### "Overpriced Platform With Primitive Billing, Reporting, and Automation"

At this point, Filevine feels less like a partner in running a law firm and more like a platform that continuously monetizes its gaps. For firms considering it, be prepared not just for the base cost, but for a long list of add-ons and workarounds needed to make the system truly functional.

Pros

Despite my frustrations, there are a few things Filevine does reasonably well for our firm. The centralized case record, with tasks, notes, texts, and documents in one place, does make it easier for my team to see what’s going on without chasing information across multiple tools. I also appreciate the flexibility to customize project types and fields so the system more closely matches our practice areas, and the ability to text and email directly from the case has been genuinely helpful for keeping client communication organized.

Cons

Filevine promised a modern, scalable case management system for law firms—but over time, it has become an increasingly expensive platform that underdelivers on core functionality while aggressively upselling basic features. The most recent 15% price increase is particularly hard to justify. That kind of jump would make sense if it were tied to meaningful product improvements, but there simply haven’t been any. In our experience, the core system is largely unchanged from when we implemented it around 2019. Automation capabilities, in particular, have not evolved in any meaningful way. If you want anything beyond very basic workflows, you’re pushed toward Workato—an entirely separate, complex, and expensive system that requires significant time or outside consultants to implement. For a platform that markets itself as forward-thinking, this lack of native automation is a major miss. Reporting is another major gap. There have been no meaningful improvements here either. If you want usable dashboards or business insights, you’re expected to purchase Domo and then pay again for implementation. At that point, you’re layering yet another expensive system on top of an already costly platform just to access data that should be readily available. Filevine’s approach increasingly feels like “pay-to-unlock” at every turn. AI features are a good example—they’ve clearly invested in marketing around AI, but the tools included are not particularly useful in practice. Any meaningful AI functionality requires additional products and additional spend. The same pattern applies across the board: document management upgrades cost extra, Vinesign costs extra, RingCentral integration costs extra, and so on. What starts as a premium product quickly becomes a fragmented, expensive ecosystem. Even basic functionality is surprisingly lacking. For example, billing still does not allow you to easily book a credit—something that should be as simple as entering a negative number. This has been an open issue since our original implementation, and the fact that it remains unresolved years later is baffling. Beyond features, the system can feel overly complex and unintuitive. Customization is powerful in theory but often requires significant setup and ongoing maintenance. Performance can lag, and support—while generally responsive—often routes you toward paid solutions or third-party integrations rather than fixing underlying limitations.

### "New to Filevine! Support is great!"

EXCELLENT SO FAR -- Filevine's numerous features will help us stay top of our workflow, and I love the LOIS AI integration as it is SECURE and personalized to our particular case needs.

Pros

Customer Support is phenomenal! Filevine dedicates a Representative to respond to issues and questions, and connect you to the appropriate person(s) to help -- billing, training, implementation, etc. My "personal" representative, \[sensitive content hidden\], helped me to resolve an account billing issue I had in initial start of my contract, and he has gone over and above to insure my easy transition to Filevine. He checks on my progress via email and Zoom, and has provided me with multiple learning tools (one-on-one Zoom/Filevine University/YouTube videos to help in making the learning curve easier. The unlimited file storage is great (no more additional Dropbox fees)! I must say that everyone I have been in contact with at Filevine has made me feel like I am their only customer -- they value my input, and work to customize Filevine to address our practice in a one attorney and one paralegal/"everything person". I'm looking forward to my journey with Filevine, and foresee a 5 star rating from me once we are fully utilizing it to its full potential.

Cons

Filevine has SO many features that it is hard to discover all it can be to make our law practice more efficient and more productive. Our practice is mainly in probate, and it is one of the few areas of law that does not have a pre-made set of templates for intake. \[sensitive content hidden\] was able to help me with this issue, and I feel comfortable with how things are heading!

Clio had been recommended, but was NOT working out. MyCase and PracticePanther were close fit, but price and a call from Filevine sales on a frustrating day where they assisted me with getting e-signing accomplished using Filevine and I was sold on getting the support from a salesperson that I needed even BEFORE committing to contract!

Clio was VERY demanding as to making me fit their agenda! They would treat me as if I had nothing better to do than fit into their schedule for onboarding sessions during work day. If I had client walk in and could not attend, I was almost reprimanded for putting our client first. VERY PUSHY and VERY COMPLICATED! CosmoLex works well, but keeps going up in price with every add on, and does not do the document generation or AI features like Filevine

Pros

The Sales Team. Kudos! Their remarkable skills to sell a product are unbeatable. Keep their commissions coming.

Cons

Our experience with this system has been extremely disappointing. We paid for a product that was unworkable and never completed, and despite repeated attempts, the support provided was neither timely nor effective. The fixes that were offered came far too late, communication was inconsistent, and the third-party vendor assigned to us admitted fault, lacked expertise, and even brought in a fourth party. Calls and responses were often delayed or indefinitely postponed, which added to the frustration. The features were never delivered or late, leaving us without accountability or resolution. This situation borders on fraudulent, and the lack of professionalism and responsibility is deeply concerning. I cannot recommend this platform based on our experience.

Overall, I would never recommend this as a case management system. I should have went with Clio or just left the current systems in place until I retired.

Pros

It does allow you to fax and text from within the system. If you spend a ton of time and effort building your templates it does pretty much walk a person through what needs to be done, requested, etc. in a case.

Cons

I found it to be very difficult to learn and unless you have an in house amazing tech person like we do, I would not even consider it. For example, it calls cases "projects" the calendar is so bad that you must use outlook and sync with it, but anything entered in Outlook will not show-up in FV (Filevine). You have to apply a special code for emails and for Outlook Calendar entries or they will not show-up at all in the FV system. The document assembly is very time consuming and you cannot File Save As. There is so much more I wish I knew before I spent a ton of time and money. While we are moving forward after spending $60,000 for the program, implementation and training I wish that I had never heard of FV. I am still going to use my old Word document case management until I retire and our newer attorneys can use FV.

Timeline Summary •October 2023: Contracts were signed for Filevine software and Vinetegrate’s implementation, including data and document migration from the prior system. Vinetegrate set a Go Live date for February 2024 and required upfront payments and data backups. •November–December 2023: The company was required to deliver data backups to Vinetegrate. Early communication revealed challenges in linking and extracting documents from the legacy system. Vinetegrate issued technical upload instructions, and a contractor managed uploads. •January 2024: Ongoing technical issues with file uploads emerged, especially with folder structures. After uploads, Vinetegrate requested CSV exports instead of the previously provided FileMaker files, requiring duplicate work and causing frustration and extra cost. •February 2024: The scheduled Go Live milestone was reached, but documentation does not confirm if it occurred on time. •2024–2025: Communication gaps continued regarding data migration, technical support, and additional changes (such as required API updates) further complicated the process. Pros

The sales process. Over-promise, under deliver on the actual product. If you are an enterprise level law firm, maybe this product is right for you, since you need to have the technical knowledge, in-house to be able to utilize the features to the fullest.

Cons

They charged $60k upfront for services and add-ons that were not only never used, but never setup or even deployed to a production environment.

I do NOT recommend using FileVine at all. The have terrible customer service, are slow to fix your problems. You would need your own tech team on staff in order to get it all set up unless you want to spend countless hours of your own time getting it set up.

Pros

I'm sure it has all the features they say they have, but I have not been able to utilize any of them. For me, it has been an overly expensive document server.

Cons

FileVine is extremely overpriced for a system that is of average quality. They're good at selling the product, but as soon as they got my money, I had to nag them repeatedly to put the site together and spend countless hours just to get it going. This was for a new firm too, so it shouldn't have been that complicated since there were no cases to transfer over, but in order to customize the system, there was a lot of back and forth with tech that has been ultimately unhelpful. They have a strict "no refunds" policy if you choose to end early, so I pretty much wasted $2,000 on a nothing system that didn't even provide the services I actually wanted without the extra cost. I

Overall, we've grown to really enjoy using Filevine. It's been so helpful to be able to customize the software.

Pros

Our company has used Filevine for four years now and during that time we've seen a huge growth within the software. It began as a system we begrudgingly used, to one that we have heavily customized to fit our needs and have recommended to others. The thing I like most about Filevine is the ability to customize their software to fit your companies needs. The storing of client files is not going to be the same firm to firm so having the ability to customize the software to fit our needs is a huge asset.

Cons

We have found that Filevine can be slow or kick users out more often than other websites. In addition, the search feature, while wide, is also inefficient and doesn't show you the most logical result at the top, so you sometimes have to go digging for something you need.

It was ok at he beginning but when I tried using it the problems with it becMe so bad I had to switch to Docketwise. Docketwise is 3000x better.

Pros

Nothing. The product is horrible and so difficult to use unless you are very computer literate. The company should be ashamed of itself for the quality and hte customer support.

1) Difficult to use 2) AI is horrible 3) You have to apy to learn it and getting help after you pay $750 for an hour's worth of help you don't get support 3) I aske dor a month to month license and stupidly didnt ccheck to make sure it was correct and now I am builed monthly for this terrible product that was so difficult to use and ws not helpful for immigration cases. 4) I tried to get out of the contract but htey didnt care and I am stuck with a bill every month for a horrific product. Buyer beware!!!

Absolutely ghastly experience. Whatever merits the software has are totally overwhelmed by the company’s poor/absentee management and atrocious customer service. Honestly felt like an abusive relationship. Avoid at all costs unless you do only PI, have a massive budget, and intend to make these someone else’s problems

The suite is relatively feature rich. But the interface is complex so they make you pay an obscene amount for their people to train you on it. Security is good.

Cons

Cost prohibitive. No ability to demo before using. Bad fit for small firms (but they won’t tell you that). Worst customer support I’ve ever encountered. God help you if you have an issue with your subscription. They will “lawyer” you rather than work with you. I had to threaten them with arbitration just to get out of their AI product, which was barely usable and not ready for prime time. Even then, they gave me a credit I can’t use instead of a refund. Buyer beware

I am very happy with Filevine. The support staff is one of the best of any company I have ever used. Not only are they tremendously patient, but they are very knowledgeable and happy to help you with any problem that you or your staff are having. They listen to their clients and try to improve the features that the clients are requesting most. If you are considering the change to Filevine, I recommend that you do it - you won't regret it.

Pros

Filevine is very easy and is an ideal program for personal injury, especially mass torts. It allows for full customization and you can make different projects for each litigation. It allows you to text directly with the clients, both for their convenience and yours. The information can be placed in multiple sections and it makes it very easy to put pertinent information for your attorneys to use for the cases. You can keep track of all types of information with reports, from which intake sources are working best to what type of cases are currently in your inventory. In addition, I have never had a software that is constantly innovating & improving the way that this does.

Cons

I did not have to integrate from another software, but there are hiccups and delays when that becomes necessary. However, that is true any time you switch from one to the other. The new Docs Plus is very useful, although you will still need to keep at least one account for Adobe Acrobat, as all the features are not there. I wish there was a way to delete comments or tasks (for the administrator), as sometimes these are made but there is no way to clean it up.

HOWEVER THE PROGRAM ITSELF HAS BEEN GREAT NOW THAT IT IS IMPLEMENTED (IT TOOK OVER 9 MONTHS FOR US TO GET UP AND RUNNING AND COST A LOT IN ADDITIONAL SOFTWARE AND OVERTIME FOR OUR STAFF).

CASE MASTER IS MUCH BETTER AT THE ACCOUNTING, SYNCING WITH QB, OVERALL ORGANIZATION, CUSTOMER SERVICE, IMPLEMENTATION, PLEADING MERGES (CASESTYLE IS VERY DIFFICULT TO FORMAT IN FILEVINE), AND THE ACTIVITY NOTES ARE MORE AUTOMATED (NOTES GET AUTO ENTERED WHEN DATA CHANGES OR DOCS ARE MERGED IN CASE MASTER PRO). Overall, our firm is better off with FileVine, but the transition was slow, very disruptive, and not nearly as easy as promised. That was the biggest problem for us, the amount of work required by a team of people on our end to transfer data from our old system to FileVine, and then dealing with all the things that did not transfer or transfer correctly, and then the amount of time it took to get assistance from FileVine staff to fix the problems

Pros

Task management and being able to have a running to do list with tasks linking directly to a client file that I can then access with a click of a button.

Cons

Not being able to see activity in the activity feed and not being able to have it in chronological order. The system does not work as I expected when it comes to being able to get communications out to a mass of clients at once. Seems there should be a way to generate letters on a mass basis, as well as send emails on a mass basis.

Reason for choosing Filevine

My understanding was that there was no other system that had functionality that compared. I will also say, attorneys who never used our client management system previously are now using filevine because it is so much easier to use and understand.

### "Constantly upgrading and improving"

Pros

We came to Filevine from a different case management software system. We loved the look of our prior system, but it was not good for much other than document generation and assigning contacts to the file. We looked at a bunch of other options and even tried one before we went with Filevine. We have been using it since and I wouldn't recommend anything else. There is so much to like about Filevine: - You can text your clients and they can text you right into their case in Filevine. - You can filter the main page so you can see all the texts or all the tasks, etc. - You can share links or .pdfs so easily - We haven't had 1 hiccup in cloud storage or security - The best part is the customization because you can have your Filevine look and act however you want it. - Every Filevine case has a distinct email so that we can either email directly or forward everything we need right to the file. I could go on and on. The point is, choose Filevine and never look back. You won't regret it!

Cons

The only con so far is directly connected to a pro. Filevine is customizable so the pro is that you can build it to match up with your office. The con that is connected with that is that it takes time to set it up.

### "Run - Do Not Walk - From Filevine"

Using Filevine was a waste of a year that I wish I could have back. A complete disaster. Make sure you have a backup of all documents you give them or upload into Filevine. My experience with Filevine is that they check ethics at the door and will say and do anything for a sale. They only hold the keys to all of your practice's information and documents, so best of luck with that.

Pros

Literally nothing. At the end of the day, Filevine was the most expensive version of Dropbox or Box - not a practice management solution - possible, so, if that is of any interest, read on.

Cons

Filevine indicated to me that they were very experienced at migrating data over from the practice management software I had been using. A YEAR AFTER retaining Filevine, it was still NOT done and was a complete disaster. If you ever want to see your documents again, run - do not walk - from Filevine. A YEAR after retaining Filevine, they still had not done any of the customization that they promised, which was a large part of the inducement to retain them. Unless you are a programmer or merely want the most expensive version of Dropbox or Box possible, run - do not walk - from Filevine. I am NOT kidding or exaggerating about this last one: I signed up for a year's worth of service and cancelled after the year was up, for the above reasons. They then tried to tell me that I was actually in a 3 year contract! The agent who signed me up apparently CHANGED my agreement when he sent it to me via Docusign, so that he could make a sale. Run - do not walk - from Filevine. Even despite all that is underway with the coronavirus pandemic, Filevine has the time to constantly badger me to pay for 3 years of service, despite knowing of their intentional misrepresentation and fraud, and despite their knowing that I do not use Filevine at all, given the above. They even sent someone (a collector) not to my office, but to my home! Who does that? I have used Clio and Smokeball and have never had these kind of issues. Run - do not walk - from Filevine.

### "Filevine Feedback"

It is a big step up from where we were but Filevine has a lot of work to do with making the system work for a large firm. It seems like many major things are geared towards smaller firms mainly reporting and permissions levels and features offered to firms that handle litigation. EX Deadline chains and calendaring need ALOT of work. Notifications are overwhelming because you can't limit them by users. System Admins should have access to everyone's account. Large firms should be given a Project Lead consistent with the needs of the customer. An accurate project outline/Agenda was never provided and were never given the proper training or guidance as to the most effective way to customize the sections to our needs which caused significant delays and forced us many times to redo an entire section. There were too many teams, too much switching of people helping us and we were unable to rely on one person. \[SENSITIVE CONTENT\] is awesome. Everything changed for the better when she was assigned to our account. She deserves to be recognized as she came into a huge mess left by a former teammate and managed to get it done! Activity Section, communication with the firm, texting from each project, customization.

Cons

Templates are limited, Admin status is not ala carte, everyone has access to all reports, I have to use multiple reports to get information I need when I should be able to get everything on one report, doesn't support older document imports, doesn't support latest greatest iphone file types for photos, videos types from municipalities for PI are not supported, there isn't a button to create a simple envelope on the contact card, automation is clunky and slow, the backend of Filevine is very very slow to create reports, add or delete things, calendaring system is lacking, deadline chains have to be triggered one by one, if one simple field gets changed all the templates break, can run reports by role, no ability to notify more than one person on a file at the same time, can't pin important things to activity feed unless you are an admin, inability to insert different signatures into different documents, inability to have an individual fax number per user, inability to have a mailroom per user in FV, PDF editor not compatible with faxing or printing everything is blurry, using org groups for calendaring, drag and drop in customs editor instead of entering line numbers, role criteria in user list report, mass updating needs more flexibility especially at migration time into FV from an existing system, ability to email from the system without using a sharelink many companies do not accept them for security reasons, better compressing tools for large combined docs - ex Adobe pro

Reason for choosing Filevine

Customization, speed, and we were really lead to believe it would perform for a larger company. We quickly found out there are many limitations for bigger companies. See above.

### "Caution! Watch for undisclosed glitches, especially with DocsPlus."

One of primary reasons we chose this program over others was because the add-ons Docs Plus and Vine Sign would replace Adobe. It was a little more expensive to do this, but the convenience of doing everything within one program and having it automatically save to the client's file seemed to be worth the added expense. However, it has not worked that way and now we are paying for both. Most notably, DocsPlus does not correctly convert Word documents to pdf, the editing feature is lousy, and it bates stamped our documents correctly on some pages, but upside down an in the wrong place on others. I have asked for a refund for this portion of the program because it is useless, but FileVine claims that it is somehow my fault that these features do not work. They have yet to show me what I am supposedly doing wrong. In the last meeting with the account manager, we had to tell him how to open a locked document and which icon to click on for editing. I have demanded arbitration over this issue, but they still have not responded. VineSign is useable, but it does not date/time stamp the signature-it only puts a header on the first page of the document. As a result of these deficiencies, we have to convert and manipulate pdf documents using Adobe, save them into our client files on our server, then move them into FileVine. This has created considerably more work.

Pros

It is extremely customizable. There is a suggestion feature for changes to the software.

Cons

There are many glitches that were not evident until we started using the program. There is no way to try out the program before purchasing it-you have to rely on the representations made by the sales staff. The only trial offered is for the sales rep to guide you through some of the features for 45 minutes or so. The add-ons for DocsPlus and VineSign are much lower quality than using Adobe. The "deadline chains" cannot be modified in the client's file and you have to turn off automatic calendaring for many events because you cannot add a time for the event. The calendar syncs with Google, but we do not get the calendar notifications that we get if the event is calendared on Google itself. But if you do that, it does not show up in the client's file. There is no way to set up automatic reminders that take include both calendar days and court days-it counts only one or the other. We often have deadlines that are based on calendar days, but are extended by a certain number of court days due to the manner of service of the initiating document. There is no way to assign work that is not associated with a specific project. There is no way to have interoffice communications about phone calls, messages, etc. unless it is set up as a "task" and associated with a specific project. So phone messages that are not specifically related to a particular existing client still have to be handled manually.

### "Filevine - hard sales push promises more than delivers"

I was intrigued to try this program. I did a demo and had numerous sales calls. It was an aggressive sales pitch. I finally said I'm intrigued to try it out which required me to pay over $2,000 I figured if it worked then it would be worth it. Well after a few days of use, it was clear it did not do what I expected and I did not like using it at all. It was my mistake and thank goodness I made them include a clause about not autorenewing my subscription. I recommend against using FileVine. Software should always provide a trial period, even a week. Where such a software does not let you play around with it outside of watching a demo, it should be a redflag. FileVine may be a good solution for some people but I don't recommend using it because they don't allow that before trying it. And it is not as full-featured as advertised and each little thing is another add-on fee.

Pros

In theory it offers customization. I don't doubt that it does. It has some limited document management abilities.

Cons

They charge you for "implementation" more than the cost of the licenses. I'm not a programmer or computer science graduate but consider myself competent with programs like this. My philosophy is that if I must be "trained" to use it, then it's not an intuitive program. When I had an issue, the customer service person - who seemed helpful - told me the only way to troubleshoot my issue - the documents were not searchable even though I had paid extra for OCR (notwithstanding word documents are by definition searchable) - was for me to add him as an administrator for my account and that he would look at it. I was stunned. I've used dozens of programs and received support from them when needed. Standard method is through remote access tool. Who would ever think to add their support rep's email as an admin on my account? This is indicative of my issues with the program.
