October 8, 2019 5.0 I'm using YArooms to juggle with 3 meeting rooms in our co-working space, especially helpful when you have limited hardware access and now we know to which room the projector/tv/etc is allocated. Pros It helps us manage 3 meeting rooms in our co-working space and helps us share hardware resources. Until now it always did its job and I do not have anything to say against about functionality. But I do think, it could be improved in terms of convenience and desgin. Pros I like the map functionality in general and the overview it gives with the colour indicators. The processes are easy to understand Cons There were few ocassions were I wanted to look at the availability from a day before on the map, to easily check which office/space was occupied or which space I had booked. Unfortunately this is not possible. Also sometimes I get the feeling the UI overlay is a bit "clumsy" - choosing the correct floor and date could become more convenient/easier. These are few advantages I enjoy using YAROOMS: Improved Employee Satisfaction: Providing me the freedom to choose my workspace. This boosts morale and allows me to have an increased productivity. Enhanced Collaboration: The desk booking systems facilitate collaboration by allowing my me to book desks near teammates and meeting rooms for group work. Pros Room and Desk bookings is so easy, gives flexibility on when you're available and require a desk. On the day of the booking, it gives you opportunity to extend your time or even cancel completely Cons Login is easy with appropriate setup and security. Business Analyst Mining & Metals Used the software for: 2+ years ### "Works well" October 20, 2025 4.0 Has the required functionality to book rooms/seats and reasonably easy to use; I don't know if it integrates with outlook (it isn't at our org) but that would be useful Pros Reasonably intuitive, allows for efficiencies such as booking multiple days in a row with one booking. Its good to be able to see who is booked where, when. Cons I ran into trouble cancelling/deleting a booking. I couldn't figure out how, and I was confused because on the page I was trying to delete the booking, the button the 'cancel' the booking looked like a button the 'cancel' out of the page - I normally can figure out most software but this actually stymied me as it had no tool tips or further guidance on the page... so i just kept trying to figure out how to do it 'edit' mode... funny now, but supremely frustrating at the time. I would rename cancel to 'Delete' (since in hindsight, that is why you have the trashcash icon there). It brings structure and order to an aspect of office life that desperately needs it. Pros It's super user-friendly. The booking system is straightforward to use. The "blueprints" of the bookable room layouts are accurate. The confirmation emails and Microsoft Teams calendar sync are great. Cons When my company initially adopted it, the system required users to double-confirm their bookings via email, which was annoying. You have a good overview about your bookings. Pros The reservation and booking of a desk is intuative, very simple and fast. Respectfully my fears have proved unfounded I have truthfully found YAROOMS easy to use to book and also cancel appointments and also the fact that there is confirmation of the booking and accessible ways to check what you’ve done etc is excellent Truthfully I’ve no fault to find no criticism to make. I felt like the team was really invested into helping me resolve the issue. All though they could not replicate the issue, the communication and speed of response was outstanding. I did resolve the issue by changing my process. Cons When a person cancels a desk, we sometimes find it takes a few minutes and a few re launches before we can see the free desk or that we can book another desk. So far, I am happy with what this tools offerers. Pros The friendly user interface with the map (in my case, a really accurate and beautiful map of my floor) allows you to easily pick a place according to your preferences. The mobile app comes in handy for checking your spot quickly and for making a check-in when you arrive in the office. Cons Eventually, app gets bugged, displaying wrong places for people that have booked. This occurs not so many times tough. I also like that it helps us calculate the carbon emissions used travelling to and from the office. Cons The reoccurring booking feature isn't the most straightforward to use, me and other colleagues have accidentally booked the whole week, instead of booking the same day, two weeks in a row. Pros Very easy to use simple way to control room bookings in a large facility. Cons Do not want YArooms letting me know that rooms have been cleared and made vacant, had to cancel this command . It meant clients had to contact reception to check availability and book the room. now this can be done directly by our clients and makes managing multiple rooms a doddle. Pros Just what we needed to manage the booking of several meeting rooms in one place. Cons Difficulty loading logo. Not sure if that was my fault or a problem with the software. I just tell it how many of us there are and what gadgets I need and it will give me a room that I know for sure is not occupied by someone else. It was pretty frustrating to run around searching for a room with enough chairs and a proper internet connection, so I’m glad that’s no longer the case. Cons Before attendee collision was implemented, I found myself invited to conflicting meetings all the time. But that's in the past now. As far as the notifications are concerned, these are affected by account admins which can set them on/off for all the users from the Global settings menu. To over-ride their selection you can choose to set them as an individual user from the My Account > Notifications tab.
