Although the platform was in place, standard users did not fully utilize the capabilities of Prophix Prime at that time. Over the years, however, we gradually transitioned all major financial processes—including financial reporting, cash flow reporting, budgeting, forecasting, and planning—into Prophix. We also redesigned our reports and templates to meet evolving business needs. These financial reports were primarily used by the Finance team. For Departmental and Cost Centre reporting, we had developed a semi‑automated process: reports were generated from Prophix, processed through a VBA macro to produce complete reporting packages (Actual vs. Budget vs. Variance), then batch‑converted into 120–130 PDF files with appropriate naming conventions. These packages were subsequently uploaded to SharePoint for viewing by departmental managers and directors. While effective, this was resource‑intensive and required several manual steps. In mid‑2025, we successfully migrated to Prophix One Cloud, marking a significant improvement in functionality, efficiency, and user adoption. Through the cloud platform, we implemented fully automated Departmental Cost Reports, Salary Variance Analysis with Headcount, Sick Time reporting, Including Dashboard, and end‑to‑end Budget Workflow Processes. With this upgrade, we were able to fully leverage our 100‑user license without the need to locally install or maintain Prophix Prime. Today, all departmental managers, directors, and VPs access their Departmental Cost Reports directly through the cloud‑based browser interface. Budget owners use workflow‑enabled templates to review, update, and submit their budget changes as part of a structured Manager Task workflow. This transformation has greatly improved efficiency, accuracy, and user engagement. We have achieved a tremendous amount—much of which would not have been possible without the enhanced capabilities of Prophix One Cloud. Pros What I like best about Prophix is FP&A processes into an automated, and integrated platform. For finance teams—especially in mid‑sized to large organizations—it significantly improves both the speed and quality of planning, budgeting, and reporting. Pull data from multiple sources and compile and present in an almost infinite number of different ways. review variances, budget vs actual, generate your annual financial statements- name your reporting requirement, this program can do it. Great customer support and a community of users with a dedicated forum for questions. They are constantly seeking feedback from their users and adding new improvements to their product. Cons Like any other new software, this represents a huge investment in time, training, and supplier relationship. There is a great deal of software specific jargon, although they are always working to simplify this and improve training. Some steps can take a long time for the report to load. Some reports may be very difficult to build. That said they can help you redesign the report to run faster. Almost anything is possible with the right approach though. They are based in Canada with a limited presence and customer base in Europe, and sometimes can feel very North-America specific. I think this is slowly improving though. We have several systems across multiple entities and we utilize Prophix to consolidate and report out of at the global level. Pros Our experience with Prophix has been very favorable. We were looking for a tool to centralize our global financial reporting and planning functions and Prophix allowed us to accomplish this at a very reasonable cost vs other applications that were under consideration. The interface is intuitive and easy for end users to complete the required tasks. The web client satisfied our need for a solution that could be implemented globally.We are also able to administer and maintain the tool within the finance function which increased our flexibility and reduced our reliance on IT. The reporting capabilities met our needs and allows us to easily consolidate and present our data in a multi currency environment. We use Prophix for reporting at all levels, from individual business unit data to Board and Executive level reports. We have several connections to other systems to import data and plan on adding more. The drill through capability to this data is also a nice feature. After using Prophix we have been able to reduce errors, improve reporting, and be more analytical. The latest commentary functionality allows us to exclusively use Prophix for our forecasting and analytics. Pros As a finance employee, I enjoy the freedom of being able to control and maintain Prophix with minimal IT support. We have an on-premise server and I am able to RDP into the system if needed and reset services, modify tables, and update to the latest Prophix version without having to include our IT department. This allows me to quickly diagnosis issues and work more efficiently. Cons Report building can be problematic at times, especially when creating large reports with multiple data views. Cons The process of moving from the on prem to cloud version was rough but Prophix was there to answer all our questions and resolve all issues so we are up and running now. If you're familiar with excel, most of the functions carry over flawlessly. Cons Connecting more than 20 ERP systems to import data was a challenge. It affected the overall performance and ultimately usage as my company has not fully been able to convert to the cloud version. The administrator is still managing the Smart Client. Reason for choosing Prophix One Prophix Cloud was choosen to upgrade our current Smart Client. The implementation team wasn't clear about what areas we would lose once migrating to cloud, specifically when creating charts.
