Overall, I could not be happier with our experience with Filevine. It has exceeded our expectations and truly helped our firm in the last nine months. We were worried about transitioning with our staff, but the process went very smoothly given that we were working remotely at the time. The customer support that we received during our onboarding and integration could not have been better.

Pros

My most loved feature of Filevine is the flexibility to customize it to fit your firm’s needs. It was extremely important to us to pick a case management software that allowed us to customize features based on all Case types that we handle. Filevine was extremely easy to learn and use to fit our firms needs. Additionally, the report writing and Filevine can be used by almost anyone. It is very easy to pull the information that you need in a very short amount of time.

Cons

There are a couple of newer features in Filevine that could improve. For example, the calendar section in Filevine is something that we currently do not use because of confusion on its integration with outlook. Additionally, I wish that Enterprise automation was a little easier to use.

Reason for choosing Filevine

Filevine seemed to be the most advanced case management system at the time that we were shopping. The vendors were able to answer all of my questions about products, integration, adaptability, and daily use. The customer support was top-notch, and our demo was outstanding. As someone who was very hands-on in managing our last case management software, it was critical for me to get the straightforward answers I needed as we were shopping for a new case management software. Filevine was able to offer me the flexibility and customization that I needed as well as being easy to use for our staff.

Needles was unable to be customized to fit or growing firms needs. We were not able to create the custom fields that we needed to report on our caseloads. Additionally it was not cloud-based which was some thing that we truly needed given the era that we are in.

It is easy to navigate and having the ability to customize the platform to our firms needs has been critical.

Cons

The search bar. When searching for projects in the "search bar", it leaves very little room for error. If you misspell a clients name, or leave out the middle initial it will not suggest projects with similar names. I've always found this odd.

I did not have a good experience as we are not a lawfirm and they do not have any templates that could have been shared or setup for investigations. They place you into a contract for a year so if you are not able to set it up or spend a couple thousand bucks to have them do it for you be careful with this option.

Pros

Possibilities of what it could do if it was geared or had templates for investigators. This is for lawyers and will take some time and effort to get it working for investigators

Cons

NOT FOR INVESTIGATORS. They do not have any templates and do not help with setting up the system to work for you. They upsell to their sister company to set it up.

I think Filevine is an amazing product and we are all extremely happy. While there are definitely some features that we would like to see added and integrations that would be helpful, we wouldn't think of switching to anything else.

Pros

Filevine is so user friendly! It is easy to teach to new employees and really does a great job at keeping the staff on track! I love the Taskflow and our ability to customize it to fit our systems.

Cons

I am not a big fan of the Organization of documents. Maybe our firm just needs some training on how to make this work for us, but so far it is not helpful.

I am very happy with Filevine. The support staff is one of the best of any company I have ever used. Not only are they tremendously patient, but they are very knowledgeable and happy to help you with any problem that you or your staff are having. They listen to their clients and try to improve the features that the clients are requesting most. If you are considering the change to Filevine, I recommend that you do it - you won't regret it.

Pros

Filevine is very easy and is an ideal program for personal injury, especially mass torts. It allows for full customization and you can make different projects for each litigation. It allows you to text directly with the clients, both for their convenience and yours. The information can be placed in multiple sections and it makes it very easy to put pertinent information for your attorneys to use for the cases. You can keep track of all types of information with reports, from which intake sources are working best to what type of cases are currently in your inventory. In addition, I have never had a software that is constantly innovating & improving the way that this does.

Cons

I did not have to integrate from another software, but there are hiccups and delays when that becomes necessary. However, that is true any time you switch from one to the other. The new Docs Plus is very useful, although you will still need to keep at least one account for Adobe Acrobat, as all the features are not there. I wish there was a way to delete comments or tasks (for the administrator), as sometimes these are made but there is no way to clean it up.

Overall our experience at Filevine has been good - but it hasn't been great. We've generally been happy but we've had some concerns with support, customer service, and data storage.

Pros

Filevine is really customizable which is great because we can tailor it to the needs of our firm.

Cons

It is rare that you are able to speak with someone directly at Filevine if you want to implement a new service or need assistance with a feature. They are always referring you to third party vendors. This is an issue because you are paying for customer support as well as the fact that you don't have access to the people actually making the software.

Horrible. The onboarding is through 3rd party and has significant costs and delays. The service is very poor. The software has many glitches and the wait to get assistance is limited. Additionally, not enough documentation available. The actual product needs a full time tech support or onging subscription to 3rd party. All the features and settings that are done by the user with other software has to be done with a programmer. Software is limited and not worth the costs or the hassle.

The concept. The idea of a software with a good activity feed and fluid use.

Cons

The actual product, the company behind the product, the sales approach, the support.

Absolutely ghastly experience. Whatever merits the software has are totally overwhelmed by the company’s poor/absentee management and atrocious customer service. Honestly felt like an abusive relationship. Avoid at all costs unless you do only PI, have a massive budget, and intend to make these someone else’s problems

Pros

The suite is relatively feature rich. But the interface is complex so they make you pay an obscene amount for their people to train you on it. Security is good.

Cons

Cost prohibitive. No ability to demo before using. Bad fit for small firms (but they won’t tell you that). Worst customer support I’ve ever encountered. God help you if you have an issue with your subscription. They will “lawyer” you rather than work with you. I had to threaten them with arbitration just to get out of their AI product, which was barely usable and not ready for prime time. Even then, they gave me a credit I can’t use instead of a refund. Buyer beware

We had a pretty robust program in place before it had some deficiencies and needed to be updated. FileVine allows us to text our clients from the program which has been a great feature to have. We are also taking advantage of the faxes through FileVine and those go straight in/out of the program or even the matter. That allows for much quicker sending, saving and "filing" of the fax.

Pros

There are so many great features in FileVine. The program is customizable to suit your needs. They are constantly updating the program and adding new features or adding enhancements to make the existing features work better. Customer support is easy to reach and quick to respond. We really like the fact that we can text our clients from inside the program and it's saved to their matter. This allows us more flexibility to communicate with our clients in a manner that they choose. It has also been good for sending out quick reminders about appointments. FileVine listens to their customers, evaluates the feedback and determines if they can make updates to make the user's life is easier. We've suggested several things that we've seen come to life inside the program, making it better each time!

Cons

It's not really a negative, but just be prepared that implementation does take a little bit of time so you should be patient. Part of that is based on the user's timeline and when they have the shell set up as they want it. Then any existing data has to be imported into a test area, reviewed and then imported in the live program. So the process will move quicker or slower depending on how much time you dedicate to it and how much data you are pulling over (and maybe in what format it comes in). Aside from that, there are features that I feel should be in place and I've submitted several and seen them come to life. The one area I wish we could streamline is Deadline Chains. Some of what we use that for is an actual event / appointment and then tracking all the items that need to take place prior to that appointment. While the deadline chain will put the event on the calendar, it puts it on as an all day event. (You can hide it from the calendar if you wish.) So I have to go back and enter a calendar event with the actual time. Then any time that event is postponed I have to change the data in two places. It would be nice if I could stop the duplicate entry.

Reason for choosing Filevine

Cost, the fact that we could easily customize it to the data we want to see, access to it from anywhere if need be (not hosted on the local pc), and it had some features we thought we could use to benefit the firm and the clients.

Filevine is pretty helpful in helping users understand the system. They hold you and your staffs hand in the beginning. The migration of data and start date took longer than anticipated. I hear this is common place. Overall, I really do like the program. The reporting feature is awesome. There is a bit of a learning curve. You have to learn how to "talk filevine" to get the data you want. There is so much about the customization that is super amazing. I think the best thing is that they take suggestions for improvement and are constantly upgrading the product. They do listen to their users.

Pros

If Instagram and Facebook had a baby, it would be Filevine. Filevine is easy to use and easy to customize. I love that they have a help desk chat feature. At least once a day I ask a question. They also feature a ton of articles and videos on how to use the software. It really has helped us to organize or data. The best feature has been the reporting function. There are a lot of good things about Filevine and I am glad we selected it.

Cons

Filevine is a program that is so customizable, you need a person on your staff to handle it. Select one person to dedicate themselves to learning and figuring out what you organization needs. When you get Filevine you really get the bare bones of the program. It is up to you what you do with it. You sort of have to hit the ground running. There are no templates like when you are using a web builder such as wix. Filevine will help you only so much with set up. You can purchase a template from a business that will sell their set up. This is something we were not told when we invested. We thought we would just start using all these cool features the sales person sold us on. There are a lot of cool things about this but, you have to figure it out and set up 95% of it. One last thing that is kind of a bummer. Make sure you get the costs accurately. The sales people will sell you one thing and the reality may tack on costs you were not expecting.

I have a love-hate relationship with FileVine. If I did it again, I would not have made the leap to FileVine for various reasons. However, it's a great piece of software for the right firm --such as a mid to large size PI firm with a dedicated IT team. Essentially you are given a blank canvas with lots of options. It's not so good if you don't have the resources or IT team to build FileVine out for you, or if you want automation built in, or all in one system. Ultimately, the reason I am writing this review is the god-awful mess that is FileVine's customer service department. I have to admit am rather upset that FileVine is forcing me to pay for users that we don't have (FV makes you pay once a year and at some point we had some interns who briefly used the software). Other software you pay only for what you use in an automated monthly fashion. FV's renewal process is straight out of 1994. FileVine seems like the admin department has a lot of growing pains--really messy. But this is just another step in a long history of FileVine's poor customer support (such as taking almost a year to respond to repeated emails about setting up a fax integration.) I thought after treating me so poorly in the past that they would do the right thing in this instance, but FileVine decided they want to make us pay for user accounts that we don't use. It doesn't seem right to me, but it's their company. Ce'st la vie.

Pros

A ton of feature and you can make anything you want out of it. The UI is great and customization is the key to FV's attractiveness. You can built almost anything you want. You have to invest a lot of time into building it out.

Cons

There are no built-in automations such as in Lawmatics. The doc mgmt and calendar are worthless so we use Google Drive and G-Calendar instead. They haven't really done much to improve Filevine in the past two years whereas other software has been developed much more. They charge you extra for every little add on-- you get nickel and dimed to death. It's like when you go to a restaurant and spend $15 for a burrito. Dont charge me 75 cents for sour cream.

### "Try Filevine you won't be disappointed"

I first heard of this at a webinar. Still didn't look into it until 2 years after that. All and all I wish our firm had started using it sooner than we did. Most exciting is the fact that as a office manager I see more and more resumes coming into my office showing applicants have trained on Filevine

case management side. This tool allows us to reconstruct our files from beginning to end sucessfully

I have used Filevine for more than a year now. It's the best case management software I have ever used. It's user-friendly. Managing cases and the dozens of documents, emails, records, etc., is so much easier with Filevine. The software is very efficient and easy to navigate.

Pros

Filevine is perfect for personal injury firms. Each client has their own file. The folders and subfolders make document management easy. It works well with Vinesign, the program's e-signature software.

Cons

I really have no complaints. I wish we could add a DOB field for defendants, not just our clients.

This is an intuitive software that allows for great customization. It's as good as your team makes it with ongoing upgrades released regularly.

Cons

PDF editing could be better with improved features and more intuitive menu. The calendar syncing to Outlook still needs improving.

Reason for choosing Filevine

It's modern feel and customization capabilities with built-in abilities for live document editing, e-fax and document share were on the top of the list of reasons why this one beat out the competitors.

I am happy to use and work on this platform. The best part is the report section. Earlier, we used to do everything in Excel or Google spreadsheet and those were manual entries. But now we have all the data in hand. Thanks to the REPORT generation feature in FV.

FV pdf editor lacks features which is available in adobe pdf.

Ease of use and lots of options to assist in optimizing your case management system. I love the all in one type nature of Filevine and its continued effort to improve and increase offerings to clientele. Most functions are very intuitive and there is a clear vision to help law firms automate all sorts of tasks that take up time.

Some of the additional functions are not as developed as I would like. Some issues do not appear until you actually get to use and play around with the new function. Also, some of the automations and small fixes are slow to get implemented.
