is channeling and it would be nice to offer a preview or test run that does not submit the form as an entry.

Cognito Forms has been life changing for our staff at our small utility. The workflow efficiency it has created for our customer service team is amazing! Our staff is continuously asking me, "can we do this" with the forms, and the answer is usually, "yes!"

Pros

There are so many things! The platform is simple to use for someone new at building forms. Also, there are training videos and webinars available for additional training on some of the more complex features.

Cons

I don't really have any complaints, but if I had one, I would say that I would sometimes like to be able to speak with technical support rather than email. However, Cognito staff is typically pretty quick to respond, usually the same day as my request so it works out fine. Also, when they email, they can give screen shot examples of how to fix the problem so that is actually a benefit to emailing with them!

Great and powerful form, integrates with zapier and i can track visitors with google analytics. Smooth experience

Pros

One of the free, no fluff online form builder I have used in a long while.

Cons

Competitors were reporting my forms and it went offline, I had to explain to them to check that the form was not Spam, would have been nice if they checked first.

Pros

I love how easy it is to set up and customize forms to meet our specific needs. The clean user interface and the ability to integrate with other tools have made our lead collection process faster and more efficient.

Cons

There’s very little to dislike, but it would be helpful to have a few more advanced design customization options for forms to match the exact branding style of our landing page.

Pros

Cognito makes forms easy to set up, but offers more customization than you would expect.

Cons

Sometimes the user interface doesn't allow certain actions (such as a multi-copy) and can take more clicks than it should to get somewhere.
